Details of Job

The Systems and Administration Officer will be responsible for the effective running of Heart of the City’s systems and administrative processes, ensuring that digital tools are utilised in the most effective way, and governance, finance and business support processes are delivered efficiently.

The post holder will manage the delivery of key IT, finance, governance and administrative processes. This includes ensuring the legal compliance, effectiveness and security of cloud services and software used by the team, supporting the director with financial planning and administration and managing calendars, governance systems and general correspondence. The post-holder will also be a key contact point both internally and externally; this includes senior stakeholders on the Board of Trustees and Council of Members. They will also support the team with day-to-day office management and queries with software and cloud service usage, with a view to streamlining systems where possible.

An exciting opportunity has arisen for an Executive Assistant to join the Chief Executives office. Your role is to provide high quality support to the Directors and by extension, the Senior Leadership Team

Role Requirements

• Provide high level administrative support to the Directors.
• Exercise judgement in prioritisation, dealing with matters within own remit and / or referring them to the director as and when necessary, ensuring tact, discretion and courtesy at all times.
• Review incoming mail, prioritising, redirecting or responding to issues.
• Monitor the email inbox of the Director(s), responding where relevant and highlighting any urgent messages to Director.
• Draft, edit and format documents
• Arrange travel bookings / itineraries
• Communicate instructions and other messages to managers and staff clearly and promptly on behalf of the Director(s)
• Keep Emergency Procedures File up to date.
• Monitor team PDR dates, and keep Director(s) updated in this regard; schedule PDRs for Director’s direct reports.
• Effectively support meetings in terms of venue, accommodation, equipment, and refreshments.
• Attend team and other relevant meetings taking and producing minutes for distribution (as required);
• Liaise with Reception in relation to external visitors and ensure the smooth running of internal and external meetings and visits;
• Process expenses on behalf of the Director(s).
• Manage the Director’s corporate credit card and reconcile against monthly statements
• Assist the Director(s) with additional administrative/organisational tasks assigned at the discretion of the Director.
• Assist in the planning, execution and tracking of key projects. Coordinate project timelines, deliverables and resources to ensure successful completion within deadlines.

About you

We are looking for a proactive and visible finance professional who is able to engage and build relationships across the organisation as a pivotal member within a values led high performing organisation. About the role

The role will involve the management of the day-to-day financial activities, VAT, gift aid, payroll and the monthly, quarterly and annual reconciliations and statutory accounts preparation. The job holder will work closely with the Chief Operating Officer, Finance Officer and volunteers within the team. There will be a requirement to work closely with the income generating staff, budget holders, auditors, banks and credit card providers on a regular basis. The Finance Manager will be responsible for managing the Finance Officer and Finance volunteer.

Purpose of the role:

The purpose of this role is to build on our programme of strategic engagement with our key audiences, in order to build our presence, influence and networks in a wide range of UK sectors and topical issues. This includes leading the design and delivery of some of our focused programmes in which we award Fellowships and supporting the Fellows awarded into these programmes to help them increase their UK impact once they’ve done their overseas learning. This role is responsible for delivering all engagement activity across our Arts and culture, Community and citizenship, Environment and resources and Governance and public provision universal themes.  

Key responsibilities:

Programme Development and Delivery

• With oversight from the Engagement Director, and working with members of the Advisory Council to develop the focus and goals of a three-year Fellowship programme within our Governance and Public Provision universal theme through a process of desk-based research and consultation workshops
• Working with the Head of Comms to design and plan the launch of the new programme to applicants
• Working with the Head of Fellowship to design a support package for applicants into the programme
• With oversight from the Engagement Director, creating and facilitating a Working Group of Fellows, partners and Council members to support the cohort of Fellows awarded within this programme. And working with the other Research and Engagement Manager to develop and enhance our approach to stewarding these Working Groups including ones already in place for our other programmes.

Lancaster & District Homeless Action Service Limited, known as LDHAS, is a registered charity and they have been working with street homeless and vulnerably housed people for over 32 years. They provide essential needs support, advice and information, from their centre in Lancaster with additional support from visiting partner agencies like Citizens Advice, Changing Futures, SafeNet, Calico, Red Rose Recovery, the Hep C Trust and Inspire.

The Role

The post holder will operationally manage Lancaster & District Homeless Action Service ensuring effective day-to-day management and the delivery of high-quality support to street homeless individuals with complex needs. This role involves leading and managing a team of staff and volunteers and facilitating a hub for a range of services. The post holder will foster strong partnerships within the hub ensuring it operates efficiently, safely and in line with LDHAS's values and policies. The post-holder will also lead LDHAS in the strategic development of its vision as a hub for a range of services. This includes strategy and business planning development and articulating LDHAS's vision and mission in partnership with the Board.
