The position

To support the AKF(UK) team by running efficient and effective systems for front office and office operations. To support the Head of HR and work closely with the HR Officer in HR Administration. To cover for PA duties to the CEO when the PA to the CEO and Office Administrator is not available. This support and coordination role will help the office as a whole to sustain high professional standards and effectiveness. The Office & HR Assistant is responsible for: office administration (50%), HR, Health& Safety & security administration (45%), and IT administration (5%).

KEY RESPONSIBILITIES AND CORE TECHNICAL COMPETENCIES

Office administration (50%)

• Answer the AKF UK main phone line and pass on messages to AKF (UK) employees as appropriate
• Open and process the post at the Aga Khan Centre and deliver to the relevant AKF (UK) employee
• Manage the “front office” email account and ensure emails are replied to or forwarded to the relevant AKF (UK) employee
• Support the greeting and receiving of AKF (UK) guests at AKC
• Book meeting rooms at AKC for colleagues and external partners and arrange catering as required
• Support AKF(UK) events, facilitate and support hosting of meetings and events for partners, including travel, visas, accommodation, and catering; this may require some out of office duties
• Manage the meeting schedule for All Staff Meetings
• Support the management of the organisation’s travel agent
• Support the management of the organisation’s mobile phone provider
• Arrange couriers for AKF (UK) employees as required
• Collect and maintain a detailed inventory of office equipment, IT equipment (mobile phones, laptops, desktops etc) and supplies

HR, Health, safety & security administration (45%)

• Maintain a detailed contact list for all AKF (UK) employees and keep it up to date
• Keep the AKF (UK) Emergency WhatsApp group up to date and share emergency messages as required
• Support recruitment processes by placing job adverts internally and externally
• Preparing and sending out offer letters and contracts as directed by the Head of HR
• Support the onboarding process including sending reference requests and background check requests
• Arrange induction and logistical arrangements for new employees including setting up phone, email, mobile, laptop, etc and purchasing new equipment as necessary
• Add new members to benefit schemes such as the private healthcare plan 
• Arrange leaving process for AKF (UK) employees and ensure all equipment is returned
• Support the Head of HR with the administration of the HR Management System (MyAKF)
• Troubleshoot any issues or problems with the MyAKF HR system, working with the MyAKF helpdesk
• Provide MyAKF system training to new starters.
• Draft visa sponsorship letters for all AKF (UK) employees and submit for approval and signature
• Provide Visa invitation letters to visiting delegates/employees.
• Coordinate with our travel insurance providers to arrange additional coverage for employee travel where required.
• Act as a Health and Safety Officer and Fire Marshal for AKF (UK)
• Act as a AKF (UK) First Aider including obtaining annual certification
• Create and cultivate an office culture that contributes to the happiness and well-being of all employees. 

IT administration (5%)

• Liaise with internal IT support as necessary to trouble-shoot issues and order equipment
• Work with IT services to ensure that all software is updated and maintained on individual’s computers and hardware on a regular basis.

• Cover the PA to the CEO and Office Administrator’s workload during periods of sickness or annual leave

More about the role

Veterinary Surgeons at Blue Cross are exposed to a wide variety of medical, surgical and emergency cases, enabling rapid development of skills and confidence in general practice. 

This is a full time, fixed term contract for six months. The shift pattern is mostly Monday-Friday 9am-5pm, allowing for an excellent work-life pattern. You will be a part of the evening and weekend rota, which is shared between vets based across Victoria, Merton and Hammersmith resulting in about 2 evening shifts a month and 1 weekend day shift (compensated by time in lieu) every 6 weeks. You will be based primarily at our Victoria hospital, however some flexibility in supporting pets at our other sites is needed. 

About the hospital 

The Blue Cross Victoria hospital has been in operation since its opening in 1906, remaining steadfast in its commitment to helping pets and their owners in need. 
 

Equipped with state-of-the-art veterinary facilities, you will be joining a hospital that spans six floors with six consultation rooms, two theatres, four minor procedure rooms and a laboratory. We are also lucky to have an ambulance service dedicated to transporting animals to and from the hospital. 

Victoria is a 24-hour hospital with a dedicated night team, allowing for much desired case continuity. You will take an active part in our team development days, where once a month we provide emergency services only, allowing time for in-house cadaver training, case discussions and team meetings.

At Cruse, we have recently launched our new strategy, setting out our charity’s plans to grow our income and build on our expertise and unique position in the sector. We provide expert bereavement and grief information and support, and our charity has been supporting people for over 65 years. We support adults, children and young people across England, Wales and Northern Ireland, through our national services, over 80 local branches and online information about grief and bereavement. You will lead and develop Cruse’s digital individual giving activity, creating engaging campaigns and supporter journeys that drive sustainable income and strengthen donor relationships.

About CoppaFeel!

CoppaFeel! are the UK’s only youth focused breast cancer awareness charity, and we’re on a mission to get every 18-24 year old checking their chest. We educate people on the signs of breast cancer and encourage them to check their chests monthly, so that if they notice something unusual they are empowered to contact their GP and advocate for themselves.

We do this because when diagnosed early, breast cancer treatments are more effective and survival rates are higher. Early detection can save lives.

Breast cancer does not need to be detected late, and as long as we are here and continue to be supported by people like you, we will do all we can to make sure this doesn’t continue to happen.

The Role

CoppaFeel! is looking for a Policy and Public Affairs Officer to help grow our influence in the policy and public affairs space, and ultimately improve outcomes for younger people with breast cancer. 

The Policy and Public Affairs Officer will sit within the CoppaFeel! Policy and Influencing team within the Education department and will work closely with the Senior Policy and Public Affairs Manager. They will support the implementation of our policy and influencing strategy that aims to build our policy expertise, influence the debate, grow our networks and drive system change. 

This is a hybrid role, with the expectation that you will attend the London office 2 days per week (though we are open to flexible arrangements). You will be required to attend the office for quarterly team meetings, department meetings and in person training, we will provide plenty of notice for when you are required to be in for these purposes. 

This is a fixed term contract for 18 months.

Duties and Responsibilities

Advance our policy expertise

• Research policy areas to support CoppaFeel!’s evidence-based policy work
• Monitor key policy developments in breast cancer and younger people
• Stay on top of new external research and data releases

Influence the debate

• Draft policy briefings on key policy issues for younger people with breast cancer
• Contribute to policy debates, e.g. by drafting consultation responses, briefings and statements
• Support the smooth running of policy events, including event organisation, stakeholder mapping and engagement

Reach the right people

• Engage a variety of stakeholders with CoppaFeel!’s work - from policymakers to journalists and other charities
• Support the development and maintenance of relationships with key stakeholders, and maintain CoppaFeel!’s stakeholder database

Drive impact

• Support the implementation of CoppaFeel!’s policy and influencing strategy
• Support and coordinate policy and influencing campaigns
• Measure and report impact of policy and influencing work 

Work across the organisation

• Work with colleagues across CoppaFeel! to ensure policy messages are aligned and embedded across the charity’s work and audiences
• Undertake any other reasonable duties or responsibilities as required by the Charity, in line with the needs of the organisation.
