ABOUT THIS OPPORTUNITY

We are seeking a proactive and knowledgeable HR Advisor to join our central HR team. You’ll support a group of academies, providing expert guidance on HR policies, employee relations, and workforce initiatives, while contributing to projects that shape the future of education.

This is a dynamic generalist role requiring strong communication, analytical skills, and a collaborative mindset. You’ll be part of a pioneering multi-academy trust known for transforming schools and empowering communities. MAIN AREAS OF RESPONSIBILITY

Your responsibilities will include:

• Delivery of a generalist HR advisory service to the Federation and our Academies, providing up to date and informed HR guidance and support on HR policies, processes and systems
• Providing professional advice and support to Federation and Academy leaders in all areas of HR practice and employee relations such as grievance, disciplinary, performance management and sickness absence management, escalating complex cases as appropriate to the Head of HR and HR Business Partners
• Supporting the HR Business Partner with organisation change programmes including redundancy, restructuring and TUPE transfers; preparing documents, supporting planning, due diligence completion etc.
• Participating in the development and delivery of HR policy skills workshops for line managers and academy HR
• Assisting with end-to-end employee lifecycle and payroll processes
• Preparing HR documents and create and maintain templates
• Producing management information reports
• Evaluating job descriptions and providing advice and guidance on salary bandings to ensure a consistent and fair approach
• Assisting with the development and implementation of HR policies and procedures

WHAT WE ARE LOOKING FOR

You should be able to demonstrate:

• Experience providing generalist HR advice on terms & conditions, application of policies and first line employee relations
• Up-to-date knowledge of employment law & current HR practice
• Qualifications to degree level, or equivalent experience
• At least part qualification to CIPD Level 5 or equivalent by experience with a willingness to study
• Excellent spoken and written communication skills
• Confidence and ability to develop and maintain professional relationships at all levels
• Discretion and diplomacy, with the ability to adhere to confidentiality requirements

This newly created role will be responsible for all aspects of HR, reporting to the Director of Finance and Operations.

Job Purpose

As a central part of the HR team, the HR Administrator helps keep everything running smoothly behind the scenes. Our mission is to provide compassionate, specialist palliative care to people in the diverse community of East London who are living with life-limiting illness. Key Responsibilities

1. HR Team and Service Support

• Act as the first point of contact for all HR queries (phone, email, in person) escalating where necessary.
• Monitor shared and team inboxes, providing administrative support to the HR team.
• Build and maintain positive working relationships across the hospice.
• Support the HR Business Partners in all areas of HR delivery including policy updates and audit process.
• Coordinate, arrange and take minutes at key meetings.
• Manage stationery and stock supplies for the HR team.

2. Recruitment and Onboarding

• Draft and publish job adverts and vacancy packs to internal and external platforms.
• Assist hiring managers with shortlisting, interview scheduling, and candidate communications.
• Carry out all pre-employment checks, including references, DBS, right-to-work, and Occupational health.
• Prepare offer letters and contracts of employment.
• Add new starters to the HR System and order fobs and name badges.
• Organise and deliver new starter HR inductions.

3. HR Systems and Administration

• Maintain accurate personnel records in line with GDPR and hospice procedures.
• Manage key compliance tasks including DBS renewals, right-to-work checks, and professional registration monitoring.
• Report on HR metrics.
• Maintain the HR Portal and rota management system.
• Process payroll changes including starters, leavers, absences, contractual changes and other miscellaneous updates.
• Produce and issue routine HR communication (maternity, leaver, probation letters).
• Manage employee benefits and general employee administration queries.
• Track and support performance review and probation processes.
• Support managers with absence management administration, escalating complex matters to the HR Business Partners.

Job Title: People and Culture Business Partner - Organisational Change 

Location: Based in our Central office in Islington, around a 10 minute walk from Highbury and Islington station. You will also be able to work from home and will be required to make regular visits to our services. Please note that step free access is not available at our central office and some of our other services.

Salary: £44,000

Shift Pattern: Fixed Term contract approximately 8 months, working 37.5 hours per week Monday to Friday between 09:00 - 17:00. You may also be required to work evenings and outside these hours to provide flexibility to our night run services. 

About the role

We're seeking an all rounded generalist to join our People and Culture team to support specifically in around areas of organisational change, mainly in relation to managing mobilisations, TUPE, staff consultations and growth. You will use your previous experience in these areas to manage the process of organisational change, working alongside the wider P&C team and managers across the organisation. Some key responsibilities in this role includes:

• Provide high quality support, leadership and guidance to managers and staff for change projects from start to finish.
• Support with matters of employee relations, escalations, and cross specialist areas.
• Provide advice and guidance to colleagues and stakeholders to successfully deliver legally compliant, compassionate, and robust organisational change processes.
• Maintain effective project management resources and timelines.
• Ensure all staff have access to meaningful and accessible employment advice and access to appropriate information, documents, and other resources.
• Ensure all employee life cycle administration, advice, and support is completed and provided to standards.
• Partner with relevant managers and project leads to understand resourcing needs, then support to deliver end-to-end recruitment and onboarding to fulfil staffing needs.

About you

We are looking for someone who has experience in coaching and advising managers and colleagues with legal and internal obligations in relation to HR, you would have proven experience in a similar role at a similar level with responsibilities to this position. You will be a team player, confident in your skills and ability, and able to build rapport with others. Confidentiality will be at the core of what you do, and you will be able to take an objective standpoint to provide the correct advise to others. You will have: 

• Experience in managing mobilisations, TUE, de-mobilisations, redundancy consultations, change consultation, and project management
• Working knowledge and understanding of HR procedures and basic employment law practices, and how it applies under UK employment legislation
• Experience in coaching and advising managers in employee relations activities across the full lifecycle including recruitment, onboarding, required learning packages and general ER case work
• Proven ability to juggle multiple tasks and competing priorities within a fast-paced environment
• Excellent communication skills both written and verbal including relationship building
• Attention to detail and quality, with organisation skills
• Proactive nature, ability to make commercially and value-driven balanced decisions, including the use of data to make decisions and reports

To support the PA to the CEO and Office Administrator, by running efficient and effective systems for front office and office operations. The Office & HR Assistant is responsible for: office administration (50%), HR, Health& Safety & security administration (40%), finance administration (5%) and IT administration (5%). 

Office administration (50%)

• Answer the AKF UK main phone line and pass on messages to AKF (UK) employees as appropriate

• Open and process the post at the Aga Khan Centre and deliver to the relevant AKF (UK) employee

• Manage the “front office” email account and ensure emails are replied to or forwarded to the relevant AKF (UK) employee

• Support the greeting and receiving of AKF (UK) guests at AKC

• Book meeting rooms at AKC for colleagues and external partners and arrange catering as required

• Support AKF(UK) events, facilitate and support hosting of meetings and events for partners, including travel, visas, accommodation, and catering; this may require some out of office duties

• Manage the meeting schedule for All Staff Meetings and ensure that colleagues are confirmed for the presentation slots

• Support the management of the organisation’s travel agent

• Support the management of the organisation’s mobile phone provider

• Arrange couriers for AKF (UK) employees as required 

• Collect and maintain a detailed inventory of office equipment, IT equipment (mobile phones, laptops, desktops etc) and supplies

• Maintain the equipment purchasing guide with input from the IT Department

• Support the management of GDPR data lists and data requests

• Keep the Administration Manual up to date at all times

HR, Health, safety & security administration (40%)

• Maintain a detailed contact list for all AKF (UK) employees and keep it up to date

• Keep the AKF (UK) Emergency WhatsApp group up to date and share emergency messages as required

• Support recruitment processes by placing job adverts internally and externally as directed by the Head of HR

• Preparing and sending out offer letters and contracts as directed by the Head of HR

• Support the onboarding process including sending reference requests and background check requests

• Arrange induction and logistical arrangements for new employees including setting up phone, email, mobile, laptop, etc and purchasing new equipment as necessary

• Add new members to benefit schemes such as the private healthcare plan as directed by the Head of HR • Arrange leaving process for AKF (UK) employees and ensure all equipment is returned

• Draft responses to reference requests

• Support the Head of HR with the administration of the HR Management System (MyAKF) including updating it for joiners and leavers

• Troubleshoot any issues or problems with the MyAKF HR system, working with the MyAKF helpdesk

• Provide MyAKF system training to new starters.

• Draft visa sponsorship letters for all AKF (UK) employees and submit for approval and signature

• Provide Visa invitation letters to visiting delegates/employees.

• Coordinate with our travel insurance providers to arrange additional coverage for employee travel where required.

• Maintaining our training systems including allocating courses, adding new hires and removing leavers and running reports as required

• Support the Head of HR to ensure that employee health and safety and workstation tests are up to date

• Act as a Health and Safety Officer and Fire Marshal for AKF (UK)

• Act as a AKF (UK) First Aider including obtaining annual certification

• Create and cultivate an office culture that contributes to the happiness and well-being of all employees, including arranging birthday celebrations, celebrating unit milestones, arranging quarterly and year-end activities, and creating a space and place employees enjoy working in and feel positive about

Finance administration (5%)

• Assist the finance officers with the company credit card processes

• Scan and file bank statements

• Scan and file purchase invoices

IT administration (5%)

• Liaise with internal IT support as necessary to trouble-shoot issues and order equipment

• Work with IT services to ensure that all software is updated and maintained on individual’s computers and hardware on a regular basis (e.g. regular back up of all system software and protocols, including latest updates of virus software)

Other

• Cover the PA to the CEO and Office Administrator’s workload during periods of sickness or annual leave

This maternity cover role will have a significant and stabilising impact, ensuring co-ordination in governance, HR, and compliance for the Union of Brunel Students. The postholder will act as a key operational anchor, supporting legal integrity, staff wellbeing, and organisational continuity.
