Eclipse is looking for a competent, organised and experienced Finance and Operations Manager to join the organisation during a period of transition.  The Finance and Operations Manager will be responsible for managing the finance support service for the organisation together with operational support for Governance, Admin & HR.

This is an opportunity to play a vital role in the organisation as it develops and instigates an exciting and ambitious new set of plans over the next six months.  You will be working directly with senior leaders and trustees, and line-manage an Administrator utilising strong financial and administrative skills to manage the charity’s finances and day to day operations.

The ideal candidate will have an understanding of budgets and financial management as well administration, along with a passion for theatre and culture to be made by and resonating with Black voices and the communities in the North of England.

• Full time, with part time options available.

JOB DESCRIPTION

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Reports to: Senior Change Director

Other reporting: Board of trustees

Line manages: Other administrative staff once recruited, external accountants, IT supplier

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Holidays: 28 days per year (including statutory Bank Holidays), pro rata if applicable

Term: 1-year fixed term contract, with a view to extend following a contract review

Notice: 6 weeks either side for the period of the contract.

Pension: 3% employer contribution.  

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
• Working as a central point of contact through phone and email.
• Management of the company administration systems.
• Support the delivery of contracts and letters of agreement.
• Support recruitment and onboarding processes.
• Support accommodation, travel, logistics, and tour-booking processes.

Westway Trust is seeking a qualified accountant to join as our Head of Finance who will lead on all aspects of the finance function to achieve the Trusts goals.  You will also manage a small team and will offer strategic finance support across the range of activities undertaken by the organisation.

You will have significant experience operating at a senior level within a complex organisation and registered charity, and will possess the right blend and balance of strategic, communication, innovation and people skills.

Key responsibilities of the role include but not limited to:

• Lead, manage and improve the Trust’s finance function and provide accurate, timely and relevant financial reports as required by the CEO, Executive Team and the Trust Board.
• Be the Executive Lead of the Finance Audit and Risk Committee, ensuring timely papers to the CEO and to the Committee and Board as required and liaising with the Head of Governance and HR as required.
• Ensure the provision and reporting of financial accounts, forecasting and large-scale project/programme budgets, estate development plans, and the associated reporting.
• Oversight of the legal and financial statutory processes in line with the Charity Commission and Companies House requirements, including the Annual Audit. Allocating tasks for timely responses and keeping all colleagues abreast of progress.
• Monitor, cash flow, reserves, analysis of performance against the organisation’s annual business plan and dashboard as it relates to the finance function.
• Contribute to the overall leadership of the Trust and to the Trust’s future strategic and operational planning. Support Executive Team colleagues as required on the delivery of cross-team initiatives.
• Line management of the Senior Finance Manager, the Debt Recovery Consultant and the Development Partnerships Lead.

Essential Experience, Skills and Attributes:

• Significant and successful experience of operating as a Head of Finance, ideally in a charity setting.
• A track record of working collaboratively with a team to develop successful internal partnerships and achieve joint success against shared objectives.
• Experience of the finance function and all the associated processes, with strong attention to detail.
• Experience of implementing enhanced reporting tools within financial software, including the ability to coach others.
• Practical knowledge of VAT, including accounting of partial exemption relevant to charities.
• Experience of managing staff and supporting their development.
• Strong interpersonal skills for both workplace and external representation contexts, operating with enthusiasm, flexibility, energy and commitment and demonstrating credibility and gravitas.

Desirable Experience, Skills and Attributes:

• A good understanding of the local area.
• Experience of change management.
• Competency in use of Access Dimensions, Focal Point and other MS Office software packages.

Qualification:

• Must hold a formally recognised professional accounting qualification.

E3G PROGRAMME FINANCE LEAD, OPERATIONS, LONDON

E3G funding comes from a wide variety of funders around the world. We are looking for a CCAB qualified finance person with a minimum of 3 years’ experience in a charity or not-for-profit programme finance context. Interim Head of Finance | 3 Month + | £300 - £350 per day (outside IR35) | Hybrid | Croydon

For a small but vital refugee charity, we are recruiting an Interim Head of Finance for 3 + months, starting ASAP. • Regular review of access rights and permissions for accounting, banking & HR software systems

Location: While contracted to our office in Fleet, Hampshire, our team supports a blend of office and home working provided you have adequate broadband and IT capability, with an average of 2-3 days in the office each week.

Working hours: This role is 37.5 hours per week, with some out of hours working.

District Secretary for Administration and Compliance

Do you have the skill, experience and vision to lead in building and maintaining good practice for a newly amalgamated District of the Methodist Church?  We are a collaborative, justice-seeking family of churches, looking for a skilled senior administrator.

This is a senior leadership position in a merged organisation.

1. Collaboration with the District Chair and the District Secretary for Ministries & Vocations in the leadership of the District, and promoting the values of the District in all work practice.
2. Collaboration with the Mission Area Leads to facilitate support of the circuits in relation to the responsibilities of administration and compliance issues.
3. Responsibility for compliance with all relevant legal, financial, and governance matters, including compliance with the relevant parts of The Constitutional Practice and Disicipline of the Methodist Church, including:
   1. budget and accounting, in partnership with the District Treasurer;
   2. data protection;
   3. lay employment processes;
   4. safeguarding.
4. Working with the District Safeguarding Officers, the District Safeguarding Group and others to ensure safeguarding processes for the District are robust and effective.
5. Responsibility, together with relevant District officers and bodies, for strategy for property and finance across the District, and for its implementation.
6. Enabling the District Property Consents group to fulfil their responsibilities regarding property matters within the District.
7. Coordinating the District Grants Policy and its implementation through the District Grants Committee.
8. Ensuring that the District’s responsibilities for Reconciliation and Complaints are fulfilled, including liaising with the other District Leaders and ensuring the appointment and functioning of the District Local Complaints Officer and District Reconciliation and Complaints Support Group(s).
9. Collaboration with the District Chair and others to ensure good practice in internal and external communication, including through the District Communications Officer.
10. Engagement with the District Policy Committee and the District Scrutiny Group processes and meetings.
11. Fostering good and collaborative working relationships with holders of relevant district volunteer posts.
12. Other areas of responsibility as agreed and assigned by the Trustees.

The role:

The purpose of this role is to ensure effective, efficient and accurate day-to-day financial management and financial controls for the Fidelity UK and international Foundations, including leading on management reporting, budgeting, forecasting and cashflow planning and delivering the annual reports and accounts for all four Foundations. The post holder will prepare all finance papers for Board and Finance and Investment Subcommittee meetings and will support the oversight of the Foundations’ investment portfolios. This role will also be responsible for managing all payments made by the Foundations, in addition to ensuring risk and compliance guidelines are adhered to at all times.

The person

The successful applicant will have a detailed knowledge of accounting principles, ideally with experience of the charitable sector, and a strong track record of day-to-day financial management in a comparable role. You will have strong analytical skills and be able to demonstrate both operational and strategic thinking. You will have a proficiency in accounting (with a relevant finance qualification) and will be able to evidence the successful production of annual accounts and monthly reporting, ensuring monitoring against budgets. Additionally, you will have strong analytical and reporting skills, exceptional attention to detail, excellent communication and presentation skills, and hands-on experience of explaining complex financial information clearly and concisely. Finally, you will have a high degree of humility and a collaborative style and will be able to pro-actively manage a diverse workload on your own initiative.

The Head of Finance and Operations is a role at the heart of our team. It will be responsible for overseeing the financial stewardship of the organisation while also setting the tone through managing our day-to-day operations which will enable everyone to come to work with a smile on their face. The successful candidate will also be integral in providing support to the change and transformation ahead of us. They will deputise for the Director of Operations and build relationships with the SLT and across the organisation as a whole.
