Main purpose of the post
We are seeking to appoint a Research Funding Manager with experience in managing the development and submissions process for successful research bids, to be part of a wider team that spearheads RUSI’s research fundraising efforts. Reporting to the Director, Research Business Development, the successful candidate will lead the process for preparing high-value bids, including drafting sections of the narrative and reviewing budgets, and be responsible for building central resources to improve and facilitate effective business development operations. This is a highly collaborative role that involves building very strong internal relationships at all levels of the organisation and with external stakeholders and skilfully managing competing priorities, personalities, and deadlines. Key tasks

For UK Government, US Government, EU and Canadian Government bids, and bids over £100,000 value to RUSI:

End-to-end project management of high-quality bids, including tender responses, funding applications and requests to participate.

Manage internal and external communications to ensure that the RUSI team, and partners, are aware of evaluation criteria, key themes, deadlines, and other critical information. Agree roles, responsibilities and timelines between key stakeholders.

Compile and arrange high-quality and compelling bid language working with subject matter experts, draft responses to institutional questions, and offer quality assurance ahead of submission.

Review project budgets to be signed off by RUSI’s COO, ensuring that they are prepared consistently and in line with RUSI policies and funder requirements, working with RUSI research teams to achieve this.

Serve as the institutional point of contact for the key funders listed above – attend Early Market Engagements/supplier events, funder events, webinars, to ensure you are up to date on their priorities and RUSI is competitive with our bids. Maintain a centralised database and disseminate up-to-date information on each funder’s practices, key dates, preferences, upcoming opportunities etc.

For all other bids, review budgets for accuracy, competitiveness and to ensure costs are in line with RUSI’s policies and previous submissions, and, once finalised, seek approval from the COO.

Ensure use of best practice across research groups in our approach to bids and budgets, and that key documents, outcomes, research impact, and decisions are saved centrally for future use.

With support from the BD team, develop and execute a plan to inform, train and mentor research and central services colleagues on best practice for bids, including a focus on wider business awareness.

Respond to due diligence requests received by RUSI from research funders, ensure we have a central database of up-to-date policies and documents required to respond successfully and quickly.

Work with the Business Development team to build organisational systems and processes for effective BD, collaborate with BD colleagues to share feedback and ideas, support each other, and develop central projects to improve BD across the organisation.

Attend Business Development meetings with research groups and build strong relationships with project managers and project officers, capturing feedback and seeking input to BD processes and practices.

About the role:
We have two events-based roles to support our training and development courses. These courses are delivered either face-to-face or hybrid and are often delivered by a team of the organisation’s members. We use tools such as WebEx, MS Teams and Slido to support the delivery. There is an agreed schedule for the rest of 2024 for our public (open) training plus some bespoke, in-house training to be agreed upon with clients. There will also be additional in-house training to be secured for the remainder of 2024 and the first part of 2025.
The role holders will work within our professional development team, headed up by the director of professional development. They will report directly to the director and work alongside other team members to deliver an effective apprenticeship programme.
Our working pattern is hybrid, with attendance in the office expected for three days per week, including every Wednesday. You may also be expected to attend events across the UK and overseas.
Key responsibilities include:
- Support the course working parties including the production of agendas and minutes
- Create booking pages via iMIS and make them live when approved.
- Manage bookings and respond to queries.
- Prepare and distribute course information, delegate packs, learning materials and handbooks as required.
- Organise and attend volunteer Working Party meetings as required.
- Negotiate contracts, attend site visits where needed and finalise contracts.
- Liaise with suppliers, delegates and speakers to ensure all final details are communicated.
- Process bookings via iMIS, including sending booking confirmations.
- Respond to queries from delegates and potential delegates such as queries on their course or programme and progress.
- Ensure that accurate and complete records of attendance and progress are maintained.
- Ensure delegates' and speaker needs are met before and after the course.
About you:
To be successful in this role, you will need experience managing events (face-to-face and hybrid) including liaising with speakers and managing the technology. You will be able to work with colleagues to identify and contact potential speakers. You will also be able to manage the budget for the course delivery. To be successful at the organisation, you will need to be able to work in a small team, be flexible in accommodating changing priorities and thrive in an ever-changing environment.
You will also bring with you the following skills and experience:
- A qualification or experience in event and/or learning management
- Experience in managing the delivery of courses and training programmes including course agendas, delegate and speaker support and course administration
- Strong planning and prioritisation skills with the ability to multitask
- Excellent oral and written English
- Excellent Customer Service skills
- Excellent organisational and administrative skills including record-keeping and attention to detail
- Basic financial awareness and understanding for example working to a budget and controlling costs
- Suitability to work with apprentices and vulnerable people including acceptable DBS record
- General IT skills including MS Office (e.g. Word mail merges and Excel reporting). An aptitude for learning new software/portals and experience with customer databases such as iMIS, webinar and eLearning platforms will be an advantage

We also have activities off site including gardening at a local allotment and music and art classes at a day centre and residential home. Each week over 100 people benefit from our activities.

The Helen Bamber Foundation (HBF) is a pioneering Human Rights charity supporting refugees and asylum seekers who are the survivors of trafficking and torture, including gender-based and ‘honour-based’ violence. Recognising the complexity of each client’s suffering and needs, the Foundation provides specialist medical consultation, therapeutic care, legal protection and practical support to survivors of human rights violations by helping men, women and children heal the emotional and physical damage they have suffered through torture, trafficking or other forms of cruelty. Since August 2020, Asylum Aid has been part of the Helen Bamber Foundation Group. Asylum Aid operates as an independent charity, led by its own Executive Director within the group structure, and is ambitious about growing its impact and reach in the future to ensure protection from persecution for those who need it. For over thirty years, Asylum Aid has been providing legal representation to some of the most vulnerable people seeking asylum.
