This is a newly created administrative role to increase capacity in Londonwide LMCs, the membership organisation representing approximately 7,000 NHS General Practitioners in over 1,100 practice teams in London, providing pan-London leadership and shared committee services for its members. The organisation has an important role to Value, Care for and Protect general practice.
An exciting opportunity has arisen to join our Workforce-Training and Innovation team, which provides project management across the organisation and training for constituents across the 27 Londonwide Boroughs that make up Londonwide LMCs. The team also coordinates a range of supportive services for practices that are delivered through managed relationships with associates.
In this role, you will report to the Head of Workforce-Training and Innovation and work within the WTI team, playing an integral part in linking our work across the directorates at Londonwide LMCs and externally with our practices and constituents.
The focus of this role is to provide administrative support to the Workforce-Training and Innovation team, enabling the smooth running of projects, scheduling meetings and supporting events. It would be helpful if candidates have excellent administration and note-taking skills. We would like to hear from candidates who have experience in:
- Owning the administrative tasks required to enable smooth team operations.
- Attending team meetings and other project meetings, providing administrative support, and ensuring an accurate record of the meeting and actions is made.
This is a full-time (35 hours per week), permanent post, but applicants seeking part-time/job-share roles are welcome.
As an organisation, we work flexibly, and regular home working is supported. The post is contractually based at our offices located in central London near Euston, where we host quarterly connect days for all staff. Whilst regular home working is supported, some travel or office attendance may be required to attend pre-planned meetings or events.
The salary for the role will be £25,000 pa plus membership of the group personal pension scheme with a 16% employer pension contribution (£4,000, making total remuneration £29,000). About the team
Shelter Sheffield provide housing advice and support to people across the city with a focus on emergency homelessness, intensive support for children and families, people experiencing domestic abuse and people with multiple and complex needs. We take a holistic approach to help people deal with interrelated issues that can impact their ability to keep a home and help over 5000 people a year while also working to change the underlying systems that cause the housing emergency.
About the role
You will be the first point of contact for in-person and telephone callers to the service - taking client details, providing information and working with advisers to direct enquiries to the right people.
You’ll provide administrative support and have responsibility for designing and developing office systems and processes, data input, extraction and analysis and finance administration. Helping front line staff with case administration, assisting the Hub managers with ad-hoc projects and seeing that our office equipment is properly maintained – all are aspects of this interesting, varied and vital role.

Main responsibilities will include:
Administration
- Be responsible for securing contracts by confirming booking information and working with the Head of Budgets, Contracts & Policy to ensure freelance trainer contracts and Service Agreements are in place
- Oversee the general administration of all APD functions including responding to customer queries and feedback

Finance
- Be responsible for APD budgets including raising sales invoices, reconciling payments and managing deferred income

- Ensure all finance and operations processes and procedures are rigorously implemented in collaboration with the Finance & Operations team
- Produce budget forecasts for APD and provide monthly updates on current financial position to the Deputy CEO and Head of Budgets, Contracts & Policy
- Chase debtors and regularly report any overdue payments to the Finance team
Strategy
- Contribute to the APD growth strategy through ideas and practical solutions

We Are Survivors are looking for an individual, who has the passion, motivation, and keen eye for detail to come and join its ever-growing (and utterly amazing) Central Operations Directorate, as our new Admin Co-Ordinator.
For the past 15 years, We Are Survivors has provided survivor-focused therapeutic and advocacy support to male victims/survivors of sexual abuse, rape, and sexual exploitation. We are looking for someone with experience of working in a collaborative way to join the Marketing and Brand team as Project Administrator on a 12-month fixed term contract basis. You'll support the day-to-day running of the team by providing effective administration and project planning.

To succeed in this role you'll have an helpful attitude, with the ability to take initiative to lead or support on projects as required, and you'll identify opportunities to improve operations. Main duties and responsibilities:
IT

We are looking for a new team member to provide full administrative and programme support to the Employment & Careers team. The role will involve supporting the team in the day to day running of the service including the preparation of contract documentation (such as registration forms, as well as specified supporting evidence: ID proofs, Proofs of Address etc.) for submission to funding partners, uploading data spreadsheets and CMS systems, and supporting the team with promotion, outreach and engagement of our services. This includes conducting follow-ups and answering queries (by phone, email and in person) from both current and prospective participants on the programmes being delivered by High Trees. They will also be responsible for the preparation of finance related performance evidence for monthly/quarterly submission.
The successful applicant will have experience of providing efficient administrative support, be very organised and able to work to deadlines while maintaining a high level of attention to detail. Must also be flexible and excited about being at the heart of a small but fast paced team which is committed to providing an excellent service to High Trees’ users.

Job Purpose:
The Fundraising and Administration Officer role primarily focuses on providing excellent supporter care and administrative support within the fundraising department. This role plays a crucial part in maintaining supporter relations, optimising fundraising efforts, and ensuring efficient administrative processes are in place.
Key Responsibilities:
Supporter Care:
- To be a first point of contact for the Fundraising Department, answering the phone and meeting and greeting people who arrive to the office.
- Respond to enquiries from supporters, prospective supporters and volunteers via telephone, e-mail, and post, maintaining excellent supporter relations.
- Ensure timely and appropriate acknowledgments, using both standard and bespoke correspondence.
- To adhere to administrative procedures to ensure the delivery of a high-quality service which is compliant with all relevant legislation, policies, regulations, and guidelines.
- Provide admin support for Direct Mail letters and appeals, including the use of mail merge, when required.
- Assist with the ongoing stewardship of Regular Givers.
Community Fundraising:
- Co-ordinate the recruitment and appropriate use of volunteers to support fundraising.
- Develop relationships with volunteer fundraisers, with the aim of maximising the funds they raise through challenges, events and talks.
- Support the formation of volunteer fundraising groups.
- Support ongoing and new events within the UK, which may include occasional weekend and evening work.
- Take the lead with the co-ordination and administration of public collections in the UK.
- Take the lead in monitoring fundraising merchandise, and liaise with suppliers, for fundraising materials, including Christmas Cards.
Digital Marketing:
- Support in developing UK digital fundraising opportunities.
- Administer digital acquisition campaigns in the UK e.g. through digital advertising, to generate new donors.
Database Management (Training will be provided):
- Create and maintain contact records on Salesforce, ensuring supporter information is kept up to date by recording changes to mailing preferences, gift aid eligibility and contact details etc.
- Database maintenance and housekeeping e.g. identifying and merging duplicate records, removing, or archiving redundant data, adhering to GDPR protocols.
Finance Administration (Training will be provided):
- Efficiently process and reconcile incoming donations, received daily by post, online and phone. Bank cheques and cash on a weekly basis, and process credit card and CAF donations.
- Record all donations to Salesforce, ensuring the accurate coding of income to the correct source and supporter.
- Administer new Direct Debit instructions.
- Support monthly and quarterly reports demonstrating fundraising income received against budget, to inform the management team and provide accurate forecasting.
- Scan and upload credit card statements and invoices for payment by the Finance team.
- Record and reconcile petty cash expenditure.
- Assist the Finance team in the reconciliation of all income received, responding to any queries.
General Office Administration:
- Order office stationery and fundraising supplies, as required.
- Co-ordinate general office maintenance, as required.
- Arrange accommodation for staff travel to Shrewsbury.
