Estates and Operations Manager

Location: Any CHAS site, (Hybrid with base in Edinburgh, Balloch or Kinross, travel expected between sites, see below for more detail)

Contract: Permanent Full Time (35 hours per week)

The role

Children's Hospices Across Scotland is seeking a dedicated and experienced Estates and Operations Manager to ensure the smooth functioning of our properties and facilities across the organisation. In this critical role, you will oversee a dedicated internal team and external contractors, while ensuring compliance with statutory, legislative and Health and Safety requirements. You will lead a team, coordinating all hard facilities management services, day to day property management, implementing planned and preventative maintenance strategies and maintaining high industry standards for CHAS facilities. You will procure and lead on small projects working closely with our internal teams. Additionally, you will work closely with clinical and non-clinical staff in our hospices to meet the ongoing needs of children, families, staff, volunteers and visitors.

Key Responsibilities

• Develop and maintain a robust planned and preventative maintenance programme to ensure the safety, operation and compliance of the CHAS estate.
• Manage reactive maintenance activities, effectively prioritising requests and allocating resources.
• Oversee the development and delivery of the Asset Management plan and works programme, including condition surveys, informing budgeting and financial planning processes.
• Plan and execute capital works projects, from tendering to commissioning and overseeing project teams.
• Specify, tender, negotiate, and manage Estate, Hard FM contracts and services.
• Monitor and report on the assigned Estate Management and Hard FM budget, ensuring adherence to financial guidelines and preparing multi-year forecasts.
• Ensure statutory compliance, conducting assessments, audits, and inspections while maintaining relevant records.
• Lead sustainability and energy management efforts, promoting environmental action plans and managing utility contracts.
• Oversee security procedures and systems for all CHAS sites.
• Develop and maintain effective systems for estate data management.
• Manage the Hard FM Team, supporting staff development.
• Communicate effectively with Operations Manager Soft FM and Head of Facilities Management & Projects to address site issues and prioritise actions.

Requirements

• Degree/HNC/HND in a Property or Building Services discipline or five years' relevant experience in a similar role.
• Possess IOSH Managing Safely Qualification.
• Proactive with a positive attitude and excellent planning and prioritisation skills.
• Highly developed communication and collaboration skills with the ability to simplify technical information.
• Excellent analytical and problem-solving abilities, including the ability to make decisions under pressure.
• Knowledgeable in Microsoft Office (Word, Excel, Outlook).
• Wide and detailed knowledge of Hard FM Services, including electrical and mechanical systems.
• Experience in managing multi-site estates with both owned and leased premises.
• Demonstrated team management and organisational skills in a multi-disciplinary environment.
• Experience in contract management of outsourced services and suppliers.
• Detailed knowledge of statutory compliance and legislative requirements in property and facilities management.
• Experienced in the use of building management systems and project management.
• Budget management skills and experience.
• Ability to travel to each of our sites across Scotland.

Further Information

CHAS support families across the whole of Scotland. Our Head Office is based in Edinburgh, and we have two hospices: Rachel House in Kinross and Robin House in Balloch. We also have our fundraising office in Glasgow, dedicated bases in Aberdeen and Inverness, and Shops in Dunfermline and Kinross.

As this role will closely support our hospices, we would like to speak to candidates who could base themselves from either Edinburgh, Kinross or Balloch and we do expect regular travel across these sites with predicted 3 days onsite/week, varying as needed. The remaining days can be worked remotely.

As a team we work flexibly and are happy to discuss how we can meet business needs while accommodating individual working patterns and requirements.

About the roles:

These roles offer flexibility for home and office working with travel to appointments to meet clients across London is required. Office locations are Islington & Earl's Court.

As a Triage Caseworker you will cover shifts on a rota basis Monday to Friday 8am to 8pm and Saturday 9am to 5pm. You will make initial contact with clients explaining Victim Supports services & completing initial needs & risks assessment, and were required making ongoing referrals. You will need experience of delivering a telephone work and processing service with clients in a similar setting along with knowledge around safeguarding issues and legislation.

You will need to be able to manage a demanding workload and to meet a range of conflicting deadlines.

You will be talking to people on the telephone from a variety of different backgrounds, all with different experiences. No two days are the same & you will need to use your communication skills and resilient nature to help those dealing with trauma and the effects of crime, who may have gone through a life-changing experience. Previous experience is not required as you will receive robust training prior to working directly with clients. About the roles:

The role offers flexibility for home and office working with travel to appointments to meet clients when needed in Ealing.

This role is based at Whitecross Studios (Islington); however, we offer hybrid working. There will be occasional working from Perceval House (Ealing) approximately once a month and/or when meeting with clients.

As an ASB Caseworker you will provide high quality, holistic support to clients affected by Anti-Social Behaviour in the London Borough of Ealing. You will be required to attend the monthly Ealing Community ASB MARAC, held once a month.

You will act as the single point of contact for your clients offering face to face support and ensuring they receive their rights & support from external agencies. You will need experience of working in a similar setting with the ability to undertake needs and risks assessments, create appropriate support plans, and monitor the support is helping clients to cope and recover.

You will need to be able to manage a demanding workload, scheduling client appointments (may include travel) and to meet a range of conflicting deadlines. You will need to be able to work as part of a team and to communicate effectively with a range of people both within Victim Support and with external organisations.

About the role:

Your role as a TEIO will be to answer and speak to incoming callers as well as to hold a caseload and make outgoing calls to those affected by crime. You will be the primary contact for the Hub across Humberside and will be the face of the service.

As a TEIO, you will;

• answer incoming calls, speak to those affected by crime and hold a caseload
• make outgoing calls, assess needs and risks and action plan with callers
• work on the case management system to allocate cases, provide administration on cases and assess/ensure data quality
• liaise with other agencies where required to find out more information, give information or make referrals or give signposting information
• work with the wider team to ensure an effective, trauma informed service is given to those affected by crime

You will be a confident, compassionate and empathic person who can work well under pressure. You will be speaking to people who may be upset, angry or in emotional difficulties and will need to be composed, empathic and be able to quickly assess situations.

You will be confident in using your IT skills to work on a case management system, access phone and online systems, email and Microsoft Office programmes.

About the role:

Your role as a TEIO will be to answer and speak to incoming callers as well as to hold a caseload and make outgoing calls to those affected by crime. You will be the primary contact for the Hub across Humberside and will be the face of the service.

As a TEIO, you will;

• answer incoming calls, speak to those affected by crime and hold a caseload
• make outgoing calls, assess needs and risks and action plan with callers
• work on the case management system to allocate cases, provide administration on cases and assess/ensure data quality
• liaise with other agencies where required to find out more information, give information or make referrals or give signposting information
• work with the wider team to ensure an effective, trauma informed service is given to those affected by crime

You will be a confident, compassionate and empathic person who can work well under pressure. You will be speaking to people who may be upset, angry or in emotional difficulties and will need to be composed, empathic and be able to quickly assess situations.

You will be confident in using your IT skills to work on a case management system, access phone and online systems, email and Microsoft Office programmes.

London Victim and Witness Service is recruiting for 2 x DRIVE Independent Domestic Violence Advocate (IDVA). These roles are full-time working one-day per week in the office and the other days from home, with regular travel required to visit clients and attend meetings.

This role will be part of our IDVA team in the London Victim and Witness Service. As a DRIVE Independent Domestic Violence Advocate your role will:

• Address the safety of victims at high risk of harm to secure their own & their chidlren's safety
• Serve as a victim's primary point of contact acting from the point of crisis to assess the level of risk, discuss the range of suitable options and develop safety plans
• Be pro-active in implementing the plans, including actions from MARAC, which address immediate safety and enable victims to protect themselves and their children, as well as longer term solutions, using sanctions and services via criminal and civil courts, housing options and other organisations

You will need:

• Have a knowledge of help-seeking barriers and support needs of victims of domestic abuse (in heterosexual or same-sex relationships).
• Have a good understanding of domestic abuse including the impact of domestic abuse on victims and their children.
• Understand the principles of risk assessment, safety planning and risk management for victims of domestic abuse and their children
• Understand safeguarding issues, and the legal responsibilities surrounding these issues.
• Direct service delivery to victims of domestic abuse or other vulnerable people.
• Have excellent communication, negotiation and advocacy skills, both written and verbal when interacting with a range of agencies and individuals. Understand and be committed to equal opportunities and diversity issues in policy and practice.
• Have a strong crisis management skills and the ability to deal with stressful and difficult situations.
