Main duties and responsibilities:

IT

· Ensure all staff have IT equipment from their first day of work, ensuring that they are able to access the IT support they need with minimal interruption to daily tasks.

· Keep a record of all IT equipment, key information and renewals due.

· Be the first point of contact for IT provider, leading on Cyber essentials & annual IT audit.

· Lead on the implementation of strategic IT goals.

· Support the Continuous Improvement Officer to find new ways of working and ensure we stay up to date with emerging IT trends.

Data

· Maintain organisational databases, ensuring all data is accurate, meaningful, and compliant with the requirements of current and potential funders, as well as Upbeat’s policies and procedures for data.

· Liaise with Data consultants to manage workflow of data requests.

· Present data in a useful manner for stakeholders.

· Play a key role in the organisation around GDPR and Data Protection.

· Be responsible for the confidential maintenance of service user records and other relevant documents in line with Data Protection legislation (e.g. data protection impact assessments).

Facilities

· Support with office management processes (ordering stationery and equipment).

· Support in the efficient use of premises (organise key holder rota, complete regular checklists).

· Support with risk management and Health and Safety compliance (risk assessments, checklists, PAT checks).

Administration

· Provide administrative support to the charity’s projects (topping up payment cards, phone lines, donation admin).

· Assist with organising and monitoring staff training.

· Assist with the review and writing of policies and the staff handbook.

· Assist with process mapping across the organisation.

Other

· Make an active contribution to the overall work of Upbeat Communities through team meetings, staff training, awareness and fundraising events, and any other appropriate activities.

About the team

Our Finance Department works as a team of experts to safeguard resources and support decision making across Shelter. We strive to ensure Shelter is financially sustainable in order to achieve our vision of a home for everyone. This particular role sits within the Financial Planning and Analysis team. We support the charity through financial reporting, analysis, and expert advice, and enable collaboration to support managers in making effective business decisions.

About the role

Joining a finance team that collaborates and communicates effectively to help us deliver our mission and vision, making vital business decisions that are driven by expert knowledge and financial acumen will be key to your success here. As part of the role, you’ll engage regularly with our Assistant Directors and their leadership teams to ensure that financial results and key messages are shared and you’ll support stakeholders in engaging with fully available financial insight and reporting.  When it comes to our stakeholders, you’ll support and lead finance education and training to equip them with the skills required to execute their own financial responsibilities.

About you

Role Requirements

 As part of the site services team the role holder will be expected to liaise with managers and staff across the Trust. The role holder is expected to work closely with the other members of the facilities team and assist in covering in the laundry, in the deep clean team or other works as and when required.

You will be health and safety aware, take ownership of your own work, and be understanding of the children’s needs here at The Children’s Trust. We are a multi-award-winning, creative, and innovative organisation, and the Database Officer is a role at Al-Khair Foundation, sitting within the Database team and delivering on a range of database tasks and processes utilising our Salesforce database. We’re looking for someone who has a good working knowledge of database systems and who understands their importance to organisations like Al-Khair Foundation. We seek someone who is naturally process-driven and has a great eye for detail. You will be responsible for specific monthly processes, such as organisation income reconciliation and ongoing data uploads and cleansing for the Fundraising teams. You will also become a champion for Salesforce and understand the importance of CRM to help Al-Khair Foundation achieve our goals and provide a better service to our donors, supporters, and participants.

Your Role

Al-Khair Foundation uses Salesforce to manage relationships with our donors, supporters, and stakeholders, including recording all donations made to the organisation. Al-Khair Foundation’s Database Officer will be responsible for the monthly delivery of the income and data reconciliation processes for the Fundraising teams, which includes liaising with a wide range of external agencies and the website to successfully download and query files, update and create new supporter records on the database, process cheques and payment requests, and work closely with the Finance team to ensure all anticipated and banked income tallies correctly.

You will also work closely with colleagues in the Database team to support and maintain regular database processes, data cleansing, and other database-related functions that happen on a monthly or quarterly basis. This may include responding to and being responsible for Support Ticket queries in relation to income, data, and/or the database generally and working with external database agencies such as our web platform partners and Salesforce.

Aside from these core duties, from time to time, you may also carry out general administrative tasks on behalf of the Supporter Engagement team. This may include supporting the Supporter Care Assistant during busy periods with customer care via email and telephone and recording updates, processing invoices, and maintaining and updating team rotas and trackers.

Your Responsibilities

• Delivering the monthly data reconciliation and income reconciliation processes, which include downloading and uploading data files.

• Provide basic IT support to the team by monitoring the IT Support Slack channel, ordering equipment, providing instructions for how to use Google Workspace, Trello and Slack, and equipment such as laptops and cameras used in hybrid meetings

Responsibilities of the role

Co-ordinator – 70%

Day-to-day support across the charity including, but not limited to:

• Providing personal assistant support to the Director of the charity

• Support wider team with meeting bookings, arranging travel, charity guests, booking rooms etc.

• Support internal communications, ensuring good information dissemination and management.

• Improve internal onboarding processes, hold ownership over key GMSN starter assets (e.g. Organigram, joiners handbook)

• Look after shared email inboxes, ensuring all queries have an appropriate response in a timely manner.

• Support the team with basic finance reporting and updating trackers, including setting up and maintenance of a variety of fundraising platforms.

• Posting out materials and prizes, and hold ownership over the organisation of stock and materials in the storeroom.

• Liaising with charity supporters via email, phone and at Global, including the support line.

• Provide cover to the Finance and Grants Assistant in periods of absence (training will be provided)

• Support with fundraising and events teams in busy periods.

• Complete any ad-hoc tasks, as required.

Governance – 30%

• Co-ordinate diary entries for quarterly Trustee and Finance Committee meetings, prepare Board packs, attend meetings, take minutes and ensure minutes are distributed in a timely fashion.

• Ensure all Trustees are stewarded, inducted and supported in their role with the charity.

• Support the Head of Finance and Governance with relevant Trustee checks and forms, ensuring compliance with Companies House and Charities Commission.

• Ensure collection of annual related parties records and ensure all documentation is filed electronically.

• Collate monthly quarterly Global Board updates, liaising closely with SMT.
