We are working with an independent research institute who are recruiting for a Executive Assistant to the Director and COO. The Director, has responsibility for research within the institute, and also is a senior professor. The COO, oversees the charitable and administrative structures of both the institute.
Although the primary focus of the role is support for the Director and COO, the role will contribute to the wider institute, particularly event and meeting support. It will be a varied role which will suit someone with previous experience of administration or personal assistant work in the area of science of healthcare.
As EA you will
- Act as gatekeeper between internal/external stakeholders.
- Manage all aspects of the Director's quarterly trustees including collating, editing and proofreading ready for submission to the Board.
- Schedule management on behalf of the Director and COO.
- Produce high quality reports, summaries, presentations and organisation charts.
- Provide secretariat support for monthly Leadership meetings and quarterly trustee meetings.
- Provide meeting briefings and summaries for the Director/COO.

The Role:
This role will cover a wider area of executive support including governance, meeting management, senior leadership team support, managing on-line gatherings, travel management, diary management, correspondence management and relationship management.
The post-holder will be key in supporting the WWP in this, and also, with both WWP and CEO, in mapping out the key events and activities over a 6 year cycle, so that there is a clear structure for the new WWP (and ultimately successor to CEO ) to come into and work with. They will also assist the CEO in “standard agenda planning” for the board, for example, the induction of the new Board in early 2025.
Whilst the role is for 3 days per week, ideally this would be flexible, with the individual working more days at certain times (for example during the Board week) and less at quieter times.
MU is a small team, (about 25) and there is an expectation that all will show flexibility in helping out on areas not explicit in their role descriptions, when time and their expertise and ongoing workload allow
Who we are looking for
The ideal candidate should be proficient in handling the Microsoft suite, zoom, familiarity with handling databases and finance systems. They should be confident in taking minutes in board meetings, experienced in acting as a project manager, able to use a project tool to facilitate planning of schedules for SLT, Board and committees throughout the year, and possess excellent relationship skills, confident to liaise with board members and provincial presidents from around the Globe.

Work Location
This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Staff are required to work an aggregate minimum of 90 days per calendar year (pro rata for part timers) at our Head Office, Mary Sumner House in central London. Tuesdays are our anchor days where every staff member is expected to be at the office. The 90 days includes anchor Tuesdays.

This is a fixed-term 12 month maternity cover role. This is a full time role 35 hours per week. Flexible working patterns can be considered.

The Volunteer Administration Executive will sit within the CoppaFeel! Education Team and will work closely with the Volunteer Community Executive and the Volunteer Community Manager. This is a remote-first role, which means you aren’t expected to come into the office. The only days you would be required to attend the office would be for our quarterly team meetings, quarterly department meetings and in person training. CoppaFeel! exists to educate and remind every young person in the UK that checking their chest isn’t only fun, it could save their life. We are the first breast cancer charity in the UK to create awareness amongst young people, with the aim of instilling a new healthy habit that could one day save their life. We have two Codes of Practice: the Naming, Packaging and Promotion of Alcoholic Drinks and the Alcohol Sponsorship Code. Each Code outlines a set of responsible marketing rules that the alcohol industry must abide by. Our primary purpose as a regulator is to protect those who are vulnerable, particularly those who are under-18.
No previous experience of working in the alcohol industry or marketing regulation is necessary as full training will be provided.

Details of role
· Deliver training and briefing sessions on the Codes and on alcohol social responsibility. This includes delivering sessions virtually and in person within the UK.
· Responsible for responding accurately and promptly to written requests for advice on product marketing from producers and their agencies alongside other members of the Regulatory Affairs Team.
· To raise standards of responsibility in the industry by undertaking proactive trademark searches of newly registered products and providing unsolicited advice where necessary.
· With the support of the team, provide internal and external reporting analysis of advice requests on a monthly basis.
· Monitor product innovations via social media and press publications to identify emerging trends and provide unsolicited advice where necessary.
