Eclipse is looking for a competent, organised and experienced Finance and Operations Manager to join the organisation during a period of transition.  The Finance and Operations Manager will be responsible for managing the finance support service for the organisation together with operational support for Governance, Admin & HR.

JOB DESCRIPTION

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.

Job Role:

​We need an exceptional People Team Advisor. This is a key post in supporting the management and staff of the FEC. Established in 1936 and one of Scotland’s leading wildlife bodies, the Scottish Ornithologists’ Club is a registered Scottish Charitable Incorporated Organisation (SCIO) with some 3500 members.  Its purpose is to advance the study and appreciation of birds in Scotland by promoting their documentation, promoting interest in them, promoting their conservation, providing a focus for information about them and encouraging the appreciation of relevant creative arts.

The Club’s headquarters, which also feature a renowned ornithology library, wildlife art gallery and sales outlet, are in Aberlady, East Lothian.  Fifteen nationwide Branches are led by members who organise events, outings and projects in their areas.  Staff contribute a national series of events, conferences and training activities for members of all ages.  Publications include the highly regarded quarterly journal Scottish Birds, mobile app (Where to Watch Birds in Scotland), regional bird reports, e-newsletters and other online media.

The Club Manager will lead and oversee all aspects of running the Club, including its small team of staff, volunteers, an annual budget of about £350,000 and assets which include built property (HQ).  They will champion and drive forward the Club’s vision and goals. There will be emphasis on strong leadership to manage and support staff, volunteers and trustees; ensuring the highest standard of services to members; planning and reporting on the annual programme of Club-wide events and developing future priorities.

The senior member of staff is responsible for ensuring the decisions of the Board are acted upon and the charity meets the legal and regulatory requirements of a CIO. The key focus will be on development of new income streams as we navigate challegnes across the site. The General Manager will oversee the implementation of the new Buisness Development Plan. The Role

This is a new role which will be focused on a specific project to initially set up and support our member led Equity, Diversity and Inclusion (EDI) task group and subgroups. These task groups, with your support, will lead the direction that our EDI membership initiatives take. One of the primary core initiatives will be the delivery of a mentoring scheme for our members with an inclusivity focus.

To be shortlisted for this post, you must have:

• Excellent Project Management skills and experience

• Demonstratable knowledge of the EDI space, leading practises and ideologies

• Previous experience of working with members/volunteers including in an advisory and secretariat capacity.

• An understanding of and preferably experience of managing mentoring schemes.

Experience of working in a membership organisation or knowledge of the engineering profession would be advantageous.

The Role
As the Corporate Partnerships Manager, you will spearhead the expansion of our Corporate and Community Giving portfolio.
