You will be instrumental in the quality and impactful implementation, delivery and retention of our sites. You will oversee the delivery of exceptional outcomes in support of the charity's mission. You will work as part of a Regional team to deliver outstanding programmes across your geography, establishing and leading partnerships throughout the life of a programme.    

Regular travel throughout your geographical location will be required, with occasional travel to other areas of the UK.  Please stipulate where you are based when applying.

In addition, occasional international travel may be required, such as the opportunity to attend the annual conference in the United States.  

You will report to the Regional within the Delivery & Partnerships team or the Associate Director of Business Development.

· You will work closely with colleagues in both the Delivery & Partnership team and the Quality & Impact team to pursue quality delivery of programmes that adheres to model fidelity.  

· You will hold partners and stakeholders to account for their key responsibilities in the delivery of quality programmes.

We are looking for a self‑motivated individual who is committed to the charitable objectives and Christian ethos of ICC.  This role has direct responsibility for day-to-day administration of the ICC UK remote office, including general donor and office support, as well as managing and maintaining the ICC UK Storage Facility.

A desirable part of the role includes supporting financial administration and reporting tasks. Knowledge of financial systems like Xero or Sage,  Direct  Debit management and Gift  Aid.

This is an exciting part-time role with a Charity caring for children and families with disabilities in China. International China Concern (ICC) has been established for over 30 years and the UK National Office is looking forward to our next phase of growth.

Main Responsibilities:

Office & Administrative Operations

• Manage day‑to‑day office operations to ensure a welcoming, efficient, and well‑organised working environment.

• Oversee office supplies, equipment, stationery orders, and relationships with vendors.

• Maintain digital and physical filing systems, ensuring documents are stored securely and are easy to locate.

• Support onboarding and practical arrangements for new staff, volunteers, and interns.

• Point of contact and responsible for maintaining the ICC UK Storage Facility. (Currently situated in Newcastle upon Tyne)

Executive & Team Support

• Provide administrative support to the Executive Director and wider leadership team, including diary coordination, travel booking, meeting preparation, and expense processing.

• Assist in preparing board papers, agendas, minutes, and follow‑up actions for ICC UK Board and sub‑committee meetings.

• Support internal communication by ensuring timely circulation of updates, documents, and scheduled reminders.

Finance & Compliance Support

• Assist with routine finance administration, including invoice processing, receipts collation, card reconciliation, and liaising with the ICC UK finance team as needed.

• Maintain accurate records for compliance, audits, safeguarding training, and policy renewals.

• Support contract and lease administration (e.g., office lease, supplier agreements, insurance renewals).

Event & Travel Coordination

• Coordinate logistics for UK events, training days, team gatherings, and visits from international colleagues.

• Manage bookings, venue arrangements, hospitality, travel itineraries, and attendee communications.

• Support international travel preparation, including documentation, itinerary organisation, and expense tracking.

Communications & Public-Facing Support

• Serve as a friendly first point of contact for enquiries via email, phone, and the ICC UK office address.

• Assist with maintaining contact databases and ensuring GDPR‑compliant data handling.

Systems & Organisation

• Maintain shared calendars, organisational systems, and internal workflows to ensure alignment across the team.

• Help ensure consistency of templates, branding, and standard documents across ICC UK.

General Duties

• Uphold ICC’s mission, values, and commitment to hospitality, clarity, and servant‑hearted support.

• Undertake other reasonable administrative tasks as required to support the smooth running of ICC UK and its partnership with ICC International.

The Role

The Project Manager is an adept and organised professional, esteemed within the nuclear policy community for their level. Responsible for overseeing a discrete package of work, they must demonstrate a clear understanding and alignment with broader programme goals, strategies, and objectives. The role will report to the Programme Manager.

Taking charge of project deliverables, the Project Manager will navigate the entire project cycle, from generating fundraising ideas to developing them further and building knowledge of funding relationships. The role will also include deputising for the Programme Manager during periods of absence, ensuring continuity of delivery, external engagement, and team support as required.

The Project Manager will take responsibility for the South Asia portfolio under the Responsibilities and Global Governance (RGG) Programme. The RGG Programme works to strengthen global security by supporting the development of responsible governance frameworks for weapons and dual-use technologies in cross-cutting operational domains. Under the South Asia portfolio, the RGG Programme has facilitated research and dialogue with the Indian and Pakistani nuclear policy communities with a focus on regional crisis prevention, management, and de-escalation practices.

The Project Manager should possess a solid understanding of global security and conflict resolution and a deep understanding and demonstrable knowledge of military security dynamics in South Asia, coupled with a proven ability to design and execute high-quality project management and research. The ideal candidate is an established researcher with a specialisation in nuclear weapons issues and South Asia. As the candidate will be expected to facilitate India-Pakistan nuclear dialogues, it is important that they will show an ability to engage impartially with all parties.

It is expected that the Project Manager will have solo authored, policy relevant, publications. The Project Manager should possess the skills to expand their network in their area of specialisation, benefiting BASIC, and be capable of line managing other team members within their project. 

This role necessitates a formal project or programme management qualification – BASIC will provide the Project Manager with such training and qualifications if they do not already possess one. The Project Manager will collaborate with their line manager to identify a professional development plan, closing skills gaps and aspiring to become an internationally respected leader in their field.

Person Specification:

Essential:

• Educated to Master’s level – or demonstrate the equivalent in work experience

• 5+ years of work experience in a think tank, research institute, NGO, foundation or government working on international security issues

• Demonstrable knowledge of South Asian military security issues

• Passion and commitment to our organisational mission of promoting dialogue to advance global security

• Demonstrated ability and track record in leading the creative development and delivery of policy projects in the UK or internationally, including budgeting and reporting

• Ability to communicate effectively with stakeholders from a variety of professional and cultural backgrounds and with broad variations in seniority and function

• Excellent analytical and methodological skills, and an organised approach to research

• Well-developed interpersonal skills, including evidence of working successfully as part of a team

• Track record of previous fundraising experience and success

• Strong track record of publications, including policy-relevant ones

• Experience organising policy roundtables and workshops

• Willingness to travel internationally including to India and Pakistan when required

• Strong organisational skills and an eye for detail

• Good personal network in their research area

• Previous line management experience

This role requires experience of partnership and account management and the scale and ambition of our social mobility work means you will need to be well organised, confident and able to positively influence a wide range of people including headteachers, teachers, CEOs and HRDs.

Programme & Partnership Managers lead the delivery of our programme locally. In this role, you’ll grow, develop, and maintain the employer and education partnerships that make the Career Ready programme work — including our Local Advisory Boards, Local Authorities, school coordinators, the Developing the Young Workforce Regional Group, and the employers and volunteers who provide mentoring with the accompanying paid internship, deliver engaging masterclasses, and support events.

Once you’re confident in what, why, when, and how of our work, you will:
1. Lead, grow, and strengthen the Career Ready partnerships in Renfrewshire & West
Dunbartonshire.

You’ll ensure an excellent programme experience for all stakeholders and secure employer engagement for approximately 60+ students each year (with growth expected) who take part in our 18-month programme. This includes ensuring
sufficient mentors with the accompanying paid internship, high-quality masterclasses and purposeful events.

2. Support programme delivery, stakeholder engagement and the generation of new programme and funding partnerships across Renfrewshire & West Dunbartonshire. 

You’ll work closely with the Career Ready Glasgow & West Areas Local Advisory Board, the Programme & Partnerships Manager for Glasgow, the Head of Programme & Operations, the Scotland Partnerships Manager, Partnerships Lead, and your fellow Programme & Partnerships Managers — all committed to delivering quality, impact, and sustainability. You’ll also collaborate with the Scotland Operations Team to
ensure accurate data, strong processes, and effective management information for the area.
