Job Summary

Ten Ten Resources is seeking a Schools Support Officer to play a vital role in supporting our partner schools in their use of our award-winning Catholic educational resources. Acting as a key point of contact for school staff, you will help ensure a smooth, welcoming and highly responsive experience from onboarding through to ongoing support.

You will handle school enquiries, maintain CRM data, manage user accounts, and support the delivery of school communications and helpdesk services. You’ll also contribute to the systems that underpin our delivery, bringing order, insight, and efficiency to the heart of our operations

This is a full-time, home-based role (35 hours per week), but we are open to applications on a job-share basis. Whether full-time or part-time, you’ll work closely with our collaborative and mission-driven team, combining independent responsibility with shared support.

Responsibilities

As Schools Support Officer, you’ll play a vital role in supporting schools and ensuring the smooth running of our operations. Your key responsibilities will include:

Client Support

• Act as the first point of contact for school enquiries across email, phone, voicemail and webchat.

• Respond to queries, resolve user issues, and provide quotes for subscriptions and trials.

• Triage communication to the relevant team member, where needed.
   

CRM & Data Management

Maintain the accuracy and integrity of our CRM (HubSpot), including:

• Keeping contact details up to date.

• Researching school term dates and contact information.

• Auditing pupil numbers and other key data.

• Building segmented databases for outreach to new markets.
   

Project Support

• Assist with content uploads and conduct basic technical checks.

• Support the planning and organisation of projects (e.g. filming, product launches).

• Research and source goods or services to support delivery.
   

General Admin

• Prepare and send occasional hard-copy mailouts.

• Handle post and support light finance admin, such as banking cheques.

• Provide flexible administrative support as needed across the team.

Place of Work

This is a home-based role, open to candidates based in the UK. The successful candidate will work remotely as part of Ten Ten’s home-based team.

The role is full-time (35 hours per week), typically worked across Monday to Friday. However, we are open to applications on a job-share basis, where two individuals work together to fulfil the responsibilities of the role. While there is some flexibility in working hours, availability is expected during core daytime hours to ensure collaboration with colleagues and timely support for schools.

We meet weekly as a team on Zoom to share updates, collaborate on projects, and pray together. In addition, we gather in person at least three times per year - typically once per term - for planning, training and team-building. These in-person gatherings usually involve overnight stays and are held at various locations around the UK.

In this role, you will operationally manage the activities and tasks outlined in the CRM project plan, working closely with the Head of Volunteering & Engagement, the CRM Strategic group and the CRM Working group.  The project plan includes four stages: (1) Understanding/prioritising our organisational needs, (2) Mapping potential providers, (3) Commissioning and deciding on a provider, (4) Implementation of a new system. We are currently at Stage 2, moving into Stage 3. 

This is a fixed term role with a two-year commitment (18 month contract) and delivery plan.  You will work closely with the National Volunteer Engagement Manager to help embed the new VMS or CRM across our delivery team, working practically and equitably with colleagues to understand any individual challenges or needs and finding appropriate ways to support them. 

We’re looking for a highly organised and proactive CRM Project Manager to lead the next phase of our CRM development project.

You’ll operationally manage the delivery of our CRM plan, support the commissioning of a new system, and develop and drive forward a clear implementation strategy. You’ll work closely with internal teams and external providers to ensure smooth delivery, while coordinating training, ensuring compliance, and embedding inclusive practices.

About the role

Each of the Support Network Coordinators have the responsibility for delivering, maintaining, and expanding the support services available to spinal cord injured (SCI) people and their region of the UK.

The post coordinates two vital parallel strands:

1. In your region, to reach and support newly and long-term spinal cord injured people and their families developing a strong partnership with all available specialist services, charity and business partners; managing a dedicated team of volunteers as well as providing direct support to SCI people with more complex support needs.
2. Nationally, working to facilitate the link between SCI people and SIA and the network of services; referring SCI people and their families to our clinical / health expert support teams and advocacy services; working with the Digital Engagement team to build on-line links to regional partners in your area; supporting fundraising, campaigns and communications.

Duties and Responsibilities

This is the job for your if you’re good at:

• Building strong relationships – you’ll be talking to everyone from people with SCI and their families, to healthcare professionals, solicitors and partners who deliver key services.
• Identifying opportunities – to expand SIA’s portfolio of services, we’ll need your knowledge of organisations and individuals that provide services to those affected by spinal cord injury.
• Engaging People – whether it’s service users or your team of volunteers, the success of our work relies on you being able to keep people engaged with what we’re doing.

We resource, connect and champion a network of over 5300 Warm Welcome Spaces and bring together a growing coalition of local, regional, and national partners representing the worlds of charity, faith, business, government, and philanthropy. The Partnerships Manager will also help develop our support for Warm Welcome Spaces, including overseeing our Champions Programme which offers more intense support and a Community of Practice to a smaller cohort of local groups.

Joining during an exciting period of growth, you will be inheriting a hugely diverse and highly engaged coalition of Warm Welcome Partners who have supported the campaign and local Spaces over the last 2 and a half years. Building Partnerships

This will involve identifying and engaging partners in geographical ‘cold spots’ for the network (utilising our mapping tool developed with UCL), as well as forming partnerships to unlock new or under-represented types of Warm Welcome Spaces (e.g. Housing Association Community Spaces, cinemas, community spaces created by new housing developments etc).

● Leading the development of our Local Co-ordinators Cluster which brings together Local Authorities and others who are leading place-based networks of community spaces.

● Overseeing and developing the Champions Programme, providing more intensive support and connections to a smaller cohort of Warm Welcome Spaces.

Engagement and Inclusion

● Developing our Inclusion Strategy to identify and engage the best potential partners to diversify our Coalition and support local Spaces to become more accessible and inclusive.

● Working with the team to develop regular engagement activities for Warm Welcome Partners.

● Producing compelling communications (written and verbal) to promote the work of the Warm Welcome Campaign and grow the depth and breadth of partnerships - to include but not limited to partnership proposals, pitches and reports.

Good Practices, Standards and Systems

● Supporting, maintaining and developing existing partnerships and manage the systems (including CRM use) needed for excellent partnerships delivery, stewardship and development.

● Leading Warm Welcome Space good practice and driving up quality standards across the network, including through developing a Warm Welcome Awards programme.
