Job description

We are looking for a skilled Finance Officer to join our team. You will be responsible for ensuring our Finance Service is of high quality and supports the organisation.

It's a fixed term (24 month) contract and we're looking for someone to start ASAP. 

This role reports to the Finance Manager.

Job Description

Our mission is to support people to run effective campaigns that challenge injustice. We do this by running campaign training programmes that help people develop the skills, confidence and community to change things that matter to them. In our trainings, we prioritise people from communities directly impacted by injustice.

Your role will include:

  • All data entry into the finance system (Aqilla) including income, expenditure, restricted and unrestricted analysis, balance sheet items and any other journals.

  • Managing the sales and purchase ledger cycle – from checking invoices are properly authorised and coded against the correct budgets, verifying new supplier bank details, entry onto the finance system and entry onto the banking system (currently Lloyds) for authorisation.

  • Keeping the fixed asset register up to date, identifying items to be capitalised and ensuring assets are depreciated in line with organisational policy.

  • Regular reporting on income received to teams as required.

    • Liaising with Bootcamp teams to advise of any non-payees in the run up to a Bootcamp.

  • Regular import of data from banks to Aqilla (or any other finance system which may be used in the future).

  • Dealing with any finance related queries from staff, suppliers, customers and donors, escalating to the Finance Manager where required.

  • Processing of expense claims for staff and board members and ensuring these are paid in a timely fashion; flagging any issues (e.g. missing or incorrect receipts) as necessary to the Finance Manager. This includes credit card expenditures and expenses against floats or advances provided.

  • Obtaining approval from the Board for CEO expenses.

  • Liaising with outsourced payroll provider to ensure all relevant changes are communicated, checking draft payroll prior to Head of Finance sign off and ensuring financial information for pension payments is accurate.

  • Responsible for ensuring all monthly balance sheet reconciliations are completed on a timely basis, in line with the departmental timetable, for review by the Finance Manager.

  • Production of draft monthly cash flow forecasts, and budgets vs. actuals reports for review by the Finance Manager.

  • Supporting the Finance Manager and Head of Finance as required in preparation for the annual audit and assisting with any audit enquiries.

About You

To thrive in this role you’ll need:

  • Strong financial aptitude. Ideally having worked for at least 2-3 years in a similar role.

  • Qualifications; Some formal accountancy training (e.g. AAT) even if not yet completed.

  • Detail oriented and well organised. You should be able to work well under pressure, prioritise a varied and fast-paced workload, and deliver to deadline.

  • Great IT skills. You should be comfortable with accounting systems, data management (particularly Salesforce) and online tools such as G-Suite, Trello, and Slack.

We expect you to be:

  • Aware of how systemic injustice operates in our society (things like economic inequality, racism and heterosexism). We are looking for someone who is excited to be part of a team that is exploring how best to confront those issues both in the workplace and in the wider society. 

  • Comfortable working in a small and expanding organisation, which means being flexible, adaptable and capable of responding positively to new challenges.

As we grow these skills could become useful:

  • International NGO experience and/ or working in a multi-currency environment.

  • VAT. Posting the necessary transactions to the finance system, ensuring the correct rates are captured and assistance with drafting VAT returns, if we approach the VAT threshold.
