We are seeking a dedicated and detail-oriented Business / Operations Manager to join our team. The Operations Manager is responsible for overseeing the business functions of the charity, ensuring efficient and compliant operations. This role covers finance, HR, IT, premises management, recruitment, health and safety, and GDPR/data protection. The successful candidate will work closely with the CEO, leadership team, and external specialists to support the charity’s mission and maintain operational excellence.

Responsibilities

Human Resources & Recruitment:

· Oversee HR processes, from recruitment to staff development, ensuring compliance with best practices.

· Manage employee relations and support performance management initiatives.

· Maintains training records and ensure all necessary training is booked for staff and volunteers.

IT & Data Management:

· Ensure the smooth running of IT services and systems.

· Oversee GDPR and data protection compliance, working with IT teams and external consultants if necessary, fulfilling the role of DPO for the charity.

Financial Oversight:

· Liaise with external accountants in relation to;

o Processing the monthly payroll

o Processing purchasing invoices ensuring all goods and services have been authorized

o Preparing and processing payments of invoices, expenses etc

· Monitor budgets, financial reporting, and ensure fiscal responsibility.

Premises Management:

· Manage the charity’s physical assets and premises, including vendor contracts and maintenance.

Health and Safety:

· Implement and monitor health and safety policies to provide a secure working environment.

Compliance & Risk Management:

· Maintain up-to-date knowledge of relevant regulations (e.g., data protection, health and safety) and ensure the charity adheres to them.

Strategic Project Management:

· Support the Head of Service in the oversight of operational projects, evaluate their success, and recommend improvements to processes.

· Any other duties from time to time as directed by the CEO or the Board of Trustees in the CEO’s absence

Management responsibilities

· Ensure that health and safety at work procedures are adhered to.

· Ensure all operating systems relating to service delivery are updated and reports generated for monitoring and evaluation, identifying and sharing any opportunities for learning.

· Prepare reports for Head of Service / CEO using DAVSS databases and co-ordinate information for funding/monitoring reports, liaise with the Fundraising team and outsourced finance team as needed in connection with external funding.

Essential:

Job Purpose 

BSR events are a key benefit to members and the wider rheumatology community, offering the very latest in science, innovation, research and cases.  

Our events team deliver the award-winning Annual Conference in a hybrid format to c2500 delegates, plus our Case-based Conference, as well as a programme of celebratory awards.  

This role sits within the Events team which is responsible for delivering BSR’s annual conferences and awards. The team of four includes the Head of Events, Events Manager, Digital Events Manager and the Events Executive, who assists in the planning and delivery of our hybrid and in-person events. You will work on a range of areas including registration, logistics, being the main point of contact for delegates, and liaising with venues and suppliers. This is an exciting role for someone looking to get more exposure to different areas of events and working with multiple stakeholders.

Main Responsibilities

• Manage the registration process for BSR conferences, including online booking journey, managing CRM/registration systems, end to end customer service and reporting registration data insights.  
• Work with the Events Manager on the delivery of conference programmes and networking events.  
• Lead on event logistics including awards, abstract poster submissions, Continuing Professional Development (CPD) accreditation, accommodation, travel arrangements and speaker expenses. 
• Champion BSR’s values by leading on Equity, Diversity and Inclusion (EDI) and accessibility for conferences, working with venues and suppliers to ensure a positive experience for attendees.  
• Support the Events Manager and Business Development Manager with sponsor and exhibition deliverables on areas including registration and posters. 
• Manage event and registration enquiries, providing excellent customer service.  
• Support the Digital Events Manager with online conference integrations and data reporting.  
• Input into our event budgets by monitoring progress and providing financial reporting and reconciliation against income and expenditure. 
• Work with the Marketing and Communications team to create digital content to engage our audiences.  
• Support with BSR committee liaison and logistics.

Please note: This role will require travel, overnight stays and weekend work, for example at our conferences (6 day stay). Job Purpose

Preparing monthly management accounts and quarterly VAT returns for RCVS (the professional membership organisation or ‘College’) in accordance with relevant RCVS policies and UK legislation including UK GAAP and the Charities SORP.

Key Responsibilities

• To prepare accurate monthly cost centre and college wide management accounts for RCVS to an agreed timetable for varying audiences, including variance analysis, with appropriate relevant commentary.
• To review and discuss the cost centre management accounts with the Heads of Department throughout the year and to enhance reporting and understanding
• To prepare monthly balance sheet reconciliations and review them working with the Transactional Finance Lead.

Project Management

How you will make a difference

This role supports the organisation through a strong focus on business intelligence, data collation, and analytics. Cosmic is a small but mighty children’s charity dedicated to supporting the incredible work of the Paediatric Intensive Care Unit (PICU) and Neonatal Intensive Care Unit (NICU) at St Mary’s Hospital, Paddington, and Queen Charlotte’s Hospital, Hammersmith. We provide vital funding for life-saving equipment, specialist staff training, and pioneering research. The Role

This role will be pivotal in connecting Cosmic with the families we support and our NHS units across both hospital sites, by managing service delivery and fostering continuous engagement. The postholder will lead and coordinate our new Post-Discharge Support service, working closely with families, the NHS Family Liaison Team, and counsellors. They will also be responsible for monitoring and evaluating the outcomes of service delivery projects - focusing on the experiences and impact on both NHS staff and families - while ensuring efficiency and value for money through careful cost assessment.

NHS Engagement & Relationship Management

▪ Build strong partnerships with PICU and NICU teams to embed Cosmic’s presence, raise awareness, and identify areas for support.

▪ Collaborate with clinical teams to develop and deliver projects that improve patient, family and staff experiences - maintaining an up-to-date pipeline of funding needs.

▪ Develop project budgets with the COO, monitoring and evaluating them to ensure projects are delivered on budget.

· Manage internal databases, email and mailing lists to beneficiaries, benefactors, or supporters.

· Ensure the database is kept accurate and up to date by recording changes including mailing preferences, address details and other relevant information;

· Manipulate and exploit the CRM data to inform improvement activities;

· Represent TNF at a variety of events, including Royal and prestige events.

Based in Surrey, the Orpheus Centre is an independent specialist college and charity that focuses on developing independence skills through performing and visual arts and makes dramatic improvements to young disabled adults’ lives.  We are currently looking for a driven and pro-active Events Fundraiser to develop, coordinate and deliver the charity’s fundraising events and orchestrate experiences from initial concept to post event analysis. This includes pre-event planning and development, concept development and proposal.

Working closely with the Head of Capital Appeal and Senior Philanthropy and Partnerships Manager, you will design and deliver events which steward and develop key contacts as part of our Capital Appeal.

The role holder will have strong administration skills, attention to detail and work as part of a team.  You will be self-motivated and able to work with little supervision, managing a wide range of tasks.

35 hours per week / 52 weeks per year

Salary: £28,000 - 32,000 per annum (depending on experience)

Essential qualifications, knowledge and experience:

• 5 GCSEs (Grade C or above) or equivalent including Maths and English OR demonstrable literacy and numeracy
• Willing to undertake training as required and identified in supervision/appraisals
• At least 2yrs experience of fundraising, marketing or events in a paid or voluntary capacity
• Has worked as part of a team
• Has set and worked to budgets, targets and plans
• Practical experience of planning and managing events
• Experience coordinating projects and people
• Knowledge of different methods of fundraising
• Awareness of how to motivate and support volunteers and supporters
• Basic awareness of PR and social media
• Good communication and presentation skills
• High levels of accuracy in written materials and data entry
• Excellent organisational skills with ability to work on own initiative under pressure & without direct supervision
• Excellent interpersonal and networking skills
• Able to build and maintain good working relationships with people
• Able to prioritise, plan and organise own workload including demonstrable experience of managing a diverse workload and working to strict deadlines under pressure
• Numerate
• Good IT skills including Microsoft office, email and data recording
• Able and willing to work unsocial hours
• Car owner/driver (full, clean UK driving licence)
• Able to work some evening and weekends.
