We operate a hybrid model of work i.e. a combination of in-person and remote, with flexible days in the office depending on business need and your preferences. We would typically expect in-office attendance an average of one day per week.

The Opportunity

The Finance and Operations Officer’s purpose is to work within the Operations Team to provide essential financial and operational support for the whole charity.  
 

Key responsibilities for finance range from providing advice and support for the whole staff team, important day to day and monthly financial processing for key stakeholders and assisting with the budgeting and forecasting process. 

1. Finance

• Support the Finance and Operations Manager (FM) to prepare and deliver accurate and regular management information including monthly management accounts, budgets and forecasts, one-off finance reports, reporting for funders including grants and trusts, including end of project reporting. 
• Monitor the day-to-day financial management and cash flow of the Social Mobility Foundation (SMF) working closely with the FM, Head of Finance & Operations (HFO), Operations and Fundraising teams. 
• Prepare payment runs for invoices and expenses, update weekly payments received reports and work closely with the Fundraising team to ensure expected income has been received. 
• Support the FM, alongside our appointed accountants, to prepare audited Year End Accounts, and work to ensure the Accounts are completed, approved, and filed on time. 
• Support the FM to manage and improve our financial systems and procedures, streamlining internal processes to ensure they are effective and safeguard the finances of the organisation.  
• Support the FM to devise and implement effective and efficient procedures, including the introduction of a purchase order system. From time to time, you may be requested to support the FM to maintain the payroll function of the organisation. 

 
2. Operations and Administration 

• Support the organisation, in ensuring that all staff and volunteers are aware of and trained in the relevant Data Protection policy and procedures and ensure that data protection laws are being adhered to in relation to the storage of data. Run the data deletion process where such requests are received in compliance with GDPR legislation. 
• Support the HFO and FM in overseeing operational matters such as SMF office administration, maintaining the asset register, insurance renewals, and Health & Safety compliance; act as point of contact for suppliers and service providers, including property managers, utility companies, couriers and cleaners; maintaining contracts and leases with office providers; purchasing office supplies & equipment and ensuring adequate stock levels are kept. 
• Support the wider organisation through appropriate administrative tasks, for example the programme delivery team to ensure a good experience for students, particularly during the residential programmes 
• Support the HR team with processes such as ordering laptops for new staff and communicating, updating and maintaining office policies contained in the Office handbook  
• Undertake research activities to support Operations Team projects, for example potential new suppliers, benchmarking exercises and contract renewals 

3. Strategic Responsibilities 

• Support with training staff on finance processes, fraud awareness, data protection, and other areas of operations.  
• Being a point of contact for all staff on finance and operations including office administration 
• Ensure appropriate adherence to our financial and operational policies and procedures supporting the organisation to enact the highest standards, balancing that whilst processes are appropriately followed, they are not followed to the point where they compromise the standards or outcomes desired. 

Need to know

• IT skills:  Experience of using Microsoft Office, particularly Excel functions. Experience of using or awareness of any accounting and/or CRM (Salesforce) software.
• Accounting knowledge: Some understanding of basic bookkeeping would be preferable, including the importance of accurate and timely information for the running of the charity and an ability to maintain confidentiality.

Committee management

• Providing operational and secretariat support to the Research Assessment Panel and Lift Off Scientific Assessment Panels, and other expert research review panels as required.

• Preparing papers and reports, and collating these from across the team for delivery to the Committee in good time.

Financial management

As part of your role in the financial management of individually funded projects, you will act a finance business partner to the broader Charity. Financial control and governance

You will play a key role in ensuring robust financial control across the Charity group, with the opportunity to take ownership of its two wholly owned subsidiaries: The Christie Trading Company Limited and Northern Pathology Developments Limited. This is a hands-on role where you will be responsible for overseeing the accuracy and integrity of financial reporting, supporting the Charity’s aim of maintaining strong governance across both charitable and commercial operations.

The Finance and Funds Business Partner is a newly created role that marks an exciting step in the Charity’s transition toward greater in-house financial management. Working closely with the Product & Innovation Manager, you will play a key role in delivering the fundraising strategy, leading on the delivery of our individual giving and legacy marketing campaigns across a range of channels. You will create high-quality, compelling campaign materials and ensure an excellent donor experience.

Key Responsibilities:

Income generation

• Play a key role in the implementation and delivery of the individual giving and legacy marketing strategy
• Support the growth of individual giving income in line with annual targets
• Develop and deliver regular cash and legacy marketing appeals to a high level, including:
  • Developing propositions and cases for support
  • Create compelling direct marketing materials, including writing persuasive copy and developing strong creative content
  • Project management to ensure delivery on schedule and within budget
  • Managing relationships with agencies and suppliers including design and print
• Manage a portfolio of affiliate fundraising campaigns

Donor stewardship

• Ensure the Customer Relationship Management (CRM) system is used effectively to facilitate accurate supporter stewardship and reporting

• Work closely with the data team to ensure selections are accurate, timely and relevant to our various audiences, and use income data to make recommendations for future campaigns
• Maintain accurate, up to date and compliant records of individual giving campaigns and appeals
• Provide regular financial reports and reforecasts to the Product & Innovation Manager and Head of Fundraising

Relationships

• Build strong working relationships with staff within various functions of the Ramblers

The Person

Knowledge, Skills and Experience

Essential:

• Experience working within a target-driven fundraising or direct marketing team, ideally within an individual giving context
• Experience of managing fundraising or marketing projects across a range of channels, such as direct mail, social media and email
• Experience of data-driven marketing campaigns, including segmentation and campaign analysis to meet objectives
• Excellent communication skills, with the ability to tailor communications to a wide range of audiences

We are looking for a highly organised and self-motivated candidate, bringing relevant experience to the role including experience with people, properties, project and database management, to help make a real difference in the lives of tenants and their families by providing high quality assisted living accommodation for adults with a learning disability.

We are looking for a Community Support Administrator to enhance our offer to people diagnosed with aplastic anaemia, and their friends and families . You’ll help our successful fundraising and support teams to do more.

Reporting to our Community Fundraising and Events Manager 

We are passionate about creating opportunities for our community to support us in ways that create joy in their own lives and help them feel empowered in the face of serious illness. Our fundraising activities are designed to help tackle the isolation and other difficulties that are faced by those living with a rare and serious condition. You’ll help us make sure that fundraising for The AAT is a life-affirming and joyful experience.

Our small team are fully remote across the country. You’ll be based on your own in our small office/post room in Birmingham with regular face-to-face meetings with your manager (who lives locally). You’ll keep in touch with the rest of the team via Microsoft Teams.

The first line of support 

As a small charity representing an ultra rare condition, the people we support and the people who support us through fundraising are often one and the same.

You’ll sit within the fundraising team, but your role spans the organisation, and you’ll also deliver essential administration support for our Support Team. 

The Aplastic Anaemia Trust is the only charity who publish information about aplastic anaemia for patients and families. You will post booklets to patients and to hospitals, heading to the post office twice a week to fulfil orders. You’ll also support our volunteer moderators to administer the Patient Support Facebook Group. 

This is a varied and interesting role which gives you the opportunity to see your impact first-hand as you’ll be interacting directly with people whose lives are affected by aplastic anaemia. You will support our community with understanding and empathy. 

As a Community Support Administrator, you will...  

• Manage our online shop, fulfilling orders promptly. Track inventory and re-order items that are running low 

• Send thank you messages and cards to supporters 

• Update our CRM and keep up to date and accurate data on our community 

• Create and schedule social media posts and event listings on our website.

• Answer general emails, social media messages, and other communications and/or ensure they are answered by the right person from our team 

• Provide support and guidance to our volunteers including onboarding and supervision 

• Pitch in with occasional event admin and organising 

• Twice a year attend our Staff Conference for (2-3 weekdays with overnight stay) to work directly with the full team 

For example, a typical week could include: 

• Sending out patient information booklets to hospitals who order it via our website 

• Finding out the t-shirt sizes of everyone on our Great North Run team and posting t-shirts out to them 

• Producing a report from our CRM system, and sending an email to everyone on it to invite them to an event 

• Counting up all our Christmas cards and ordering more from a printers website 

• Creating a thoughtful, personal package for a child who is in hospital, and taking it to the post office. 

• Booking meeting rooms and hotel rooms for an upcoming Staff Conference

Aplastic anaemia is a rare and life-threatening condition caused by the bone marrow not functioning properly. 

In people with aplastic anaemia, the bone marrow fails to produce enough of all three types of blood cells – red, white and platelets. 

Aplastic anaemia treatment is very similar to the treatment someone might have for leukaemia - but because it's so rare, families often don't have access to the same information and support. 

The Aplastic Anaemia Trust is the only charity in the UK dedicated to supporting people affected by aplastic anaemia and funding research into this rare form of bone marrow failure. 

We fund research to improve treatment, provide expert information, and work tirelessly, at grassroots level, to support every aplastic anaemia patient and their loved ones.

About Us

The Greater Manchester Women’s Support Alliance (GMWSA) was established in 2016 by seven organisations who provide support services to women across all ten boroughs in Greater Manchester (GM) who may be vulnerable or have unmet support needs.

We came together as the GMWSA in order to ensure that our collective voice is heard by policy makers and commissioners of services. We represent the interests of our beneficiaries and service users, we share good practice and experience and ensure that no service operates in isolation. GMWSA is now formed of nine Member and Associate Member women’s centres having a presence in each of the 10 local authority areas across GM all of whom are collectively funded to deliver support services across GM to women either involved in the Criminal Justice System, or whose vulnerability and marginalisation leaves them at risk of offending, but all also have individual funding streams to ensure their provision reaches every woman in need of support.

Alliance members offer a full range of services to women who need support around issues such as domestic abuse, housing, mental health, substance misuse, education, employment, training, and confidence/self-esteem, all delivered with a trauma responsive approach.

Purpose of the Role 

We are looking for a Chief Executive Officer to join GMWSA to transform the Alliance to meet future challenges around function and funding.

You will shape and implement the strategic direction of the Alliance, ensure the smooth running of the charity, provide leadership to staff, support the Board of Trustees to fulfil its strategic and governance duties and ensure the delivery of grants and contracts.
