About the Role
Rooted Finance is seeking a proactive and organised Administrative Assistant to join our Operations Team on a 6-month fixed-term contract to provide maternity cover.
This is an exciting opportunity to join a growing organisation and play a key role in supporting the smooth running of our day-to-day operations. Working as part of a small and collaborative team, you will provide essential administrative support to the CEO, Board of Trustees, management team and wider organisation.
The successful candidate will be responsible for coordinating meetings, managing diaries, preparing documents, taking minutes, maintaining records, supporting recruitment and onboarding processes, assisting with financial administration and helping to ensure effective office operations.

The Bone Cancer Research Trust has invested close to £12 million in research funding since our inception in 2006, with commitment accelerating rapidly since our first dedicated strategy was launched in 2017. To maximise the impact of our work, we are now seeking an exceptional individual to provide administrative and coordination support across Research, Information, Support and Awareness. We are seeking a motivated and organised individual to hit the ground running as part of our busy charitable team. This is an exciting opportunity to be involved in the delivery of our charitable objectives and make a tangible impact on the lives of those affected by the disease.
As an integral member of a cross-functional team, the post holder will support delivery across all charitable pillars and help ensure a joined-up approach to our work.
A key part of the role will be to engage directly and build strong relationships with our research and clinical community, from sending welcome packs to supporting our yearly impact monitoring.
The role will also involve interacting with patients and those affected with primary bone cancer. This may be through sending information resources or support boxes or may include the planning and delivery of laboratory tours.
Experience working in an administrative, process driven, or project delivery environment is essential. Knowledge and/or experience of medical charities would be beneficial but not essential. Working in health or research-related environments would be beneficial, but not essential. The role will involve the use of the charity’s CRM database and Teamwork. Experience in the use of these is beneficial; however full training will be given. Experience in organizing and delivering meetings and/or conferences would be beneficial.

Job Title: Administration Assistant
Contract: Temporary
Location: Regent’s Park, London NW1
Job Purpose: To administer the CEPC’s offices and office systems in order to support an efficient and smooth-running working environment for its operations.
MAIN FUNCTIONS
· Assistance with the day to day administration and running of the Commission
· Dealing with initial enquiries from telephone, e-mail and personal callers on all aspects of the Commission’s work
· Welcome visitors to the office and ensure all visitors are dealt with courteously.
· To administer office cash and credit card transactions through the till.
· To issue replacement resident parking permits as appropriate.
· To issue visitor and contractor parking permits.
· “house-keeping”; including premises opening and closing routines, setting up spaces for events and meetings, posting mail, refreshments for external meetings and visitors.
· Observing appropriate levels of confidentiality at all times.
· Any other reasonable duties as instructed.
SKILLS REQUIRED
The post holder must have a methodical approach and be well organised but be prepared to adapt to events plus be flexible in dealing with people and situations.
The post holder must be able to:
· Deal in a patient, calm, courteous but firm manner with residents and their agents
· Understand, record and convey information
· Demonstrate good written and spoken English
· Apply information technology skills including Word and Excel
· Work as part of a small team in a practical, flexible and co-operative style
The administrator supports the Basis Yorkshire Leeds office. The post holder is responsible for providing and maintaining an efficient and professional service user focused administrative support function to the people we support and other stakeholders of Basis Yorkshire, ensuring discretion and confidentiality. To ensure the smooth running of the office and provide administrative support to the team, enabling them to provide high quality services to women and young people. Provide the first point of contact for enquiries from service users, partners and stakeholders.
