Our operations team is led by the Chief Operations Officer (COO) and includes the finance and bookings & venue teams. This is a newly created role that will report directly to the COO and work closely with the wider operations team.

Scope of role

The role supports the delivery of our IT, facilities, health and safety across operations. They act as the first point of contact with outsourced providers and co-ordinate any work related to these areas.
The role is in place to support the project management and delivery of a set of work programs and there is a level of autonomy to make decisions on a project / work area basis within an agreed framework to deliver.
The role will hold the IT budget, and support COO with facilities budget; thus it is expected that there is a good understanding of the budgets to understand constraints and opportunities. The role can make spending decisions up to £2,000.
This role is designed to allocate approximately 60% of the focus on core IT functions and 40% on facilities and operational oversight including procurement.
They will be expecting to advise COO and wider SMT on IT and Operations related plans for the year.

Responsibilities and Accountabilities

Information Technology & Systems

• Be responsible with the support of the COO and wider SMT with all IT related strategy including procurement and streamline of new IT service provider/s. Including setting up KPIs’ and using these to assess performance.
• Manage the setup of new staff – including the procurement of equipment required for the role – this includes all communication tools.
• Managing the relationship and being the key point of contact with the technology suppliers and technology support providers.
• Identifying cost savings/efficiencies in the tech stack.
• Supporting IT KIT refresh plans and purchase, this includes audit of needs and vendor negotiations and lifecycle planning with the COO.
• Leading on regular assessment of IT and systems needs for all services and administrative staff.
  Facilities, Health and Safety & General Administration
• Act as the main point of contact with our property management company. Work with the COO to escalate issues.
• Book in contractors and maintain all required documentation in conjunction with other key stake holders (property manager/agent).
• Be the escalation point for maintenance issues, liaising with the property management company to make sure that issues are dealt with in a satisfactory manner.
• Work with H&S consultants and property managers to ensure all relevant training is planned for and carried out and Risk assessments are being completed and used.
• Work with HR to ensure that all relevant training is planned for and carried out.
• Maintain records for all mandatory tests in conjunction with our property agents.
• Liaise with the Events and Venue Manager to ensure building management is always in place, keyholding, security etc.
• Ensure smooth operations of front of house – including reception and security rotas and arranging additional cover as needed for events.

Projects

• Manage ad hoc projects on behalf of the operations team; such as refurbishments, implementation of printer management.

General

• Building good working relationships across the organisation
• Representing Toynbee Hall to external audiences
• Developing an open and ‘critical friend’ dialogue within our programmatic work
• Undertaking any other appropriate responsibilities that may arise such as top up of franking machines, and general administrative orders as needed.
• Hold regular catch ups with team members, and ensure they are meeting their yearly appraisals.

The role of Health and Safety Advisor will be to review, monitor and advise on Health and Safety (H&S) processes, policies, risk assessments and safe working practices across the charity.

The successful candidate will report to the charity’s Risk Manager, but be expected to work closely with other teams, in particular the Estates and Facilities, and Operations teams.

A recognised Health and Safety Qualification (e.g. NEBOSH General Certificate, or equivalent) is essential for this role.

A Rocha UK is a unique Christian nature conservation charity, mobilising Christians and churches to care for the natural world. We are the UK member of the international A Rocha federation of Christian conservation charities, with sister organisations in 24 countries.  A Rocha UK has a staff of 25 and many volunteers. We run nature conservation activities on our two reserves, advise a national network of conservation partners, inspire Christians to protect nature and act on climate change through our Wild Christian scheme, and run the popular Eco Church scheme for local churches. Purpose of role: 

Increasing and diversifying the sources of funding for A Rocha UK’s work is key to our fundraising strategy. The Grants and Legacies Manager will play a key role identifying potential granting bodies, writing and submitting bids, and managing reporting on grants from a range of sources, including  large foundations, and Church denominations.  In doing so, they will work closely with other staff, especially the CEO, programme staff, and other members of the fundraising team. They will also manage occasional legacies and, as capacity allows, develop a proactive legacy promotion programme. The successful candidate will have previous experience securing funds from trusts, as well as excellent writing skills, an interest in the environment and an active Christian faith. The post currently reports to the CEO.

We are seeking a dedicated and experienced IT Support Officer who can demonstrate proficiency and hands-on experience in IT support or a similar role, with a strong track record of resolving technical issues and supporting end users. The post holder will be an excellent problem solver with the ability to communicate effectively across the organisation.  The role will also involve close collaboration with other members of the facilities team to help maintain audio-visual equipment for meeting rooms and support the general maintenance of the building. 

As the role will be responsible for onsite IT support at our Central London office, it will be suited to somebody looking for a position that is predominantly office based. The team works a shift pattern between the hours of 07:00 – 18:00, Monday to Friday.

We are Chance to Shine: a children’s charity dedicated to harnessing the power of cricket to transform the life prospects of young people in the UK.

It is our mission that all young people have the opportunity to play, learn and develop through cricket. We want them to learn a love of the game and to find a sense of belonging through the sport, developing their wider wellbeing and life skills to help fulfil their potential.

Established in 2005, we have a long-term track record of delivery in state schools and under-served communities, bringing best-in-class cricket programmes to young people aged 5 to 24 who might not otherwise have the opportunity to play. All our programmes are completely free for everyone involved, from schools and community groups to young people and their families.

2. Purpose of the Role

We are looking for a full time (37.5hrs per week) Executive and Office Assistant to support the Finance and Resources team at Chance to Shine. The Finance and Resources team provide day to day support to all departments in the charity and trading subsidiary, Chance to Shine Enterprises Ltd, around finance, office, governance, HR and general administration. The role is expected to be largely in person in our central London office.

3. Key Responsibilities

The Executive and Office Assistant’s responsibilities are in three areas:

Office Administration:

· Act as ‘front of house’ for visitors and guests and be first point of contact for telephone enquiries and ensure the office space is fully operational.

· Monitor the charity inbox and respond to general enquiries.

· Oversee and monitor the Office and Administration budget.

· Liaise with the office landlord, regarding the general office space, car-parking, meeting rooms and staff access. 

· Help manage offsite storage space.

· Administer IT support processes, first point of contact for IT support issues and managing IT supplier contracts; and administering staff IT requirements.

· Maintain up to date shared document area on sharepoint.

· Act as Health and Safety Officer responsible for all Health and Safety matters, and attend training as necessary.

 

Executive Support

· Support the CEO and Senior Management Team (SMT) on organising and following up internal meetings, Board meetings and company wide initiatives.

· Provide governance support to the CEO, Director of Finance and Resources and Trustees.

· Take the minutes/key actions of Board and Committee meetings.

· Support on the onboarding and induction of new Trustees.

· Maintain Trustees’ register of interest.

· Deliver ad hoc administrative support for the CEO and Finance & Resources Department.

· Ad hoc support at Chance to Shine events, such as fundraisers, media events and competitions.

 

HR Support

· Administrative support to the HR Manager for HR processes, including drafting letters, maintaining employee records and recruitment processes.

· Support the induction of new employees to CTS.

· Support the HR Manager with administering staff benefits, organisational training and annual appraisal process.

We are looking for a Maintenance Team Member interested in being part of a vital team helping to support the day to day running of our properties for vulnerable families accessing our children’s hospice care, who has experience of working within maintenance environment. Ideally the successful candidate will possess some form of maintenance skill/qualification/experience (Painting & Decorating/Carpentry /Plumbing skills etc).

There is an out of hours “On Call” element to this position whereby the successful candidate will be required to go onto the “On Call” rota shared among other members of the maintenance team.

A full UK driving licence is essential as some work will take place at satellite sites.

Purpose

As Centre Operations Manager, you work closely with the Executive Director to support Jamyang’s mission of fostering a caring, warmhearted community. You are the backbone of day-to-day operations, supervising local and resident volunteers in essential tasks such as facilities upkeep, team meal preparation, and general site care. You manage procurement and ensure that operational systems and processes are both effective and aligned with Jamyang’s values.

 You’ll also play a key role in helping the Centre live its environmental commitments—making mindful choices in purchasing, resource use, and daily operations that reflect our shared care for the planet.

Key Responsibilities

1. Team & Volunteer Supervision

· Supervise local and resident volunteers in daily centre tasks (facilities upkeep; team meal preparation; general site care), ensuring tasks are completed efficiently, safely, and with care.

· Create and manage volunteer rotas, provide on-the-job guidance, and foster a supportive environment that aligns with Jamyang’s values of care and interconnectedness.

2. Procurement & Resource Management

· Oversee the procurement of goods and services essential for the centre’s operations, ensuring cost-effectiveness, quality, and sustainability.

· Maintain supplier relationships and monitor inventories to support seamless centre operations.

3. Operational Systems & Process Improvement

· Design and implement operational processes that support Jamyang’s mission and values, including record-keeping, contractor management, and facilities oversight: from scheduling minor repairs to coordinating decorative maintenance and small improvement projects.

· Administer digital tools (Asana, BreatheHR, QuickBooks Online) to support collaboration and productivity across the team.

· Ensure compliance with health & safety requirements (liaising with external H&S consultants).

4. Finance & Administration

· Oversee invoice tracking, vendor payments, and financial hygiene (liaising with the external bookkeeping service).

· Support budget monitoring, insurance, utilities, contracts, and other administrative tasks as required.

5. Leadership & Collaboration

· Collaborate closely with the People & Community Coordinator to align systems, onboarding, volunteer support, and community engagement initiatives.

We are looking for a strategic, self-motivated and entrepreneurial Deputy Director to support the long-term success and sustainability of Nottingham Contemporary. The Deputy Director works closely with the Director, Senior Leadership Team (SLT) and Board to deliver the strategic direction, business planning and lead the operational management of the organisation.

The Deputy Director is responsible for the effective internal operation of the organisation, embracing its administrative, facilities, financial, personnel, IT and legal functions as well as its income generation growth strategy. The post holder has executive responsibility for the development and delivery of all aspects of the Business Plan and Arts Council England’s National Portfolio funding agreement, monitoring all Key Performance Indicators. The role

Your main accountabilities will include:

• Develop operational policies, procedures and documentation, including risk management, ensuring they are up to date and reflect the organisation’s values and align with the Arts Council’s Investment Principles.
• Lead the organisation’s business plan alongside the Director and with support from the SLT, ensuring this is in line with the organisation’s vision, offer, purpose and values.
• Manage the preparation and submission of annual applications to key public sector funders, including Arts Council England, Nottingham City Council and HE partners by providing relevant departmental data and information.
• Lead responsibility for all aspects of financial management and administration of the organisation, including related regulatory reporting.
• In liaison with the Director and SLT, set and manage annual and multi-year budgets and resources, providing suitable reporting on a regular basis to the Director, budget holders and Trustees.
• Ensure that legal responsibilities of Nottingham Contemporary are met including charity, company and health and safety, liaising with solicitors as required.
• Ensure the efficient maintenance and excellent presentation of the building.
• Spearhead income generation strategies in the business plan with support from the Director and Senior Development Manager to diversify and increase the gallery’s revenue streams.
• Oversee the promotion and communication of Nottingham Contemporary’s artistic and educational programmes and commercial activities across all platforms, including print, press, digital and social media.
• Develop and manage key local and regional partnerships, and working relationships with regional and national tourism organisations.

You will monitor stationary stock levels, submit and record catering orders, ensure general office duties are carried out when scheduled, process incoming and outgoing post within an agreed timeframe, ensure administration procedures and related documents are kept up-to-date, monitor office usage, manage meeting room bookings, and ensure rooms are ready for use at all times. You will also provide administrative support to the Head of Support Services where required. Support on office Health and Safety plus risk assessments.

Requirements:

• Experience providing reception duties and general administrative support
• Welcoming, friendly and clear communication skills face to face and phone
• Ability to prioritise and manage own workload and work under pressure
• Proficient in Microsoft Office
• Ideally some exposure to office Health and Safety related assessment tasks
• Experience interacting with office contractors and facilities suppliers

Two Rhythms is seeking a dynamic Business Manager to spearhead their operational and financial success, ensuring the charity's sustainability and growth. This pivotal role involves driving earned income, managing financial health, and expanding the reach of their therapeutic arts programs across South Wales and the UK.

The Business Manager will oversee the operational and financial management of the charity, ensuring the organisation is efficient, sustainable, and aligned with its mission. They will focus on earned income generation and working to increase it in line with the business plan. They will be outward-facing, generating new business with local authorities, care providers, schools, hospitals and hospices. They will work closely with the CEO, and Head of Programme to introduce the 2R programme to new guests across South Wales, and with the Membership Officer to extend our membership programme across the UK.

The Business Manager will play a crucial role in managing the charity's financial health, ensuring resources are effectively utilised to support its mission and goals. This hands-on role involves overseeing financial planning, budgeting, reporting, and compliance while supporting their leadership team colleagues with financial insights and strategies.

They will prepare reports for the management team, CEO and Trustees as required and they will liaise with our external accountants, helping to prepare annual accounts and other statutory documents.

DUTIES AND RESPONSIBILITIES

OPERATIONAL

1. Business and Operational Management:

• Oversee daily operations, ensuring efficiency and effectiveness across departments.
•  Design and implement new processes to monitor trading performance.
• To act a responsible point of contact for managing day-to-day facilities and building issues.
• Management of external contracts relating to facilities and running of the organisation. 
• Review environmental considerations of the organisation in-line with the requirements and policies of our funders, landlords and partner organisations.
• Support the administration of session bookings, liaising with finance and management colleagues.

2. Compliance and Governance:

• Working as part of the charity’s Safeguarding team helping to ensure best practice across the charity’s activities and operations. (Appropriate training will be provided)
• Ensure the charity complies with relevant financial regulations and reporting requirements.
• Manage risk and protect the charity’s financial reputation and assets.
• Maintain accurate records and policies, working closely with trustees or board members.

FINANCE

3. Financial Management and Planning:

• Prepare and manage budgets in collaboration with the leadership team.
• Monitor and control income and expenditure to ensure financial sustainability.
• Develop financial forecasts and plans to support strategic decision-making.
• Manage invoicing, liaising with external clients and contractors with respect to debt management, reviewing and improving booking processes where necessary. 

4. Accounting and Reporting:

• Maintain accurate financial records and oversee day-to-day bookkeeping.
• Prepare monthly management accounts, including variance analysis.
• Produce annual financial statements and manage the year-end accounting process.

5. Donor and Grant Management:

• Track restricted and unrestricted funding, ensuring proper allocation and reporting.
• Provide financial reports and updates for donors and grant applications.

PEOPLE

6. Supporting Stakeholders:

• Work closely with trustees and the senior leadership team, providing clear insights.
• Contribute to the charity's overall strategic planning and growth.
• Attend board meetings, ensuring accurate minutes and record keeping.

7. Leadership and Team Support:

• Work closely with Senior Management colleagues to provide strategic advice and insights.
• Manage and support staff, fostering a positive and productive work environment.

COMMERCIAL ACTIVITY

• Work with the team to drive sales, pursue new clients and increase the charity’s earned income, collaborating with Programme, Membership and Marketing colleagues and the CEO to further the charity’s work.
• Lead on our engagement with the health and social care sector, including private and public organisations.
• Assist the CEO in submitting reports to funders, regulatory bodies, and trustees.
• Support the development of funding proposals with accurate financial input.
• Assist the CEO in building relationships with external partners and stakeholders, including corporate and commercial clients.

As a Fundraising Assistant, you’ll play a key role in supporting all aspects of our fundraising activity – from day-to-day operations to our ambitious Transforming Lives Appeal. You’ll work closely with individuals, community groups, and organizations to inspire and maximize their fundraising potential.

• Support all aspects of fundraising for both day-to-day needs as well as the Transforming Lives Appeal
• Proactively work with individuals, community groups, and organisations to encourage and maximize their fundraising potential
• Assist in the development of strong relationships with donors and supporters by engaging them on a professional level and understanding their motivations
• Assist in delivering the fundraising events programme contributing your ideas to help develop and plan events and supporting their delivery

We are seeking a faith filled, people focussed senior leader offering operational management which includes oversight of our Support Services Hub and staff team and developing commercial enterprise, to contribute to our financial resilience and resource mission.

The Operations Manager will work closely with the Team Rector in developing and implementing the strategy, systems and capacity to enable the parish and its churches and worshipping communities to be effective in fulfilling the parish vision and priorities.   

The purpose of the role is to provide strategic oversight and efficient management of the operational, administrative, financial, HR, safeguarding and property functions of the parish.  The role includes day to day management of the Support Services Hub and staff team who are at the forefront of support for operations and enterprise.  

In terms of enterprise, your role will be to develop and implement an entrepreneurial approach to income generation and financial sustainability.  This might focus on our use of buildings, the development of other innovative commercial enterprise and developing and implementing other fundraising strategies (including grant applications).  We already hire out many of our buildings, yet we recognise that our buildings and grounds, could be used more innovatively and are seeking somebody who will bring innovation to our thinking and enable our assets to be stewarded more effectively. We are committed to working with the Operations Manager in support of these strategies.
