The Central Service Coordinator will ensure Gaddum delivers its organisational objectives by coordinating efficient and effective Human Resources, People and Central workstreams.  

The successful candidate will be reporting to the Head of Finance and working as part of a small but high performing team: They will be a key reference point for the organisation’s leaders to ensure those they manage have the best possible opportunities to thrive during the course of their employment at Gaddum. 

The postholder will be responsible for overseeing central systems and processes relating to organisation-wide People Services as required by the Senior Leadership Team and Trustee Board.

Role Context

ALIMA UK is in its start-up phase and is made up of a small team. This period is exciting at times unpredictable.  We need someone reliable who enjoys and has a proven track record of leading and delivering on operational projects for a business or charity while working with senior stakeholders. They should be a highly organised self-starter who is able to work autonomously and lead on projects as well as a great team player.

The role is varied and has a significant financial element, so strong numerical skills and good written communication skills are both important as well as a flexible, responsible approach. Ideally they will also have experience of, and good knowledge of, the charity sector in the UK.

This role is posted as a one year contract as the needs of the business are changing as the organisation develops. At the end of the year the needs of ALIMA will be reviewed and there may be scope to further shape the role, depending on the needs of the business and funding available at the time.

RESPONSIBILITIES

ORGANISATIONAL DEVELOPMENT

• Driving and implementing a varied range of projects that support the smooth set-up of the UK charity, in collaboration with the UK Head of Development 
• Virtual Office Management, including organising cloud based filing systems, managing resources including IT, coordinating information collection 

 FINANCIAL MANAGEMENT

• Working with the Head of Development & Chair to create and develop new financial management systems for the charity
• Ongoing management of the financial systems of the charity including bookkeeping, invoice management and basic reporting
• Working with colleagues to produce financial reports for the Board, donors and others on request

EVENT & PROGRAMME CO-ORDINATION 

• Coordination of small events
• Organising and coordinating staff and trustee visits to the UK and overseas 

SUPPORTING SENIOR STAKEHOLDERS 

• Organise UK board meetings including booking venues, finalising and circulating papers, minute taking

Skills, Experience & Knowledge

• Experience working for a UK-based charity in an administrative, executive support, finance, fundraising or project management role

Senior Programme Manager (School Food Review)

This is a unique opportunity for a person with skills and experience in managing projects, programmes and partnerships to join a coalition of organisations striving to improve child health through improving the school food ecosystem.

Who we are

The School Food Review is a coalition of organisations spanning charities, educational organisations, caterers, unions and academics, committed to working together to improve children’s health by reforming the school food system. The group’s work is coordinated by founder members School Food Matters, Food Foundation, Bite Back 2030 and Chefs in Schools, and is supported by Impact on Urban Health.

The School Food Review has identified three areas of action required to deliver meaningful change – equitable access, fairer funding and quality assurance. Work across these three areas is delivered through focused working groups, drawing on members of the coalition. This includes public campaigning, advocacy and policy development.

The post will be hosted by Chefs in Schools; we are a young, ambitious charity that’s rapidly growing. Our mission is to improve kids' health, through improving school food & food education. Working in areas of high deprivation, we support and train school kitchen teams to serve the best, freshest and tastiest food possible, alongside meaningful food education. About you and the role

The purpose of this role is to coordinate the work of our coalition, the School Food Review, to ensure that we are maximising the potential of the skills and expertise we can draw on from members, and driving meaningful impact. You will work closely with the School Food Review’s Operational Group, made up of key personnel from the founding organisations, to ensure that the coalition delivers on its mission. Whilst employed by Chefs in Schools, your role will be focused within the coalition.

Day to day, you will project manage operational delivery across the School Food Review coalition, ensuring efficient and effective delivery against the agreed work plan, which you will be monitoring and developing in consultation with your colleagues in the operational group. You will ensure that the governance committee and broader coalition group are kept informed of progress, promptly flagging risks and identifying suitable mitigations.

You will have an understanding of the context that we operate in, education and food sectors, and a high-level understanding of the type of work that is being delivered (eg policy, campaigning and advocacy). • Provides an on-going link and communication from one day shift to another ensuring that all scheduled and ad-hoc daily and weekly requirements – either food distribution or kitchen/event – are met. 

• When there is no daily volunteer foreman, covers the foreman role for the day. Also, could cover a missing driver shift (although should be a real exception).

• Handles ad-hoc collections and distributions outside the normal morning shifts (where no volunteers available)

• Acts as the contact point for suppliers and projects for ad-hoc requests and specific daily requirements

Managing a patch of 400+ units across our services you will ensure that challenging rent collection targets are met but also that everything is done to avoid eviction. Your personal qualities are as important in this role as your work experience.

In order to effectively deliver the services listed above to their patch, the Income and Housing Officer will need to work closely with Contract Managers and Support Workers working within our projects to empower and enable them to carry out their responsibilities. Strong interpersonal and stakeholder management skills are a pre-requisite to the role. The post holder will be extremely flexible and have the ability to effectively manage multiple projects at one time.

Fixed term contract of 6-9 months

Needs to be able to travel, some homeworking but priority is out on site visiting customers in their homes and having a presence in the community.

This role requires a valid Right to Work for the UK as Look Ahead are not a sponsoring organisation.

What you'll do:

Take responsibility for maximising rent collection across a defined patch of Look Ahead's portfolio of properties ensuring that rent collection targets are met and tenancies sustained
Advise operational teams on their support related arrears management activities, including holding local surgeries with tenants and staff, taking direct control of higher level and more complex arrears cases
Proactively monitor all current and former accounts within the defined patch and make recommendations to the Housing Manager for appropriate former accounts to be written off or referred to Look Ahead's debt collection agency
Ensure that the rent collection function is carried out both sensitively and in a timely fashion so as to avoid the build up of excessive arrears and record all case details accurately.
Ensure that all sign ups within the defined patch are done accurately on the correct type of tenancy and at the correct rent and service charge levels.
Prepare files and documents for legal action and present cases in County Court hearings for possession claims, money judgements

An understanding of the needs of customers who have experienced homelessness and who may also have support needs.
Excellent time management skills to systematically monitor arrears and complete other tasks in a logical and systematic way.

An understanding of how to effectively deal with breaches of occupancy such as anti-social behaviour and abandonment. .

Do you have a serving attitude and are you passionate about IT? We are looking for an IT Support Specialist who enjoys helping our users across the globe with their technical support needs. As an IT Support Specialist, you will seek optimal user experience by handling and coordinating tickets, training users, and identifying possibilities for improvements. Our technical environment is standard Microsoft M365, Entra, D365, etc. combined with a mix of commercial security tools and custom applications. This position reports directly to the ODI IT Infra & Service Delivery Manager. Our ideal candidate will have excellent technical and communication skills, solid customer service experience, a strong sense of ownership, and a positive drive. 

YOUR KEY RESPONSIBILITIES 

• Monitor and triage incoming tickets (Freshservice ITSM tool), provide timely response to all issues, update internal customers on status, solicit additional information, if needed;

• Responsible for the full professional handling of customer questions, requests, and incidents and take measures when issues arise; 

• Identify possibilities for structural improvements to increase the efficiency and effectiveness of our IT services, for example using PowerAutomate or similar;

• Training and advising individual users in secure and efficient use of IT systems;

• Act as a key first point of contact for UK staff 

• Develop and update  support documentation.
