Financial operations manager jobs

We are looking for a person who is driven to reach targets through building relationships with bereaved supporters and partner organisations. You’ll also manage warm stewardship of legacy pledgers & become part of a passionate team at JGDR.

Hours: 35 hour per week (with occasional weekend or evenings)

Location: This is a hybrid role, with regular travel required across our operating regions – including North and South Lincolnshire, Nottinghamshire, and East Yorkshire. The postholder will be expected to work flexibly in the community or on the road for meetings with supporters or partner organisations on at least four days per fortnight, with a minimum of one day per fortnight worked from a Jerry Green Dog Rescue Centre (North Lincolnshire, South Lincolnshire, or Nottinghamshire). The postholder will also be expected to attend regular team meetings in an agreed location.

As our sites are in rural locations, holding a full UK driving licence and having access to your own vehicle is essential. (Business mileage is reimbursed according to JGDR’s expenses policy.)

Purpose:

We are seeking a confident, compassionate and target driven individual to lead on the delivery of JGDR’s in memory giving programme and support the delivery of legacy marketing.

Working with the Individual Giving and Legacies Manager, you will be driven to reach targets through building relationships. You will follow up with supporters who have given in memory of their dog, family member, or friend – often following a funeral collection – and help them take the next meaningful step, such as setting up a remembrance page, making a further donation, or exploring other ways to honour their memory. This role is responsible for raising circa £40,000 per year from a portfolio of in-memory products – with aims to grow this valued income line.

You’ll also manage warm stewardship of legacy pledgers and help deliver long-term marketing activity to keep gifts in wills front of mind.

This role would suit someone from a bereavement, funeral, or supporter-facing (sales or fundraising) background who is confident converting warm leads into action with care and professionalism.

Your role

You will sit in the Individual Giving and Legacies team and report to the Individual Giving and Legacies Manager.

Your focus will be on:

• Growing income from in-memory giving through proactive supporter engagement and lead conversion.
•  Delivering light-touch legacy marketing and warm legacy stewardship, in support of long-term growth goals.

Responsibilities

In Memory Fundraising

· Work with the Individual Giving and Legacies Manager to develop and deliver the operational plan for in-memory fundraising, including campaign ideas, journeys and stewardship.

· Engage with in-memory donors via phone, email, post and in-person conversations, offering remembrance pages and other meaningful giving options.

· Proactively follow up leads and develop a pipeline to track progress and maximise conversion.

· Convert warm leads into active fundraising, donations, or page creation on our tribute fund platform, MuchLoved.

· Develop and maintain relationships with funeral directors, pet crematoriums and celebrants.

· Promote in-memory giving internally, supporting Operations, Retail and wider Fundraising and Marketing teams to spot and signpost opportunities.

Legacy Marketing & Pledger Stewardship

· Work with the IG and Legacies Manager to craft and execute legacy marketing campaigns and materials, supporting with copywriting and creative development.

· Oversee stewardship of legacy enquirers, intenders, and pledgers, ensuring they feel valued, thanked and connected

· Organise and deliver events or moments of recognition for pledgers, to promote legacy giving to long-term supporters and other target audience groups.

· Manage relationships with relevant agencies and external suppliers, e.g. free will writing services, local solicitors, and Remember a Charity Week.

• Champion legacy giving across JGDR, including working closely with colleagues in Operations and Retail to ensure that Centres and shops are equipped with the information and training needed to promote legacy giving effectively.

Other Duties

· Contribute content for social media, fundraising newsletters, publications and local media to support marketing objectives and increase our engagement with adopters, supporters and donors online.

· Keep up-to-date with sector trends and developments in legacy and in memory giving

· Attend ad hoc supporter and community events to represent JGDR and promote legacy and in memory giving

· Act as a champion for fundraising compliance across the organisation, including ensuring adherence to the Fundraising Regulator’s Code of Fundraising Practice, the General Data Protection Act and PECR, and other relevant legislative requirements

· Manage any complaints from supporters with empathy and professionalism, ensuring sensitive issues are escalated and resolved appropriately.

· Act as a collaborative role model to the wider team, and build strong working relationships with colleagues across the wider charity to be an internal ambassador for Fundraising and Marketing

Monitoring & Insight

· Ensure that our fundraising CRM is up-to-date, in a timely manner, and develop reporting mechanisms to understand and analyse metrics on your audiences, including legacy enquirers, pledgers, and in memory supporters, and their historical engagement with the charity.

· Maintain accurate supporter records in our fundraising CRM, ensuring the status of in memory fundraising and legacy pledges are monitored and reported on to support financial planning and forecasting against budgets.

· Monitor and report on activity and agreed KPIs, such as donor calls, follow-ups, page creation, and pledger contact. Provide insight to support future development of in-memory and legacy products and journeys.

ROLE RESPONSIBILITIES

• Lead on the launch of a new RG proposition and ensure that the onboarding and onward journey is fit for purpose.

• Look for opportunities to thank our donors and communicate impact at key moments. 

• Work with key stakeholders to ensure we grow our Regular Giving file, through acquisition as well as retention.

• Manage a variety of individual giving fundraising campaigns, from agency briefing, through to launch, meeting six figure campaign targets. 

• Work with digital fundraising colleagues to create integrated, multichannel campaigns and an effective, donor-first giving journey. 

• Remain flexible and rapidly respond to emergency situations. 

• Work with the Data team to identify the best approach to data and segmentation for each project.

• Manage production processes, developing supplier briefs and managing approval stages and end of campaign reviews. 

• Manage donor research and mystery shopping as required, using insights to inform creative decisions. 

• Manage campaign fulfilment. Monitor responses to identify issues and opportunities. 

• From time-to-time support with Donor Care activities if required.

• Ensure cost effective fundraising, manage individual campaign budgets and identify opportunities to improve ROIs. 

• Stay up to date with issues affecting displaced & refugee communities, campaigns from international teams and reports from the field. Scope new fundraising themes. 

• Share creative and insights with UK colleagues, global markets and HQ, participating in training seminars, workshops and international skill shares where applicable.

What you’ll do

As Finance Executive, you’ll play a key role in keeping our day-to-day finance operations running smoothly; from processing transactions and performing reconciliations, to ensuring our partners are billed correctly and pay on time. You'll be a key point of contact for finance queries across the business, and your work will be essential to maintaining accurate records and enabling wider decision-making. You'll also play an important role in driving process improvements, and support the team by analysing data and producing insightful reports that inform decision making.

This is a varied role where you’ll get exposure to lots of different areas within the finance function of a SaaS company. It’s perfect if you’re keen to explore your interests and gain a solid grounding across multiple aspects of finance.

• Record, process and reconcile transactions for the company using platforms like Spendesk and Xero, and ensure transactions are accurately recorded and categorised. 
• Manage our finance email inbox, responding to queries from schools, universities and employers. 
• Manage our accounts receivable processes, keeping track of overdue invoices, chasing partners for payment and recording received payments. 
• Support our sales teams with general finance related queries and keeping their partner records up to date on Salesforce (our CRM system).
• Improve, streamline and automate processes within the finance function. 
• Get involved with projects such as:
  • Setting up a simple way to keep track of the subscriptions we pay for, and make sure we’re getting good value from them.
  • Finding solutions to increase the number of invoices paid on time.
  • Creating useful reports and dashboards on Salesforce to aid decision making. 
• Support the Finance Lead to:
  • Prepare the payroll for our accountants (including commission calculations) and manage associated schemes (e.g. pension contributions).
  • Manage our accounts payable processes, making and recording payments. 
  • Work on forecasting and variance analysis to support business planning.
  • Check through our quarterly VAT return.
  • Manage the banking for our much smaller Hong Kong and US companies.
• Support the Head of Finance (your line manager) to:
  • Create the annual budget.
  • Support on ad-hoc projects and data analysis requests.

Who we’re looking for

You’ve got some experience in a finance or operations role, or you can demonstrate that you’ve built the relevant skills in another setting and are ready to learn more.

• You’re organised and methodical, with strong attention to detail that helps keep things running smoothly and accurately.
• You enjoy solving problems and thinking critically about how things can be improved, streamlined or automated.
• You’re quick to learn new systems and tools, you might not have used platforms like Xero or Salesforce before, but you’re keen to get stuck in.
• You take ownership of your work, following through on tasks and making sure nothing falls through the cracks.
• You’re proactive and hands-on, excited to go beyond your core responsibilities to improve how we work and help make it a success.
• Being a proficient user of Microsoft Excel (formulas, pivot table, x-lookup) is a bonus.
• Having an educational background in Finance, Accounting or a Business related discipline is desirable, but not essential. 

Working together

We’re a small but mighty team of 3 within Finance (this role included). You’ll be line managed by the Head of Finance and will be working very closely with our Finance Lead too. You’ll also have regular contact with most people across the Unifrog, especially our partner-facing teams and the People team. You’ll also be liaising with our external accountants who take lead with the financial accounting and payroll side of things.

We are looking for someone to lead our home energy retrofit services, instilling a culture of high performance and outstanding results. You will have retrofit experience which will help to build our paid-for whole-house retrofit services, secure funding through publicly funded programmes and identify wider funding opportunities. Working with the Director of Household Energy Services (HES) and as a member of the HES Leadership Team, you will deliver a clear vision and strategic direction for the retrofit team. You will also participate as a member of the wider Senior Management Team (SMT).

Pay and conditions

• The role is full-time (37.5 hours per week) however, we are prepared to be flexible and will accept offers from those who would prefer part time work of 30 hours.
• The salary will be £48,726 to £58,365.
• You will be entitled to 25 days paid holiday (plus statutory holidays).

Specific responsibilities

An applicant appointed to the role will be expected to:

• Oversee key aspects of retrofit delivery in the HES portfolio, including resource utilisation and workload planning, project monitoring and evaluation.
• Ensure retrofit staff in the HES team remain utilised by other departments and are sufficiently supported to deliver their work and reach their potential.
• Ensure that organisational planning systems are up to date and provide an accurate report to the Director of HES and the SMT.
• To work with retrofit project managers to help maintain effective financial controls of our retrofit projects, and provide the Directors of HES and Development with up-to-date projections of spend and expenditure.
• To take responsibility for the quality of outputs of the HES team’s retrofit work, including timely reporting to project partners and funders.
• To oversee line management and professional development of all retrofit staff.
• To work with the Director of HES to identify and create new opportunities for CSE to deliver our strategic objectives in relation to retrofit.
• To provide strategic direction to all large retrofit projects and contribute to the delivery of specific projects as relevant, and to enable the provision of retrofit expertise to other projects across CSE..
• To provide input to the organisation’s business plan with respect to retrofit opportunities and services for the year ahead, forecasting staffing needs and helping to establish the 3-year budget for the team.
• To share with other Heads of Team collective responsibility for the day-to-day operation of the organisation, representing the HES team’s retrofit work as a member of the SMT.

Job Description

The Jewish Museum London has undergone substantial positive change over the past two years, moving out of our Camden site and moving to a ‘Museum without Walls’ model.  The museum is building a new strategy that will lead its transformation over the next 10 years as it tests out innovative new models for exhibitions, displays, learning and engagement, building towards a new permanent site and dynamic operational model.  Learning and engagement are central to the museum’s future.  This new role will support the learning and engagement team by coordinating bookings, marketing and communications for the team.

Our museum is made up of passionate and expert staff and a collection of over 40,000 objects which are both accredited and designated with Outstanding status by Arts Council England. Our learning programmes hold multiple awards, and our visitor feedback is consistently very high, however, we have much bigger ambitions than our current success. The Museum is looking to expand, in space, in profile and in audience reach. We are looking for someone passionate about our potential to coordinate the day-to-day running of the learning team as we move forward to the next phase of the Jewish Museum London.

Reporting to the Head of Learning the appointed candidate will have the organisational and administrative skills to ensure the team can effectively deliver programmes for schools, families and communities as well as taking a lead on communicating the museum’s activity through social media, newsletters and the website.

Main Duties & Responsibilities

The main role of the Learning and Communications Coordinator will be to administrate the activities of the learning department, in particular our flagship programme of schools workshops both in person and digitally. Team Administration

· Managing the team’s calendar of activity

· Ensure that bookings spreadsheets and databases including Raisers Edge, Artifax, Excel sheets and Monday Boards are kept up to date and accurate

· Collating statistics and data for reporting

· Maintain the carbon calculator tracking for the team

· Order any resources, materials, equipment and travel (such as oyster cards, train tickets and taxis) for the team

· Coordinate room bookings and generating zoom links for workshops, meetings and activities
