Key Responsibilities
Administrative and Operational Support

Gaddum provides therapeutic support within the CYP Bereavement Therapy Service and the Complex Care Therapy Service across Greater Manchester. Our CYP Bereavement Therapy Service is delivered across Manchester and Salford. Our Complex Care Service is delivered across Salford, Rochdale and Stockport. Role Purpose:
Working as part of the Gaddum CYP Bereavement Therapy and Complex Care Team, your role will be to provide effective and efficient administrative support to ensure the smooth running of Gaddum’s therapy services. You will be responsible for ensuring that all administration tasks are completed with a high level of accuracy and in accordance with relevant policies and procedures.

Main Duties and Responsibilities:
· Processing referrals: adding them to our database as well as our waitlist spreadsheet, sending out therapy agreement emails to gain consent from families, communicating with referrers/other professionals where needed
· Screening referrals: for any unsuitable or high-risk cases, identifying those 16+ to help us build list for trainees
· Completing follow ups where needed - such as awaiting carer response to agreement/consent email, or we are waiting to hear back about something
· Responding to queries from professionals or service users
· Monitoring email boxes and supporting to monitor waitlist
· Completing IA’s with families who are due to start therapy
· Assisting with therapy bookings where needed (may be contacting schools or community venues on behalf of therapists)

Role Overview

Job Summary
The People Administrator supports the effective delivery of all employee life cycle activities. With a focus on ensuring processes are followed accurately, efficiently, in line with audit and compliance standards and enabling a positive employee experience.
This is a cross-functional role, working closely with Head of People, to ensure smooth onboarding, offboarding, and employee changes. Plus supporting the board of trustees with email communication, booking meetings and collating responses to policy sign off and checking availability for main board and subcommittee meetings.
The People Administrator will be the first point of contact for employee queries related to policies, systems, and HR processes.
General People Administration & Support
- Act as the first point of contact for People-related queries, providing support both face-to-face and electronically, ensuring professional and timely responses.
- Work with others across the organisation to promote awareness and provide support where required on EDI and internal Access.
- Provide day-to-day administrative support to the Head of People, including data entry, booking & delivering inductions, photocopying, scanning, preparing contractual documentation, and general correspondence.
- Maintain accurate and efficient records of all People-related activities, ensuring data is securely stored and handled in compliance with GDPR legislation.
- Monitor and manage the People and Recruitment emails, responding to and redirecting enquiries efficiently and appropriately.
- Assist with the consistent application of HOME’s policies and procedures, offering guidance to employees as required.
- Plan and organise own workload to meet deadlines, contributing to the wider People team’s service objectives.
- Ensure complete confidentiality and integrity in all aspects of the role, particularly when handling sensitive information.
Recruitment, Onboarding and Offboarding
- Support the coordination and administration of recruitment campaigns with Hiring Managers, including advertising roles, scheduling interviews, and processing candidates via the recruitment procedures.
- Deliver effective onboarding and induction processes for new starters, ensuring all steps are followed and documented, and contributing to a positive candidate experience.
- Assist with job offer processes, including drafting conditional offer letters, conducting reference checks, verifying right-to-work documentation, and updating relevant systems.
- Ensure effective communication with the Payroll Officer in relation to new starters and leavers, including checking accrued holiday balances prior to confirming leaver letters.
- Respond to reference requests for current and former employees in a timely manner.
People Systems, Data & Reporting
- Confidently use systems and other digital tools to input and maintain people’s data accurately.
- Run regular reports and provide performance or management information (MI) within agreed timescales.
- Analyse data to validate accuracy and identify trends or issues that require further attention.
· Maintain and update organisation charts and headcount data on a monthly basis
· Contribute to regular updating of the People section of the intranet.
- Carry out general People administration and maintain electronic based systems for all staff including existing and new employee details, annual leave, leaver administration, payroll changes, absence and training records.
Meetings & Communication & Board Support
- Provide administrative support for employee relations casework and people-related projects, including scheduling, document preparation, and note-taking.
- Attend and provide support at formal meetings, including disciplinary, grievance, or performance reviews, as required.
- Accurately take and distribute minutes for internal meetings, including Board, Committee, and annual staff meetings.
- Set up and coordinate meeting logistics (both virtual and in-person), including booking rooms, IT setup, and arranging access or other relevant requirements.
- Arrange and distribute board papers as directed by the CEO, record responses, and manage related meeting logistics.
- Be the key contact with the Board of Trustees – arranging the Board meetings and other engagements with them.
- Manage Companies House & Charity Commission submissions for Trustees, act as a custodian of their information and documents.
Continuous Improvement and Projects
- Support the delivery and organisation of ad-hoc People projects/ events, wellbeing activities, and internal engagement initiatives.
- Identify and resolve day-to-day issues independently, escalating matters to the Head of People as needed

Key tasks
Finance
- Manage day to day finances using Xero, ensuring payments are made as scheduled
- Perform all day-to-day bookkeeping duties using Xero and Excel
- Maintain all necessary accounting records including invoices, expenses, payments and transactions
- Ensure payments are made as scheduled and processed through the bank
- Review and maintain supplier records, (including subscriptions, memberships, insurance etc.)
- Maintain accurate financial information regarding donations and grants, including sources of donations and Gift Aid
- Assist with Annual Reports and Accounts process and with annual audit process
Systems administration
- Act as main point of contact for our IT support provider and main systems administrator on our databases (Beacon) and project management tool – no prior experience of these systems is required but you must have a willingness to learn.
- Act as GDPR officer, ensuring data retention and GDPR compliance across the organisation.
- Maintain and update records and processes on project management software.
- Maintain an effective filing and data management system for the organisation across Microsoft SharePoint
- Induct and train staff on new systems and processes.
HR support
- Coordinate the recruitment and induction of staff and contractors.
- Maintain Rosa’s staff handbook, ensuring agreed changes are implemented.
- Lead on Health and Safety compliance across the organisation
- Assist in the policy development and policy review schedule.
Governance support
- Service quarterly Board of Trustee meetings, including collating and formatting of papers
- Maintain accurate Trustee records
- Manage information relating to the Charity, including legal documentation required by external bodies
Grant Administration support
- Process funding awards, including processing payments
- Updating and reconciling grants database with financial management system and 360 giving data
- Undertake regular database cleaning ensuring data is stored correctly.
Philanthropy and Partnerships support
- Assist in the organisation of events
- Support in the transition to a new fundraising database
- Support the recording and reconciliation of donations on the fundraising database, ensuring records are maintained and up to date

Camp Jojo is a small/medium, but growing charity with a committed team of Trustees, Special Advisors, and Volunteers. This is a chance to contribute to a dynamic organisation and work in a supportive environment. In particular, Camp Jojo’s extension of its work to Nags Head Farm, Appleby, Cumbria, is new; with Open Days held in 2025, and the first camps to be held in August 2026.
The holder of this post will be critical to this development; working to establish a sister site in Cumbria to Ivy Farm on Mersea island, Essex, with a well tried and tested model of operations. The role of Nags Head Farm: Operations Manager (Families and Site Ops) is to offer leadership and administrative support to key functions of Camp Jojo at Nags Head Farm, and to members of the Camp Jojo Board, in relation to the camps held at Nags Head Farm.
The Contractor will handle clerical and logistics tasks for the organisation in a timely and efficient way. The primary task of the Nags Head Farm: Operations Manager will be to oversee family applications to the camps, and to maintain and develop data bases in support of this. They will hold a key role in relation to communications with the families pre-, during, and post-camps. In addition, they will attend and minute meetings, and contribute to camp operations in planning etc. They may need to work flexibly, according to the seasonal demands of the charity.
They will attend the first day (Friday) of each camp The Nags Head Farm: Operations Manager will have a varied and sometimes high-pace job environment. As such, they will need to handle multiple tasks, manage their own time well, interact professionally with the wider Camp Jojo community, and be very good communicators.
