Job purpose
This is a pivotal senior administration role in a charity that is passionate about making a difference to the veterinary care that animals receive. You’ll be working closely with the Chief Executive Officer, with the trustee board and with all members of the staff team of about 20 people. The role is responsible for co-ordinating essential governance activities, including preparing, collating and distributing meeting information packs, writing minutes and managing actions following trustee and committee meetings. You’ll also provide diary management support to the Chief Executive and carry out a varied range of administrative tasks – from arranging team meetings to organising the charity’s award and grant-giving programmes.
Responsibilities
Governance and executive support
- Provide administrative support to the Chief Executive Officer, including proof reading and formatting documents, diary management, coordinating meetings and production of agendas and minutes
- Take minutes for trustee board and committee meetings, and any other meetings as requested by the Chief Executive Officer
- Organise in-person and virtual trustees meeting as well as other governance meetings as required
- Work with the trustees, Chief Executive Officer, RCVS finance team and legal advisors, ensuring legal returns and RCVS Knowledge governing documents are in order and submitted in good time to Companies House and the Charity Commission
- Maintain declaration of interest documentation and ensure that governance and compliance-related records are up-to-date
- Own the charity’s policy register, ensuring all policies are reviewed regularly and are up to date
- Carry out finance administration for the Senior Team as required, including purchasing items, collating receipts, assigning budget codes, and processing expense claims for trustees
- Provide administrative support around donations and gifts-in-will
- Manage the diary of the Chief Executive Officer, including arranging travel and accommodation when necessary
Project support
- Organise RCVS Knowledge awards (Plowright Prize, Quality Improvement Awards, Antimicrobial Stewardship Awards, etc.), including liaising with award panels, processing applications, and administration around the review and identification of award winners
- Arrange associated meetings and events for the awards
General administration
- Act as the first point of contact for RCVS Knowledge, monitoring generic inboxes and taking phone calls as required
- Manage the administrative functions of the office, for example arranging guest access for visitors when required and administering and dealing with room bookings
- Maintain and develop administrative systems, such as record management and document control
- Update records on our customer relationship management (CRM) system
- Organise and schedule meetings and awaydays, including setting the agenda and taking minutes
- Support the recruitment of new staff, including training and induction
- Provide administrative and project support to the wider RCVS Knowledge team as required

- Relevant experience in an administration or governance support role

In this role, you will help manage the preparation of the Annual Report and Accounts and statutory returns, quarterly VAT returns, and oversight of monthly accounting processes ensuring that accurate accounts are produced on a timely basis.
You will be responsible for ensuring:
- Thorough testing of finance related end to end processes on Unit 4 ensuring that any issues are captured and resolved as appropriate.
- Successful finance data cleanse activities to ensure that data migrated to Unit 4 is fit for purpose
- Opening financial data migrated to Unit 4 reconciled clearly back to the legacy systems on a detailed and timely basis to ensure strong financial control and a successful audit
- Take lead on understanding and implementing any changes to approach necessary for month end close, journal processing and balance sheet reconciliations

Chief Operating Officer
We have an exciting opportunity for a Chief Operating Officer to join the team in this hybrid-working role.
Salary: £65,000 - £75,000 per annum

About the Role
Our team currently consists of 8 dedicated staff members and is led by our CEO, Anne Bishop. The Chief Operating Officer (COO) is a new role for BAUS. It will be a key part of our Senior Leadership Team, playing a vital part in the development and implementation of our strategy and deputising for the Chief Executive.
The COO role provides the essential financial stability and operational facilities to enable future growth through leadership and management of finance, maintaining and developing our IT infrastructure, and ensuring effective governance and regulatory compliance.
Key responsibilities include:
· Supporting the CEO on the development of BAUS’s annual strategic planning and leading the accompanying operational plan
· Oversight of financial management and administration, with support from an outsourced bookkeeper and finance team
· Ensuring BAUS’s IT and digital infrastructure is well maintained, cyber compliant and fit for purpose
· Ensuring effective governance and regulatory compliance
About You
We are looking for:
· Experience of leading a finance function in a charity, as part of a leadership team
· Track record of delivering on a range of other corporate support/operational services such as IT and Governance in addition to financial responsibilities
· Relevant professional qualification desirable e.g. part qualified/fully qualified management account or chartered governance institute (CGI)

About the Role
Reporting directly to the Director of Global Mission, this focal coordinating role within our Global Mission Team (GMT) will ensure the effective functioning of the GMT by offering:
• Administrative support to the Director
• Team-wide Coordination
• Programme Support for cross-regional initiatives

It is expected that the postholder will have considerable experience of working in the church/charity sector and a fair understanding of contemporary global challenges.
This is an ideal opportunity for someone with a track record of strengthening team efficiency through meticulous attention to detail, aptitude for operational oversight and demonstrated project coordination experience to exercise their gifts within the context of a global Anglican mission agency. This role involves preparing reports for management and trustees including relevant paperwork.
