Job Title:  System Administrator

Reporting To: Head of IT

Working pattern: Based from home with regular travel to The Felix Project depots in west, north & east London

About The Felix Project

The Felix Project is a dynamic London charity that works with food suppliers and charities and schools to reduce food waste and food poverty. We were set up in 2016 by entrepreneur, Justin Byam Shaw. 

More than eight million people in the UK struggle to afford to eat every day, while our food industry generates 100,000 tonnes of edible food waste each year. 

We rescue good food that cannot be sold and would otherwise go to waste.  This is high-quality and nutritious, including a high proportion of fresh fruit and vegetables, baked goods, salads, meat and fish.  We collect or receive food from 170 suppliers, including supermarkets, wholesalers, farms, restaurants and delis. 

We sort and then deliver this food to charities that cook meals and prepare food parcels for vulnerable people and to primary schools to distribute to children and their families. This year we will deliver over 5000 tonnes of food to more than 310 London frontline charities and primary schools. This is enough food to make over 13 million meals. 

We have 37 staff, 400 volunteers and a fleet of 20 vans, and we run three main operations: our two depots at Enfield and Park Royal and our Central London operation.  The depots are open during the day and from these we collect, sort, deliver and store surplus food completing pre-configured routes.  Our Central London operation runs in the evening and does point to point re-distribution directly from food retailers to charities, without the need for depot storage.  The Central London operation is fully “green” and uses electric vans and walking and cycling routes to extend our reach.

The Situation

Since the start of Covid we have seen demand for food from our many charity partners rocket, and now we are sourcing and delivering food for more than 500,000 meals every week (a 300% increase since March). With our talented and energetic workforce we are now committed to make an even greater impact on food poverty by growing this to 2 million meals per week (100 million meal per year) by 2023.

As part of this ambitious plan we have committed to Microsoft 365 infrastructure and we already utilise Outlook, SharePoint, Teams and PowerBI, with users established on our Azure AD. With the help of Accenture and Avanade we have implemented Dynamics 365 for Field Service, managing our receipts and deliveries of food in our fleet of vans using a PowerApps Portal to enable live updates for our volunteer drivers. Now, building on this we want to extend the use of dynamics into our Fundraising and Volunteering teams by migrating data and processes from proprietary cloud-based systems onto a single Dynamics 365 CRM platform, and then implementing world-class marketing tools to help drive our need to attract more great people and resources.

The Role

We're looking for a Microsoft 365 Administrator to join our busy team. Working from home and our depots, you'll be responsible for supporting, managing and developing our M365 platform. Working with colleagues and external consultants, you'll take responsibility for ensuring our ecosystem is in great order and delivering measurable benefits for our business and our customers.

This newly created position would suit an experienced IT Support Analyst / Systems Administrator / Service Desk Engineer with experience of supporting Microsoft 365 / Office 365 and related technologies such as Exchange and Active Directory in a startup or SMB environment. The ideal candidate should have 5+ years hands on experience.

You will have strong tenant level experience of implementing and managing Microsoft 365 (Teams, SharePoint, OneDrive, Exchange). You will also have a good understanding of PowerPlatform, (including PowerBI, PowerApp and PowerAutomate) and some experience of managing Microsoft compliance and security. Experience of the governance and best practice around cloud infrastructure and applications would be an advantage.

You will support the business by taking responsibility for the day to day operation and resilience of all business systems, including resolving support issues and overseeing our external helpdesk and support partner. This key role demands exceptional problem-solving skills and the ability to drive issues to resolution whilst being able to prioritise competing demands and cope in pressurised scenarios. The ideal candidate will also have excellent communication skills and be able to support users in diagnosing and resolving issues in the most effective ways.

This is a 1 year fixed-term contract. In that time you'll encounter a wide range of valuable experiences for your professional development. Plus, we've some exciting plans going forward, so who knows what the future may bring?

Key Skills:

  • Good experience as administrator of Microsoft 365 and Dynamics 365
  • Experience supporting and training users, developing system policy, roadmapping and agile development
  • Strong skills and experience in Office 365 applications
  • Understanding of Microsoft Licensing
  • Experience in the analysis, documentation and re-design of business processes
  • Competence in PowerBI, PowerApps and PowerAutomate
  • Experience of Microsoft Visual Studio, Common Data Model and Nonprofit Accelereator would be an advantage


  • Work with external consultants to make recommendations towards service improvements and standards
  • Oversee all IT support issues via IT ticketing system
  • Monitor trends and proactively respond to issues to support the business
  • Lead in planning software updates ensuring capacity to delivery
