We work in Lebanon with Syrian and Palestinian women, and in the UK with women from all over the world. 

Our arts projects include theatre and craft therapy, filmmaking and feminist embroidery. We also facilitate access to training, education and income generation opportunities, and run workshops on parenting support and on women’s rights in a context of rights for all. 

Our flagship Oshana project provides refugee women in Lebanon with a dignified income, a supportive community, and a creative outlet for trauma through embroidery and crochet - and has built a reputation for beautiful design and impeccable craftsmanship. 

We are a young but ambitious organisation that is transforming the lives of hundreds of refugee women and their families in Lebanon, and dozens in the UK. We have rapidly grown over the past three years, with an accompanying increase in income.

Makani was founded in 2022 and officially registered as a charity in June 2024. One of our co-founders has her own lived experience of displacement; both have worked for many years supporting women who have been forced to leave their homes. 

We now have two staff in the UK and four in Lebanon. We work from home with occasional meetings in London for UK-based staff. As Finance and Administration Manager, you will join us as our seventh staff member, a key member of the team.

THE ROLE

We are looking for an experienced and dedicated Finance and Administration Manager to lead on developing and maintaining our financial and organisational systems, enabling Makani to increase our impact on the lives of refugee women. 

Position: Finance and Administration Manager

Contract type: Permanent - but also open to applications on a consultant basis

Responsible to: Director of Operations

Location: Home-based, with occasional meetings in London (transport costs covered)

Hours: 20 hours per week, core hours to be agreed upon appointment, flexitime-friendly

Salary: £35,000 per annum pro rata (£20,000 for the 20 hour week)

Annual leave and benefits:

28 days annual leave pro rata (not including bank holidays)

Company pension with matched contributions of at least 3% after probation passed.

KEY ROLE RESPONSIBILITIES

Finance

• Work with the Executive team to set and monitor annual budgets

• Record all financial transactions using accounting software (Xero)

• Record and track multiple restricted and unrestricted grants from a range of donors

• Prepare and present quarterly management accounts for the Board

• Prepare end-of-year accounts 

• Oversee payroll and ensure timely invoice payments

• Ensure the charity complies with the financial requirements of the Charity Commission, HMRC and other bodies

• Develop and maintain financial procedures and internal controls

• Liaise with external accountants or auditors for the preparation of annual accounts and statutory reporting

• Monitor cash flow and support the Director of Operations in maintaining financial sustainability

• Work with colleagues to prepare budgets and financial reports for funders

• Contribute to development of funding bids, with Executive Team.
   

Administration & HR

• Support the board and senior staff to maintain and update charity policies (safeguarding, finance, HR, etc.)

• Support the board to develop HR processes to ensure legal compliance 

• Organise and minute quarterly trustee meetings

• Book travel and support with other logistics as needed

• Other administrative tasks as relevant and appropriate
   

ROLE REQUIREMENTS

You will have:

• Proven experience in charity financial management, including restricted/unrestricted funding

• Familiarity with or willingness to learn Xero accounting software

• Familiarity with UK charity accounting and reporting standards

• Strong organisational and administrative skills

• Ability to work independently and remotely and to communicate well in a small team

• Understanding of good HR policies and practice for small charities 

• Understanding of or willingness to learn about other key areas of compliance such as data protection 

• Commitment to Makani’s mission and our feminist and anti-racist values

And it's desirable but not essential that you have:

• Experience of preparing funding bids and financial reporting to funders 

• Experience of working in a charity with some overseas operations

We are seeking an Office Manager to lead and deliver the core administration that underpins our charity’s work. This new role brings together governance admin, property record management, and oversight of our office systems and environment.

As Office Manager, you will:

• Provide high-quality governance support to our Board of Trustees, including scheduling meetings, collating agendas, circulating board packs, and taking minutes.

• Manage the administration of our property portfolio, ensuring leases, rent review dates, compliance certificates and other legal documentation are accurate and up to date.

• Oversee the smooth running of our office, including IT and supplier contracts, health & safety compliance, and ensuring staff have the systems and equipment they need.

• Act as the first point of contact for general enquiries and provide reliable admin support to the CEO, DCEO and wider team.

With our transition to the Royal College of Pharmacy drawing nearer we are looking to recruit a Director of Finance and Technology to help with the implementation of our strategic plan and overall leadership and management of the College. The role

About you

We are looking for someone who can combine technical financial expertise with strong relationship management skills. You will be confident working with large amounts of data, interpreting results, and presenting insights in a clear and impactful way.

To be successful, you will have:

· Experience of providing financial insight to senior leaders that influenced decisions.

· Strong knowledge of retail accounting, including like-for-like analysis, gift aid, lease accounting, and provisions.

· Experience guiding budget holders through the budget setting process.

· Excellent analytical and communication skills, with the ability to present complex information clearly.

· The confidence to challenge and influence decisions at senior level.

What you’ll do

As Finance Executive, you’ll play a key role in keeping our day-to-day finance operations running smoothly; from processing transactions and performing reconciliations, to ensuring our partners are billed correctly and pay on time. You'll be a key point of contact for finance queries across the business, and your work will be essential to maintaining accurate records and enabling wider decision-making. You'll also play an important role in driving process improvements, and support the team by analysing data and producing insightful reports that inform decision making.

This is a varied role where you’ll get exposure to lots of different areas within the finance function of a SaaS company. It’s perfect if you’re keen to explore your interests and gain a solid grounding across multiple aspects of finance.

• Record, process and reconcile transactions for the company using platforms like Spendesk and Xero, and ensure transactions are accurately recorded and categorised. 
• Manage our finance email inbox, responding to queries from schools, universities and employers. 
• Manage our accounts receivable processes, keeping track of overdue invoices, chasing partners for payment and recording received payments. 
• Support our sales teams with general finance related queries and keeping their partner records up to date on Salesforce (our CRM system).
• Improve, streamline and automate processes within the finance function. 
• Get involved with projects such as:
  • Setting up a simple way to keep track of the subscriptions we pay for, and make sure we’re getting good value from them.
  • Finding solutions to increase the number of invoices paid on time.
  • Creating useful reports and dashboards on Salesforce to aid decision making. 
• Support the Finance Lead to:
  • Prepare the payroll for our accountants (including commission calculations) and manage associated schemes (e.g. pension contributions).
  • Manage our accounts payable processes, making and recording payments. 
  • Work on forecasting and variance analysis to support business planning.
  • Check through our quarterly VAT return.
  • Manage the banking for our much smaller Hong Kong and US companies.
• Support the Head of Finance (your line manager) to:
  • Create the annual budget.
  • Support on ad-hoc projects and data analysis requests.

Who we’re looking for

You’ve got some experience in a finance or operations role, or you can demonstrate that you’ve built the relevant skills in another setting and are ready to learn more.

• You’re organised and methodical, with strong attention to detail that helps keep things running smoothly and accurately.
• You enjoy solving problems and thinking critically about how things can be improved, streamlined or automated.
• You’re quick to learn new systems and tools, you might not have used platforms like Xero or Salesforce before, but you’re keen to get stuck in.
• You take ownership of your work, following through on tasks and making sure nothing falls through the cracks.
• You’re proactive and hands-on, excited to go beyond your core responsibilities to improve how we work and help make it a success.
• Being a proficient user of Microsoft Excel (formulas, pivot table, x-lookup) is a bonus.

Working together

We’re a small but mighty team of 3 within Finance (this role included). You’ll be line managed by the Head of Finance and will be working very closely with our Finance Lead too. You’ll also have regular contact with most people across the Unifrog, especially our partner-facing teams and the People team. You’ll also be liaising with our external accountants who take lead with the financial accounting and payroll side of things.
