Office Administrator - Donor Communications and Volunteer Liaison

Friends of the Holy Land are looking for an energetic, dedicated individual to join our fast-moving, growing charity.

Friends of the Holy Land has a small network of volunteer supporters around the country and an expanding number of financial donors. This new role will be responsible for communicating with these two communities, with a focus on preparing monthly emails to supporters, monitoring and moderating social media accounts, liaising with external partners to deliver external communications, developing donor stewardship and growing our volunteer network.

The role will also be required to help with regular office duties and will need to be familiar with all aspects of administrative support for the operational success of the charity. You will need to be comfortable working in a faith-based organisation, talking to supporters across the UK and with our partners in the Holy Land, and be competent in creating communications.

Essential Qualifications and Skills

• Office experience
• Must have strong computer skills using Microsoft office (ideally Office 365).  CRM training will be provided as necessary
• Excellent written and verbal communication and inter-personal skills
• Ability to proof-read with attention to detail
• Ability to write and design short communications, e.g. emails, posters (ideally)
• Pro-active with the ability to multi-task and work independently and with changing priorities
• Confident phone manner and a friendly demeanor - be a 'people person'
• Be comfortable working in a faith-based environment
• As part of a small team, a problem-solving, can-do attitude is necessary along with an unflappable demeanor
• Experience of CRM systems helpful but not essential
• Experience managing Social media accounts desirable

This is a full time post and will be office based in an easy location with parking.

We’re looking for a dynamic Workforce Development Coordinator to lead, manage and develop our incredible sports coaches, volunteers and tutors. You’ll be managing everything from recruitment through to personal and professional development. 

You’ll use your people skills to work closely with partners to deliver expert-led training courses, making their activities more inclusive for disabled people. Highly organised and with an eye for detail, you’ll liaise with each partner to make sure we meet their needs. 

You’ll also manage Inclusive Activity Leaders – a truly life-changing programme created in partnership with Nike that trains disabled people to become fully qualified sports coaches and enjoy new careers.

Why Access Social Care Exists

Everyday millions of older and disabled people are denied the social care they need. Most local authorities can’t meet the growing demand for care, none are confident they can meet their legal duties in the future. This affects all of us, we will all need social care at some point.

We all have a right to hold public bodies to account. But most of us cannot afford lawyers so rely on legal aid. The 77% drop in community care legal aid cases since 2010 means we have nowhere to turn. Without access to justice, our rights do not exist. The rule of law is broken.

What we do

Access Social Care provides free legal advice and information for people with social care needs, helping achieve a better quality of life. We work with communities to increase knowledge of the law and our rights. We highlight the gap left by cuts to Legal Aid and provide advice for those who can’t afford it.

With a 98% success rate, our network of lawyers and barristers ensure fair access to justice when things go wrong. We collaborate with social services whilst ensuring legal obligations are met. We are working towards a future where social care is adequately funded, and we all get the support we need.

About the role

This is an exciting time to join our organisation. We have a new strategy and are growing quickly including across our senior leadership team. We have nearly tripled in size and income since we started operating in April 2020 and we anticipate that this strong growth will continue for the duration of our next strategic period. Access Social Care are an organisation of thirty-six people, and this is a new role in the People team coming at a period of growth to drive a thriving charity and help shape its future.

This is a fast-paced role whose emphasis is on policy / process / systems improvement as well as advising colleagues and managers across the organisation regarding all aspects of the employee lifecycle. You will work with people at all levels of the organisation supporting the People Director on strategy work streams as the organisation continues to grow and evolve.

Responsibilities

• Responsible for all day-to-day HR processes within the employee lifecycle to ensure staff are supported appropriately and legislative responsibilities are fulfilled
• Work alongside the People Director to map or review processes across the employee lifecycle, identify blockers and seek to implement solutions that create efficiency and clarity 
• Advise on employee relations and discuss complex or sensitive cases with the People Director to decide the best course of action, ensuring that cases are resolved in a timely manner or be a trusted advisor to our managers with their people challenges
• Coordinate the delivery of projects, process and policy improvements as defined and prioritised within the People Plan, leading on workstreams as outlined by the People Director
• Support the People Director in sourcing training and learning solutions, and evaluating training
• Provide practical upskilling and training to managers and employees in HR practices and policy
• Coordinate recruitment efforts at Access Social Care, ensuring compliance with employment laws and providing guidance to managers. Manage the recruitment cycle and administration process from job ads to onboarding
• Support staff engagement activities across Access Social Care in conjunction with the People Director. These may include but are not limited to the following initiatives: staff survey coordination, and wellbeing events
• To be a super user and actively promote the use of the HRIS system (Bright HR) and ensure that electronic staffing records are updated and maintained accurately in accordance with GDPR
• Dealing with cyclical and ad-hoc data reporting and requests for information including data analysis
• Contribute to effective payroll administration ensuing information is shared with the Finance Officer in a timely manner, and collaborating with the People Director to address and rectify any issues and process improvements
• Work within the parameters of GDPR, ensuring data and information is protected and handled correctly
• Support the People Director as required in any duties which you could be reasonably expected to perform in line with this job description

As Supporter Engagement Officer you’ll play a key role in helping us to engage new and existing supporters as well as helping to deliver first-class stewardship to retain support and build trust. About the role:

In October 2023, the organisation began delivery of Year 1 of their West Midlands based Environmental Leadership Programme in partnership with the Shropshire Wildlife Trust. The role of the Participant Support and Delivery Officer is to work closely with the programmes delivery team across the partnership on the different stages of programme recruitment, delivery and implementation – all to ensure that participants have an excellent experience with us.

Key areas of responsibility include:  

• Supporting the recruitment and onboarding of Year 2 participants in the run-up to the programme starting in October 2024 and provide a friendly point of introduction for participants onto the programme. This will include travelling to support the delivery of in-person taster and recruitment activities.
• Supporting the participants and managing their experience before, during and after programmes. This will include working with the programmes team to ensure we have collected all of the participant information we need to be able to assess the success and impact of our programmes and will include communicating with and keeping track of correspondence with participants
• Carrying out monitoring and evaluation activities and analysis of data that will help us measure and communicate our programme impact, including data collection (qualitative and quantitative) that can be used to create a programme narrative
• In Salesforce - undertaking data entry and administration including the production of basic reports and the ongoing development of simple automation that helps us streamline processes across the programme and partnership

Project development
Work with partners and volunteers to enable two or more rural  Sanctuary Breaks per month (events, day trips or residential visits)

Brooke is seeking expressions of interest to lead a study to understand decision maker’s needs in relation to the inclusion of working animals (with a focus on equids) in Disaster Risk Management policies in low and middle- income countries.

We are seeking a consultant to lead a desked based review of existing policy in relation to working animals in DRM in Brooke’s countries of operation (India, Pakistan, Nicaragua, Kenya, Ethiopia and Senegal) and a decision maker analysis. About EFA

English for Action provides free, participatory, and empowering English language classes (ESOL) for migrants in London. Our classes are spaces to build community and support students to organise collectively around issues like employment and housing rights. Our work currently supports around 500 adult migrants across London. We’ve become a national centre of good practice for a radical participatory approach to ESOL, informed by the work of Paulo Freire, and we share this approach through trainings, research and partnerships.

EFA promotes shared leadership and collaboration and we aim for our organisational structure to reflect this. At Harrogate Homeless Project our vision is that nobody in the Harrogate District has to sleep rough. Each year we help hundreds of people experiencing homelessness to get the support they needto build confidence and move towards independent living.

Harrogate Homeless Project is seeking to recruit a Volunteer Coordinator to join the Fundraising and Marketing team.

This is an exciting opportunity to be part of the growth and development of Volunteering within the organisation. Working with the Fundraising and Marketing Manager, the position will look to develop opportunities for increasing income across fundraising and recruiting volunteers for all areas of HHP activities.

The post holder will be responsible for the recruitment, induction and training of all new volunteers to HHP, and providing ongoing support to staff on volunteer processes.

Regular activities will include, developing recruitment campaigns to promote volunteering with HHP, ensuring all volunteers receive an induction and appropriate training, and identifying specific skills volunteers have developed and matching these to suitable volunteer opportunities to maximise the benefits for HHP and the volunteer.

There will be a particular focus on fundraising within this role, working closely with the Fundraising and Marketing Manager to actively build relationships with local businesses and organisations. Focusing in particular on promoting corporate volunteering and maximizing all support to help identify any potential fundraising opportunities for the Charity.

General responsibilities

Ø  Liaise closely with all departmental heads to identify potential volunteer opportunities.

Ø  Recruitment of all new volunteers to HHP through a variety of methods.

Ø  Overseeing the training and induction to include all external volunteers have a current DBS check.

Ø  Record supporter/volunteer details on the database.

Ø  Ensure storage of personal information is complaint with current regulations.

Ø  Provide a monthly report showing recruitment activities including induction, training and hours of volunteering.

Ø  Obtain feedback from volunteers and/or employers on the volunteer experience and use the feedback to improve the volunteer/supporter journey.

Ø  Build relationships with local corporate organisations to promote volunteering opportunities and recruit volunteers.

Ø  Be responsible for all corporate volunteers through the entire volunteer cycle.

Ø  Identify potential fundraising opportunities to be discussed with the Fundraising and Marketing Manager.

Ø  Develop, maintain and update as required a ‘Volunteer Presentation’ which can be used to support volunteer recruitment activities in corporate organisations.

Ø  Work with external organisations to identify volunteering/development opportunities.

Ø  Match specific skills that volunteers have developed to suitable volunteer opportunities.

Ø  Attend courses and conferences and seek to gain any necessary qualifications, which are relevant to the work and as, approved by the Fundraising and Marketing Manager.

Administration Officer – England Central

We are recruiting an Administration Officer to provide an effective and comprehensive range of administrative support to workstreams/projects, which will enable the charity to fulfil its function across Central England to a high-quality standard.

What you will do:

Coordinate training bookings, using the diary system, email and databases to ensure training is organised, allocated and delivered.

Create resource pack for colleagues delivering training courses and workshops.

Help to facilitate training delivery nationally, responding to email and telephone enquiries, ensuring preparation, materials, resources, venues, for all events are in place when required.

Help to plan, contribute to and attend PAPYRUS conferences, workshops and events as required.

Collate evaluations and feedback from training and project work.

Act as a first point of contact, including enquiries which may be complex in nature; assessing the nature and urgency of the correspondence and responding or referring to colleagues as appropriate.

Record all enquiries and contacts using the CRM database and ensure that the database is maintained and accurate at all times.

The role of Community Youth Worker is, by nature, highly relational and is a position of great influence that enables you to nurture, inspire, connect and empower young people from all walks of life, so they can make the most of their lives. As such, it is a role which is demanding and carries great responsibility, but provides exciting opportunities to impact the lives of young people.

Youth Café

The Youth Hideaway is our flagship project and is a fun open access youth café run by our team after school at our social enterprise café - The Hideaway.

As a Community Youth Worker some of your time will be spent assisting the Youth Café, Project Lead and Head of Youth Work in delivering this project and it may include:

• Helping to create a safe, fun and inspiring environment for the young people that attend
• Plan, prepare and deliver quality youth sessions
• Build healthy relationships with young people that attend the sessions, identifying and responding to the needs that may arise

Monthly Youth Hubs

Youth Hubs are fun open access youth clubs run by our youth workers in the community. These are run on a monthly basis on rotation in different areas within Guildford Borough. As a Community Youth Worker you will be responsible for planning, organising and running at least one HUB, which may include:

• Creating a safe, fun and inspiring environment for the young people that attend

• Planning, preparing and delivering quality youth club sessions

Matrix will often work in collaboration with partner organisations and following a successful run of pilot sessions we are pleased to confirm that from September 2022 we will be extending our work with GASP Motor Project.

• Conduct one-to-one sessions to listen to, analyse and respond to the physical, intellectual, emotional, social and spiritual needs of young people
• Manage, monitor and evaluate caseloads as part of the one-to-one support sessions
• Develop and run a variety of contact points for the young people attending the project, including group sessions
• Build good working relationships with the GASP team

Schools Work

Our work in schools is varied and you may be expected to:

• Conduct one-to-one sessions to listen to, analyse and respond to the physical, intellectual, emotional, social and spiritual needs of young people
• Manage, monitor and evaluate caseloads within your allocated school as part of the one-to-one support sessions
• Develop and run a variety of contact points and projects for young people across the school, including group sessions and drop-ins and after school projects
• Alongside the Secondary Schools Project Lead, supervise and build a team of volunteers to work within the school
• Build good working relationships with school staff, CAMHS and other relevant local services

General

• Contribute to, and be involved in fundraising and other activities that benefit Matrix, including whole staff workshop days, fundraising activities.

Level of Authority

As a Community Youth Worker, you will need to operate with a high degree of autonomy. You will be expected to administer your own time and workload in liaison with your line manager, keeping an ‘open’ diary for all activities.
