You will be responsible for coordinating the internal operations of the organisation including contract management, ICT, office and HR support. Key responsibilities:
Execute financial administration tasks to time (25%):

Organising and providing meeting support (15%):

Organise meetings and international workshops in the UK and in overseas locations within an agreed budget. This includes the planning and coordination of logistics, such as participants registrations, venue selection, travel arrangement, accommodation and catering, as well as the circulation of meeting documents and invitations, and the processing of travel expenses and invoices.

Provide on the day support for meetings and workshops including catering and ICT.

To provide secretarial support to the Board of Trustees. including identification of appropriate meeting dates, circulation of papers and drafting of minutes.

Update information concerning Trustees and the latest audit with Companies House.
Support the administration and monitoring of grants agreements (15%)

Coordinate the invitation and submission of grant proposals.

Prepare draft grant agreements based on approved applications.

Review quarterly financial reports submitted by partners in receipt of grant funding highlighting any areas of concern and improvement.

Carry out internal financial audits of partners in receipt of grant funding highlighting any areas of concern and improvement in how the funding is managed.
Coordinating the administration and monitoring of consultancy contracts (25%).

Support the recruitment, negotiations and management of consultants and advisors including coordination with the client.

Prepare draft consultancy contracts based the agreed scope of work and conditions.

Coordinate and monitor consultants’ timesheets to capture time billed against the days allocated in the contracts and approval process.
Execute office administrative tasks to time (20%)

Coordinate, relay internal emails to staff, reserve equipment and venues for presentations and in-person staff meetings, maintain office calendars and send out meeting reminders.

Provide administrative assistance to colleagues when necessary.

Coordinate ICT issues with the service provider.

Day-to-day management of staff recruitment including placing of advertisements and arrangements for shortlisting/interviewing.

Experience
At least 2-3 years’ experience of operational administration and/or assistance with programme oversight, including implementation and governance.

The Role

Campaign Planning & Data Selections Officer

About the Role
As our data savvy Data Selections Officer, you will update and write SQL scripts to enable WaterAid UKs fundraising mass communications, and champion our supporter’s experience ensuring supporters receive communications that are relevant to them.
In this role you will collaborate with stakeholders across Fundraising, interpreting their data requests into SQL scripts, and work closely with the Data Engineering team to update our data warehouse as the organisations data requirements evolve.
You’ll also:
- Review current SQL scripts and optimise them
- Work with teams on setting up, and updating our supporter journeys
- Advise stakeholders on using data effectively, creating variable outputs or segmentation for testing
- Work closely with the Analytics team, implementing their findings and collaborating on propensity models
- Champion data quality, and work with relevant teams to constantly improve the data in the data warehouse.
Requirements
The successful applicant will have a keen eye for detail and be able to interpret natural language data requests into complex SQL queries.
To be successful, you’ll need:
- Experience of writing SQL syntax, including the creation of views, stored procedures and processes.
- Good knowledge of data protection legislation and its application.

Although not essential, we also prefer you to have:
- Experience working in a Fundraising or charity environment.

About the role
In this role you'll be a vital member of a highly talented, customer focused and enthusiastic helpdesk team who act as the first point-of-contact for end users.
A service desk expert you'll take pride in resolving almost all issues as they arise. With a high percentage of customers supporting our work in Retail, you’ll participate in a weekend cover rota, allowing service to our shops and stores to be delivered. Working hours needed to deliver these services are 35 hours/week – staggered in accordance with the support rota.
Working arrangements
This is a fixed term contract covering an internal secondment.
This is a blended role, where your work will be dual located between your home and our London office.
At BHF we believe in the power of being together, so our colleagues on blended contracts can expect to spend some time in their office, approximately three days a week. Working hours needed to deliver these services are 35 hours per week covering a rota schedule (the team cover 8am to 6pm every day).
The role will also participate in a weekend cover rota allowing service to our shops and stores to be delivered. This will be in the region of 1 weekend in 4-6.
About you
With previous service desk experience, having working in the SD environment previously, you'll have excellent customer service and communication skills, being used to working in a busy service desk team. You'll also have excellent telephone and customer handling skills to back up your technical and fault diagnosis experience.
You’ll have strong troubleshooting skills, keeping the Customer informed of progress against their respective issues, ensuring an effective follow-up to ensure all service has been delivered and completed to the Customer's satisfaction.
With good knowledge of Windows OS (Win 10 and above), you’ll also have knowledge of LAN/WAN networking essentials and extensive experience of MS Office suite of Applications (2010 and above). You’ll have previous experience with administration of Users within Active Directory and Remote Support Tools (i.e. VNC, RDP etc.).
You'll have good knowledge of ticket and case management techniques, able to manage your own queues and workload to meet demand. You’ll be able to remain calm and focused, and will have strong organisational skills, able to use prioritisation and escalation techniques, and able to develop strong working relationships with the team and contacts across the organisation.

The Digital, Data and Technology (DDaT) Service Manager provides leadership for the outsourced service desk, IT supply and Site Service Engineering functions of the DDaT team and is the point of escalation for all Barnardo's colleagues accessing services, incident management and request fulfilment.
The DDaT Service Manager is responsible for the delivery of exceptional Site Service Engineering at over 1000 sites and responsible for the delivery of IT Supply services to over 7000 colleagues across the UK. The Service Manager also owns and operates the outsourced Service Desk via the current partner relationship, working in collaboration with internal technical teams. The Service Manager will report to the Director of Digital, Data and Technology (DDaT) and is a member of the DDaT Leadership Team.
Continuous improvement of services, ownership of the service catalogue entries, effective self-help documentation and assets, are core activities of the role, alongside ensuring the delivery of excellent business as usual services, and ownership of key transformation initiatives. Fiscal management of delegated budgets, accurate forecasting are key success factors of the role.
The post holder will be responsible for engagement with all stakeholders, aligning working practices with the DDaT Operating Model, identifying improvement opportunities and all other similar practices to grow the function.
