The role oversees the operations of a full range of facilities owned by CMS, to be used flexibly for strategically driven services in relation to CMS’s vision and values. We require someone who develops and builds strong team relationships throughout the organisation, as well as with a small team of direct reports. We aim to offer a facilities service which is customer focused, professional and unobtrusive. Delivery of a quality service, which will embody the level of hospitality and welcome consistent with the CMS ethos, is a primary performance measure.
Your relationships
· This role will report to the Director of Finance & Corporate Services.
· This role will work collaboratively with others in the wider finance and corporate services group.

· Line management responsibility for the CMS House supervisor and conferencing and reception assistant.
Your responsibilities
Conferencing and reception
· Line management of a team of two staff: the CMS House supervisor and conferencing and reception assistant
· Ensuring team development to nurture a culture of welcome and customer service, while ensuring tasks are completed
· Giving direct support to the team, providing cover on reception and help for major events happening in the CMS House building
· Support the Director of Finance and Corporate Services in setting of policies and guidelines for the use of the CMS House building and for hiring of conference facilities to include rates, publicity, balance of use by internal/external people.
Facilities management
· Monitoring the contracted services for the supply of utilities (gas, electricity, water, etc) and selected services (windows, pest control, hygiene, refuse collection)
· Arranging and supervising building maintenance contracts - lifts, air conditioning, fixed equipment electrical testing, fire alarms, CCTV and others - and minor repairs as required. Renegotiating contracts as needed, involving the director of finance and corporate services and the CMS legal advisor as required.
· Maintain the performance of building services, optimising maintenance regimes and proposing improvements
· Liaise with existing tenants. Work with agency appointed by CMS to arrange marketing of the surplus office space and work with the CMS legal advisor on the tenancy agreements.
· Managing other properties owned by CMS (2025: three houses and two flats) which are let or licensed for occupation to employees and former mission partners, advising on maintenance as required
· Manage the maintenance of the pooled car fleet
Health and safety
· Responsible for the co-ordination of health and safety policy for the whole organisation, working with the support of consultants where required
· Maintain the building to meet health and safety legal compliance
· Carrying out daily and weekly checks as needed, e.g. fire alarm, water safety
· Arrange training of first-aiders, fire wardens and oversee fire drills
Other
· Flexibility with working hours as required e.g.: co-ordination of some maintenance out of hours to ensure minimal disruption and communication with contracts
· Manage the facilities budget and related invoice and expense administration
· Contribute to the Creation Care group in relation to the use of the building and car fleet
· Other reasonable duties as may be assigned from time to time by the Director of Finance and Corporate Services

What you'll do:

- Involving customers in the design, development and delivery of the service
- Ensuring Look Ahead Health and Safety policies and local protocols are adhered to at all times e.g. fire risk assessments, fire alarm checks etc.
- Taking on shift leading responsibilities by coordinating and leading shifts in the absence of a manager
- Being responsible for the handover of key information between shifts
- Maintain records in accordance with Look Ahead's Information Management policies, procedures and guidance under the direction of the Support Worker's manager(s). Keep a clear desk at all times and assist with archiving and secure disposal of records when required.

About the role
This is a fantastic opportunity for someone looking to make an impact in the delivery of the income accounting provision at Hastoe.
You will assist our Management Accountant with the accounting, management and reconciliation of Hastoe’s solar photovoltaic portfolio, including the income that Hastoe receives from Feed-in-Tariff (FIT) payments. You will also assist with general management account duties.
The role will require close working and collaboration with colleagues within the Finance team and wider organisation (in particular our Housing and Property services teams), as well as communicating externally with other stakeholders regarding our PV panel portfolio. You will also need to liaise with Hastoe’s FIT licencee and other external organisations.
You will also assist with an exciting project to modernise Hastoe’s PV panel metering and data collection processes.
Duties will include:
- Assist the Management Accounts team to input accruals, Feed-in-Tariff (FiT) payment schedules and invoices relating to Hastoe’s solar photovoltaic (PV) panel portfolio.
- Assist with administration for said PV panel portfolio, accessing online portals, monitoring status of PV panels and payments.
- Liaise with Hastoe’s FiT licensee(s) to submit and receive information relating to the panels.
- Assist with the maintenance and servicing as required of the PV panel portfolio, working closely with Hastoe’s Property Services Team.
- Assist with completing reconciliations to ensure payments are allocated and accounted for correctly.
- Assist with reconciliations, month-end and other management accounts functions.

Role Requirements
You will play a vital role in coordinating care and supporting the management of the House, serving as a key contact for families and the multidisciplinary team. To Succeed in This Role, You’ll Need:

We are seeking a proactive and technically adept Systems Accountant to support the implementation of Unit4 ERP system within our housing association. The post holder is expected to take over the ongoing system admin role post go live. This pivotal role bridges finance and IT, ensuring seamless integration, data integrity, and enhanced financial reporting capabilities.
What you'll do:
ERP Implementation & Project Support
* Support the Project Team in the implementation of Unit4 ERP modules tailored to housing association needs.
* Assist in data migration activities, ensuring accurate and efficient transfer of financial data.
* Support the user acceptance testing to validate system functionality and data integrity.
* Provide training and support to end-users during and after the implementation phase.
System Administration & Support
* Act as the primary point of contact for all Unit4 ERP related queries and issues.
* Monitor system performance, troubleshoot issues, and implement necessary updates or patches.
* Maintain and update system documentation, including user guides and procedural manuals.
Financial Reporting & Analysis
* Develop and maintain financial reports and dashboards within Unit4 ERP to support decision-making.
* Ensure compliance with financial regulations and internal policies through system controls.
Continuous Improvement & Stakeholder Engagement
* Identify opportunities for system enhancements and process improvements.
* Liaise with internal stakeholders to gather requirements and ensure the system meets organizational needs.
* Stay abreast of Unit4 ERP updates and best practices to inform system development.
What you'll bring:
Essential:
* Proven experience in managing and supporting Unit4 ERP systems, preferably in the housing or public sector.
* Part Qualified Accountant (e.g., ACA, ACCA, CIMA) or equivalent experience.
* Strong understanding of financial accounting principles and processes.
* Experience in data migration, system testing, and user training.
* Excellent problem-solving skills and attention to detail.
* Effective communication and interpersonal skills, with the ability to engage stakeholders at all levels
Desirable:
* Familiarity with housing association operations and sector-specific financial requirements.
* Experience in supporting ERP implementation projects.
* Knowledge of SQL or other reporting tools for data analysis.
