As Head of Operations & Governance, you will be responsible for overseeing the back-office operations of the charity. You will be a key point of contact for the team and support the Executive Director to ensure smooth, efficient and compliant operations.

You will be a senior member of the team, responsible for ensuring that PINF operates within its legal and regulatory framework, including in relation to charity, corporate, tax, employment and data protection regulations. The role involves liaising with the Chair, Board of Trustees, Executive Director, legal advisors and regulators to support best practice in financial management, governance, risk management and compliance.  

Duties and responsibilities 

• Financial Management 

• Ensure consistent delivery and quality of finance operations, including transactions processing, which will involve managing a bookkeeping service.

• Prepare and monitor annual budgets, management accounts and project budgets.

• Lead on the financial aspects of fundraising, contract management, and funder reporting. Including managing restricted and unrestricted funding. 

• Oversee the process of preparing statutory accounts, including liaising with accountants and auditors.

• Maintain internal controls and policies to protect assets, prevent fraud, and ensure business continuity. 

• Participate in the Finance & Fundraising Committee and support the Treasurer to plan and deliver meetings. 

• Prepare financial reports for board meetings and engage in board discussions.

• Governance 

• Manage our annual governance cycle, working closely with the Chair, Treasurer and Executive Director to ensure legal compliance and to plan and prepare for Board meetings including taking appropriate minutes.

• Manage the organisational risk framework including identifying emerging risks and working with the Executive Director to mitigate them.

• Companies House and Charity Commission filings.

• Develop and maintain a suite of policy to ensure PINF meets its obligations as a charity and an employer.

• Play an active part in board discussion to support good decision making.

• HR 

• Manage HR across the organisation; ensuring all HR processes and policies are fit for purpose, up to date and adhere to law, and are understood and implemented across the organisation.

• Manage recruitment processes for all staff.

• Manage the annual leave tracker. 

• Operations and administration 

• Ensure the smooth running of the organisation by leading operational planning and monitoring progress.

• Lead on relationships and contracts with external suppliers and contractors.

• Ensure PINF has appropriate insurance cover. 

• Occasional support with charitable activities (meetings, events, publications, etc.) 

Requirements  

• A professional qualification in finance, management, law, or a related field and at least five years’ experience relevant to this role.

• Deep understanding of good governance and best practice in the charity sector.

• Understanding of relevant laws relating to employment, data protection and running a charity. 

• Sympathy to the aims and objectives of PINF. 

• Full professional proficiency in English. 

• Right to work in the UK. 

Skills and attributes 

• Experience of managing charity finances and budgets (Essential). A related finance or accountancy qualification would be desirable. 

• Experience of managing operations in a comparable charity or business, with both strategic and day-to-day operational responsibilities. 

• Developing HR processes and policies and taking the lead in implementing these across an organisation. 

• Developing processes and procedures and making improvements for efficiency and impact. 

• Experience of working closely with trustees, non-executives or senior leadership teams.

• Strong oral and written communications skills, including having the confidence to use your expertise to provide feedback and constructive challenge to senior leaders.

• Excellent problem-solving and interpersonal skills. 

• Ability to work remotely and independently and to collaborate with others. 

• Enjoy being the key point of contact and support in a small, remote team. 

• Ability to stay on top of your workload by using relevant software (including Microsoft Office and finance software such as Xero), keeping accurate and up-to-date records, and prioritising between competing tasks.

The Philanthropy team at Alzheimer’s Research UK (ARUK) is responsible for securing donations from individual major donors, grant-making trusts and foundations. The role of Philanthropy Officer is key to the success of the Philanthropy team, working closely with other team members and stakeholders across ARUK.

At the heart of the Philanthropy team is our desire to help our supporters change the world, in a way that is meaningful and exciting to them.

We work with a growing portfolio of individual donors and charitable trusts, getting to know them - through meetings, events, lab tours, reporting on the impact of their donations and regular touchpoints - so that we can match their philanthropic goals to our research initiatives. We work hard to provide bespoke stewardship, build relationships, and impart scientific information to promote ARUK and give donors the best possible experience of working with us.

By nurturing these relationships, we gain long-term meaningful support from donors and their networks, and as a result can secure significant donations which range all the way up to eight figures.

We are looking for an articulate, proactive and people-orientated individual to join our highly successful team. The ideal candidate will have strong relationship management skills, a high degree of emotional intelligence, and will be an ambitious self-starter.

Main duties and responsibilities of the role:

Relationship building and income generation

· Build relationships with a portfolio of current and prospective major donors and charitable trusts, gauging their level of interest in our work, providing them with opportunities to engage with ARUK, and encouraging them to invest in our research.

· Develop an engagement plan for each relationship, taking full ownership and moving each donor / trust forward through qualification, solicitation and stewardship.

· Fundraise for different aspects of ARUK’s work, including key research initiatives such as the Drug Discovery Alliance.

· Think ambitiously and creatively in producing compelling and persuasive written communications for donors, including letters, proposals, applications and progress reports.

· Solicit donors for gifts at face-to-face meetings, where appropriate.

· Provide an exceptional level of stewardship to donors, ensuring they are thanked and updated and that their relationship with ARUK grows in depth and value.

· Think innovatively and support the team’s goal to embed the use of digital in our work.

· Work with senior volunteers and senior staff, where appropriate, empowering them to open their networks and ask for support.

· Build and maintain strong working relationships with colleagues in the Science Communications, Media and Engagement, Research and Finance teams.

CRM

· Ensure donor records are kept up-to-date through daily use of Salesforce.

· Use Salesforce to track income and activity, and as a planning tool.

Events

· Support the Donor Relations Manager in planning bespoke events / lab tours for our supporters, by providing guest lists, communicating with invitees and updating Salesforce records.

· Represent ARUK at Philanthropy team events, and at other ARUK events where major donors or the representatives of charitable trusts may be attending.

What we are looking for:

· Experience gained working in a major gift fundraising or client relationship management role

· Demonstrable experience of developing long-term / strategic relationships

· Demonstrable experience of developing / influencing relationships through face-to-face conversations

Additional Information:

Ways of working: As part of our Agile ways of working you will be required to work approximately 2 days a week from the office, which is subject to the requirements of the role and the business needs. Flexibility on where you work can be split between working from home and our office.

Finance and Payroll Officer

Job Purpose 

The Director of Finance, Operations & Compliance will be a key member of the Senior Leadership Team, working to ensure the impact, sustainability, diligence and productivity of the organisation, with a commitment to organisational transformation within the framework of a values-led approach to people and culture. 

Taking a lead on all financial, support and compliance activities, the role demands a combination of the hands-on approach needed in a medium-sized charity with the strong people management skills to enable all members of their team to deliver high quality services and to thrive in their roles.

Key responsibilities include: 

• All aspects of financial strategy, planning and control. 

• Providing oversight of organisational priorities, productivity, performance, people & HR, risk and due diligence. 

• Support to fundraising and programmes.

Key Accountabilities and Responsibilities:

Financial Strategy, Planning and Control: 

• Accountable for organisational financial strategy, working with senior staff and trustees to ensure multi-year planning, target setting and monitoring in line with Habitat GB’s strategic objectives.

• Accountable for all aspects of financial management and control, including budgeting, reforecasting, treasury management, cashflow, management information, performance and statutory reporting.

• Accountable for the development and continuous improvement of reporting frameworks, including leading regular reviews with Senior Leadership team and providing quantitative and qualitative reports for the Board including clear and accessible narrative analysis.

• Provision of financial management and accounting services, management information, and statutory reporting. 

• Lead the organisation of quarterly Finance, Audit & Risk Committee meetings, in line with the Committee Terms of Reference and in consultation with the Treasurer, and National Director/CEO. 

• Responsible for the preparation and submission of annual statutory accounts in accordance with SORP and legal requirements and coordinating the external audit exercise and seeing the process through to Board approvals and filing with statutory bodies. 

• Lead a positive and collaborative relationship with HFHI Finance teams and ensure that Habitat GB meets its regular reporting requirements. 

• Lead Habitat GB’s relationship with relevant external partners, including auditors, bankers, insurers, pension providers, HMRC, Charity Commission and Companies House. 

GB Homes Subsidiary Entity: 

• Working closely with the National Director/CEO on planning for the future wind-up of the entity, providing all financial management, reporting and compliance resources as required in the interim. 

• Working with the Director of Programme Delivery, provide financial resource and support to the management of the former GB Homes asset portfolio, developing appropriate reporting mechanisms that provide data which can be included into the combined budgeting and reporting of Habitat GB 

• Accountable for integration and ongoing provision of the operational requirements of the GB Homes subsidiary, including insurance, technology, and communications requirements. 

Fundraising & Programmes support: 

• Work closely with the Directors of Fundraising & Partnerships, and of Impact & Influence to set ambitious and achievable targets across restricted and unrestricted fundraising, track performance, and ensure high quality forecasting, reporting and budget management. 

• Be responsible for the development and oversight of policies, protocols and systems required for restricted fund management which align with Habitat for Humanity International and external donor requirements. 

• Work collaboratively across Habitat GB to agree service delivery expectations and ensure the timely provision of relevant inputs from the Finance, Operations & Compliance team across partnership and programme cycles.  For example, audit or financial reporting requirements from donors, up to date policies, review of proposal documents, grants and contract agreements. 

• Work closely with the Directors of Programme Delivery & Retail to ensure Habitat GB has the specialist knowledge and financial skills relevant to our diverse types of programmes, including a new and growing retail operation, as well as construction project delivery. 

Risk Management and Compliance: 

• Lead on the development and maintenance of the organisational Risk Register, being responsible for the management and mitigation of financial, regulatory and operational risks and coordinating with others on the reporting and review of other risk areas. 

• Ensure Habitat GB is fully compliant and up to date with all its data protection and insurance requirements and has access to appropriate legal and other expert resources where necessary. 

• Be responsible for technology infrastructure, hardware and the management of outsourced support services. 

People Policies and HR Administration: 

• Support the Head of People to deliver a high-quality People and HR service to the organisation and our partners, including efficient HR administration, pension and payroll, people management, safeguarding, strategy and leadership. 

• Working closely with the National Director and others, have overall responsibility for the provision of up to date, user-friendly and legally compliant policies and procedures which support an efficient and effective organisational culture and environment. 

Leadership & Management: 

• Lead a high performing and ambitious team, inspired to implement and grow the strategy and with a core focus on positive impact for Habitat GB’s community and strategic partners through the provisional of excellent functional and subject matter expertise. 

• Develop, lead and focus the Finance, Operations & Compliance team, its budget, activities and performance, to ensure the delivery against targets. 

• Manage, motivate and develop team members. Ensure regular 1-2-1s are held, set individual objectives, encourage a culture of giving and receiving feedback, where kindness and ambition support the progression of people and plans. 

• Set quality standards and meaningful KPIs to encourage ownership and accountability with direct reports, team, and others and effectively monitor progress towards agreed targets.

Organisational Leadership: 

• Support the National Director/CEO in delivering Habitat GB’s strategy and vision, acting as a collaborative and supportive member of a shared leadership team.

Person profile: 

• Holder of a relevant professional or accounting qualification: e.g. ACCA or equivalent. 

• Expertise in charity sector compliance (FRS102) reporting requirements. 

• Expert knowledge of financial strategy, management and reporting, with experience relevant to funding and grants, retail, commercial or construction. 

• Proven track record of developing and leading complex financial strategies and supporting teams to deliver high quality functional inputs in an inclusive, collaborative environment. 

• Hands-on experience with relevant accounting systems and the ability to quickly learn new systems (Habitat GB uses SUN and SAGE systems). 

• Experience working in and leading teams responsible for operational and people related functions. 

• Experience of working in a similar organisation, collaborating across teams and operating in a highly effective way across a diverse, networked structure. 

• Significant and successful experience in senior management roles, encompassing strategic management and team leadership. 

• Understanding and experience of complex organisational change projects, including the ability to support new teams to develop and thrive.

The Role

FINANCE MANAGER JOB DESCRIPTION

Role Purpose

The Finance Manager will proactively plan, manage and oversee the financial strategy, operations, and compliance of our dynamic and growing organisation. The role contributes directly to the organisation’s strategic planning and has hands-on oversight of financial transactions, operations, compliance and reporting.  

As the Finance Manager, you will be a member of the Executive leadership team working closely with the CEO on matters of financial strategy and business development - contributing to strategic decisions and providing financial guidance.You’d also be supported by the Finance Manager Assistant and the Bookkeeper.

Main Objectives

• Provide leadership, in-depth knowledge and financial expertise to support the organisation’s strategy, business development and operations. 
• Manage the day-to-day financial operations including payroll, payments, controls and cash flow to ensure sound financial management and accuracy around all financial routines and procedures. Also ensure compliance and accurate reporting.
• Lead on and manage financial planning, budgeting, and forecasting - working closely with the CEO.
• Lead on enhancing procedural efficiencies and streamlining in finance operations.

Financial Planning

• Lead on financial planning, budgeting and forecasting.
• Conduct financial analysis to support decision-making, highlighting key trends, opportunities and risks. Also scenario planning and financial modelling for growth and sustainability.
• Provide sound financial advice to the CEO, Executive and Trustees also assisting with business planning and strategy and business development.

Financial Management

• Lead on and manage the annual financial audit, including preparation, responding to auditors queries and implementation of recommendations, effectively and in a timely manner. Also filling with the Charity Commission and Companies House.
• Lead on the day-to-day management of financial operations to ensure sound financial management and accuracy of all financial routines and procedures.
• Monitor performance of actuals in relation to budget, income generation targets, approved expenditure and in relation to forecast. Note, analyse and comment on variations and propose adjustments.  
• Prepare quarterly management accounts and reports for decision-making and planning.
•  Advise on and manage investments and cashflow.

Governance: Policies, procedures and financial controls

• Ensure compliance with all requirements and standards in respect to Insurance, Companies House, Charities Commission and HMRC.
• Proactively lead on process improvements as we grow. Includes writing, reviewing and updating finance procedures and policies, in collaboration with the CEO and Executive colleagues.
• Ensure governance documents are up to date. Including Trustees appointment and resignation records, conflict-of-interest forms, and relevant submissions to Companies House.
• Monitoring and mitigating financial risks while maintaining robust internal controls. Also manage credit control and ensure that payments are received on time.
• Ensure financial procedures, policies and reporting systems are updated as required and maintained thereafter.

Accounting

• Supervise and review accounting tasks and records processed by the bookkeeper and the Finance Manager.
• Ensure timely, up to date and accurate accounting practice including journal entries, accruals, phasing and reconciliation.
• Ensure accuracy of income and expenses allocation and coding, including deferred income and monthly reconciliations.
• Review and update coding structures and nominal coding, clearing accounts and reconciliations in collaboration with the CEO and finance colleagues.

Payments and Payroll

• Manage effectively payroll, tax and pension submissions, banking and associated procedures.   
• Ensure all payments are made, received and acknowledged in an accurate, compliant and timely manner.
• Maintain up to date records of financial calculations regarding payments and fees for tutors, assessors and other stakeholders.

Contracts Management

• Ensure that operational, building, insurance and supplier contracts are up to date and renew them as required. Includes utility bills, IT and telephone.
• Prepare and issue employee contracts (working with the CEO/HR).

Support service delivery

• Calculate and prepare courses fees and other financial information for reviews and to support decision-making
• Liaise with students to offer and manage payment plans
• Ensure financial queries by colleagues, collaborators, students and practitioners are dealt with effectively and in a timely manner.
• Support the integration of financial and operational systems.

People Management

• Supervise, manage and support the Finance Manager and Bookkeeper, ensuring and supporting high performance and wellbeing.

THE COMPANY

Our small and resourceful team is led by the Chief Executive Officer who reports into our Board of Trustees. We work with numerous freelancers, visiting companies and artists to deliver work in Emmanuel Hall and in schools across Devon.

JOB DESCRIPTION:

Reports to: CEO

Line Management of: Contractors as required

Place of work: Emmanuel Hall, St Thomas

PRINCIPLE DUTIES & RESPONSIBILITIES

Finance 

· Prepare financial management information including regular cash flow forecasts, reports, budgets, grant claims and management accounts for project managers, CEO, Board of Trustees and funders

· Ensure all statutory financial and other records, compliances and related inspections are met on time and records kept with regard to PAYE, NI, VAT, Companies House, Charities Commission, insurance, pension provision, audit requirements and annual reports

· Working closely with the CEO, prepare project and annual budgets, liaising with relevant staff

· Provide support and guidance to all budget holders for the effective management of budgets

· Maintain all financial systems and records for the organisation, including financial administration relating to general ledger, audit trails, Theatre Tax Relief, banking, petty cash management, staff expense claims and credit control

Building & Operations 

· Ensure appropriate licensing and insurance is in place

· Organise the supply of utilities to Emmanuel Hall

· Manage delivery of IT tech support contract and others as required

· Management of contractors and suppliers e.g. cleaner, electrician, waste collection

· Management of supplies necessary for smooth running of the building e.g. hand towels, stationery, cleaning products

· Management of general maintenance

Health & Safety

· Support the CEO in creating and implementing the Health & Safety Policy

· Co-ordinate Health & Safety administration, including monitoring, reporting and training

· Ensure H&S information is communicated to all staff, project staff, users and visitors as appropriate

· Undertake training and responsibilities such as Deputy Safeguarding Officer, first aider etc as required

Governance

· Provide an effective Company Secretary function

· Organise Board and sub-committee meetings, co-ordinating, minuting and drafting reports as required

· Support the Board to ensure governance and Charity Commission requirements are met

Human Resources

· Provide effective and efficient human resource systems to support the delivery of the organisation’s objectives, including administering payroll, managing pension schemes and monitoring hours and absence etc

· Contribute to pay strategy working closely with the CEO

· Issue contracts for all project staff

· Keep up to date with all relevant employment legislation

· Responsible for personnel related paperwork, including project staff allowances, holiday pay, and preparing payslips

Team Responsibilities 

· Keep Alibi’s vision and values at the heart of everything you do

 WHO WE’RE LOOKING FOR:

You'll have experience as a General Manger, though this may not be within the Arts Industry. You’ll be happy managing your own workload within a small and fast-paced team.

Essential Skills & Experience

· Confident using Outlook and Microsoft Office programmes

· Confident managing your own workload and prioritising tasks

· Experience of setting, managing and reporting against budgets

· Experience managing financial admin e.g. invoicing, petty cash

· Experience of managing HR

· Experience of drawing up contracts

· Knowledge of Health & Safety and how it relates to our activity

· Strong interpersonal skills and able to build rapport and communicate clearly with a variety of people, e.g. general public, children, freelancers, volunteers, teachers, donors etc.

· Excellent planning and organisational skills

· Is happy and effective working as part of a small, close-knit team

· Able to adapt to a dynamic environment, using initiative and pitching in when needed

Desirable Skills & Experience

· Previous experience in an arts organisation and/or in the charity sector and/or working with children

· Experience of managing funding income and charitable giving

· Experience using Xero

· Experience managing a building

· Knowledge of Charity Commission and Companies House requirements

· Experience of managing payroll

TERMS & CONDITIONS

Salary £30,000 pro rata,

Fixed term 9 month contract, with the intention to extend funding dependent.

Start date is flexible.

The post is for three days (24 hours) a week.  However, sometimes we’ll need you to work flexibly to meet the needs of the programme of activity – including occasional evening and weekend work.  Equally, we’re happy to discuss flexible ways of working to accommodate caring responsibilities etc.

You’ll be based at our home, Emmanuel Hall, but we’re open to a hybrid working pattern.

You’ll be entitled to 28 days annual leave pro-rata, including bank holidays, as well as other statutory entitlements such as sick leave and pension contributions.
