Financial Operations Lead | Permanent | London - Hybrid | £43,941 + Benefits

For a well-known UK charity, we're recruiting a Financial Operations Lead on a permanent basis. Reporting to the Financial Controller, the Financial Operations Lead will oversee all processing and reconciliation of financial transactions, accruals and prepayments, as well as VAT returns, and all day-to-day banking, credit card and investment matters. The Financial Operations Lead is a key role, supporting staff queries, liaising with HR on payroll returns, and supporting the development of robust month-end processes across the team.

What you'll be doing:

• Financial Transactions - support AP processing, and approval of invoices on the AR ledger
• Prepare payroll journals and reconcile all payroll information
• Prepare accruals and prepayments for income and expenditure and support month-end accounts
• Prepare balance sheet reconciliations and VAT returns
• Support year-end with the preparation of note to the accounts including payroll, banking, fixed assets and investments
• Liaise with bank, investment fund managers and credit card providers
• Support wider teams with finance queries, and financial compliance procedures
• Payroll - check all finance aspects of the payroll before final sign-off and work closely with HR team to ensure payroll system is compliant with HMRC guidelines
• Develop improvements within the finance ledger and HR systems, and support the training and roll-out of any new systems updates

The Role

As Director of Finance & Corporate Services, you will join the senior leadership team and have overall responsibility for finance, HR, digital, legal, risk and office management. Acting as Company Secretary, you will ensure compliance with Companies House and Charity Commission requirements, while providing robust financial leadership and high-quality advice to trustees, staff and stakeholders.

You will:

• Maintain strong financial controls, oversee budgeting, accounting and reporting.
• Lead on compliance, risk management and company secretarial duties.
• Manage HR and corporate services including recruitment, staff policies, payroll and office management.
• Oversee digital systems and lead special projects such as CRM development and office relocation.

Key Responsibilities 

Financial Operations

• Oversee and lead core operational finance functions, including accounts payable, income processing, and cash (treasury) management

We are the voice for skills in the Electronics industry and the semiconductor sector. Through engagement with Schools, Universities and Industry, it is our mission to encourage more young people to study Electronics and to pursue careers in the sector.

The role involves reporting and analysis by examining different business areas, producing reports for budget holders and the executive team, and presenting conclusions to support decision-making. Reporting to the Director of Operations and working closely alongside the rest of the team, the Head of Membership holds an integral position within Cobseo, centred around the day-to-day delivery of the membership function. The post-holder is responsible for pro-actively identifying and securing new members, processing membership applications, managing credit control that relates to membership fees, and acting as the primary point of contact for prospective/members and relevant stakeholders.

The Head of Membership will also drive the development of Cobseo’s membership offer, policies and processes via the design and delivery of a new, research-led, evidence-based Membership Strategy, which will include refining the membership criteria and enhancing membership benefits to elevate the value of Cobseo Membership.

The Head of Membership provides leadership to the Cobseo office team and Executive Committee on all membership matters. They will work with external suppliers including routinely with the external bookkeeper, and on a project basis with the CRM provider and CRM implementation partner to ensure value-for-money procurement and effective project delivery.

As a member of the small Cobseo office team, the Head of Membership, along with the other members of the office team, is expected to lean into issues, opportunities, and workstreams that arise, sometimes at short notice and occasionally outside of their own portfolio.

This role is full time (34.5 hours per week) and is office-based in London for at least 2 days per week in order to facilitate positive relationships with the rest of the team and with stakeholders. There is an option for hybrid/homeworking the rest of the week. Some UK travel is required and the post-holder will occasionally be required to work from external sites, such as events’ venues or in order to visit members’ premises. Normal working hours are maintained wherever possible noting that business activity of a membership organisation, including for some events, is held outwith normal office hours.

 The Head of Membership role doesn’t currently have line management responsibility. As the size and shape of the Cobseo office team develops over time, this may change.

Events Assistant

The Position

As part of a small team, the Events Assistant will support the Venue Hire team with general administrative tasks, sales, planning and delivery of events and exhibitions for external venue hire clients as well as support Society colleagues with internal event planning.

The Society offers the hire of the Ondaatje Theatre and associated rooms to individuals and commercial, educational, and not-for-profit organisations for small-scale meetings, seminars, evening lectures, large daytime conferences, receptions and weddings. The net income from this business provides essential support for the Society’s charitable activities.

The post holder will primarily be expected to provide efficient and accurate administrative support to the Venue Hire team. This includes communication in writing, on the phone, by email and in person with clients; setting up Collections showcase displays; filing; database input (room booking system); displays; customer invoicing; and other administrative support to enable a smooth and efficient office.

They will also help to sell, organise and facilitate aspects of a small number of events, including liaison with associated contractors, and act as a point of contact for clients in the lead up to, and on the day of, an event.

The Society is based in a listed building in its own grounds in Kensington opposite Hyde Park, and operates nine regional branches in the UK and two overseas. There are 57 permanent staff, together with temporary, and volunteer staff.
