ABOUT THE ROLE

Variety is looking for an experienced Office and Facilities Manager who is proactive and highly organised to oversee the smooth day-to-day running of our office environment. This role blends operations, facilities management, and a bit of people-first thinking—ensuring the workspace is safe, efficient, and enjoyable for everyone. We own our building in Camden which has three floors and we intend to rent out one of the floors (one floor is c2,628sq feet). This role requires management of office building matters, tenants and general office management including assistance to CEO.

 KEY RESPONSIBILITIES

 Office Management:

• Oversee daily office operations and maintain a professional, welcoming environment.
• Act as the primary point of contact for office-related vendors (cleaning, supplies, security, etc.).
• Manage office supplies inventory and place orders when necessary.
• Support onboarding/offboarding processes from a facilities perspective
• Handle incoming mail and deliveries and ensure efficient distribution.
• First point of contact for calls, visitors, and general office inquiries.

Governance:

• Assistance to CEO with diary coordination, organisation of events, meetings, and in-office gatherings.
• Coordination of finance committee and Trustee meetings
• Minute taking at meetings as required
• Administrative assistance as required

Facilities Management:

• Oversee building maintenance, safety procedures, and office infrastructure.
• Liaise with tenants, building management, and external contractors to ensure facilities are well-maintained.
• Monitor and manage office budgets related to supplies, utilities, and maintenance.
• Ensure compliance with health and safety regulations; manage risk assessments and fire safety drills.
• Lead sustainability initiatives within the office (e.g. recycling, energy-saving practices).
• Ensuring health and safety compliance for staff including being the fire marshal

Cost management

· solicit and compare competitive quotes for office services and building making recommendations based on quality, reliability, and value.

· Negotiate contracts to optimise costs without compromising service standards.

· Proactively identify areas for cost reduction or improvements.

Administrative & Support:

• Maintain records of office leases, utilities, and insurance policies.
• Manage access control systems and office security.
• Support leadership with general administrative tasks when required.
• Create and maintain facilities manuals, process documentation, and onboarding guides.

Other

· Health and safety duties including fire marshal- training will be provided.

· Undertake any other duties that may from time to time be required.

SKILLS, KNOWLEDGE AND PERSONAL ATTRIBUTES

Essential:

• Proven experience as an Office and Facilities Manager, or similar role.
• Strong organisational and multitasking skills.
• Excellent communication and interpersonal skills.
• Problem-solving attitude with a high attention to detail.
• Familiarity with office software (e.g. MS Office, Teams)
• Knowledge of health and safety standards and regulations.

Habitat for Humanity Great Britain (Habitat GB) is part of the global Habitat for Humanity network fighting global poverty and homelessness. We believe that a decent home helps to permanently break the cycle of poverty and allows families to achieve strength, stability, and self-reliance.

Habitat GB has recently completed a strategic review, resulting in a new National Strategy and an organisational restructure, to ensure the organisation is able to deliver the Strategy impactfully, efficiently and effectively. Job Purpose 

The Director of Finance, Operations & Compliance will be a key member of the Senior Leadership Team, working to ensure the impact, sustainability, diligence and productivity of the organisation, with a commitment to organisational transformation within the framework of a values-led approach to people and culture. 

Taking a lead on all financial, support and compliance activities, the role demands a combination of the hands-on approach needed in a medium-sized charity with the strong people management skills to enable all members of their team to deliver high quality services and to thrive in their roles.

Key responsibilities include: 

• All aspects of financial strategy, planning and control. 

• Providing oversight of organisational priorities, productivity, performance, people & HR, risk and due diligence. 

• Support to fundraising and programmes. 

• Being an active leader across the organisation, collaborating effectively with teams, and contributing fully to organisational wide initiatives and opportunities. 

• Co-creating ways of working to enable an adaptive, collaborative and high performing organisational team.

Key Accountabilities and Responsibilities:

Financial Strategy, Planning and Control: 

• Accountable for organisational financial strategy, working with senior staff and trustees to ensure multi-year planning, target setting and monitoring in line with Habitat GB’s strategic objectives.

• Accountable for all aspects of financial management and control, including budgeting, reforecasting, treasury management, cashflow, management information, performance and statutory reporting.

• Accountable for the development and continuous improvement of reporting frameworks, including leading regular reviews with Senior Leadership team and providing quantitative and qualitative reports for the Board including clear and accessible narrative analysis.

• Provision of financial management and accounting services, management information, and statutory reporting. 

• Lead the organisation of quarterly Finance, Audit & Risk Committee meetings, in line with the Committee Terms of Reference and in consultation with the Treasurer, and National Director/CEO. 

• Responsible for the preparation and submission of annual statutory accounts in accordance with SORP and legal requirements and coordinating the external audit exercise and seeing the process through to Board approvals and filing with statutory bodies. 

• Lead a positive and collaborative relationship with HFHI Finance teams and ensure that Habitat GB meets its regular reporting requirements. 

• Lead Habitat GB’s relationship with relevant external partners, including auditors, bankers, insurers, pension providers, HMRC, Charity Commission and Companies House. 

GB Homes Subsidiary Entity: 

• Working closely with the National Director/CEO on planning for the future wind-up of the entity, providing all financial management, reporting and compliance resources as required in the interim. 

• Working with the Director of Programme Delivery, provide financial resource and support to the management of the former GB Homes asset portfolio, developing appropriate reporting mechanisms that provide data which can be included into the combined budgeting and reporting of Habitat GB 

• Accountable for integration and ongoing provision of the operational requirements of the GB Homes subsidiary, including insurance, technology, and communications requirements. 

Fundraising & Programmes support: 

• Work closely with the Directors of Fundraising & Partnerships, and of Impact & Influence to set ambitious and achievable targets across restricted and unrestricted fundraising, track performance, and ensure high quality forecasting, reporting and budget management. 

• Be responsible for the development and oversight of policies, protocols and systems required for restricted fund management which align with Habitat for Humanity International and external donor requirements. 

• Work collaboratively across Habitat GB to agree service delivery expectations and ensure the timely provision of relevant inputs from the Finance, Operations & Compliance team across partnership and programme cycles.  For example, audit or financial reporting requirements from donors, up to date policies, review of proposal documents, grants and contract agreements. 

• Work closely with the Directors of Programme Delivery & Retail to ensure Habitat GB has the specialist knowledge and financial skills relevant to our diverse types of programmes, including a new and growing retail operation, as well as construction project delivery. 

Risk Management and Compliance: 

• Lead on the development and maintenance of the organisational Risk Register, being responsible for the management and mitigation of financial, regulatory and operational risks and coordinating with others on the reporting and review of other risk areas. 

• Ensure Habitat GB is fully compliant and up to date with all its data protection and insurance requirements and has access to appropriate legal and other expert resources where necessary. 

• Be responsible for technology infrastructure, hardware and the management of outsourced support services. 

People Policies and HR Administration: 

• Support the Head of People to deliver a high-quality People and HR service to the organisation and our partners, including efficient HR administration, pension and payroll, people management, safeguarding, strategy and leadership. 

• Working closely with the National Director and others, have overall responsibility for the provision of up to date, user-friendly and legally compliant policies and procedures which support an efficient and effective organisational culture and environment. 

Leadership & Management: 

• Lead a high performing and ambitious team, inspired to implement and grow the strategy and with a core focus on positive impact for Habitat GB’s community and strategic partners through the provisional of excellent functional and subject matter expertise. 

• Develop, lead and focus the Finance, Operations & Compliance team, its budget, activities and performance, to ensure the delivery against targets. 

• Manage, motivate and develop team members. Ensure regular 1-2-1s are held, set individual objectives, encourage a culture of giving and receiving feedback, where kindness and ambition support the progression of people and plans. 

• Set quality standards and meaningful KPIs to encourage ownership and accountability with direct reports, team, and others and effectively monitor progress towards agreed targets. 

• Role model our values in line with Habitat GB’s inclusive approach to people and culture. 

Organisational Leadership: 

• Support the National Director/CEO in delivering Habitat GB’s strategy and vision, acting as a collaborative and supportive member of a shared leadership team. 

• As a member of the Senior Leadership Team, provide oversight of organisational priorities, productivity, performance, risk and due diligence. 

• Be an active leader across the organisation, collaborating effectively with teams, and contributing fully to organisational wide initiatives and opportunities.

• Deputise for the National Director when required and represent HFHGB in external meetings and forums. 

Person profile: 

• Holder of a relevant professional or accounting qualification: e.g. ACCA or equivalent. 

• Expertise in charity sector compliance (FRS102) reporting requirements. 

• Expert knowledge of financial strategy, management and reporting, with experience relevant to funding and grants, retail, commercial or construction. 

• Proven track record of developing and leading complex financial strategies and supporting teams to deliver high quality functional inputs in an inclusive, collaborative environment. 

• Hands-on experience with relevant accounting systems and the ability to quickly learn new systems (Habitat GB uses SUN and SAGE systems). 

• Experience working in and leading teams responsible for operational and people related functions. 

• Experience of working in a similar organisation, collaborating across teams and operating in a highly effective way across a diverse, networked structure. 

• Significant and successful experience in senior management roles, encompassing strategic management and team leadership. 

• Understanding and experience of complex organisational change projects, including the ability to support new teams to develop and thrive.

As Grants and Project Development Manager, you’ll play a vital role in helping us deliver both our essential core work and our most exciting, forward-thinking projects. Reporting to the Head of Fundraising and leading our Trusts Officer, this role sits at the heart of our income generation strategy—securing high-value grants (typically £25,000+) from statutory bodies, Lottery funds, and major Trusts and Foundations.

You’ll lead on the development, writing and coordination of compelling funding bids, working closely with teams across the organisation to shape projects that are fundable, impactful, and aligned with our strategic goals. From identifying new opportunities to building strong relationships with key funders, you’ll be instrumental in helping us grow our income and increase our impact for nature.

This is a role that offers both creativity and structure, relationship-building and strategic thinking—perfect for someone who thrives on making things happen and wants their work to really matter. Job Description – Key Responsibilities and Tasks

Responsibility 1: Income generation

1. Achieve an agreed annual high value grant income target to support the Trust’s strategy and business plan.
2. Write and co-ordinate high-quality high value grant applications ensuring deadlines are met and all internal contributors are clear as to their role.
3. Work with the fundraising team leads and head of fundraising to strategically plan funding needs for approved projects.
4. Ensure that match funding needs resulting from grant applications are identified, communicated early and integrated into wider fundraising planning.
5. Ensure all applications (whether successful or not) are recorded on the Trust database.
6. Use grant applications to support BAU income generation where appropriate/possible.
7. Line manage the Grants Officer.

Responsibility 2: Project Development

1. Support cross organisational bids and project development, working with colleagues and partners to develop new project concepts and support the writing of applications and reports.
2. Develop detailed and accurate budgets for projects and funding applications, and which support contributions of Core funding and aligning with the Trust’s financial processes and reporting.
3. Work with the Head of Fundraising to assess and write updates on project funding milestones and income pipelines for the Programme Management board (PMB)
4. Maintain an up-to-date overview of project funding (current and planned) and track funding opportunities and match with the Trust’s project priorities.
5. Work with fundraising managers within the team to create strategic, cross income stream, funding plans to help support organisational projects.

Responsibility 3: Develop Relationships with Grant Giving Bodies

1. Research and identify new grant giving bodies that could help support projects and core work .
2. Develop and maintain excellent relationships with potential and existing major funders to deepen their involvement with and support for the Trust, in co-ordination with the Grants Officer.
3. Keep abreast of grant fundraising trends in the UK conservation and fundraising sector and follow new funding developments such as innovative finance mechanisms that can be applied to the Trust’s work, including through networking and researching funding opportunities.

Role description

As our philanthropy coordinator, you will play a key role in building new partnerships with philanthropists and high-net-worth individuals, with an immediate focus on the UK, US, and Europe. You will design and implement a comprehensive strategy to build a robust portfolio of individual donors, Family Foundations, Donor Advised Funds (DAFs) and other personal giving vehicles. 

A proactive and thoughtful relationship builder, you will maintain long-term relationships and lead bold strategies to engage new audiences, including millennial and next-generation philanthropists. You will steward Open Briefing’s first global development board, working closely with our CEO and director of development to engage members around a dynamic programme of activities designed to make Open Briefing more fundable and findable. 

Together with our director of development, you will drive forward a multi-year fundraising strategy to resource our work with activists and organisations on the frontlines of human rights, social justice, and environmental action. 

Your primary responsibilities will include: 

• Designing and executing our philanthropy fundraising strategy. Lead a strategy to identify, cultivate, and solicit high-net-worth individuals (HNWI) —including through Donor Advised Funds, Family Offices, Family Foundations, and other giving vehicles—with an immediate focus on the US, UK and Europe. 

• Prospecting and donor acquisition. Manage HNWI prospecting, generate new leads, develop solicitation plans, brief senior leadership in advance of meetings, and coordinate cultivation and networking opportunities.

• Stewardship and relationship management. Build strong relationships with existing and potential donors through tailored stewardship plans designed to grow income over time. Manage donor tracking and communication systems. 

• Nurture and grow our development board - Work alongside our director of development and CEO to identify and engage members and steward the Board through a 12-month action-orientated development campaign. 

• Budget Management. Manage a programme budget for cultivation and stewardship events and activities.

• Collaboration and Communication. Work closely with our communications coordinator, director of development and programme teams in the production and dissemination of donor-relevant reports, updates and other content; and contribute to the conception and organisation of donor-facing online and in-person events.

• Team support. As a key member of our development and communications team, undertaken other duties as reasonably requested relevant to team and organisational goals. 

Person specification 

Essential 

• You will have extensive experience managing a HNWI or major gift portfolio. 

• You will have a proven track-record of personally securing four, five, or six-figure donations from HNWI and/or major gift donors in the UK, US and/or Europe. 

• You will have experience working within a nonprofit focused on human rights, social justice, and/or environmental action. 

• You will have excellent verbal communication skills, including English language skills, both spoken and written. 

• You will have experience working with senior stakeholders and board members to support fundraising activities. 

• You will have an ability to work both strategically and operationally.

• You will have creative thinking and problem-solving aptitude.

Desirable

• You may have experience working within a global nonprofit. 

• You may have knowledge of the human rights, social justice, environmental justice, and/or international development funding landscape. 

• You may understand grant-making and grant-management processes, especially with respect to private philanthropic funding, including family foundations, DAFs, and Family Offices.

Terms and remuneration

This is a remote, home-working role. You will be contracted for 40 hours a week on a full-time, fixed-term contract. Flexible working is available and encouraged.

Reporting to the Chair of Trustees, you will work with the team, trustees and external providers to ensure the delivery of impactful services and cultivation of strong partnerships in order to respond to the local needs of our families. 

The Centre Manager role will be expected to work from the centre the majority of the time as it is important to have a presence with the families and staff. On occasion, when it is required to meet key deadlines, working from home is supported but this is on an ad-hoc basis and not part of a regular working pattern.

• Being fully responsible for the provision and management of the system
• Owning the list of user requirements. These are known as product backlog items (PBIs) and are drawn from user group meetings/discussions. These PBIs are then scheduled for build and release. 
• Manage the relationship with any external support companies for the relevant products and interconnected products and systems including accounting online, bank checking and deduping systems.
• Manage the data cleanliness, accessibility, availability and retention in accordance with our data governance and security policies particularly the information and data management framework. And develop and maintain automated processing of bulk data.

We offer services such as group talking and listening, in person and on line, mobile hub community support, our crisis helpline and our own, accredited educational courses.

Our continued growth means we now wish to appoint a highly experienced Executive Partnerships Manager.

This is a full-time position of 37.5 hours per week with one hour’s unpaid lunch. We offer a generous and competitive benefit package. You will work from our Warwick office Monday to Thursday inclusive and from home on Fridays. It is expected that there will be some travel associated with this role

Main components of the role:

*Identify, explore and secure corporate and philanthropic relationships that result in sponsorship, partnerships and legacy donations, ideally as long term relationships

*Substantial previous experience of securing funding from philanthropic bodies, whether in the UK or abroad.

*Significant previous experience of securing charitable partnerships

*Experience of securing high value philanthropic funding, both inside and outside of the UK and who is familiar with undertaking due diligence exploration

*Research and identify tendering opportunities within the charity’s scope. You should have previous bid writing experience, ideally related to local authority and NHS tendering.  You should have first class grant application skills and a high success rate.

*Optimising the revenue opportunties from our traded services programmes

*Achieve month by month income growth through donations, traded services, philanthropic giving, partnerships, bids and grants

*Always scanning for new ways to generate income from multiple streams with multiple values or other benefits

*Significant account management skills.

*You can hit the ground running – creating and building your own client lists

*Be an active member of the senior leadership team

*Lead on all income generation activities by growing new and existing business

*Line manage, and set KPIs for, the events & fundraising team the marketing team and the traded services coordinator (5 staff in total)

*Create business plans, sales & revenue optimisation strategies

*Work closely with our finance team

*Prepare quotations for our services

*Produce monthly trading and income growth reports for the CEO

*Supervise the creation of , and manage the progression of, all new service contracts

*Reviewing, amending and updating our current sales and partnerships processes and policies

*Attend networking events from time to time

About you:

. You should live within one hour’s travel from our Warwick offices to meet the needs of the Charity.

*You can forge, foster and develop excellent working relationships and partnerships

*Should hold a degree in business management or equivalent

*You will have worked within the charitable sector previously, preferably within mental health, in a senior position

*Securing agreed monthly value of funding across all sources

*Excellent communication and inter-personal skills, presenting well to potential and existing clients

*First class negotiation skills

*Strong research, strategy and project management capabilities

*Have up to date business intelligence, both in the UK and abroad

*Experienced and successful networker

*Leadership and motivational skills

You should also be highly proficient in the following:

Setting up and managing the CRM system

Fully conversant with Microsoft 365 and all its applications

Adobe Suite

First class communication skills, both written and spoken
