We are looking for a Personal Assistant (PA) to the Chief Executive Officer (CEO), to provide high-quality, confidential, and proactive executive support. You will be responsible for comprehensive diary and inbox management, coordination of meetings and travel, management of expenses, gatekeeping the CEO’s time, and ensuring the CEO is well-prepared through briefing and action tracking.

As PA to the CEO, you will work closely with the Chief of Staff, Briefing Hub Officer, and other relevant colleagues, to ensure the CEO’s meetings are appropriately supported with papers and briefings. You will also liaise with colleagues supporting the Academy of Medical Sciences’ President, to coordinate diaries where CEO and President activity intersects, and will manage sensitive communications with discretion and professionalism.

About the role

Executive, diary & inbox management:

• Provide proactive and complex diary management for the CEO, ensuring effective prioritisation and forward planning.
• Manage the CEO’s inbox, including monitoring correspondence, prioritising and responding where appropriate, and ensuring timely follow-up.
• Screen, triage, and manage incoming enquiries on behalf of the CEO, exercising sound judgement and discretion.
• Draft, prepare, and manage correspondence and documentation as required.
• Maintain accurate and well-organised electronic filing systems for the CEO’s office.

Gatekeeping, briefings & action tracking:

• Act as a gatekeeper to the CEO, balancing access, prioritising meetings, and advising on scheduling trade-offs.
• Work closely with the Chief of Staff, Briefing Hub Officer and colleagues to ensure meetings are appropriately briefed and supported.
• Track key actions arising from meetings attended by the CEO, ensuring follow-up occurs and deadlines are met, without owning delivery.
• Maintain awareness of protocol, managing sensitive communications and stakeholder interactions with discretion.

Meetings, travel & expenses:

• Arrange all travel and accommodation for the CEO, including itineraries and briefing packs.
• Coordinate virtual, hybrid, and in-person meetings, including booking rooms, managing technology (Microsoft Teams), and arranging catering.
• Prepare, submit, and track the CEO’s expenses in line with Academy policies, liaising with the Finance team as required.

Governance & corporate support:

• Provide administrative support to the CEO in relation to governance activity, including meetings involving the Academy’s Council Members, President, and Honorary Officers, as required.
• Liaise with PAs and administrative colleagues supporting the President to coordinate diaries, particularly where joint meetings or shared commitments arise.
• Support the coordination of CEO-related papers, briefings, and follow-up actions arising from senior meetings.

Corporate events & internal coordination:

• Support the planning and delivery of corporate events attended or hosted by the CEO. This could include the Annual General Meeting (AGM), New Fellows’ Admissions Day, named lectures, and other ad hoc events.
• Assist with coordination of all-staff meetings, senior leadership meetings, and cross-Academy activity involving the CEO.
• Provide diary and administrative support for ad hoc cross-Academy projects requiring CEO involvement.

Systems & information management:

• Maintain and update records within the Academy’s Customer Relationship Management (CRM) database (Salesforce), finance software (Iplicit) and other digital systems, as required.
• Support updates to internal systems and website content related to CEO or corporate activity, where appropriate.

Requirements

• Proven experience providing high-level PA or Executive Assistant support to a senior leader.
• Excellent written and verbal communication skills.

Your Mission

Following a series of significant new business wins, the Corporate Partnerships Team are looking to grow. We are looking for an ambitious and experienced Corporate Partnerships Officer who is motivated by results and a natural-born relationship builder and communicator.  The role will be responsible for managing, growing and extending a portfolio of partnerships (worth approximately £20,000 per year) as well as supporting the wider team with our higher value partnerships and team administration.

Responsibilities

• Provide excellent relationship management to a portfolio of corporate partners (worth approx. £20k per year), including, but not limited to, producing account management plans, setting partnership objectives, supporting fundraising initiatives and employee engagement, thereby significantly contributing to the corporate fundraising budget and strategy.
• Ensure partnership milestones and fundraising targets are monitored, met, reported on and celebrated with key internal and external stakeholders.
• Confidently represent CALM at key meetings and events, where public speaking and delivering presentations may be required.
• Work closely with the Services, Data and MarComms teams to build engaging, accurate and tailored impact reports for partners that encourage long-term support.
• Continue to seek ways of deepening partner relationships, and spotting opportunities for growth and extensions where possible, contributing to CALM’s strategy of growing repeatable, sustainable income. 
• Devise sustainable exit strategies for partners that leave behind a lasting legacy for CALM.

Role Title: Communications and Engagement Officer PT, 3 days per week

This is an exciting part-time position to help develop our new Seeing Nature, Shaping Culture: Art and Identity in Prehistory project. The Communications and Engagement Officer will play a key role in delivering this new project, a major two-year exhibition project funded by the National Lottery Heritage Fund. The role will involve the coordination and promotion of a community activity programme to reflect the objects and themes in the two main exhibitions ‘Iron Age Farmsteads’ and ‘Shaping Britain: the influences of European Cultures on Prehistoric Britain.’

The post-holder will help to design, deliver and promote an inclusive community programme that connects new audiences with Prehistoric Britain through creative, hands-on activities and interpretation of the planned exhibitions, working closely with the Assistant Curator to create partnerships with local cultural organisations and recruit visitor experience volunteers. The post will involve working weekends and some bank holidays.

Celtic Harmony is a charity that aims to improve the well-being of children, young people and adults through engaging, interactive experiences with the visual heritage of Prehistory and through the lifelong learning programme, creating a more sustainable future in harmony with the natural world.

Location: Celtic Harmony Camp has been awarded the Hidden Gem accolade from Visit England and is a reconstructed Iron Age settlement nestled in acres of Hertfordshire woodland - with plenty of clean air! The office is located in The Prehistory Centre with all modern amenities, own transport is recommended as we are in a rural setting.

Relationships 

• The Communications and Engagement Officer is accountable to the Assistant Curator in all matters. 
• The Communications and Engagement Officer develops and delivers community activities that speak to the themes of the exhibitions.
• The Communications and Engagement Officer works in collaboration with the Assistant Curator and CEO to develop and market community activities.

About the role

We’re looking for an experienced Maintenance Officer to take pride in looking after our buildings and sites. This is a practical, varied role where you’ll use your skills to carry out day-to-day repairs, maintenance and compliance checks across multiple locations.

Job Purpose

Supported by our Facilities & Maintenance team, you’ll be trusted to manage your own workload, solve problems on the spot, and keep our sites running smoothly – making a real difference to the people who use them.

Where You’ll Work

You’ll travel between our sites across the North East, with occasional visits to Cumbria. Our locations include offices, a Business Centre and a Visitor Centre. You’ll be out and about most days rather than office-based. A company van is provided.

What You’ll Be Doing

• Carrying out general building maintenance (e.g. basic joinery, plumbing, decorating, repairs)
• Handling reactive repairs and fixing issues quickly and safely
• Completing planned maintenance tasks and routine inspections
• Carrying out health & safety and compliance checks
• Liaising with and overseeing specialist contractors when needed
• Keeping clear records of work carried out using basic IT systems

What We’re Looking For

• This role would suit someone from a trade background (e.g. joinery, plumbing, general building maintenance or similar) who enjoys practical, hands-on work:
• Proven experience in building maintenance or a relevant trade
• Able to turn your hand to a wide range of repair and maintenance tasks
• Good working knowledge of health and safety on site
• Practical problem-solver who can work independently and use initiative
• Organised and able to manage your own workload across multiple sites
• Friendly and approachable – comfortable working around staff and site users
• A reliable, “can-do” attitude with pride in your work

Essential:

• Full UK driving licence
• Willingness to travel regularly across the North East (and occasionally Cumbria)

Our Senior Marketing Executive will be expected to engage with all areas of Unity & TSA’s activities and will be expected to attend meetings with peers across the association. The role will contribute ideas and co-lead the marketing strategy to support Unity’s growth.

The Senior Marketing Executive will take responsibility for leading the delivery and implementation of Unity's marketing strategy, supporting the company’s business plans for the next 3-5 years.

Key Responsibilities

Stakeholder Management

• Working closely with the Head of Sales to determine priorities and drive more commercial growth through brand building and lead generation

The role

The Armed Forces Project Officer will be responsible for the day-to-day management of the Armed Forces and Veteran Community Projects.

The post holder will have knowledge and experience of outreach/engagement, as well as experience of planning and running events and projects. The role requires flexibility and multi-tasking, as well as confidence to complete varied tasks as delegated. The role requires the coordination and chairing of working group meetings and representing the organisation at armed forces events and steering groups.

Overall, duties will differ according to the requirements of the HWE operational plan. Day-to-day responsibilities of the role will include ensuring that project work is completed to a high standard and all reporting requirements are complied with. The main purpose is to ensure that the influence of HWE is maximised through the delivery of high-quality and well ­organised events and activities and meetings that will capture and articulate the voice and lived experience of the people of Essex.

Key accountabilities

· To work with HWE staff, and especially the Senior Management Team, to support the delivery of high quality and well-organised HWE Armed Forces Projects. This includes:

o Plan and deliver the Armed Forces Working Group online and in person meetings.

o Plan and deliver the Primary Care Network Armed Forces Working Group online and in person meetings.

o Evaluate and report on impact of the working groups.

o Enhance the attendance of the working group meetings.

o Be a point of contact for the armed forces and veteran community within Essex.

o Make connections and report on impact delivered through collaborative working.

o Project planning, to ensure that the aims, objectives and outcomes of any project are clear and in line with HWE strategy and plans, and that the intended activity is likely to achieve those outcomes; that suitable milestones and monitoring are in place; that budgets are realistic and represent best value; and that risks have been assessed.

o Project delivery, including working with and coordinating HWE ambassadors and staff, as well as external partners/stakeholders, suppliers and contractors, to ensure that HWE projects and events are delivered according to plan.

o Planning and delivering outreach events and information stands on behalf of HWE to various armed forces and veterans communities.

o Ensuring that project delivery is  on time and on budget, and that risk mitigations are in place.

o Working with the HWE Communications Lead to ensure that there is a PR and communications plan in place, and that it is implemented as appropriate.

o Ensuring that projects/events are evaluated appropriately, that outcomes are monitored, and that feedback is captured and provided to stakeholders.

· To conduct other tasks and duties as considered reasonable by the CEO.

Person Specification

The post holder will be highly organised, and an engaging and effective communicator, with good written and verbal skills. You will be capable of building effective relationships with individuals and organisations, including volunteers, and will be comfortable and highly capable in planning, coordinating and delivering different projects and events. You will have a high regard for the sensitivities of working within health and social care and be able to demonstrate a commitment to advancing the interests of patients, service users and the public within the changing landscape of health and social care.

As a key contact for people in the Diocese, you should have outstanding communication skills: written, verbal, and interpersonal, combined with strong organisational and project management skills.  You will need to be comfortable switching between high level strategy and hands on delivery, with the ability to influence without authority and navigate sensitive issues with discretion.
