Job purpose:

 The role has two distinct areas of responsibility:

  Provide administrative and logistical support for the smooth running of the London office (70%). Administrative assistance for the general operations of the Trustees, including coordination of Board meetings (30%), although this may vary on a day-to-day basis.

This role requires a candidate who is well-organised, adaptable, and proactive. Strong administrative, numeracy, communication, and IT skills and proficiency in using the Microsoft Office suite, including SharePoint and our organisational Intranet, are essential.

 Most importantly, they’ll be team players willing to learn and bring a positive, enthusiastic attitude with a proactive, can-do approach.

Roles and responsibilities:

Office Administration and logistical support (70%)

· Proactively ensure that the office functions well and efficiently, maintaining office equipment and stocks of office supplies within budget.

· Act as the primary contact for visitors and phone inquiries. Manage the general inquiries email inbox and other shared email accounts.

· Be the main point of contact for office maintenance, security, and building management. Communicate with the landlord to promptly and efficiently address any related issues.

· Ensure office procedures are kept up-to-date and communicated to staff.

· Coordinate the preparation and production of business cards and ID cards for staff

· Develop and uphold Saferworld (UK)’s list of trusted suppliers, regularly reviewing and adjusting as necessary in alignment with Saferworld’s procurement policy.

· Add, update and maintain the UK Asset online asset register

· Identify opportunities to improve administrative systems and processes and proactively collaborate to redesign them.

· Collaborate closely with the Global People and Operations teams and ICT to assist in the onboarding and offboarding processes for new staff in our London office.

· Plan staff events, including annual summer and winter socials.

· Assist with renewing global insurance policies and provide administrative support for handling claims, including coordinating with staff and the insurance claims team as necessary.

· Coordinate with the IT team to set up new employees, ensuring the provision of company IT equipment aligns with internal policies.

· Provide administrative support to staff when visiting the UK, including providing visa support letters and making travel bookings in the UK for visiting staff and partners.

· Provide support with the organisational Travel Management Company (TMC), including setting up staff profiles and offering booking guidance.

· Monitor staff travel plans for ICT equipment movement.

· Manage Saferworld's organisational contacts database, including contact import, tagging, and deduplication, in compliance with UK GDPR legislation.

· Maintain an organised and effective filing structure within the internal SharePoint sites where relevant

Management team administrative support (30%)

· Provide administrative support to the Chief Executive Officer when required.

· Assist in preparing and coordinating management team, UK and Saferworld Europe Board meetings, and other committee and leadership meetings. This includes handling documentation, logistical arrangements, ICT setup for remote participation, and supporting travel bookings and expense claims.

· Manage the global Saferworld calendar, ensuring everyone is informed of events and meetings as necessary.

· Undertake miscellaneous tasks as requested by the CEO, demonstrating flexibility and adaptability to support organisational needs effectively.

The Head of Scotland and Northern Ireland is responsible for leading our vision to end the need for food banks in Scotland and Northern Ireland. Scotland currently leads the way in having a rights-based, progressive agenda to ending the need for food banks, but there is much to do to ensure political intentions become a reality. This role directs Trussell Trust’s policy and public affairs work in Scotland and Northern Ireland, leads our Scotland and Northern Ireland department as they support our network of food banks and works strategically with key partners to tackle the underlying reasons why people need to come to food banks.  

Based in Scotland or Northern Ireland, with travel around the UK as necessary

Role responsibilities 

• Lead the delivery of the Trussell Trust strategy for ending the need for food banks in Scotland and Northern Ireland, working to embed the Changing Communities, Changing Minds and Changing Policy programmes across the network, including through providing strategic support for the effective delivery of the Pathfinder, FI and organising programmes in Scotland and Northern Ireland. 

• Work with key partners to direct Trussell Trust’s policy and public affairs and work with the Scottish government and local authorities across Scotland. 

• Facilitate the sharing of learning from Scotland to help shape our long-term policy and public affairs work in Northern Ireland. 

• Lead the Scotland and Northern Ireland department to ensure the safe and effective operations of the food bank network. 

• Work with our Head of Strategic Church Engagement to deliver a church engagement strategy that will mobilise the church in Scotland and Northern Ireland to work to end the need for food banks. 

• Work with the Policy, Research and Impact, and Network Programmes and Innovation directorates to ensure effective cross-departmental working on policy and research opportunities, strategic priorities, church engagement, external partnerships and impact reporting. 

Person Specification 

Technical skills and minimum knowledge: 

• Senior level experience of leading delivery programmes nationally and locally. 

• Senior level experience of directing policy and public affairs programme nationally and locally, and representing the Trussell Trust to senior government representatives, national stakeholders and the media. 

• Expertise of significantly growing and managing services, project and programmes to drive change; leading, motivating and inspiring teams; leading culture change; able to manage multiple projects, identifying conflicting demands and establishing clear priorities in order to meet agreed objectives. 

• An effective communicator, verbally and in writing. Diplomatic and with the interpersonal skills required by the role.

It’s an exciting time to join War Child as they have just launched their new Alliance initiative. The War Child Alliance brings together the five War Child fundraising members (in the Netherlands, UK, Germany and Sweden, plus Children in Conflict in the US), with 14 programme members, based in and around conflict-affected areas across the world and coordinated by a new international body: the War Child Alliance Foundation. Through the Alliance they are integrating programme activities under one umbrella – allowing War Child to combine strengths and pool resources – all with the aim to multiply impact for conflict-affected children.

As part of the Trusts and Institutional funding team of four you’ll work alongside the Head of Trusts and Institutional, Trusts Manager and Trusts Executive, and be line managed by the new Trusts and Institutional Funding Lead.

Your key objective is to provide operational, administrative and analytical support to the team to grow income and enable War Child to deliver quality programmes. You’ll ensure compliance with quality and donor requirements, contribute to effective risk management, provide support for the different donor accounts and ensure processes and systems are in place, implemented and efficient.

The role requires proactive collaboration with cross-functional teams, excellent organisational skills, attention to detail and strong communication skills.

• Develop donor profiles by conducting research on potential donors, including their funding focus, giving history, and connections to War Child.
• Plan and prepare meetings with donors by collaborating with senior colleagues and stakeholders to determine strategic objectives and key messages.
• Monitor and share potential funding opportunities with the relevant Donor Account Managers within the Trusts and Institutional Funding team.

Safe Passage International (SPI) is recruiting a Head of UK Legal Team to lead our ground-breaking legal work in the UK. The UK Legal team works to ensure that safe routes exist for all people seeking asylum. The team specialises in providing free legal advice and representation to unaccompanied children and families seeking asylum in the UK.

The Head of UK Legal Team will be a UK-based qualified solicitor or barrister or OISC Level 3 accredited caseworker or IAAS Supervising Senior caseworker with experience of working within the UK in a legal capacity, specifically in the area of asylum, immigration and refugee family reunion.

Reporting directly to the CEO, you will lead a high performing team of immigration lawyers, casework supervisors, and caseworkers. You will drive the development and delivery of our legal strategy in the UK; supervise all UK legal casework; lead our litigation strategy; develop good practices of line management and regulatory compliance within the team; and lead legal policy work by collaborating closely with colleagues within the UK, France and Greece to create a cohesive, powerful, cross-border legal response and framework.

You will also work closely with the Heads of SPI Greece and France, our International Safeguarding and Protection Manager, Experts by Experience Consultants, and Safe Passage Young Leaders to shape our legal function.

This is a vital role within the senior leadership team of a young and dynamic organisation. The Role

You will be instrumental in securing the funding, which the organisation needs to continue to deliver and develop its services, across a wide range of functions and projects. You will be an entrepreneurial, knowledgeable fundraiser, adept at finding the right opportunities to fit the right projects. You will also be meticulous and organised in your approach to stewardship, maintaining contact with funders and working with colleagues to collate the information needed for reporting.

The fundraising strategy contains plans to further develop specific areas of fundraising such as individual giving, corporate partnerships and legacies, and you may be called upon to support the Head of Fundraising in putting plans together for the implementation of these, working alongside the Senior Administrator (Fundraising and Communications).

About You

You will have experience in a fundraising, philanthropy or relationship management role and a track record of success in securing at least five-figure donations from grant and trust funders.

· Outstanding writing and communication skills

· The ability to understand financial language and budgets

· Strong research and prospecting skills

· The capacity to build excellent relationships with key stakeholders, both internally and externally

· Experience of measuring impact and delivering evaluation reports
