Administration Officer – England Central

We are recruiting an Administration Officer to provide an effective and comprehensive range of administrative support to workstreams/projects, which will enable the charity to fulfil its function across Central England to a high-quality standard.

What you will do:

Coordinate training bookings, using the diary system, email and databases to ensure training is organised, allocated and delivered.

Create resource pack for colleagues delivering training courses and workshops.

Help to facilitate training delivery nationally, responding to email and telephone enquiries, ensuring preparation, materials, resources, venues, for all events are in place when required.

Help to plan, contribute to and attend PAPYRUS conferences, workshops and events as required.

Collate evaluations and feedback from training and project work.

Act as a first point of contact, including enquiries which may be complex in nature; assessing the nature and urgency of the correspondence and responding or referring to colleagues as appropriate.

Record all enquiries and contacts using the CRM database and ensure that the database is maintained and accurate at all times.

Assist with managing the office diary, arranging and organising meetings/bookings as required.

Manage stock and resources ensuring that the required items are available.

Administer petty cash as required in line with financial processes.

Respond to orders and other requests for information, from stakeholders, by phone, mail and email, according to policy and keep accurate and up to date records.

Undertake general clerical and administrative tasks to support the service as required (e.g., posting items, photocopying, scanning).

To be successful in this role you will have:

Demonstrable experience in an office administrator role or equivalent

A good working knowledge of Microsoft packages (e.g., Word, Excel, Access, PowerPoint) and hands on IT experience of database packages including electronic filing systems and online platforms.

Ability to work effectively with internal and external stakeholders.

Ability to resolve issues and identify solutions, seeking support and guidance where required

Salary: £23,114 per annum (NALC Scale SCP 4) progressing by increments to £23,893 per annum (NALC Scale SCP 6)

Administration

You will support the whole organisation with a range of administrative tasks which will include:

· Completing minutes for key meetings.

· Processing of Expenses on behalf of the Senior Leadership Team.

· Arranging room bookings both internally and externally.

· Support with co-ordinating organisation wide meetings i.e., monthly staff meetings, away days, including booking venues and arranging catering.

· Supporting with governance committee cycles, preparing documents and reports as required.

· Support with the administration of our grants programme, including preparing and issues letter to grant applicants as instructed, updating and maintaining grant budget spreadsheets.

· Inputting data into relevant systems accurately and in a timely manner

· Dealing with enquiries from patients, donors, supporters, service providers and volunteers as required in a timely and effective manner.

· Provide general administrative support to the wider team as required.

· Taking donations in any of the Weston Park Cancer Charity locations

You will work on time limited ad hoc projects, which could include:

· Creating and implementing new processes, including building templates / documentation / matrixes.

· The build-up to / during and/ or after a campaign / or event.

Cover Support

You will provide cover on the front of desks of both our sites: Cancer Support Centre, Northumberland Road and our Charity Hub, Whitham Road which will include:

· Meeting and greeting visitors including supporters and patients and acting as their first point of contact for any queries.

· Dealing with telephone, email and postal enquiries across the organisation

· During cover period, you may be required to open and close the patient spaces, as part of a wider team rota.

· Booking in and logging patients onto the relevant records and databases to provide accurate data.

· Sending appointment reminder calls/texts/letters to clients as required

· Co-ordinating the Transport service, including supporting and co-ordinating the volunteer drivers.

· Managing the consumables within this patient space and ordering replacement stock as and when required.

About the Team

You will be part of the Help for Heroes Community Fundraising Team, who work together to build support in the community to secure donations and build long time partnerships with community organisations / supporters and volunteers to deliver the annual community fundraising budget year on year. You will report to the National Senior Fundraising Manager and work collaboratively across the charity to drive income to support our veterans and their families.

This role will work closely with the Head of Support Services supporting our volunteers and wider community through a range of services and events.

Alongside this you will undertake administrative work to ensure the smooth running of Support Services, and deliver our flagship in person events.

Role Description

Volunteers

o Working with the CEO and Head of Support Services develop and deliver the Volunteering Strategy for the organisation.

o Work to significantly increase the inclusivity of volunteers and the work done by volunteers.

o Oversee the recruitment of volunteers and ensure appropriate induction in collaboration with relevant staff.

o Deliver mandatory initial and ongoing training for volunteers.

o Working with colleagues, produce and keep up-to-date policies, processes and forms, ensuring volunteers understand and use these resources.

o Provide day-to-day support to volunteers, working closely with the Head of Support Services.

o Manage all volunteer programme communications in collaboration with the Communications Officer including: ebulletins, website, social media and print materials.

o Collect and process feedback and statistics and compile reports on satisfaction and effectiveness as required.

o Provide specific support for volunteering roles including;

Helpline and Telephone Buddies

o Support the transition of the helpline to a new scheme such as our telephone buddy scheme

o Support and review the telephone buddy scheme

o In conjunction with the Head of Support Services, support the implementation and ongoing management of a new Facebook support group

o Collate statistics on helpline calls and report on this monthly.

Local Support Groups

o Support the establishment of online condition specific and new regional groups.

o Undertake visits to Local Support Groups as appropriate.

o Working with the Finance and Operations Manager support the groups to use funds they have raised.

Other Volunteers

o Support Office volunteers in their day to day work, being the first point of contact and allocating tasks.

o Working with the Head of Support Services contribute to the development of the Lived Experience Committee.

o Working with the Head of Fundraising support and engage Ambassador and Fundraising volunteers.

Support Service Coordination

o Ensure the CRM system is up to date with all Support Services information.

o Ensure all statistics relating to Support Services are up to date.

o Ensure Support Services’ phone systems and booked calls are effectively and efficiently set up.

o Ensure accurate record of all research and surveys we are asked to engage in and follow up on outcomes of that research.

o Undertake any small administrative duties as required.

o Where required, provide support in managing the helpline emails.

Support Services Events

o Lead on the development and delivery of three one day conference style events annually.  These will be held throughout the UK and will offer panel discussions and networking for our community. 

o In partnership with the wider team, occasionally represent The Foundation by running information stands, coordinating volunteers and preparing information for external events such as industry conferences.

o Where appropriate attend and present at external meetings.

o Support the management and delivery of the portfolio of online and in person events delivered by the Pituitary Foundation in conjunction with the wider team.

Context of the role.

The successful candidate will be guided by the Communications & Fundraising Officer to communicate the experiences of refugees and asylum seekers and demonstrate the impact of Upbeat Communities to our supporters and followers, as well as to new audiences. They will have a positive attitude and love communicating what we do as a charity.

The role can mostly be done remotely; however, it will be required for the candidate to travel to our base in Derby a minimum of 1 day a week to stay connected to the team, and for team meetings and training as and when they occur.

Content creation

•  Creating written and visual content for social media and our website.
• Finding useful resources, articles, and news to be shared on our website, blog and social media.

•  Day-to-day management of Upbeat’s social media accounts including creating and scheduling content, replying to messages, and interacting with followers.

Supporter stewardship

The West Midlands Historic Buildings Trust is seeking to employ a Heritage Assistant for current and future projects led by WMHBT, CoWRBPT, or WBPT. About us:

Colostomy UK is a national charity that offers support and advice to people who have had stoma surgery (ostomates) and to their friends, families and carers. Our projects empower ostomates to return to sports, hobbies and other activities after their surgery and give them the confidence to take on fresh challenges. We advocate for ostomates’ rights and are their voice on the bigger issues. Our campaigns raise awareness of ‘life with a stoma’ and encourage organisations to make their facilities more inclusive.

About the role:

As the Volunteers and Support Administrator you will provide efficient administration to our support services and volunteer team. You will also undertake any admin duties involved with running the Colostomy UK office and support other members of the team. You will be answering and re-directing incoming calls on our stoma helpline. You won’t be providing support to callers; however you will need to have an empathetic approach whilst explaining that you will arrange a support call back from one of our volunteers. You will action calls that come through on our admin line and manage our central email inbox, ensuring requests are actioned promptly. You will organise volunteer rotas, help with onboarding our volunteers and organise incoming and outgoing post. The postholder will take minutes at meetings, ensure the office is kept tidy and co-ordinate stock delivery for events and exhibitions.

This is a practical role, and will be responsible for carrying out cleaning, room setup, regular building related checks and equipment tests and compliance, cleaning, maintenance and compliance for our two commercial kitchens, along with other ad hoc tasks as required.This is a part-time role, for 30 hours per week Sunday-Thursday.

Responsibilities

Some of the key areas of responsibility for this role are outlined below:

Cleaning & Room Setup

• Ensuring the buildings and grounds at HT are clean, tidy and ready to be used for our different mid-week events and for our Sunday services, liaising with our contract cleaners and carrying out cleaning duties yourself
• Setting up for events and services, moving tables / chairs etc as needed
• Litter picking externally and ensuring our grounds are well presented and well-maintained
• Keeping note of stocks of cleaning materials, and ordering more as needed
• Ensuring our stocks of clean laundry are always sufficient, sending and receiving laundry and liaising with our laundry contractor as needed

Kitchens

• Keeping our commercial kitchens clean and tidy and overseeing record keeping
• Understanding and ensuring compliance with our requirements under the Safer Food
• Better Business food safety management procedures
• Ensuring our kitchen equipment is well maintained and arranging annual gas safety checks
• Carrying out daily checks
• Keeping track of levels of cleaning supplies and ordering more as needed

Fire Safety

• Carrying out weekly fire alarm tests
• Carrying out other regular tests and checks, such as emergency lighting tests & fire door seal tests

Health & Safety

• Understanding and ensuring compliance under the COSHH regulations
• Regularly checking and re-stocking first aid kits

General Maintenance & Ad Hoc

• Performing maintenance tasks as required, such as painting, gardening etc
• Moving items as need between our buildings and off-site storage unit

Personal Specification:

We are looking for a can-do, servant hearted person who is:

• Punctual, reliable and able to work effectively without direct supervision.
• A completer/finisher who is detail focused.
• Willing to go above and beyond when needed.
• Previous knowledge and understanding of COSHH and Safer Food Better Business regulations would be beneficial.
• Able to support the vision and values of HT

And:

• In possession of the right to work in the UK.
• Holds a current UK drivers license
• Able to name three referees who can provide satisfactory employment references.
• Although this appointment is not subject to the individual obtaining an Enhanced Disclosure from the Disclosure and Barring Service and/or an international equivalent, we reserve the right to seek these in the future should this be necessary, under the terms of our safeguarding policy. 

Terms & Conditions:

• Hours: This is a part time role for 30 hours per week Sunday-Thursday. Whilst there is some flexibility in the working hours, Sundays will be a working day and most days will require an early start (e.g. 7:30 / 8 AM).
• Salary: £20,160 gross per Anum (£25,200 FTE)
• Start Date: As soon as possible, but can be flexible for the right candidate
• Pension: HT offers an 8% employer pension contribution
• Holidays: 26.4 days per annum (33 FTE) incl. bank holidays, which are normal working days but can be booked off
• Contract Type: Permanent position
• Probation: There is a 3-month probationary period during which the progress of the post holder will be reviewed prior to the confirmation of permanent appointment
• Workplace: Your normal place of work is Holy Trinity Church, Market Street, Cambridge, or any sites in Cambridge that HT may operate from in future

The salary is in line with the BITC job framework - minimum of £22,770 per annum regional and £25,875 per annum London office based. 

The location is flexible - across the UK - homebased or based out of a BITC office with a hybrid approach.

The responsibilities include: 

• Undertaking project management, including coordinating the team
• Tracking, monitoring and evaluating engagement with our inclusion campaigns via internal systems including Salesforce and Power BI
• Supporting the team with primary research, literature reviews of secondary sources and analysis of numerical data
• Developing content such as toolkits, factsheets, blogs, slide decks, case studies and other knowledge-based content to support businesses to engage with and implement campaign asks
• Managing internal and external stakeholder relationships
• Managing the Employment and Skills Twitter channels, posting content and driving engagement
• Using your own initiative to anticipate and vary the effort needed to meet internal and external deadlines
• Supporting on all aspects of delivering events, including occasional presenting

The successful candidate must be willing to undertake some travel within the UK, up to once a month.

The Role

To work as part of the retail team, in supporting merchandising, processing deliveries, serving customers, and maintaining high levels of presentation and customer service.

The Arboretum Shop welcomes many thousands of visitors throughout the year, from schools, families, armed services, veterans, and the public. We carry a varied range of merchandise that links back to our site.

This is a casual role designed to support the retail team through peek trading periods, holiday support, key event days, and evening events such as Illuminated Arboretum, to name but a few.

Are you passionate about welcoming refugees to the UK? Would you like to support refugees to get out of the city to enjoy the Cotswolds and meet local people?

Sanctuary Breaks is a new charity based in Stroud District, Gloucestershire, set up to welcome refugees and people seeking asylum to rural areas in the county, and enable social and cultural exchange between refugees and the resident population, especially with a view to supporting mental health. Your job would be to develop this charity, and increase refugee and asylum seeker opportunities for leisure, engagement and inclusion in the life of the area.

Organisational Development
Work with Board of Trustees to develop necessary policies and procedures to be legal, effective and follow best practice, 
Service and support the Trustees of Sanctuary Breaks CIO
Work with Directors of Hill House Retreats CIC to support generation of Trading Income for the charity
Support the Board of Trustees to make grant funding applications for service development and work with them to develop other income streams: community fundraising; events; donations
Represent Sanctuary Breaks as required

Project development
Work with partners and volunteers to enable two or more rural  Sanctuary Breaks per month (events, day trips or residential visits) 
Develop a system of evaluation to demonstrate the impact of the services that the charity is providing, with particular reference to mental health and wellbeing. 
Maintain and further develop partnerships with refugee sector agencies in the target areas, 
Network with local individuals and community groups and create partnerships as needed to promote a welcome for people seeking sanctuary in the area
Recruit and support volunteers to deliver the service
Lead on publicity and communications to promote the service, including regular newsletter and social media posts 
Develop ideas for and support cultural and fundraising events

Administrative tasks
Maintain the calendar of events and bookings and work with HHR CIC to coordinate bookings of the house between Sanctuary Breaks and trading income activities
Manage day to day finances and provide information as required to the Treasurer
Create and maintain a register of refugee sector organisations requesting sanctuary breaks, allocating bookings, supplying and handling relevant paperwork 

Job:  £25k pro rata,  18 hours per week (initially fixed-term 12 month contract)

Hours: 18 per week, including occasional evening or weekend work

Location: flexible, at least one day per week in Amberley, Glos
