Responsibilities:

• Accurately process monthly payroll using Sage Payroll for all care homes and schemes.
• Ensure all statutory and voluntary deductions are correctly applied.
• Handle queries from staff and managers regarding pay and benefits.

As the HR Officer you’ll be responsible for providing an efficient, friendly and high-quality HR and recruitment service to our amazing internal customers across the organisation.

You’ll also be undertaking general HR support and provide cover for colleagues within the HR Operations team as and when required.

Your responsibilities will include:

• Liaising with our managers regarding recruitment and advertising agencies
• Compiling and issuing application recruitment packs, arranging interviews
• Maintaining our database to monitor vacancies and applications (to be replaced by the new ATS)
• Updating recruitment pages on the MS Society website
• Processing new appointments (including completing all required pre-employment checks) and changes to existing employment contracts using established templates
• Responsible for keeping the HRIS updated and ensure that all employee information is added / updated accurately on a timely basis
• Responsible for maintaining appropriate paper and electronic records including ensuring that records are compliant with relevant legislation and records management policies
• Processing probation and other documentation
• Supporting with pay and benefits administration
• General admin support as required

Advisers in this organisation negotiate with creditors directly on behalf of clients; set up manageable and sustainable repayment arrangements and provide full casework services.
 
As a Specialist Debt Adviser you will hold a valid level 3 accredited qualification in Debt Advice (accredited through CMA, IMA, Wiser Adviser or similar) or alternatively Generalist Adviser certificate (Citizens Advice or similar), and Ideally a CertMAP.  You'll also have a thorough understanding of debt advice model with proven casework skills and experience of dealing with complex and challenging cases.  You will also have supervisory responsibilities which will cover training and development, monitoring from a compliance and quality perspective, and a strong coaching capability. 

You will have a minimum of 2 years of experience In providing comprehensive accredited debt advice.  Your experience in executing debt solutions such as (and not limited to) DMP, Bankruptcies, DRO, Breathing Space, Write Off, and undertaking income maximisation solutions such as charitable grants, issuing food and fuel vouchers, Uswitch checks and DHP and other benefit entitlement checks/referrals etc.

At a personal level you will also need to demonstrate resilience and the ability to, understand and empathise with clients from diverse range of backgrounds and disadvantaged groups living in the community, in particular barriers faced by over-indebted and financially excluded communities. You will also need to demonstrate a high standard of numeracy and computer skills, specifically IT skills with a strong command of the Microsoft Office suite with an ability to understand and analyse complex financial and other numerical information.

JOB PURPOSE

This is an exciting opportunity for a proactive and organised operations professional to play a key role in strengthening the systems, processes and projects that will underpin our 10-year ambition. The Fundraising Operations Officer will help drive improvements in how the Fundraising team manages data, reporting and income tracking. The role supports the smooth running of Fundraising operations by improving and maintaining systems, processes and administrative functions, ensuring the global team runs smoothly and efficiently.

This is a newly established role that will offer hands-on experience in project coordination, risk escalation and CRM management, and will support you to develop technical and strategic skills in an international fundraising environment. Working closely with teams across Lumos, you’ll be part of an ambitious, values-led organisation where collaboration and continuous improvement are at the heart of what we do.

KEY OBJECTIVES

Operational Oversight

• Oversee day-to-day Fundraising operations, ensuring compliance with regulatory requirements, e.g. GDPR and IATI, across all relevant jurisdictions
• When needed, coordinate process improvement initiatives that support Fundraising delivery and create efficiencies, ensuring they work alongside those already used within Lumos
• Manage back-office functions for recruitment, inductions of new starters in the Fundraising team, and management of contractors and other suppliers as appropriate
• Provide operational support for events, including managing guest lists, monitoring expenditure, helping with venue logistics and on-the-day activities
• Help maintain and improve internal systems and team documentation (e.g., on SharePoint)
• Support the drafting of Fundraising policies, procedures and systems used by the organisation
• Maintain records of Gift Aid declarations and support the quarterly claims process

Salesforce Administration

• Act as our day-to-day administrator for our Salesforce database
• Manage the process of recording and reporting on information from Salesforce, maintaining accurate donor and income data, and ensuring up-to-date and consistent record keeping
• Take the lead on running selections and reports to support fundraising activity
• As needed, provide basic training and guidance about Salesforce for the team
• Work with the Finance team to reconcile donations recorded on Salesforce with their records

Information Management

• Support the Director of Fundraising with financial planning, forecasting, and scenario analysis to inform key strategic decisions.
• Deliver accurate and timely income and activity reporting to key stakeholders, including the Chief Executive, Trustees and the Fundraising Committee and to share with external agencies such as the Fundraising Regulator.
• Maintain the risk register, ensuring it reflects activity and can be used as a tool by the Director of Fundraising and Chief Executive

Fundraising Support

• Provide administrative and coordination support for fundraising campaigns, appeals and events
• Assist with donor stewardship, including thank-you letters and donor communications
• Respond to enquiries via the Fundraising inbox, social media or post
• Support scheduling and coordination of Fundraising meetings and cross-team projects
• Collaborate across the organisation to ensure fundraising needs are integrated and aligned

You will be responsible for the implementation and day to day project management of the individual giving programme across our existing and new fundraising products, including our regular giving F2F activity, tribute funds and appeals programme.  As part of a small individual giving team you will be working under the direction and authorisation of the Head of Individual Giving.

The Individual Giving team is responsible for income generation from individual supporters and members, using a range of direct marketing techniques via both online and offline channels. Key Responsibilities:

• Assist in the implementation of Mothers’ Union’s fundraising strategy as defined by the annual Individual Giving fundraising budget and plan.

• To ensure good communication with F2F agencies, internal team members and the public by making sure that external communication channels are kept up to date.

Work Location/Hybrid Working Pattern

This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Staff are required to work an aggregate minimum of 90 days per calendar year (pro rata for part timers) at our Head Office, Mary Sumner House in central London. Tuesdays are our anchor days where every staff member is expected to be at the office. The 90 days includes anchor Tuesdays. In addition, Thursday is a core working day where part time staff are expected to work, either at home or from the office as needed.

The Administrative Support Officer role offers an exciting opportunity to directly influence the efficiency and impact of our work. Working with the Executive Coordinator you will provide administrative support to the wider Leadership Team, enabling them to deliver ambitious plans at a time of organisational growth. 

It involves collaborating closely with Global Canopy team members, particularly Communications Leads, to develop and deliver comprehensive project plans for key external-facing events such as London and New York Climate Weeks (annually), climate COPs (annually), and biodiversity COPs (biennially). 

The successful applicant will serve as the primary point of contact for summit-related events, coordinating meetings, tracking follow-up actions, and providing updates through internal communications. You will oversee all logistical arrangements, including conference registration, travel, accommodation, visa procurement, and insurance, while preparing travel packs for attendees. 

A confident self-starter, you will be able to juggle multiple priorities, across different teams, with excellent IT and organisational skills with a need to log, manage and analyse information, using Excel, Google Workspace applications, and Asana.

JOB PURPOSE

The Office Administrator will undertake all administrative support duties, typing, creating letters/templates, maintaining all databases of contact and contractors, filing and responding and maintaining records to standard enquiries. The role also requires answering the phone and logging calls, checking voicemails, opening mail, creating Notices and populating the Notice Boards at regular intervals, ensuring the confidentiality of sensitive information and abiding by Goulden House Co-Operative Ltd GDPR regulations. 

MAIN DUTIES

• Resident engagement, taking and responding to residents’ calls, ensuring that all such engagement is documented on the Goulden House Resident Engagement Database
• Updating the Goulden House Registers (Risk Register, Complaints Register, Anti-Social Behaviour Register, Intercom Databases etc)
• Raise Works Orders and Purchase Orders and services on SAGE as per Estate Manager instruction
• Taking responsibility for the Approved Contractor List, ensuring that the contractor’s documentation is correct and current, i.e. Public Liability, relevant Health & Safety certification
• Liaise with contractors and organising repairs whilst ensuring compliance with the Goulden House Co-Operative Ltd Procurement Policy
• Issuing resident/visitor parking permits
• Monitor CCTV daily putting particular emphasis on fly-tippers
• Updating of Notice Boards across the site
• Inspecting the cleanliness of the Communal Areas twice weekly and signing off of the Cleaning Schedules which are placed in all of the Communal Areas, in the absence of the Estate Manager.  
• Estate walk around as required or in the Estate Manager’s absence
• To undertake such duties as are reasonably assigned to you from time to time by Estate Manager

 SERVICE DELIVERY

• To take a pro-active role in Health & Safety issues on the estate.
• To assist in ensuring the Co-operatives’ aims in relation to customer awareness are achieved.
• To promote a positive image through the development of good working relationships with tenants, lessees, committee members, contractors, Wandsworth Council staff and other agencies.
