Summary job description 

We seek a Development and Grants Senior Officer to support our funding applications and grant reporting for Blue Ventures’ Indonesia programmes. We are looking for an experienced individual to support grant application management and the production of high-quality narrative and financial reports. Reporting to the Development and Grants Lead - Indonesia, the role will work closely with our field-based teams and partner NGOs in multiple countries worldwide, focusing on fundraising and grant management in Indonesia.

The successful candidate will have excellent written and verbal communication skills, with proven experience in maintaining systems to keep track of funding applications and reports and ensuring accountability to and compliance with donor requirements.

Experience in the environmental conservation and international development sectors would be beneficial. Fluency in English is required.

The successful candidate will be motivated, proactive, highly organised, and able to assimilate and interpret large volumes of information into clear and compelling applications and reports.

Fauna & Flora is seeking a highly experienced professional to manage it’s fundraising from a portfolio of statutory (government and multilateral) donors, such as Defra, U.S. Fish and Wildlife Service etc.

You will support colleagues and partners to develop high-quality proposal packages for priority donors, and ensure their timely submission. You will coordinate proposals and reporting internally, and ensure all documents produced for donors meet their criteria, as well as follow Fauna & Flora approval and submission procedures. There is a strong capacity development element to this work, and you will share knowledge, learning and resources across Fauna & Flora to maximise success rate and promote best practice in grant management and donor stewardship. You may also develop and deliver training packages, in Cambridge and potentially overseas. You will monitor Fauna & Flora’s activities in statutory fundraising and fund management within your portfolio, and support internal decision-making and strategy development by sharing this learning.

Experience of working with government funding sources, be they bilateral and/or multilateral, is essential for this role. You will have proven experience of securing restricted funding from government sources, and a strong understanding of how statutory donors and funding programmes support the achievement of international targets and government priorities. Knowledge of and experience in biodiversity conservation, the development sector, and/or climate is an asset; a commitment to learning and supporting these sectors is essential. You may have worked in the non-profit sector, such as international development, or have a background in bid management, proposal development, and grant fundraising.

Strong relationship-management and communications skills are essential to the role, to develop positive, collaborative relationships with internal and external stakeholders, including regional teams, non-governmental partners, and government agencies. You will be diplomatic and persuasive, and your excellent interpersonal skills will enable you to coordinate people and processes to meet timelines. You will be a strong team player and enjoy working in a dynamic environment where the ability to respond swiftly to changing organisational and team needs is paramount. With a proactive and pre-emptive approach to your work, you will seek to add value and work with minimal supervision.

Fluency in written and spoken English is essential. Skills in languages relevant to Fauna & Flora’s programme (e.g., French, Spanish, Bahasa) are highly desirable. Sensitivity to the different working environments and capacities of colleagues around the world is also essential.

Headline overview of responsibilities: 

- Grant identification and pipeline management: Conduct research to identify potential grant funding opportunities. Conduct research and analysis on the reporting and financial requirements of prospective donors. Maintain the funding pipeline/ grant management database

- Grant application oversight: Manage the end-to-end grant application process for new grants.

- Budget and financial management: Collaborate with the project and finance teams to develop project budgets. Monitor spending against grants in relation to activities delivered. Ensure Project Leads receive monthly spend updates. Ensure donor budgets are utilised as directed, financial reporting is on-track, and any alterations are communicated internally and externally. Support Project Leads to re-forecast budgets.

- Grant compliance: Ensure compliance with grant agreements, reporting requirements, and regulatory guidelines. Ensure that the project delivery team is inducted on contractual obligations, and provide support and advice regarding adherence to contracts throughout the grant period. Support on grant management documentation, including quality assuring processes. Support the project delivery teams in the preparation and submission of donor reports, through until grant close-out.

- Grant Performance Management: Ensure that all grant management tools are set up with each grant’s inception period. Coordinate quarterly grant oversight meetings, and hold project delivery teams to account for delivery of projects. Ensure GWEC fulfils its obligations to donors as per grant contracts. Support the finance team to liaise with auditors throughout audits.

- Knowledge sharing: Stay informed about trends and best practices in grant funding and statutory funding. Share technical advice, grant specific guidance and project management best practices and tools. Contribute to GWECs grant-related systems, policies, processes, and guidelines.

- Strategy delivery: Support the Grants Director in the delivery of the fundraising strategy, including assuming responsibility for the delivery of identified tasks within the team’s annual work plan. Engage in regular monitoring of progress against the work plan.

Essentia Person Criteria:

• Right to work in UK or Portugal

• Fluency in written and spoken English

• University Degree (BA or Bsc)

• 3 or more years relevant  experience, in either a non-profit organisation or a grant making organisation

Based within the Development Team you will look to identify funding opportunities to secure funds to ensure the Hospice successfully achieves its objectives and development plan. We are hiring a Finance and Grants Assistant to support financial and grants operations processes. Responsibilities include participating in the operational and administrative activities of the finance function, leading to the accurate recording of financial information for accounting purposes, as well as managing financial records, and supporting our grant-making processes.

Responsibilities of the role

Finance – approx. 40%

Day-to-day financial management of the charity and its Trading subsidiary including, but not limited to:

• Process all day-to-day transactions on the finance system, Xero, including income received from fundraising platforms, ensuring a full audit trail of data processing.

• Complete daily bank reconciliations for all entities, including recording and banking cheques and processing petty cash.

• Raise sales invoices as requested, following procedures to set up in customer systems, and follow up with customers to ensure timely payment.

• Process purchase invoices and expense claims, ensuring appropriate authorisation, in line with delegated authorisations.  

• Set up weekly payment runs for approval by the Head of Finance.

• Monitor all financial processes, ensuring finance policies are complied with and deadlines are met, including electronic and physical filing of finance and legal documents.

• Complete month end tasks, enabling to the Head of Finance to close the month, including selected balance sheet reconciliations.

• Keep Gift Aid records up-to-date and assist the Head of Finance with the preparation of Gift Aid claims.

• Assist with the year-end audit, ensuring all relevant paperwork is tidily filed.

• Collaborating with the fundraising team, exploring fundraising and donation collection mechanics, identify new developments in the sector and helping to embed any system changes.

• Train and support the charity team on the charity’s finance processes.

• Provide cover for the Governance & Team Co-ordinator in periods of absence.

Grants – approx. 60%

• Support the Grants Team to process charity applications for funding, including communicating with interested parties, summarising applications, compiling relevant information, conducting research as required and helping to organise related meetings and Grants Panels.

• Preparing and processing funding agreements, reporting forms and other associated paperwork for grants.

• Working with charities to collect and develop storytelling information such as quotes, pictures and case studies, and support sourcing participants and contributors for radio interviews and other editorial pieces as needed.

Emergency Nutrition Network (ENN) works to reduce undernutrition globally. We enhance the effectiveness of nutrition policy and programming by improving knowledge, stimulating learning and building evidence. We are passionate about being network-driven, independent and evidence-based.

What we do

Our Strategy aims to enhance the effectiveness of nutrition policy and programming by improving knowledge, stimulating learning, building evidence and providing support and encouragement to practitioners and decision-makers involved in nutrition and related interventions.

ENN’s portfolio includes projects specialising in Infant Feeding in Emergencies, Wasting and Stunting, Adolescent Nutrition and Management of small & nutritionally At-risk Infants under six months & their Mothers (MAMI), as well as our highly regarded international publication, Field Exchange (FEX).

At present our annual turnover is around £1.6m (c.$2.1m) with much of our funding coming from government (institutional) donor grants including USG (BHA) and the Government of Ireland, and charitable foundations (Bill and Melinda Gates Foundation, Waterloo Foundation), and other sources including support from UN agencies and INGOs.  ENN receives income in multiple currencies and has spending commitments in both GBP and other currencies.  ENN’s accounts are prepared in GBP and filed in the UK with both the Charity Commission and with Companies House in accordance with UK charity requirements.

As a registered charity, ENN has no liability for corporation tax and ENN is not registered for UK VAT.

ENN’s financial year runs from 01/01 – 31/12 and we operate an iplicit accounts management system.  Annually, ENN issues a report on activities and outcomes and audited financial statements.  These documents are publicly available on our website under annual reports and accounts.

The Role

This is an exciting opportunity to join the ENN team as our Management Accountant - Grants.  The role provides the opportunity to work across the spectrum of ENN’s projects, as part of the operations team. You will be based in our headquarters in Oxfordshire and will work closely with ENN’s Finance Manager and Projects Team.

 About You

Bringing your experience of third sector accounting to ENN, you will be able to communicate well with both finance and non-finance stakeholders. You will be comfortable supporting complex projects, tailoring financial management information and reports to enable decision making and assuring donor compliance and reporting requirements are met consistently.

Terms and Conditions

• Hours of work: Part time, 60% of full-time hours (22.5 hours per week – pattern to be agreed)

• Location: This is an office-based position at ENN’s Head Office in Kidlington, Oxfordshire, OX5. Some hybrid working may also be offered. Currently our Operations Teamwork from the office Tuesday, Wednesday and Thursday and we require this role to be in the office on these days.

Key responsibilities

 Grant compliance and reporting

• Financial compliance of grant spend in line with donor agreements ensuring no disallowable costs and that all allowable costs are reflected in the accounts correctly.
• Provide back up for grant financial reporting in the format required by donors for the projects team to review, collate and submit with the full donor reporting pack.
• Raise sales invoice to the donor with all back up attached and provide acknowledgement of funds letters upon receipt of cash in the bank.
• Work closely with the Finance Assistant and Projects team to ensure invoices are correctly coded to the right donor and project and complete month end reconciliations
• Input budget and quarterly reforecasts into the finance system (iplicit) and track grant performance against budgets on a regular basis providing variance analysis.
• Review and assimilate grant financial information for the Finance Manager and/or Project team as required which ultimately will be used as input in management reporting for various stakeholders (Technical budget holders, Management Team and Trustees).
• Support the organisation’s income generation ambitions, through the provision of advice, guidance and assistance, and in assisting with funding bids and budgeting and undertaking new funder/partner financial viability assessments as required.
• Maintain and update donor restricted fund balances/movements for year-end statutory reporting.
• Maintain project financial files and records for statutory audit and donor audit purposes.

Management accounting

• Prepare monthly income deferrals and income accruals and maintain month end trial balance reconciliations for management accounts.
• Capture any committed project costs to accrue.
• Apportion any interest earned from grant cash in the bank in line with donor contract terms.
• Work collaboratively with the Finance Manager on cash flow forecasting with regards to expected donor payments.
• As required by finance or the projects team, and working with iplicit, write reports in the finance system that would provide insightful and useful management information. For example, for grant monitoring and evaluation, trend analysis and assessing KPI’s etc
• Support the Finance Manager in capacity building and providing financial training to finance and non-finance staff.
• Provide ad hoc support to the Finance Manager with regards to specific financial projects, as required.
• Bank signatory for creditor payments in line with ENN’s Delegation of Authority Policy.
• Provide cover for the Finance Manager when necessary.

Essential requirements

• Professional accountancy qualification (e.g. AAT, ACA, ACCA, CIMA, would consider part qualified or qualified by experience)
• Experience of charity-specific accounting and grant reporting requirements
• Experience working with grant funded projects and ability to navigate and communicate compliance requirements
• Experience in developing, monitoring, and reporting against budgets
• Able to present and visualise data in different ways for different audiences
• Ability to manage a diverse and busy workload, prioritising effectively, and able to work both autonomously and as a member of a dispersed and diverse team
