 The Brent Centre for Young People is looking for an experienced, dynamic person to join its Clinical Administration Team.

The Brent Centre for Young People is a charity based in North West London (Kilburn) that provides psychotherapeutic treatments to young people aged 11-25 years, who suffer with emotional difficulties and have mental health needs. The Centre has an international reputation and delivers world-leading evidence-based practices to young people across North West London. On average, the centre helps over 700 young people per year through its In-house and Outreach Services.

We are looking for an experienced clinical administrator with strong people and communication skills to help run our clinical services.

This post is an exciting opportunity to be part both of supporting the growth of this new service and supporting clinical administration at the Brent Centre within an existing small team.

The suitable candidate will have at least two years’ experience of clinical and/or general administration and reception duties. This post will suit a confident, reliable individual with strong interpersonal, organisational and communication skills.

You will be expected to be confident in IT skills (including the use of Microsoft Excel to an intermediate level) and apply them to recording data accurately on a daily basis on our client database.

We are looking for someone who demonstrates a high level of professionalism, can work to regular deadlines, can problem solve when faced with difficult situations, adheres to confidentiality and can communicate professionally, politely and effectively with young patients, their families, our clinical and non-clinical staff team and our external contacts, such as GPs.

The post requires sensitivity to the needs of young people with emotional difficulties and the nature of therapeutic work and their families. Experience with young people or with mental health is advantageous.

You will be expected to work a range of shifts between 9.30am to 6pm, 10.30am to 7pm and 11.30am to 8pm, to be agreed.

The candidate will have excellent skills, when carrying out duties of the post.

Essex & Herts Air Ambulance, unlike NHS emergency services, is a charity. This free life-saving service is provided 24/7 by helicopters and rapid response vehicles.

Each critical care team consists of a pilot and co-pilot, a pre-hospital care doctor and a critical care paramedic.

They can be rushed to the scene with life-saving support equipment to deliver advanced clinical care, usually only in the hospital emergency department.

Once stabilised, the patient will be conveyed to the most appropriate hospital by air or land.

Role Description

Volunteers

o Working with the CEO and Head of Support Services develop and deliver the Volunteering Strategy for the organisation.

o Work to significantly increase the inclusivity of volunteers and the work done by volunteers.

o Oversee the recruitment of volunteers and ensure appropriate induction in collaboration with relevant staff.

o Deliver mandatory initial and ongoing training for volunteers.

o Working with colleagues, produce and keep up-to-date policies, processes and forms, ensuring volunteers understand and use these resources.

o Provide day-to-day support to volunteers, working closely with the Head of Support Services.

o Manage all volunteer programme communications in collaboration with the Communications Officer including: ebulletins, website, social media and print materials.

Helpline and Telephone Buddies

o Support the transition of the helpline to a new scheme such as our telephone buddy scheme

Local Support Groups

o Support Office volunteers in their day to day work, being the first point of contact and allocating tasks.

Support Service Coordination

o Ensure the CRM system is up to date with all Support Services information.

o Ensure accurate record of all research and surveys we are asked to engage in and follow up on outcomes of that research.

o Undertake any small administrative duties as required.

Support Services Events

o Lead on the development and delivery of three one day conference style events annually.  These will be held throughout the UK and will offer panel discussions and networking for our community. 

o In partnership with the wider team, occasionally represent The Foundation by running information stands, coordinating volunteers and preparing information for external events such as industry conferences.

o Where appropriate attend and present at external meetings.

o Support the management and delivery of the portfolio of online and in person events delivered by the Pituitary Foundation in conjunction with the wider team.

About the role

Becoming the Programme Marketing Manager at the Cherie Blair Foundation for Women is a fantastic opportunity to help drive progress for women entrepreneurs in low and middle income countries by engaging more people in our work.

The key purpose of this role is to effectively market our programmes to participants – chiefly our HerVenture business skills microlearning app and our sector-leading Mentoring Women in Business programme.

This will span three main projects:

· to successfully manage a marketing agency to effectively market the HerVenture app to women in South Africa (as part of a fixed-term project with active marketing ongoing until Mar ‘25);

· to successfully manage the same marketing agency to promote the app in Nigeria (as part of a separate fixed-term project with active marketing ongoing until Dec ‘24); and

· to effectively promote the opportunity to become a mentor to a woman entrepreneur through our Mentoring Women in Business programme to paying professionals worldwide. Your objective will be to secure 18+ paid mentors for the Nov ’24 programme intake and 20+ for the May ’25 intake.

Following the completion of the two HerVenture marketing projects, you will also lead other programme marketing initiatives in 2025. These will be determined in late 2024.

Following the May ’25 Mentoring intake you will deliver a strategy, harnessing your learning and analysis to outline an approach for marketing the programme to paying mentors in future.

You will also be called on to support other forms of programme marketing on an ad hoc basis, for example advising on development of corporate pitch decks, or co-designing materials for fundraising events.

This position reports directly to the Head of Communications and Marketing, however this is a highly collaborative role and you will also work closely with the Entrepreneurship programmes team and the Programme Funding team to develop and deliver plans and manage projects.

Our ideal candidate will be a knowledgeable and motivated marketer with experience in ‘selling’ professional development / online volunteering opportunities, and in managing agencies and contractors to deliver on fixed projects as aligned to good marketing practices. You should be highly organised and goals-driven, with a collaborative approach, a growth-oriented mindset, and a strong desire to harness the power of marketing to support women’s economic empowerment.

6. Member Engagement: Support the planning of the core program with input from elder members and the wider team.
7. Recruitment and Support: Recruit and support new and existing members (service users).

Main Duties & Responsibilities:

1. Delivery

• Planning and Oversight: Ensure that all service output aligns with KLS' vision, mission, values, and charitable objectives. Organize and promote one-off activities throughout the year.
• Transport Management: Manage the transport offer, including route planning and pick-up schedules.
• Record Keeping: Maintain accurate activity records, registers, and casework notes for the core team.
• Outreach and Support: Conduct outreach work with older people in the community, oversee home visits, and manage a small caseload.

2. Staff and Volunteer Management

• Recruitment and Line Management: Recruit and manage the Outreach and Support Workers, Lunch Club Cook, and relevant social activities workers and volunteers.
• Performance Management: Use performance management and quality systems to monitor and evaluate the project's work and processes.

3. Relationships, Communication, and Networks

• Member Engagement: Build and sustain strong relationships with elder members.
• Communication: Oversee communication for the Core Programme, including newsletters, activities calendar, annual reports, and social media platforms.
• Meetings: Attend meetings on behalf of the Core Programme as required.

4. Finance

• Budget Management: Manage project areas to budget and maintain financial records as agreed with the Head of Programme.

5. Other Duties

• Professional Development: Participate in regular management supervision and annual appraisal. Identify job-related development and training needs.
• Professional Conduct: Professionally undertake roles, maintaining a high-quality standard of work in line with KLS's aims, values, and ethos.

Job description

• To work closely with the Head of Fundraising and Deputy Head of Fundraising to contribute to the development of strategy, budgets and plans across the department.
• To be collectively responsible with other Fundraising Managers for progress against strategy, budgets and plans.
• To proactively develop a culture of collaborative working in the department by effectively leading and managing a number of key fundraising projects.
• To ensure an informed Direct Mail program is delivered, maximising income through effective data segmentation, use of emotive case studies, powerful propositions and asks and appropriate donor pathways.
• To develop and lead a new approach for legacy fundraising, integrating the pathways to pledging a gift in a will through from first engagement with the charity and beyond.
• There is an option for this role to be 30 – 37.5 hour per week, rather than just full time.
