Role Description

The purpose of the Executive Assistant role is to provide administrative, organisational and coordination support to the Executive Team, ensuring their time and attention are aligned with organisational priorities, goals, and objectives. The role covers executive coordination, governance administration and project support.  The Executive Assistant enables effective decision making across the Leadership Team, supports the smooth delivery of priorities, and contributes to the execution of long-term strategic goals.

The Executive Team comprises the Chief Executive, Operations Director and Business Development Director.  They work together as part of the Leadership Team, comprising key leaders from across the charity.

Excellent attention to detail is crucial, as is the ability to operate with discretion and flexibility. A high standard of written and verbal communication is essential. The role requires collaboration across Finance, HR, Trustees, and external stakeholders, and an understanding of effective charity governance would be desirable.

This role requires a high level of emotional intelligence, sound judgement, and the ability to build trusted relationships across all levels of the organisation. Success in this role depends on a proactive mindset, strong interpersonal skills, and the ability to remain calm and resourceful under pressure. The Executive Assistant must be highly dependable, detail-oriented, and capable of managing sensitive information with discretion and professionalism.

Responsibilities

Executive Coordination

• Manage calendars, inboxes, travel and meeting preparation for Executive Team
• Coordinate agendas and logistics for internal and external meetings
• Liaise with stakeholders, clients and partners to ensure smooth engagement

Governance Support

• Own the established governance timetable, board meeting scheduling, and trustee communications
• Draft and distribute board packs, take minutes, and track actions
• Support governance processes in collaboration with the Operations Director
• Support trustee onboarding, training, and engagement
• Ensure timely completion of Charity Commission and Companies House submissions
• Leverage AI tools and platforms to enhance business processes

Strategic communications

• Communicate with external stakeholders on behalf of the Executive Team
• Coordinate staff events and meetings
• Work with marketing and communities & projects teams for conferences and external events

Project support

• Support ongoing transformation projects in collaboration with Head of Business Functions
• Support recruitment and onboarding for senior roles led by the Head of Business Operations
• Support strategic planning and performance tracking led by the Operations Director and Business Development Director
• Support handover and re-onboarding of Executive Assistant on her return April 2027

Role Requirements

Required:

• Minimum of four years’ experience in a similar role.
• Experience supporting senior leaders in a fast paced and changing environment, taking initiative and managing competing deadlines calmly and flexibly.
• Confident communicating with the executive and leadership team, trustees and external partners in a professional and timely way.
• Able to handle sensitive and confidential information with discretion and good judgment.
• Confident coordinating meetings, preparing papers and taking accurate minutes.
• Ability to research, digest, analyse and present material clearly and concisely.
• Ability to identify and apply AI-driven tools to enhance business activities and using AI to streamline workflows and personalise business engagement.
• Comfortable stepping into an established role quickly and maintaining continuity during the maternity leave period.

Desirable:

• Experience in charity governance
• Experience in project support/management

• Be a qualified Solicitor (3+ years PQE) with a strong track record in housing law and Legal Aid work
• Deliver high-quality legal advice and representation under our Legal Aid contract, including at Bournemouth and Weymouth County Court
• Challenge unfair housing practices and systemic causes of homelessness through strategic casework and litigation
• Work closely with our Dorset Hub team to strengthen housing rights awareness across Devon and Cornwall.
• Support Trainee Solicitors and Legal Advisers, ensuring high professional standards and compliance.

About the Role

We're looking for a compassionate and driven Service Manager to join our residential service based in Havering. This role supports residents in temporary housing who are facing challenges with substance use. As a Service Manager, you’ll lead a dedicated team, making sure we deliver high quality support, performance and improvements across our service whilst representing values of the organisation. You'll play a hands on role in supporting individuals facing addiction, homelessness, and complex needs guiding them towards stability, independence, and brighter futures.

The service focuses on providing a 24 hour, 25 bed accommodation service to residents who are deemed to be high risk. They support those who are experiencing homelessness. All admissions are jointly agreed, and placements reviewed at a weekly Complex Needs Panel chaired by the local authority. Residents are agreed on the basis that they are:

• Overseeing support related to substance misuse, ensuring effective interventions and pathways for service users
• Line Management and Leadership, supporting your team providing advice, guidance and support throughout their employment lifecycle
• Support the Service Manager in leading the day to day operational delivery of the service
• Risk Management ownership, ensuring processes and policies are followed
• Property and Housing Management, ensuring the accommodation meets our requirements, and repairs and maintenance are regularly reported and completed

About You

We are seeking a passionate, driven and motivated colleague to lead this service in a trauma informed and inclusive way. Someone who is knowledgeable in the needs of our residents, particularly substance misuse and can support the team in delivering excellence. • Understanding and/or practical knowledge of the social and societal marginalisation that can be attached to people with substance abuse issues, addiction, exploitation, homelessness and within the criminal justice system

• Experience of working with confidently and ability to provide advice, lead a team on all aspects of the service such as resident related enquiries which can include housing, substance abuse support, signposting

The Grants and Foundations Manager position is ideal for someone with previous experience of income generation and a proven success in securing funding from trusts and grant making bodies. You will prepare grant applications and maintain a comprehensive database of funders, opportunities and grant applications, in addition to managing and evaluating bids to ensure optimal outcomes.

Additionally, you will have strong relationship building skills, with the ability to engage and grow income from a wide range of supporters.

A high level of computer literacy and IT skills, including Microsoft Office and CRM is essential.

As Neighbourhood - Senior Organiser at Pembroke House you will be someone who is highly skilled and experienced at bringing together diverse groups of people to take collective action on local issues.

You’ll have the ability to blend organising and community-building strategies, knowing that we can’t build power without building community and that community is often built through a common cause.

You’ll be excited to bring your organising and facilitation skills to our existing community programmes, including the Walworth Living Room - a new ‘third space’ for the community, as well as playing a crucial role in developing new partnerships and future areas of our work. 

If this job is done well, residents will be growing their skills and capacity to collaborate, groups will be building momentum, and beginning to take action to effect change in the neighbourhood. Pembroke House’s role and approach to supporting neighbourhood change will be further clarified, codified and evidenced. 

Person Specification

You’ll be an energetic person who thrives on making new connections and can inspire others to take action. As an experienced facilitator you will be confident facilitating groups and at ease with designing and adapting formal and informal training sessions appropriate to the context.

Your experience MUST include facilitating groups who don’t already hold a common and agreed set of values. So while academic or activist settings may form a significant part of your experience, it is essential to have worked in a mixed community or neighbourhood setting, where you regularly encountered and brought together a range of contrasting viewpoints, which included views substantially different to your own.

A knowledge of community organising methodology (see for example Act Build Change or Citizen’s UK) is useful, but there may also be other approaches or experiences that you could draw on for this role. Strategic Leadership and Professional Practice

• Provide highly visible, credible leadership to nursing and care teams across the organisation.

Workforce Leadership, Development and Management

• Provide professional leadership to nursing, care, safeguarding, respiratory, pharmacy, clinical governance and clinical education teams.
• Line manage: Business Support Manager, Senior Clinical Lead, Lead Respiratory Nurse and three house managers, and associated teams.
• Ensure robust workforce planning, including appropriate skill mix and safe staffing.
• Lead recruitment and retention strategies for nursing and care services in partnership with the People Team.
• Ensure regular, high-quality clinical supervision, appraisal, and professional development opportunities.
• Oversee NMC revalidation processes and compliance with professional standards.

Nursing and Care Leadership

• Provide strategic leadership for the nursing and care education team and line manager this through the Senior Clinical Lead.
• Ensure a safe and effective education provision aligned with national standards and NMC, and other regulatory requirements.

Safeguarding

• Ensure strong collaboration with safeguarding professionals ensuring safeguarding governance, policy implementation, training compliance, and multi-agency collaboration.
• Provide senior oversight of safeguarding concerns, investigations, and learning in conjunction with the Director of Nursing and Quality, and wider safeguarding team.

Infection Prevention and Control (IPC)

• Provide leadership for infection prevention and control, ensuring compliance with national guidelines.
• Monitor infection data, oversee IPC audits, and initiate improvement strategies.
• Promote best practice in all clinical and residential settings.

Documentation, Information Management and Digital Systems

• Ensure safe, accurate and secure medical and care records, with regular audit for compliance.
• Maximise use of digital systems to support clinical decision-making, documentation, and governance.
• Ensure clear, consistent standards for record-keeping across all clinical and care areas.

Resource, Budget and Performance Management

• Hold delegated responsibility for staffing and non-staffing budgets across nursing, care, and residential services.
• Lead capital and equipment planning to ensure all clinical environments are safe and fit for purpose.
• Review and ensure effective skill mix and resource allocation.
• Set SMART objectives for direct reports and monitor performance through structured quarterly reviews.

Senior Leadership and Organisational Responsibilities

• Serve as a critical member of the Nursing and Care Senior Leadership Team.
• Participate in the senior site manager weekend rota.
• Communicate organisational messages effectively and relay staff feedback to senior leaders.

Education:

• Registered Nurse.
• Leadership / management qualification.
• Master’s degree in relevant subject. 

Experience:

• Evidence of recent management and leadership experience at equivalent to Band 8c or above, for a minimum of two years.

We are supporting a charitable housing and support organisation to appoint an immediately available Interim Finance Manager on a 6–9 month fixed-term basis.

Reporting to the Chief Executive and working closely with the senior leadership team and Board, the role will provide strategic and operational financial management during a defined interim period.

Key Responsibilities

• Lead budgeting, re-forecasting, and multi-year financial planning.

• Produce accurate management accounts, forecasts, and financial reports.

Our Young People’s Supported Housing Service is funded by Southwark Council to provide supported accommodation to care experienced young people (with the status as looked after children or care leavers), and/or young people at risk of homelessness within the North of the Borough:

• A 24-7 staffed 16 bed Ofsted registered supported housing project for young women aged 16-21.
• 40 bedspaces of accommodation across 10 properties, for young people aged 18-21 with visiting support.

Our properties are places of safety, Psychologically Informed Environments (PIE), from which we work with children and young people using person-led, holistic, trauma-informed and solution-focused approaches.
