You will provide administrative support functions and have responsibility for designing and developing office systems and processes, data input, extraction and analysis and finance administration.  You will be a first point of contact for in-person and telephone callers to the service which involves taking client details, providing information and working with advisers to direct enquiries to the right people. Helping the front line team with case administration, assisting the Hub management with ad-hoc projects and making sure that our office equipment is properly maintained – these are all aspects of this interesting, varied and vital role.  In Norfolk we have provided housing advice for over 25 years, with offices in Norwich and Kings Lynn as well as Court Desks in Norwich, Kings Lynn and Great Yarmouth County Courts. We work within communities to understand and respond to the housing issues they have and work in partnership to deliver our priorities: supporting people with additional needs, combatting discrimination and disrepair in the private rented sector and fair access to and delivery of social housing throughout Norfolk.

General Information

Big Local Works (BLW) is a community-focused economic support and regeneration charity based in Bermondsey, South East London. We want to help create a thriving, inclusive local economy and community in which everyone can participate.

To make this happen, we maximise local people’s financial and economic wellbeing to reduce poverty and hardship, and give them support to find sustainable, active routes out of poverty, including through employment and enterprise.

We deliver our support in the community through three main services:

· Expert welfare and benefits advice and advocacy for local people experiencing poverty and hardship

· Employability Skills training and coaching to help people access ways of increasing their earned income

· Start-up and enterprise support for clients who wish to start trading on the local ‘Blue Market’

Our current Welfare Benefits Advisor is on leave of absence, so this role is temporary cover until the end of the year. We are looking for someone for an immediate start.

The role of the Welfare Benefits Support and Information officer is the relief of financial need by the provision of free advice, information, support and advocacy for Southwark Residents

Key Tasks include:

· To provide a generalist welfare benefits advice, information and casework service to clients using the services at BLW

· To provide a review of possible benefit entitlements and support clients to make claims, submit forms and applications as appropriate.

· Ensure advice service provided by BLW is effective and efficient, meets best practice and is of a consistently high quality, delivering a high level of customer care and client satisfaction.

· To provide welfare benefits support in a variety of settings i.e. drop-ins and community spaces, to provide advice and information, and welfare benefit checks to ensure individuals have accessible support.

· Help clients understand benefit decisions, represent clients who have been turned down for benefits, deal with reviews, and, where appropriate, prepare for and attend appeals tribunals.

· Maintain detailed case records for the purpose of continuity of casework, information retrieval, statistical monitoring and report preparation.

What you need to bring:

· A good understanding of the Welfare Benefits system to deliver an advice casework service

· Good administration skills and ability to develop own caseload and prioritising work.

· Ability to use IT, Word and Excel in the provision of advice

· Ability to research, analyse and interpret complex information

· Numeracy skills required to understand statistics and check calculations

· Use IT for statistical recording, record keeping and document production.

· Able to work collaboratively with a wide range of stakeholders

· Keep up to date with legislation, policies and procedures and undertake appropriate training.

About the role

We have an exciting opportunity to join our Edinburgh Skylight as a Receptionist/Administrator in our Crisis Skylight Edinburgh Team. You will be there to welcome people who are homeless seeking advice and start the process of helping them to end their homelessness.

You will support the team to manage a busy working environment, welcoming and supporting a range of people including new Skylight members, current members, staff, Crisis volunteers and visitors. You will provide administrative support for this fast and responsive service to those newly presenting as homeless. You will also carry out administration and housekeeping functions relating to the customer service and facilities management of Cranston House. This role is based onsite with no option for homeworking.

About you

To be successful in this role you will be highly organised with experience of working within a reception or administrative support role, as well as experience providing a high standard of customer service. We are looking for someone who understands the issues faced by homeless people and is excited to learn about the ways we can support them. You will be able to deal with challenging situations and individuals with a range of needs, to reach a positive resolution through a calm and confident approach.

You will have excellent interpersonal skills with the ability to work successfully with disadvantaged or socially excluded groups and individuals. Effective communication skills, both verbal and written will be key, as well as working collaboratively within a team. As you will be the first point of contact for many people, you need to be friendly, enjoy helping and be willing to learn about Crisis and all the other activities taking place within the building.

Job description

Governance

• Organise SMK’s board meetings, sub committees and strategy days, ensuring all necessary paperwork, including the CEO and Staff Report, is prepared and circulated on time.
• Take clear and concise minutes at board meetings and ensure agreed actions are followed up.
• Support the CEO and Board in ensuring complete and timely reporting to regulators such as HMRC, the Charity Commission, and Companies House.
• Keep up-to-date information on Trustees and Patrons including monitoring the conflicts of interest register.
• Support the induction and exit process for trustees and manage any Board development requirements.

Human Resources

• Ensure all current and ex staff records are up to date and stored appropriately including contracts and job descriptions.
• Support line managers by ensuring that recruitment, induction, employee development and performance management are carried out in line with SMK policies and procedures.
• Regularly review and update HR policies such as the SMK handbook, in collaboration with our external HR support, and be a point of contact for the team to raise any queries or concerns.

IT and Information Management

• Manage the relationship with SMK’s IT service providers.
• Support the team with IT requirements.
• Implement the IT and Cyber Security policy and regularly review and update, providing/signposting staff training where necessary.
• Take a broad overview of systems within SMK, reviewing them and ensuring that they are fit for purpose, including the CRM.
• Lead on ensuring SMK’s digital and offline files are up to date, organised, and stored correctly on SharePoint.

Finance

• Support CEO in liaising with SMK’s accountants, with day-to-day bookkeeping and account management
• Collect and file monthly Credit Card receipts and invoices and share with SMK’s accountants.
• Ensure finance policy and procedures are up to date and answer finance-related queries from the team as required.
• Complete and manage client supplier forms.
• Track the progress of the annual audit and coordinate with the appointed auditors and external accountant.

• Experience of drafting, reviewing and implementing organisational HR policy and procedures (HR expertise is provided by an external provider) and working with HR systems (we use Breathe HR)

• Basic training in risk management with experience of writing and implementing risk assessments.

• Good understanding of organisational health and safety requirements, including safeguarding and the knowledge and confidence of how to seek further advice and information when required.

• Experience of negotiating with and supervising third-party suppliers and contracts.

• Excellent IT skills with ability to use Microsoft Office to a high level and support others to do so.

• Experience of general administrative support including logistics, travel and events.

• Experience in CRM database management, preferably Salesforce, and a proven ability to handle and analyse data, and produce reports.

About the role:

This is a rare opportunity to build something from the ground up and see the direct impact of your work on people experiencing homelessness across London. As our first Philanthropy and Major Gifts Officer, you will work closely with the Assistant Director of Fundraising to bring our new strategy to life, shaping how we engage major donors and grow a powerful community of supporters who are motivated to stand alongside Single Homeless Project (SHP) and our clients. Every relationship you build and every gift you secure will help create real opportunities for our clients to move away from homelessness and towards safety, stability and independence.

You will take the lead in developing and managing meaningful relationships with major donors, creating thoughtful and engaging journeys that bring them closer to our work and the difference it makes day to day. Alongside nurturing existing supporters, you will identify and secure new funding opportunities, building a strong and sustainable pipeline of donors and driving forward this new area of income generation within the team. Working collaboratively across SHP, you will connect philanthropists with our services in a way that feels personal, impactful and rooted in the realities of our work, while contributing to the wider fundraising targets that enable us to keep delivering life changing support.

Hybrid working for us means a mix of in office working in Kings Cross and home working. Currently two days in the office (usually Wednesday and Friday) with the rest from home. 

About you:

• You have experience building relationships with donors, supporters or partners, and know how to turn those relationships into meaningful income or long term support.
• You’re a confident communicator, able to bring a cause to life through conversations and written content that genuinely connects people to impact.
• You’re proactive and driven, comfortable spotting opportunities, growing a pipeline and following through to secure results.
• You’re organised and detail focused, able to manage multiple relationships and keep accurate records using CRM or similar systems.
• You’re motivated by purpose and excited by the chance to help shape and grow a new area of fundraising that directly supports people experiencing homelessness in London.
