Overview / purpose of the role
We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The successful candidate will undertake training with the AAT (funded by us) towards a bookkeeping qualification alongside working as our Finance & Operations Assistant, you will be given some time to study during your working hours for this qualification.
The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description.
We do not require the successful candidate to have any particular/specific formal qualifications, you may have just finished education or be looking for a change in career, what you will need is excellent attention to detail and a strong interest in developing a finance career with us.

Responsibilities
Finance
● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required
● Processing and coding invoices in Xero accounting software ahead of weekly payment runs
● Checking that correct coding and approval procedures are followed for staff expenses in Soldo
● Conducting weekly payment runs via our online banking system
● Coordinating our monthly payroll processes (working with external providers)
● Working with the Head of Operations & Evaluation and Director of Finance to support the development of funding proposals
● Working with the Head of Operations & Evaluation and Director of Finance to support financial reporting on grants for external donors
● Supporting the Head of Operations & Evaluation and Director of Finance with general financial administration, record keeping and tracking budgets
● Provide training on expense and invoicing processes to new members of staff and generally acting as the first point of contact for all staff on any finance procedure questions (full training will be provided)
● Supporting the Senior Management Team (SMT) and our Director of Finance to develop the annual organisational budget and report against it quarterly
● Providing budgeting support as required for colleagues internally
Office Management & General Operational Support
● Acting as the key point of contact between CGP & our coworking office space (organising memberships, meeting room bookings, invoices, printing credits, equipment, internal events etc.)
● Organising post, stationery supplies and managing stocks of office equipment
● Maintain/organise our filing and cloud storage systems logically and efficiently, in a data protection compliant manner.
● Ad hoc IT support as required, including online troubleshooting and logging support requests with service providers when necessary.
● General administrative support to the CEO and Head of Operations & Evaluation
Human Resources
● Support with recruitment processes within CGP, including assisting members of the team to schedule and coordinate job interviews, contact candidates and file incoming applications.
● Working with the Head of Operations & Evaluation to organise internal events like team away days and staff team building activities.
Person specification
The right candidate is less likely to be defined by their qualifications and prior experience, but will be someone who meets the below criteria, and is ready to learn. They will have an aptitude for maths and finance, excellent attention to detail and a meticulous, methodical approach to work and troubleshooting.

● Has an interest in developing a career in the nonprofit finance sector and willing to commit to undertaking financial training
● Is broadly supportive of UK Aid
● Is an independent worker, self-starter who can take responsibility for projects through to completion

The key duties of the Director of Finance are as follows:
- Support the CEO and Senior Leadership Team in developing HET's organisational strategy and plans, ensuring they are financially sustainable.

London's Air Ambulance treats patients who experience critical injury in the capital and support them and their families on a road to recovery. Reporting to the Deputy Director of Finance this post supports the provision of high quality financial reporting to assist budget holders, managers, directors and trustees. Key areas of responsibilities;
- Stakeholder collaboration: Work closely with internal and external stakeholders, including finance and non-finance colleagues, to support strategic planning and decision-making.
- Financial reporting: Prepare monthly, quarterly, and annual financial reports for the charity, ensuring accuracy, timeliness, and compliance with regulatory requirements. Own the full life cycle of reports from build to delivery.

- Financial analysis: Monitor actual performance against projections and conduct analysis to identify trends, variances, and opportunities.

- CRM management: Work closely with the Head of Financial Accounting and Head of Data to ensure financial reporting requirements are adequately considered when managing the CRM.

- You will be the Finance Transformation Lead during the development of and transition to Microsoft Dynamics Finance and Operations from the current system. How you will make a difference
Your role will enable smooth and efficient financial and administrative workflows at GFI Europe. Reporting to the Head of Operations, your work will fall under the following categories:
50% of time – Payment processing and bookkeeping
- Making payments correctly and on time with respect to invoices, direct debit setup, expense reimbursements, as well as salaries and payroll taxes.
- Day-to-day bookkeeping, including registering journal entries and all financial transactions in our accounting software (currently Quickbooks), and supporting monthly reconciliations.
- Coordinating the calculation and payment of quarterly reverse-charged cross-border VAT payments.
- Where there are opportunities for improvement, working in partnership with colleagues from the Operations team to implement systems that facilitate easier and more efficient payment processes.
25% of time – Budget forecast and reporting
- Forecasting regular and recurring expenses for the annual budgeting process and for periodic budget reviews.
- Preparing monthly updates on budget spending per department / project.
- Collaborating with our Development team to track and report against restricted donations.
- Organising information needed for the Belgium annual financial audit process as well as for UK financial reporting.
25% of time – General administration
- Supporting governance, compliance and reporting for our Belgium entity, as well as the UK branch of GFI Europe and potentially other entities in the future.
- Supporting other departments with contract administration by inputting partnership data in templates, filling in relevant forms, coordinating signatures, organising and keeping track of finalised agreements.
- Performing other tasks as required as a member of our small, dynamic team.
Who we’re looking for
You must have:
- A passion for GFI’s philosophy and mission.

- Financial knowledge: good understanding of payment workflows and bookkeeping, having previously applied them in an administrative or finance-related role.

Benefits and the fine print
- Terms of employment: Part-time (27-30 hours / week). Flexible working hours.
- Location: We can consider applicants based in the UK or Belgium. This is a remote role, and you will be able to work from home, or anywhere you choose (within the UK or Belgium). We are happy to consider supporting costs for co-working to enable you to work from an office if you wish. The whole GFI Europe team aims to get together in person approximately twice per year for around 3-5 days at a time. Travel costs will be covered by GFI Europe within our travel policy.
- Salary and benefits: The salary and benefits package for all of our roles are researched and benchmarked based on similar nonprofit roles in the country/location of hire. Full-time (to be pro-rated) ranges (total amounts received in gross salary plus benefits including home-working allowance) are:
- €2,500 – 3,000 monthly if based in Belgium, plus 13th month and holiday pay
- £31,600 – 36,000 annually if based in the UK

We are looking for a Financial Accountant, to join our busy Finance team on a 12 month fixed term contract as progress our finance transformation journey, including the implementation of a new ERP finance system, Unit 4 (Agresso).
In this role, you will help manage the preparation of the Annual Report and Accounts and statutory returns, quarterly VAT returns, and oversight of monthly accounting processes ensuring that accurate accounts are produced on a timely basis.
You will be responsible for ensuring:
- Thorough testing of finance related end to end processes on Unit 4 ensuring that any issues are captured and resolved as appropriate.
- Successful finance data cleanse activities to ensure that data migrated to Unit 4 is fit for purpose
- Opening financial data migrated to Unit 4 reconciled clearly back to the legacy systems on a detailed and timely basis to ensure strong financial control and a successful audit
- Take lead on understanding and implementing any changes to approach necessary for month end close, journal processing and balance sheet reconciliations
- Successful and timely transfer of knowledge to the remaining members of the finance team
This is a homeworking role, but you will be required to travel to attend some meetings and team-days, so you must reside in the UK, have the correct right to work documents to work in the UK and be comfortable/willing to travel to our flagship offices.
About you
