The Science Media Centre is a small, high-impact charity that works to get expert scientific voices into the media on the biggest and most controversial stories of the day so that news is accurate and evidence-based.  We're looking for a confident, engaged, and enthusiastic Operations and Executive Assistant to ensure our CEO and the wider team can function at pace. This is an exciting opportunity for someone early in their career to partner with a high-profile CEO at a highly-regarded scientific organisation, that has worked behind the scenes for over 20 years to deliver real impact to the public.

The core aspect of this role will be supporting our CEO. You will manage her diary and inbox, prepare her for speaking events, handle all travel and logistics, be the first port of call for tech queries, and generally act as her second brain. But on top of that, this broad role includes running our internship programme, managing events, coordinating projects for the Senior Management Team, assisting with governance and finance admin, and keeping the office running smoothly.

Role Purpose

GDI Hub CIC is seeking an experienced PA/ Team Assistant to provide high-level support to its CEO and Academic Director as well as support the wider team.

The successful candidate will enable the CEO and Academic Director to be more effective by providing proactive administrative, communication, and operational support. The role will act as a key coordination point across the organisation, ensuring priorities are managed, diaries are coordinated, and that the CEO and Academic Director’s time is used strategically.

Senior Leadership

• Lead the Senior Leadership team in the implementation of our revised organisational strategy 2027-2030.
• Ensure organisation-wide financial oversight and operational business planning.

Operational oversight

• Ensure we have all necessary policies in place and take the lead on coordinating the establishment and review of existing and further policies. Oversee the regular review of GLAN’s risk management frameworks and our risk register.
• Oversee GLAN’s governance structures (internal reporting, Board meetings etc.), ensuring decisions are well informed and documented.

Financial oversight

• Oversee financial operations: budgeting, forecasting, cash flow, expenditure controls, financial reporting, payroll.
• Ensure compliance with accounting standards, audit requirements and donor / funder financial reporting obligations.
• Manage relationships with external accountants, auditors, banks, and financial service providers.
• Ensure best practices are followed and financial risk is identified and managed appropriately.

Person Specification

Essential

• Minimum of 8 years of experience in senior leadership roles, delivering successful organisational financial oversight- with expertise in business planning and complex project management.

About the role

This role will provide leadership and management for CCLC particularly focused on the Legal Practice Unit’s legal aid billing operations. Through systematic and efficient management, the post-holder will play a pivotal role in CCLC’s financial and operational sustainability. The role will be accountable for maximising the unit’s legal aid billing in controlled work, certificated work and inter partes costs and will hold responsibility for the unit’s billing systems. It will also be responsible for private fees billing. The post-holder will oversee the smooth running of legal aid billing including through line management of the billing team. The post-holder will work very closely with legal, operations and administrative staff. The role will act as a key point of contact for a range of internal and external stakeholders including Coram’s central finance team who will support the role with grant fund management and overall accounting functions for CCLC. The post-holder will support the Managing Director of Legal Practice and Children’s Rights and department heads in the successful maintenance of our relationship with the Legal Aid Agency. Where appropriate they will be deputising for the Managing Director on legal aid and financial matters.

The role would suit a highly organised and efficient legal, or a finance or billing professional with solid experience of legal practice and a deep understanding of the challenges of legal aid. Whilst candidates with direct experience of legal billing (and more specifically civil legal aid billing) are welcomed, we recognise that this is a highly specialised and niche field. As such, this role could suit a highly experienced solicitor who appreciates the important role developing sustainable businesses plays in ensuring access to justice and who therefore wishes to move into practice and financial management. They will need an aptitude for processing large amounts of data, developing and managing spreadsheets and improving organisational systems. Orbis UK is delighted to offer the role of HR and Governance Manager, a new position for the charity, as the organisation seeks to grow and build on past successes to reach its target of achieving £10m income in the next 5 years.

This role is critical to supporting a highly performing group of staff and trustees as we seek to transform lives through the prevention and treatment of blindness. This role will sit within the Business Support Team, which is responsible for the day to day running of the organisation and will be crucial in creating a revised HR strategy and ensuring that the organisation’s compliance with key statutory and regulatory requirements are maintained at all times. The successful postholder will work collaboratively with the Director of Finance and Operations to meet these objectives, but also will have a central role in identifying opportunities for growth within the HR and Governance function to ensure that good practice, wellbeing and compliance work hand in hand with one another and is embedded within the ethos of the organisation for the benefit of its staff and, ultimately, our beneficiaries.
