We are currently seeking for an Office Co-ordinator to join our team in Edinburgh on a permanent, full-time basis, working 35 hours per week (9am to 5pm, Monday to Friday).

Our Edinburgh office is a vibrant working environment and can support up to 25 people, although on a day-to-day basis, there are generally around eight of our colleagues working there. This is an exciting, full time office role, reporting into the Facilities and Operations Manager who is based in London.

The Role

As an Office Co-ordinator, you will assist with the smooth running of our Edinburgh office and provide the required support to the Facilities and Operations Team.

Providing a friendly and welcoming environment for staff, you will act as the first point of contact for all Edinburgh based staff, effectively dealing with staff requests relating to their working environment, including health and safety issues.

You will also provide IT support to staff, liaise with our IT provider, carry out staff building induction and training as will be required for new starters, ensuring that procedures are in place for onboarding of new staff.

Additionally, you will:

- Ensure meeting room equipment is in working order
- Arrange Edinburgh based social functions for staff
- Process invoices and track payments
- Ensure up-to-date information is available on the SharePoint Facilities intranet site

About You

To be considered as an Office Co-ordinator, you will need:

- Experience in a similar service and administration and/or office support orientated role
- Experience providing support to financial administration processes
- The ability to set up, implement and maintain office systems
- Good knowledge of IT and Office 365
- Good written and verbal communication skills
- A proactive, flexible effective planner with a can do attitude
- At a minimum, A-Levels or an equivalent level of education or equivalent experience

About the role

We have an exciting opportunity for an Advocate to join our team covering Dumfries and Galloway. You will be involved in one-to-one advocacy along with group work across the area; this could be in a clients’ home or other suitable community venue and be home based for telephone referrals and administrative tasks.  Therefore, access to your own transportation and a suitable home internet connection is essential. 

This is a full time role for 35 hours per week, applicants who do not hold the Level 2 Award in Independent Advocacy will start on £22,500 per annum.

ABOUT THE ROLE

We have an exciting opportunity for a Head of Compliance, Risk and Audit to join the wider Compliance, Audit and Risk team at SIG! You will have the overall responsibility of keeping participants, residents, and staff safe. The team manages the development, monitoring, and reporting of several areas including but not limited to accidents, incidents, and near misses (AINMs), safety reviews, safeguarding, whistleblowing, complaints, policy and procedure, health and safety, internal audit, business continuity planning and data protection.

As The Head of Compliance, Risk and Audit, you are the lynchpin of the wider team, linking strategic vision with solid and accountable implementation. OVERVIEW OF KEY RESPONSIBILITIES

• Line Management and leadership throughout employee lifecycle this includes; Recruitment, Onboarding, Inductions, training, support and supervision, relations, wellbeing support, and other areas.
• Formalise Key Performance Indicators (KPI’s) and Service Level Agreements (SLA’s) to monitor objectives.
• Provide both line management and professional consulting using best available forums and mechanisms, including meetings, support effective teamwork and communication. • Deputise for the Director as required.

Safeguarding, Audit, and Compliance

• Oversee the compliance audits across departments and services, providing support, and follow up with operational teams on a regular basis.
• Oversee the Safeguarding infrastructure, deputising for the designated safeguarding lead (DSL) as necessary. Oversee complaints and other processes and develop these to ensure they are safe, fair, equitable, and fit for purpose.
• Support services with commissioner led quality assurance framework (QAF) inspections and those registered with the CQC to maintain their portfolios and ensure they are ready for inspection at any time to retain their registrations.
• Promote and support a positive whistleblowing culture, assist Champions, People and Culture, managers and the audit and compliance team on concerns raised and ensuring the whistleblower is protected.

Reporting and Analysis

• Attend and develop AINMs review meetings for maximum impact in terms of positive safety culture. Ensure the lessons learned from AINMs reviews, safety reviews, and safeguarding concerns are shared and feedback loops are closed.
• Review the collation and analysis of AINMs and Safeguarding alerts, developing the Audit and Compliance team, as well as other operational teams in reflection and root cause analysis

Data Protection

• Monitor the use of external data protection and compliance partners to ensure we maintain ICO requirements and maintain our Data Security Protection Toolkit Certification.
• Monitor and ensure integrity in document control, policy, and procedures as they are developed, reviewed, and published.
• Understand and support an Information Security infrastructure alongside additional teams in the organisation and support Managers and teams with training and challenges where necessary.

Other responsibilities than those described above may be required to be undertaken from time to time and will be expected to be performed to as long as it is within the capability and level of the position. Please refer to JDPS attached for more info

KEY CRITERIA

What we are looking for:

• Proven experience in complaints and incident handling, safeguarding, data protection, and audits
• Proven experience in governance systems and structures which can include auditing, risk management, investigations, complaint handling, policy, procedure, and report writing
• Experience and/or ability to coach, develop, and manage direct reports
• Background in health, social care, criminal justice, and/or supported housing systems
• IT Proficiency, ability to learn new software programs, and ability to confidently use and utilise Microsoft programs
• Adequate understanding of the importance and mechanics of document control and writing policy and procedure
• Working knowledge of health and safety processes and procedures
• Ability to write reports in a clear, readable format

SPANA - The Society for the Protection of Animals Abroad is the global charity for working animals in low-income countries. This pivotal role will provide strategic financial leadership, overseeing financial management, IT systems, and operational efficiency to ensure the financial sustainability and growth of the organisation in alignment with its charitable objectives.

The Director of Finance and Operations will report into the CEO and manage a small team of three. The successful post holder will spend the majority of their time on finance and governance processes and matters as well as holding oversight of the outsourced IT contract acting as the main point of contact.

Duties for this role will include:

• Provide robust financial information for operational management and decision-making.
• Ensure financial sustainability and facilitate growth to further charitable aims.
• Maintain financial probity, controls, and compliance with HMRC and Charity Commission.
• Lead budgeting, forecasting, and financial reporting to the Board of Directors and Trustees.
• Manage financial risks and appraise the viability of plans and proposals.
• Ensure effective payroll, pension scheme management, and procurement procedures.
• Lead commercial decisions in collaboration with the CEO.
• Act as Company Secretary, ensuring legal and statutory compliance.
• Oversee and enhance IT systems to optimize organisational workflow.

This position will be offered on a home working contract however attendance to key meetings will be required. These meetings will happen mostly across London and Birmingham with all  travel expenses paid for. This Director of Finance and Operations will mostly suit candidates that have previously worked in a small sized not for profit organisation.

• Be a fully qualified accountant (CCAB/CIMA/ACCA).
• Be experience managing teams.

Elders Voice is a local charity serving older people in Brent. We are recruiting a CEO to lead our talented and experienced staff team through a period of change to ensure our financial security.

Elders Voice is an established and trusted charity in the heart of Kensal Green. We believe ageing should be a wonderful and worthwhile journey, but for that to happen older people need to feel safe and happy in their homes and have access to affordable activities in an environment that embraces their differences. 

The pillars of our work are a well-respected handyperson service and a day centre offering a range of activities focusing on health and well-being, socialising, art, gardening and intergenerational work with and for older people.

The CEO will need to embrace our aims and lead the EV team to provide services based on holistic, long-term, high-quality relationships and to ensure that older people shape development of our services. In this difficult economic environment, we need to explore new funding opportunities and transition away from a reliance on local authority funding.

You will report directly to the Chair of the Board of Trustees and be supported by the board and a small, dedicated staff team.

• To lead the staff team to deliver excellent services for older people in Brent.
• To ensure the financial stability of Elders Voice.
• To work with the board of trustees to develop and deliver the strategic plan.

​Main purpose of the post 

We are seeking to appoint a Business Development Coordinator to join a wider team that spearheads RUSI’s research fundraising efforts. Reporting to the Director, Research Business Development, the successful candidate will enhance the institute’s business development activities by providing administrative and coordination support for business development, contracts, and risk management. Working closely with research groups, central services teams, and the senior management team, the successful candidate will be responsible for ensuring that RUSI is well-placed to spot and respond to new funding opportunities and that our contracts are high-quality and executed efficiently. 

This is a highly collaborative role that involves building very strong internal relationships at all levels of the organisation and managing competing priorities and deadlines. We are seeking a team player with a pragmatic and positive attitude and excellent attention to detail, who will enjoy taking on new challenges, using your initiative to solve problems, and seeing your work directly contribute to meeting our short- and long-term goals.

​Key tasks 

Tracking, identifying, and sharing new funding opportunities:  

• Conduct research to identify potential funders and grant opportunities, populate and maintain a prospects tracker. Ensure we have an accurate and current map of relevant funders at all times to draw from.

• Manage the Business Development email inbox, ensuring we are registered to all relevant portals and that we are regularly checking funder portals that do not send notifications. Share summaries of relevant opportunities with the BD Director along with suggested dissemination plan, agree next steps and follow up with appropriate Research Groups.

• Support research colleagues to identify funders to invite to RUSI events and draft outreach emails.

Providing administrative and coordination support on bids, contracts, and new business activities: 

• Assist the Bids Manager with compiling information about RUSI as an organisation, its registrations, policies, organisational structure, banking and insurance details, financial information, and other generic details to be included in bid submissions and for due diligence. 

• Support the Bids Manager/Director of Research Business Development with administration and coordination of specific components on large bids.

Maintaining and improving business development processes and systems: 

• Ensure the business development team trackers (action log, new funding opportunities etc.) are accurate and up to date. 

• Work closely with RUSI’s Legal and Contracts and Finance teams to finalise funder contracts and ensure that final copies are saved centrally, and key information is distributed to relevant teams. Ensure that relevant and accurate funder information is tracked by the finance system for ongoing analysis. 

• Review drafts of subcontractor agreements and work closely with RUSI’s Legal and Contracts team to manage the process for preparing, securing approval, finalising, and sharing sub-contracts. 

• Act as central point of contact for the research funding pipeline, ensure it is functioning as needed and respond to ad hoc questions.

• Manage the team’s Sharepoint page, ensuring that it is useful and relevant for research colleagues, with high-quality templates and guidance.

• In coordination with colleagues on the Communications team, update RUSI’s customer relationship management (CRM) system with accurate, relevant and up-to-date funder information and develop and promote best practice for CRM usage for BD.

• Update RUSI funders on the website annually, ensuring that they are accurate and that we have appropriate permissions to acknowledge them publicly.

• Assist in preparing training materials and internal presentations, including by conducting data analysis. 

• Schedule regular catch ups with research groups, take and share notes in appropriate formats, update trackers. 

• Take accurate and useful minutes and share and follow up on action points after Business Development meetings.

• Establish strong working relationships with research teams, central service teams, and senior management.

• Assist with administrative tasks for the business development team as needed, including setting up tech (Zoom/Teams) meetings, coordinating diaries, and booking meetings.

Managing the institutional Risk Management process:  

• Be responsible for ensuring that risk registers are maintained and updated across the Institute to track risk within the organisation.

• Attend all Audit & Risk Committee meetings to update members on changes to the risk register, and take minutes for each meeting. 

• Work with the COO and Business Development team to ensure that RUSI has in place all policies and procedures across the Institute that are required by funders on various projects. 

• Assist the COO in keeping up to date with all Charity Commission guidance on charity operations and compliance.

​Essential Skills and Experience:  

• Professional experience in charity administration, business development, customer service, events management, account management or similar.

• Previous experience in grants administration or project management. 

• Basic knowledge and awareness of common requirements for bid submissions including such items as statements on duty of care, quality assurance, supply chain management, gender, and diversity, equity, and inclusion. 

• Experience in contract administration and completion. 

• An undergraduate degree or equivalent in business, international relations, or related field.

• Team Player – a genuine enthusiasm to help others, collaborate across multiple teams, and to see your work contribute to the benefit of the organisation. 

• Excellent interpersonal skills and ability to work with different personalities and manage confidential information with sensitivity.

• Excellent organisation and attention to detail – you can maintain, implement, and improve systems, processes, and databases to ensure that our data and outputs are accurate, thorough and up to date. 

• Outstanding time management skills and a willingness to work flexibly – juggling shifting priorities and competing deadlines, managing people’s expectations effectively. 

• Strong IT and Microsoft skills (Excel, Word, Outlook, Adobe and PowerPoint)
