Your role is to manage a range of Central Services for the Eikon Charity and to be a familiar constant presence in the Eikon offices. Central Services includes IT, Data Compliance, Health and Safety, Facilities. Facilities includes the site at Fullbrook and the associated site maintenance of the cabins and the garden. In addition to this you will line manage the reception function on site. A portion of the role will be managing outsourced providers who are accountable to support the specialist nature of these services. These outsource providers include Health and Safety (Croner) IT (ramsac) Data Protection (Satswana). You will also support the service data management work, this involves monthly reporting and service data provision, in accordance with the reporting calendar.

Responsibilities 

IT Management

• Manage the operational IT delivery via Eikon’s IT partner (ramsac) 
• Manage the continuous improvement of the IT infrastructure
• Oversee and direct the work and tasks of the data officer (IT support)
• Attend quarterly management meetings with outsourced IT provider including technical IT consultant visits
• Oversee Help Desk approvals
• Review monthly total IT estate in partnership with ramsac and Data Officer
• IT hardware, software and comms:
• Manage the relationship with repair partner (one touch) and disposal partner (CPR)
• Manage the procurement processes for hardware, the installation and allocation of hardware (e.g. printers, AV equipment, laptop, mobile devices, wifi infrastructure etc.) with the support of the Data Officer
• Manage the communications licenses with our comms partner (DRC) 
• Oversee the MS license estate and allocation of MS software and our third party applications
• Contribute to planning and assist with the delivery of the IT roadmap

Data Protection and Management 

• Manage data compliance in accordance with relevant legislation and regulations (GDPR), with support from the fractional data protection provider, Satswana
• Manage the relationship with Satswana (outsourced Data Protection Officer)
• Ensure Data Protection Impact Assessments are in place across the organisation
• Recording and reporting of routine data breaches, escalating if significant breach has occurred

Data Reporting (Services)

• Support with the provision of data to help monitor and evaluate all services in line with ambitions 
• Collaborate with line manage on bespoke data requests
• Support the organisation in ensuring data integrity of reports 
• Manage the monthly reporting templates (Mindworks outputs, Data Protection Impact Assessments, Internal outputs and Internal outcomes)
• Manage the quarterly reporting templates (Mindworks outcomes, Innovations Grant, Youth Support Practitioners end of term reporting, Fundraising Strategic reports, data for exec report and data for bespoke reporting requests)
• Responsible for reviewing and recommending changes to the Data Protection Policy

Fire, Health and Safety

• Responsible for fire, health and safety management and standards across the whole organisation, supported by a specialist organisation (Croner)
• Responsible for managing the Health and Safety relationships with the outsourced provider (Croner) 
• Responsibilities include but aren’t limited to:
  •  Fire, Health and Safety Policy
  • Ensuring Fire Health and safety procedures in place for the Fullbrook site
  • Monitoring and where possible ensure the organisation is implementing the relevant policies, procedures and associated forms across the organisation for Fire, Health and Safety
  • Raising Fire, Health and Safety risks and working collaboratively with Leadership to put in place measures to mitigate against them

Facilities

• Manage the facilities at Fullbrook, including the provision of reception roles and responsibilities, office and garden maintenance and support to onsite teams, interior and exterior décor – including noticeboards 
• This includes line management of your team and dotted line supervision for garden club volunteers for garden maintenance; this includes managing the relationship with the gardening contractor
• Overseeing annual compliance checks. e.g Pat Testing; Smoke alarms; air conditioning units
• Managing the relationship with the outsourced cleaning contractor (Minster Cleaning Services)
• Responsible for reception cover. From time to time it may be necessary for you to support in filling gaps in reception cover. i.e. sickness/holidays/absence
• In collaboration with colleagues continuously improve the facilities space, always focusing on the service users and underpinned by a strong ethos of equality diversity and inclusion, wellbeing and safeguarding
• Responsible for coordinating scheduled and unscheduled site maintenance
• Review, with oversight from appointed Trustee, our organisational insurance; ensure it is fit for purpose, renewed in a timely manner and manage the relationship with our Brookers WRS

Purpose of Post

Main Responsibilities

Community Fundraising and Engagement

• Coordinate the delivery of community fundraising campaigns, initiatives, and events, ensuring high levels of participation and engagement.

• Recruit, train, and support a network of volunteer fundraisers to support community fundraising activities.

• Maintain accurate records of community supporters and events in the CRM system, tracking engagement and financial contributions.

• Checks: The appointment is subject to satisfactory references, DBS check and a probationary period of six months. 
• Salary:  £28,840 - £32,917 per annum, pro-rata depending on experience. Salaries are reviewed annually, at the discretion of the Trustees, where the budget allows, with any increases effective from April.

We are seeking a Sustainability and Evaluation Officer to play a vital role in helping us build the foundations of our sustainability and impact work during a key period of organisational development and change. 

Reporting to our Sustainability and Impact Lead, this role will provide essential analytical, coordination, and stakeholder engagement support as we: 

• Develop and implement a Monitoring, Evaluation and Learning (MEL) framework 

• Complete our first environmental and social impact baseline assessment 

• Prepare our first Sustainability and Impact Report 

• Begin embedding ESG (Environmental, Social, and Governance) and sustainability principles into all aspects of our operations and services. 

Much of this work will involve identifying and organising data currently dispersed across the organisation (e.g. spreadsheets, systems, teams), contributing to the development of a new CRM system, and building processes and tools that enable us to better measure, evaluate and communicate our impact. 

You will work closely with colleagues across all departments – particularly in resident services, property, hospitality & commercial, IT and finance – as well as with residents and external partners.  You’ll also help ensure sustainability and impact considerations are built into how we make decisions, improve services, and report externally. 

This role is ideal for someone early to mid-career with strong data and evaluation skills, excellent attention to detail, and an interest in how environmental and social change happens within complex organisations.  If you’re proactive, values-driven, and excited to shape something new, we’d love to hear from you. 

Main duties and responsibilities    

1. Data discovery and management 

• Locate, clean, and organise data from across the charity (including resident services, environmental data, property portfolio, HR and finance) 

• Help define and implement consistent data collection processes to improve quality and accessibility of information 

2. Evaluation and learning 

• Support the development and implementation of our Monitoring, Evaluation and Learning (MEL) framework 

• Conduct or contribute to evaluations using both quantitative and qualitative methods 

• Gather resident feedback through interviews, surveys, focus groups, or other participatory methods 

3. Sustainability and ESG support 

• Assist in collating environmental and ESG data (e.g. waste, water, energy, transport, emissions) from across our sites and operations 

• Support the analysis and presentation of environmental data for our baseline assessment and future reporting 

• Contribute to the integration of ESG standards into reporting and planning 

4. System and process development 

• Work with colleagues and external providers to define impact-related data requirements for our new CRM system 

• Support data migration, clean-up, and integration activities linked to sustainability and impact 

5. Reporting and communication 

• Contribute to the development of our first Sustainability and Impact Report 

• Produce clear, accessible summaries, visualisations, dashboards, and insights for internal and external audiences

6. Grants and service impact 

• Support the monitoring and analysis of our charitable giving and grant-making (including out-pensions and grant organisations) 

• Help identify how we can better evidence the impact of our services to residents and other stakeholders 

7. Coordination and admin support 

• Provide administrative, scheduling, and coordination support across sustainability and evaluation projects 

• Contribute to stakeholder engagement activities with residents, partners and staff 

Person specification 

Essential 

• Experience working with data: gathering, cleaning, analysing, and presenting it clearly and effectively 

• Knowledge of evaluation and research methods (qualitative and quantitative) 

• Understanding of MEL, impact evaluation, or theory of change approaches 

• Strong interpersonal and communication skills; able to build trust, work collaboratively, and explain complex ideas in accessible ways 

• Strong organisational and project management skills with attention to detail 

• Ability to work independently, take initiative, and manage multiple priorities 

• Comfortable using Excel and other data tools (e.g. Power BI, Tableau, survey tools) 

• Interest or experience in ESG, sustainability, or social impact 

• Awareness of data ethics, confidentiality, and responsible data use 

Desirable 

• Experience working in a housing, charity or public sector, environment 

• Familiarity with CRM systems and experience supporting system development or data migration 

• Knowledge of ESG or sustainability frameworks (e.g. SRS, SDGs, GRI, TCFD) 

• Experience engaging with service users, residents, or communities in a participatory way 

• Experience working with or engaging older people, particularly in residential, community, or service settings

Who we are

Forest Peoples Programme (FPP) is an international NGO that has been working with indigenous peoples and forest peoples since 1990. We work in 18 countries across South and Central America, Africa, and Southeast Asia, with around 50 partner organisations based in the tropical forest belt.

We work directly and in solidarity with communities and peoples, supporting them to secure their rights to their traditional lands, territories, and resources, protect their forests and ways of life, and choose their own futures.

The role

Consistent with our Theory of Change, Forest Peoples Programme’s advocacy and communications strategies are diverse and decentralized. They are generated in a largely bottom-up way with our partners, via our program staff (organised in country and thematic teams). This allows us to be sensitive to local social, political and legal contexts, and partner priorities. It also guides our highly collaborative approach to communications. 

Communications at FPP is as much about facilitating exchanges among partners and between Indigenous peoples and forest peoples, as it is about communicating with policy makers, academics, and a broader public. FPP’s core principle of the right to self-determination means that we strive to ensure that FPP’s own ‘voice’ is consistent with the priorities and aspirations of Indigenous peoples and forest peoples. That we compliment and amplify, but neither diminish nor eclipse, the voices of Indigenous peoples and forest peoples themselves. 

FPP’s communications team is embarking on a period of restructuring and reorienting. The goal is to become better placed to support a strategic approach to communications in our programmatic and country-focused work, while retaining a core function of handling FPP’s central/organizational communications needs.

As part of that restructuring, this new post of Senior Media and Communications Officer will serve a dual purpose of providing additional capacity in the day-to-day activities of the department, and taking a leading role in rolling out our restructuring plans. There may be some responsibilities around cultivating media relations, and/or line management responsibilities, depending on the profile of the successful candidate. The role reports directly to the Communications Coordinator, who will be working restricted hours for the first 10 months of this appointment.

FPP works with 52 long-term partners and allies, across 18 countries. The Senior Media and Communications Officer will gain a good working knowledge of the entire landscape, and intimate knowledge of some specific contexts in which FPP teams are focused. Fundamentally of course, we are all accountable to the Indigenous peoples and forest peoples we work with and for.

Initially, the role is likely to have a heavy focus on rolling out the new team structure and strategy, transitioning within a year to focus more on media relations or advocacy-linked strategic communications, depending on the profile of the recruit.

About you

This post would suit an experienced practitioner with a good understanding of communicating in a multilingual, cross-cultural, and highly consultative environment. Additional languages (especially French or Bahasa Indonesia) are a distinct advantage.

Essential requirements:

• At least 5 years’ experience in communications work in an international, collaborative, and advocacy-focussed environment. This will have ideally been within an indigenous peoples’ organisation, or NGO, advocacy or international context.
• Experience of work in multilingual and cross-cultural contexts and environments, preferably with indigenous peoples or local communities.
• Strong alignment with FPP’s vision, mission and values, including commitment to human rights (in particular the rights of Indigenous peoples and forest peoples), as well as interest in the interface between the rights of Indigenous and forest peoples, biodiversity and climate protection, political economy, and international affairs. An unwavering commitment to the self-determination of all peoples.
• Demonstrable experience of strategic thinking regarding advocacy, communications and media, and in planning and implementing projects in a collaborative way.
• Demonstrable experience of communicating complex advocacy issues and grassroots experiences in compelling, creative ways, to a wide range of audiences across a wide range of media.
• Strong media relations experience, at national and international levels. An existing network of relevant media contacts is a distinct advantage.
• You must be able to manage your own workload, and set your own limits. You will need to have the confidence to say no to colleagues, and the people skills to maintain positive working relationships while you do so. A positive attitude, and an ability to be sensitive, flexible and adaptable to changing contexts and evolving strategies, is vital.
• Excellent written and spoken English, with demonstratable experience of writing copy, editing and publishing for print and digital media. Experience in producing multimedia products (films, animations, graphics, podcasts, websites etc) is also highly desirable.
