The Role

Outline of Role

- Excellent project management skills, able to manage multiple complex workstreams simultaneously, meet deadlines, maintain high standards of detail and manage budgets effectively
- Demonstrable experience working in an operations or support role, with responsibility for coordinating systems, processes and infrastructure that underpin fundraising or relationship management activity

People Systems and Reporting Specialist

To be able to deliver this the People Function is going through an exciting transformation and one of the key enablers of this is automation and data analytics. This role will support the People Services team in setting up our lifecycle and operational processes by ensuring data accuracy and reliable system performance. Our aim is to make our processes as smooth and automated as possible and ensure that we are optimising the functionality of our existing systems and driving continuous improvement through automation.
The role will also be key in setting up more streamlined and automated reporting of people metrics and KPI’s to ensure that the team and leaders have the insight at the right time to enable decisions. In doing so the role will work closely with the People Experience Partner to ensure that we are combining all data sources to present a holistic view of our workforce.
The post holder is part of a small team at ARUK and from time to time may need to support other colleagues to ensure smooth critical service delivery to the organisation.

Key Responsibilities:
• Assess and improve functionality in the HR system (Cascade) to ensure that all functionality around data capture, formulas, workflows and reporting for lifecycle events and payroll are being maximised and improve where there is opportunity.
• Work closely with the People Services Manager, Cascade team and payroll processing service to maximise payroll automation
• Configure and develop the HR systems in place to meet evolving business requirements and improve user experience.

Knowledge, skills and experience needed:
· Extensive experience in HR system optimisation (Cascade used by People Team), with proven ability to configure, customise and integrate HRIS systems to meet evolving organisational needs.
· Advanced data analysis and reporting expertise, including the ability to manipulate large, complex datasets, apply data validation techniques, and deliver actionable insights through dashboards and visualisations.
· Demonstrated success in process automation and workflow optimisation, reducing manual effort and improving data accuracy across the employee lifecycle.
· Knowledge of GDPR and data governance principles as applicable with sensitive data.
· Proficiency in HR data tools and technologies, including advanced Excel (pivot tables, macros), SQL for data extraction, and experience with BI tools for predictive analytics.

We are looking for an experienced HR professional to join the Rhodes Trust on a 14-month maternity cover. This is a central operational role within our HR function, leading the delivery of payroll, benefits and core people processes to ensure they run accurately, efficiently and on time. You will lead on key operational areas, provide practical advice to managers and staff, and maintain high standards across payroll, employee relations and data management.
This role is about keeping things running smoothly and reliably, delivering a strong HR service in a busy international environment while making thoughtful improvements where they add real value. Working as part of a small, collaborative team, you will bring sound judgement, attention to detail and a balanced and thoughtful approach to complex situations. The role does not include line management responsibility and works in close partnership with the HR Director as part of the wider HR team.

The role
The HR Services Manager role will be focused on continuity of critical HR operations. The role will be responsible for the following:

About you
To be successful in this role, you will be an experienced HR Generalist with strong operational expertise across payroll, benefits, HR systems and employee relations. You will be confident managing UK payroll, including statutory requirements, and handling employee relations matters independently and with sound judgement.
You will be highly organised and resilient, able to manage competing priorities while maintaining accuracy and attention to detail. Discreet and professional, you will handle sensitive information with care and integrity.
A clear and approachable communicator, you will build trusted relationships with managers and colleagues, offering practical advice and identifying sensible improvements where they add value.

The position
To support the AKF(UK) team by running efficient and effective systems for front office and office operations. To support the Head of HR and work closely with the HR Officer in HR Administration. KEY RESPONSIBILITIES AND CORE TECHNICAL COMPETENCIES
Office administration (50%)
- Answer the AKF UK main phone line and pass on messages to AKF (UK) employees as appropriate
- Open and process the post at the Aga Khan Centre and deliver to the relevant AKF (UK) employee
- Manage the “front office” email account and ensure emails are replied to or forwarded to the relevant AKF (UK) employee
- Support the greeting and receiving of AKF (UK) guests at AKC
- Book meeting rooms at AKC for colleagues and external partners and arrange catering as required
- Support AKF(UK) events, facilitate and support hosting of meetings and events for partners, including travel, visas, accommodation, and catering; this may require some out of office duties
