About you

We are seeking an organised individual with demonstrable experience in providing professional HR support, and a desire to grow and develop in a varied and interesting generalist role.

You will have a background in HR, and ideally, additional experience supporting in wider business support, such as office administration, IT or operations.

You will need to have good interpersonal skills, and be confident in your IT skills, and have experience using Microsoft Office and a database or People Management software.

About the role

Reporting to the Head of People, the HR Officer will primarily:

• Act as first point of contact on general HR & operational queries for the staff team and administer relevant files and email inboxes
• Champion staff well-being, delivering our staff well-being events and socials, and supporting in the deliver of new well-being ventures
• Support in the recruitment of diverse and effective staff
• Support in the onboarding, training and development of our staff team
• Ensure that the operations contractors, including, cleaning, IT, security and facilities are fulfilling agreed service levels
• Look to where the People team may further develop and improve its processes and support for the staff team and Society, either to improve their own capabilities or those of other staff

Working pattern
35hrs, Mon-Fri | We are currently running a trial of the 4-day work week; staff can opt to work 32hrs over 4 days each week at no loss of salary.

As their HR Project Officer, you will complete a comprehensive benchmarking exercise for their global organisation. This will involve providing recommendations for Cost-of-Living Adjustment (COLA) and reviewing and analysing data from relevant sources, including the charity pay club data. You will also support the annual review process for the organisation, ensuring that all reviews are completed by the end of July. Other duties will include assisting the Operations Officer with their workload to ensure smooth operations, recruitment and onboarding processes, performance management, including the annual review process, probation management, and performance improvement plans, annual leave management and providing HR support to global colleagues.

To be considered for this role, you will have strong experience in completing benchmarking activities, particularly within a global or charity context. As well as demonstrated capability in providing HR generalist support across various functions, experience in delivering HR generalist processes, including recruitment, performance management, and employee relations. You will showcase strong analytical skills, communication skills, project management abilities and solid understanding of HR best practices and compliance.

INTRODUCTION TO THE ROLE

The Director of People and Culture leads on fostering a positive work environment in order to help develop a strong organisational culture, providing high quality leadership and oversight on the development and delivery of Girls Not Brides’ People and Culture strategy. As a people and culture senior level professional, you will have an evidential understanding of all aspects of HR practices, both UK and International. This is a pivotal role supporting the transformation of Girls Not Brides, leading the delivery of a workforce strategy that ensures we have a stable, sustainable, skilled, dynamic, and diverse workforce capable of delivering the goals of the organisation. You will be someone who can balance creativity with pragmatism, and expertise with a desire to learn, and a demonstrable alignment with our commitment to championing well-being, diversity, equity and inclusion (DEI). Contract

KEY RESPONSIBILITIES

Strategic Planning and Organisational Leadership

• Lead the development and implementation of Girls Not Brides’ people and culture strategies to deliver on the vision, mission and goals set out in the Secretariat and Partnership strategies, 2022-2025.
• Lead the creation of an inclusive organisational culture, values, plans, and HR policies that are rooted in and informed by a deep commitment to the values of Girls Not Brides and to diversity, equity, and inclusion (DEI).
• Contribute to broad organisational leadership and strategic development, as a member of the Senior Leadership Team (SLT).
• Advise and inform the CEO, Board and SLT colleagues on strategic issues relating to Human Resources, People management and organisational culture.
• Responsible for planning and monitoring the directorate’s budget.

Talent Acquisition

• Lead the development and implementation of Girls Not Brides’ people management and acquisition strategies to deliver on the vision.
• Oversee the development of strategies to identify talent; establish and oversee equitable and inclusive recruitment and hiring processes for all employees.
• Oversee the development of a comprehensive onboarding and staff orientation strategy.
• Oversee offboarding of staff, including exit interviews; analyse data to surface potential cultural issues or other staff concerns; make recommendations to the SLT for continuous improvements.
• Support line managers to proactively identify new leaders and build opportunities for growth.

Staff Well-Being

• Lead on the development and implementation of a staff well-being policy and oversee the effective use of processes for day-to-day provision across the organisation.
• Oversee development and implementation of programmes, initiatives, and ideas to enhance and maintain staff well-being across the organisation.
• To provide leadership, direction and co-ordination for the Employee Assistance Programme (EAP) and staff support services, including occupational health.

Organisational Culture

• Oversee the review and implementation of organisational core values that guide the organisation’s policies and procedures.
• Oversee the implementation of policies and programmes that ensure diversity, equity, and inclusion (DEI) in the organisations.
• Oversee development and dissemination of HR policies and procedures that maintain and improve employee relations and shape organisational culture.

In this role, you’ll support the Longview team to effectively deploy over $10m per year to reduce the risk of a major global catastrophe, such as a nuclear war between great powers, an engineered pandemic, or the misuse of advanced artificial intelligence. Your work will enable Longview to operate more effectively and nimbly, and you’ll support a team working on high-impact grantmaking.

Key Information

Role: The Operations Analyst will support our operations, events, executive and grantmaking teams by managing our office, coordinating meetings, setting meeting agendas, and supporting other operations processes within Longview.

Location: London, UK (working full-time from Longview’s East London office). We may be able to sponsor a UK work visa for this position.

Starting Salary: c. £35,000-40,000 p.a. We may be able to offer a higher starting salary, depending on the successful candidate’s experience and skills.

Responsibilities

The Operations Analyst will support the Longview Philanthropy executive, grantmaking, operations, and events teams. Approximately 40% of their time will be spent on office management tasks and 60% on generalist-type operations tasks (depending on the successful candidate’s specific skills and professional development goals):

• Meeting preparation and coordination
  • Creating meeting agendas for senior staff (CEO, COO & Programme Leads) and sharing them ahead of time
  • Scheduling meetings between team members and external stakeholders
  • Organising our monthly all-team meetings
• Managing our London office
  • Keeping the office fridge stocked
  • Maintaining office inventory and equipment
  • Continuously improving our working environment
    • Including helping to scope for new offices, as required
  • Receiving and managing office guests
  • Liaising with our office provider (Fora)
• Remote office management
  • Assisting our remote staff with their local office spaces, including finding suitable offices and liaising with the providers
  • Assisting staff with equipment orders
• Collating materials from across the org to support the executive, grantmaking, events and operations teams
  • An example of this might be collating testimonials on our events for future invitations, or collating public and Longview-specific information on a potential or existing donor
• Supporting staff where needed with smaller tasks, examples might include ordering items for staff and registering for events on their behalf
• Administering and troubleshooting key shared systems, for example, 1Password, Asana, Slack, Calendly, Zoom, AirTable, and Notion
  • Moderating these platforms and enforcing communications and sharing norms
• Managing our general enquiries email inbox and triaging emails to ensure they receive an appropriate response
  • Logging general job applications in our database and responding as necessary

Possible duties, depending on the candidate:

• Helping administer hiring rounds
  • Communicating with candidates
  • Managing the candidate pipeline and applicant tracking system during the hiring process, as well as the logistics for work tests, trials and interviews
• Supporting our IT infrastructure
  • Updating the website
  • Conducting basic cybersecurity tasks
• Working with our Data Manager to keep our CRM up to date by tracking key interactions

The successful candidate will initially report to Katie Hearsum, COO, though management may eventually move to another member of the operations team, and ideally would be able to start in July 2024.

Key Responsibilities

Strategic Business Partnering

· Develop a thorough understanding of the Foundation and the business area where you are providing support in order to provide a full people partnering service.

· Translate People strategy and agreed deliverables for your designated business areas into achievable plans and a prioritised implementation map.

· Establish effective relationships with business leads to enable you to provide valued interventions and insights on people management strategies.

· Advise directorate managers on managing people effectively including treating people fairly and professionally to ensure employee engagement and the delivery of Foundation objectives.

· Work with directorate leads to identify skills and capabilities they need to deliver current and future work, liaising with the Talent Management Hub (Learning & Development and Talent Acquisition) to manage the resourcing and talent processes.

· Partner with business area leads to develop learning and development plans for your designated directorate, and liaise with the Learning & Development Manager to identify gaps in levels of capability.

· Work with the Head of Learning & Development to introduce talent mapping initiatives and ensure that leaders and managers within designated directorates are equipped with the skills and confidence to manage effectively.

Performance management

· Partner with directorate leads to drive appropriate and timely performance management and improve performance delivery.

· Manage individual review cycles for your designated directorate, sending reminders to managers when reviews are due and signposting staff and Line Managers to further support and guidance.

· Coach managers on the use of PDPs.

· Promote mandatory eLearning and ensure it is undertaken within prescribed timescales.

· Working with the People Advisor and business leads provide oversight of the 360 feedback surveys for end of year reviews for your directorate.

Employee Engagement and Organisational Development

· Take on/lead any other projects as requested by the Head of People & Culture or Chief People Officer

· Nurture a positive working environment by embedding the company culture and values in the implementation of all people related initiatives.

· Provide mentorship to junior colleagues in the People & Culture directorate and play a key role in their development.

Citizens Advice Epsom & Ewell is a local charity that provides advice and information for anyone that lives, works or studies in Epsom and Ewell.

We are looking for a self-motivated individual with proven ability of managing and supervising a team. You will have recent relevant experience of working in a local Citizens Advice or similar advice organisation, and be able to demonstrate a good knowledge and understanding of the issues facing local communities.

This role involves the supervision of advice sessions, providing guidance and assistance to those working in our Epsom office as well as to staff working from home or in outreach locations.

The post is responsible for ensuring the smooth running of the day to day service and the implementation of consistent processes to maintain quality standards. In addition you will manage volunteer advice staff and work closely with the Training team to support their training and development.
