The Finance Officer will join a small and dynamic team that covers Finance, Human Resources, IT and Business Operations. The Finance & Operations team play a critical role by running the day-to-day operations and providing the infrastructure that enables the continued delivery of the Trust’s mission and objectives.

The Sutton Trust is seeking a highly motivated and enthusiastic Finance Officer to join the team and provide crucial support on a range of key finance processes. This is a fast-paced and hands-on role that requires an understanding of basic finance processes. You can expect a steep learning curve in a passionate and supportive working environment.

We have recently introduced a new accounting system and are looking for someone who is willing to learn, make the most of the improved technology and contribute to automating (and improving) our finance processes. The Team

This role will fit into the small Finance & Operations team and will be line managed by the Finance Manager.

Main Duties

• Maintaining the Purchase Ledger including processing supplier invoices, staff expense claims, grant and bursary payments, reconciling statements and making the relevant payments
• Maintaining the Sales Ledger including raising invoices and allocating receipts
• Cash management including checking bank transactions daily, allocating transactions on the accounting system and producing regular bank reconciliations. Paying in cheques and reconciling floats, if required
• Maintaining accurate records of both unrestricted and restricted fund transactions including receipts, grants, staff expenses, overheads and cash
• Providing timely and accurate financial support to the Programmes, Development and Research teams to assist them with forecasting, budgeting, reconciliation and (donor) reporting
• Supporting with the month end procedures such as balance sheet reconciliations, depreciation, month end adjustments, salary and overhead allocations
• Gathering monthly payroll information and reviewing monthly payroll reports
• Assisting with the administration of the pension scheme and of employee benefits
• Preparing quarterly Gift Aid claims and maintaining the relevant supporting documentation
• Assisting with the year-end statutory accounts preparation, audit and budget setting process
• Ensuring that the filing is done in a timely manner and that all paperwork is up to date
• Proactively updating your own knowledge in relation to the role, identifying and undertaking appropriate training
• Keeping up to date with legislation, policies and procedures relevant to the role and the Trust’s work
• Other duties as necessary from time to time
• Contributing to continuous process improvement efforts and suggesting ways to further automate tasks with the new accounting system

• Experience of working in a busy finance department with responsibility for similar tasks

• Experience of working with Xledger or equivalent accounting software

Terms of Appointment

• Office location: The Sutton Trust, 9th Floor, Millbank Tower, 21-24 Millbank, London, SW1P 4QP. Our home working policy gives staff the option to work from home for up to 60% of the time, with approval from their line manager.
• Hours: The standard working hours are 9am to 5pm, Monday to Friday and may also be required to attend events / meetings outside of their normal working hours during weekday evenings and occasionally at weekends

As Head of Operations & Governance, you will be responsible for overseeing the back-office operations of the charity. You will be a key point of contact for the team and support the Executive Director to ensure smooth, efficient and compliant operations.

You will be a senior member of the team, responsible for ensuring that PINF operates within its legal and regulatory framework, including in relation to charity, corporate, tax, employment and data protection regulations. The role involves liaising with the Chair, Board of Trustees, Executive Director, legal advisors and regulators to support best practice in financial management, governance, risk management and compliance.  

Duties and responsibilities 

• Financial Management 

• Ensure consistent delivery and quality of finance operations, including transactions processing, which will involve managing a bookkeeping service.

• Prepare and monitor annual budgets, management accounts and project budgets.

• Lead on the financial aspects of fundraising, contract management, and funder reporting. Including managing restricted and unrestricted funding. 

• Oversee the process of preparing statutory accounts, including liaising with accountants and auditors.

• Maintain internal controls and policies to protect assets, prevent fraud, and ensure business continuity. 

• Participate in the Finance & Fundraising Committee and support the Treasurer to plan and deliver meetings. 

• Prepare financial reports for board meetings and engage in board discussions.

• Governance 

• Manage our annual governance cycle, working closely with the Chair, Treasurer and Executive Director to ensure legal compliance and to plan and prepare for Board meetings including taking appropriate minutes.

• Manage the organisational risk framework including identifying emerging risks and working with the Executive Director to mitigate them.

• Companies House and Charity Commission filings.

• Develop and maintain a suite of policy to ensure PINF meets its obligations as a charity and an employer.

• Play an active part in board discussion to support good decision making.

• HR 

• Manage HR across the organisation; ensuring all HR processes and policies are fit for purpose, up to date and adhere to law, and are understood and implemented across the organisation.

Requirements  

• A professional qualification in finance, management, law, or a related field and at least five years’ experience relevant to this role.

• Full professional proficiency in English.

Skills and attributes 

• Experience of managing charity finances and budgets (Essential). A related finance or accountancy qualification would be desirable. 

• Experience of managing operations in a comparable charity or business, with both strategic and day-to-day operational responsibilities.

• Developing processes and procedures and making improvements for efficiency and impact.

Length and Salary

This is a full-time role, on a one-year fixed term contract, with the possibility to extend, subject to funding. The annual salary is £42,193 per annum, less any required deductions for income tax and national insurance. 

This role is based in Reprieve’s London office. Reprieve operates a hybrid working model and we require staff to work two days per week from the London office and the rest of the week from home. Applicants must have the current right to work in the UK, which will be checked prior to interview.

Your presence is important during core office hours, whether remotely or in the office. You will also be available outside of office hours in the event of an emergency, for example case developments that require urgent action. This is a role that may require travel and work outside of core office hours from time to time.

The role:

This is a key role within the Executive Leadership team, with accountability for Finance, Procurement and IT at the Globe. The Finance Department provides timely and accurate financial information to key stakeholders while protecting Shakespeare’s Globe assets and ensures compliance with laws and regulations in relation to financial and taxation matters. We’re looking for someone with demonstrable experience in scheduling meetings, HR administration, and coordinating internal and external correspondence with a variety of stakeholders. You must have a strong understanding of GDPR and Microsoft packages and be able to prioritise a busy workload in a fast-changing working environment. Ideally you will have some previous experience of minute-taking as well as inventory and supply management.

This exciting new role is perfect for a candidate who wants to deliver an immediate impact in their work and is enthusiastic about bringing people long with them, through a combination of:

• On-the-day supervision to our paid and voluntary staff across various workstreams.
• Conducting case review of debt issues (supported by our Quality of Advice and Case Review team) to ensure a gold standard in the quality of our advice.
• Playing a leadership role in nurturing partnerships, such as with council officers and specialist debt charities, to support our debt advice work and create pathways for client solutions.
• Shaping our directory of services for debt advice by supporting our leadership team to identify key areas of debt advice, desired client outcomes, and the steps required to resolve those client issues.
• Design and deliver training on debt issues to both paid and voluntary staff, as well as to community stakeholders.
• Supervise and monitor volunteers carrying out a small amount of casework where the client’s issue is of sufficient complexity to warrant engaging your expertise.
• Guaranteeing compliance with Financial Conduct Authority rules and regulations.
• Leading on research and campaign issues relating to debt and identifying where we can make a difference locally through our advocacy and case studies.

We want to ensure that everyone with blood cancer, regardless of circumstances, has the support they need to navigate their blood cancer and live well. In this role, you’ll transform how people with blood cancer access and experience our products and support services. 

You’ll lead on service transformation projects such as:

• Growing our Direct Referral Service across the UK, where NHS Trusts are referring newly diagnosed patients for an ongoing journey of tailored information and support
• Scaling up our Clinical Trials Support Service, so we can support many more people than we are currently around understanding and accessing clinical trials
• Improving access to clinical trials for ethnic minorities, by testing and piloting new interventions in communities

With a Service Designer to support you, you’ll lead user research, prototyping, testing and iteration of new products and services. You’ll ensure our service transformation programme is working on scalable and sustainable products and services that meet user needs and strategic goals.   

This is a relatively new role, so we are looking for someone excited by the opportunity to embed it in the organisation and build strong ways of working. Expected travel for this role is approximately 2-4 visits to the office per month. More frequent travel to the office may be required during busy periods.

Who we are looking for 

We care about building lasting relationships with our 21,000 active supporters and our database is critical in helping us to do that. For the right person, this is an opportunity to support our charity in using data to achieve our mission – to discover better treatments, expand access, and work towards a future free from type 1 diabetes. 

We are looking for an enthusiastic and proactive individual to take responsibility for the delivery of several key functions within the Supporter Care and Operations team. You will be responsible for the importing of data into the database, making sure that our supporters and beneficiaries receive an excellent experience by inputting high quality data and ensuring that our database is accurate at all times. 

You’ll have knowledge of a relational database, excellent attention to detail and be skilled and comfortable in building good working relationships. 

The role also includes providing excellent service and delivery of supporter care and thanking supporters promptly and appropriately. 

Experience required 

• Database support experience (charity database preferred but not essential) 

• Experience of formatting and importing data to a database from external sources to agreed timescales 

• Experience of exporting, de-duping and formatting data from a large dataset 

• Experience of performing complex queries to identify records that meet criteria

Overview  

At Young Roots, we want to see a compassionate and welcoming society for young refugees and asylum seekers in the UK. We work alongside young people seeking safety in the UK, building trusted relationships, providing practical and emotional support and promoting young people’s rights and power.   

Our youth clubs and casework are transformative for young refugees, allowing young people who have fled danger, had traumatic journeys and who are often here alone, to find community and connection, have a space to be a young person and access support in addressing a whole range of practical challenges they face. We also draw on our evidence from working every day with young refugees and asylum seekers to call for change to the laws and policies which are harming young people.  

The Youth Development Coordinator is responsible for the development and delivery of our youth development programme for young refugees and asylum seekers. 

You will be focused on ensuring our programme activities achieve our outcomes, are in line with our strategy and identify areas for change and development under the direction of the Head of Services. An excellent communicator and skilled at working with partners, you will be key in the implementation and running all of our weekly youth activities, including a Youth Club and Advice and Support Hub working closely with the Youth Development Worker and having oversight of our weekly Young Women’s group. 

As an experienced manager, you will lead our team of skilled youth workers, working alongside the Brent team to provide holistic support to young asylum seekers and refugees in Brent.  

You will prioritise the participation of young people in all activities, ensuring excellent safeguarding by following our policy and protocols, and ensure that we collect excellent data for monitoring and evaluation and to aid our future planning. You will also assist with staff and volunteer recruitment and reporting to our funding partners. 

The Youth Development Coordinator will hold a Designated Safeguarding Officer role at Young Roots for which they will receive full training.
