The Senior Finance Officer is a key role working alongside the Finance Business Partner for ClientEarth’s Business Services and External Affairs teams (BS and EA) to assist in the production of the monthly management accounts, providing support to our budget holders and to a busy finance team.

This new role has been created due to an internal promotion. If you are actively studying for your ACA/ACCA/CIMA qualification this role offers you study support while learning on the job, all while helping an environmental charity deliver on its mission of using the power of the law to protect life on Earth. 

You will join a finance team currently totalling 23 colleagues working across our offices in London, Brussels, Warsaw, Berlin, Madrid, Tokyo and Beijing.

Meet your Manager

In this role, you will be managed by Kasheena Paryag. In 2017, Kasheena started her career in the non profit sector and has had various finance roles in both charities and grant making organisations since. Kasheena joined ClientEarth in March 2022 and is based in our London Office. As a Finance Business Partner, Kasheena is the main point of contact for our CEO, Business Services and External Affairs departments, and works closely with these teams.

Main Duties

• Management Reporting - Support in the timely and accurate production of monthly management reporting from Workday Adaptive taking responsibility for running the reports for a number of budget departments.
• Budgeting and Forecasting - Support, as appropriate, with annual budget setting, entity budgets, monthly forecasting, process improvements and budget assumptions including Adaptive Planning modelling. 
• Data Integrity - Ensuring accurate coding of transactions, raising and responding to queries from budget holders. 

Role requirements

• Actively studying for ACA/ACCA/CIMA. Study support provided
• Experience of working with Access Dimensions, FocalPoint, Workday Adaptive or other similar accounting packages
• Experience of managing deadlines through a financial month end process 
• Good knowledge of Microsoft Office, particularly of large excel spreadsheet functionality including lookups, pivot tables, data sorting

Overview / purpose of the role

We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The successful candidate will undertake training with the AAT (funded by us) towards a bookkeeping qualification alongside working as our Finance & Operations Assistant, you will be given some time to study during your working hours for this qualification.

The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description.

Responsibilities

Finance

● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required

● Processing and coding invoices  in Xero accounting software ahead of weekly payment runs

● Checking that correct coding and approval procedures are followed for staff expenses in Soldo

● Conducting weekly payment runs via our online banking system

● Coordinating our monthly payroll processes (working with external providers)

● Working with the Head of Operations & Evaluation and Director of Finance to support the development of funding proposals

● Working with the Head of Operations & Evaluation and Director of Finance to support financial reporting on grants for external donors

Person specification

Main Responsibilities:

•  To provide facilities management to all YMCAES sites across East Surrey. This includes 5 housing schemes and one sports and community centre all owned by the YMCAES together with six family and youth centres that the YMCA lease from local authorities. 
• u  To manage a team of three maintenance technicians (full and part  time), and facilities administration assistant and to be responsible for their training and professional development 

• u  To be the Health and Safety Officer for YMCAES to ensure that the organisation complies with all current legislation and to encourage good practice throughout the YMCAES. 

• To be responsible for ensuring all risk assessments are up to date and accurate:
•   to carry out regular building risk assessments
•  where necessary support and advise staff in completion of risk assessments
•  to ensure fire risk assessments are carried out in accordance with legislation and good practice

In this role, you’ll support the Longview team to effectively deploy over $10m per year to reduce the risk of a major global catastrophe, such as a nuclear war between great powers, an engineered pandemic, or the misuse of advanced artificial intelligence. Your work will enable Longview to operate more effectively and nimbly, and you’ll support a team working on high-impact grantmaking.

Key Information

Role: The Operations Analyst will support our operations, events, executive and grantmaking teams by managing our office, coordinating meetings, setting meeting agendas, and supporting other operations processes within Longview.

Location: London, UK (working full-time from Longview’s East London office). We may be able to sponsor a UK work visa for this position.

Starting Salary: c. £35,000-40,000 p.a. We may be able to offer a higher starting salary, depending on the successful candidate’s experience and skills.

Responsibilities

The Operations Analyst will support the Longview Philanthropy executive, grantmaking, operations, and events teams. Approximately 40% of their time will be spent on office management tasks and 60% on generalist-type operations tasks (depending on the successful candidate’s specific skills and professional development goals):

• Meeting preparation and coordination
  • Creating meeting agendas for senior staff (CEO, COO & Programme Leads) and sharing them ahead of time
  • Scheduling meetings between team members and external stakeholders
  • Organising our monthly all-team meetings
• Managing our London office
  • Keeping the office fridge stocked
  • Maintaining office inventory and equipment
  • Continuously improving our working environment
    • Including helping to scope for new offices, as required
  • Receiving and managing office guests
  • Liaising with our office provider (Fora)
• Remote office management
  • Assisting our remote staff with their local office spaces, including finding suitable offices and liaising with the providers
  • Assisting staff with equipment orders
• Collating materials from across the org to support the executive, grantmaking, events and operations teams
  • An example of this might be collating testimonials on our events for future invitations, or collating public and Longview-specific information on a potential or existing donor
• Supporting staff where needed with smaller tasks, examples might include ordering items for staff and registering for events on their behalf
• Administering and troubleshooting key shared systems, for example, 1Password, Asana, Slack, Calendly, Zoom, AirTable, and Notion
  • Moderating these platforms and enforcing communications and sharing norms
• Managing our general enquiries email inbox and triaging emails to ensure they receive an appropriate response
  • Logging general job applications in our database and responding as necessary

Possible duties, depending on the candidate:

• Helping administer hiring rounds
  • Communicating with candidates
  • Managing the candidate pipeline and applicant tracking system during the hiring process, as well as the logistics for work tests, trials and interviews
• Supporting our IT infrastructure
  • Updating the website
  • Conducting basic cybersecurity tasks
• Working with our Data Manager to keep our CRM up to date by tracking key interactions

The successful candidate will initially report to Katie Hearsum, COO, though management may eventually move to another member of the operations team, and ideally would be able to start in July 2024.

In October 2022 Salford City Council commissioned Salford CVS to undertake research into the strengths of the Voluntary, Community and Social Enterprise (VCSE) sector as part of their Joint Needs and Strengths Assessment.

Every three years since 2008, Salford CVS leads on State of the VCSE Sector research in Salford and also across Greater Manchester. Working with other local infrastructure organisations, we aim to provide a comprehensive overview of the VCSE sector. Our last research report was published in 2021 and we have started planning for the research to be conducted this year.

In August 2023 we further developed our VCSE sector research and insight work with the commencement of our Salford 99 longitudinal study. This research project is designed to understand the issues affecting the VCSE sector in Salford and aims to track 99 VCSE organisations every six months for a three-year period, so that we gain ‘live’ insight in between our three-yearly State of the VCSE sector large research project. Alongside this work we conduct a Pulse Check survey with a variety of VCSE organisations to get a snapshot of what is changing for them each quarter.

This exciting VCS Research and Insight role involves a combination of VCSE engagement and insight work across Salford.

Main purpose of job: To work in the Navigator team supporting individuals who have or are experiencing sexual violence and or sexual abuse. As a first contact worker, you will act as a gateway to both specialist counselling and advocacy services and additional specialist support services in Essex. You will use your considerable experience to provide a high-quality telephone information and support service.

The support you deliver will help individuals on their pathway to wellbeing, recovery, and social inclusion through building trusting and collaborative relationships. You will guide users to make informed decisions about their own wellbeing, maximising their independence and engaging in appropriate community or clinical resources/interventions.

You will work within a team of first contact navigators under the supervision of a service lead. You will be highly motivated and dedicated, have strong communication, interpersonal and negotiation skills with the ability to work under minimal supervision.

Salary:£24,496 - £26,845 per annum.

Contract: This contract is until 31st March 2026, with the potential to extend if funding is continued.

Job Description

The First Contact Navigators play a central role in the CARA team, ensuring that our service users and other agencies receive a high-quality service from the moment of first contact. You will work as part of a wider team of First Contact Navigators across Esse and the post liaises with clients, the CARA team and external agencies, providing advice, support and information.

The First Contact Navigator will engage with individuals who are experiencing, or who have experienced, sexual violence and or sexual abuse who require information, signposting and short-term support.  You will be the first contact and conduct first meetings, managing your own caseload and co-ordinating personalised support for individuals on their pathway to wellbeing. You will have strong communication, interpersonal and negotiation skills with the ability to work under minimal supervision. You will support people who use CARA services to make informed decisions about their wellbeing, maximising their independence and engaging in appropriate community or clinical resources. You will work collaboratively with service users, the CARA team and other professional agencies to navigate and coordinate services.  

The main responsibilities of the post are:

· To act as a first point of contact for new referrals and enquiries, providing information, emotional support, advice and signposting.

· To complete first contact calls and assessments with clients over the telephone.

· To ensure information about new referrals/enquiries is accurately recorded on CARA’s database in real time.

· To work collaboratively and build trust with service users, agencies, personal and professional support networks to collate relevant information to effect individualised support requirements.

· To assess and engage service users not currently engaged in appropriate specialist sexual violence services.

· To seek and respond to referrals from a variety of internal and external sources.

· To assist survivors and relatives/supporters of survivors in understanding the range of resources and services available to them.

· To support service users to engage effectively with appropriate services to meet their individual needs and aspirations.

· To work as a link between clients, CARA staff and external agencies, ensuring appropriate information is passed on.

· To work closely with the Essex-wide team of First Contact Navigators and Information and Referral Coordinators to ensure effective referral processes across Essex.

· To act as a point of contact for external agencies making referrals to CARA, answering queries about our referral process.

· To cover the enquiry line and the office phone and deal with enquiries as required.

· To pro-actively promote CARA’s services to external agencies, ensuring they are aware of our referral procedures.

· To contribute to development of promotional information, to ensure information about the referral process is clear and accessible.

· To attend regular team meetings and to work with colleagues to further the objectives of CARA.

· To adhere in full to all CARA’s organisational policies and procedures, including safeguarding procedures.

· To report to the Service Development Manager, Head of Operations, CEO and Trustees as required, including the production of regular written reports.
