Flood Engagement Officer – Job Description Overview

The National Flood Forum (NFF) is seeking a dynamic, motivated individual for the role of Flood Engagement Officer for London and the Home Counties. Role Overview:

The Flood Engagement Officer will support the London and Home Counties community engagement team, reporting to a Community Engagement Manager. Your primary responsibility will be to work closely with communities to support them in tackling flooding risks.

Key Responsibilities:

• Community Project Delivery: Lead and support the implementation of projects focused on flood risk management.
• Community Engagement: Engage and empower at-risk communities, ensuring they have the tools and information to co-create solutions to flood risks.
• Stakeholder Management: Build and maintain relationships with key community stakeholders and partners.
• Data Management: Provide data to help evaluate and support engagement activities.
• Support the Senior Team: Assist in broader tasks and activities as required by the senior team.

They are now seeking an exceptional Director of Finance and Resources to help ensure that extraordinary mission work is sustainable for generations to come.

As a member of the Senior Leadership Team (SLT), you will provide strategic leadership across CMS's financial sustainability, organisational infrastructure and central resources. This is a genuinely broad and influential role, covering financial strategy and management, investments, treasury, risk, legal and regulatory compliance, property and facilities, IT and cyber security, and relevant corporate governance. You will also maintain oversight of CMS's residual pension-related responsibilities following the transfer of its defined-benefit pension liabilities.

Core Purpose

To deliver high quality, accurate, and responsive financial support that ensures the smooth operation of Make-A-Wish finance function. This role is central to maintaining the integrity of financial data through timely processing of transactions, effective communication with stakeholders, and diligent reconciliation of accounts. Key Responsibilities

Customer and Communication Support

• Monitor the finance mailbox daily, ensuring all emails are reviewed and responded to in a timely, professional, and accurate manner. Provide first-line support for internal and external customer queries, escalating complex or unresolved issues to the appropriate team member or manager.
• Handle incoming calls to the finance team, offering courteous and knowledgeable assistance. Accurately log call details and follow up on outstanding queries to ensure resolution and customer satisfaction.

Sales and Purchase Processing

• Process sales invoices accurately and efficiently in accordance with MAW’s financial procedures, ensuring correct coding, VAT treatment, and timely dispatch to customers.
• Set up new customers and suppliers on the finance system, verifying all required documentation and approvals are in place. Maintain accurate and up-to-date records to support compliance and audit readiness.
• Process purchase ledger invoices (approx. 360 per month), ensuring they are matched to purchase orders, coded correctly, and approved in line with internal controls. Resolve discrepancies promptly to avoid payment delays.
• Create payment runs and upload onto the bank for approval, ensuring approvals are obtained in a timely manner

Reconciliations and Debt Management

• Perform supplier statement reconciliations regularly, identifying and resolving aged or unmatched items. Liaise with suppliers and internal stakeholders to ensure accounts are accurate and up to date.
• Monitor outstanding sales invoices, escalating overdue items to the relevant ‘requestor’ or budget holder. Support the credit control process by providing timely updates and assisting with follow-up actions.
• Conduct income reconciliations on a regular basis, ensuring all income is accurately recorded and discrepancies are investigated and resolved.
• Reconcile balance sheet accounts as assigned, maintaining clear audit trails and supporting documentation for all entries.

Expense and Credit Card Management

• Process monthly credit card statements, ensuring all transactions are supported by receipts, correctly coded, and approved in line with company policy.
• Review and process employee expense claims, checking for accuracy, policy compliance, and appropriate authorisation before submission for payment.

Inventory and Stock Control

• Conduct stock takes at agreed intervals, working with relevant departments to ensure accurate counts and investigate variances. Support the maintenance of accurate stock records in the finance system.

Financial Recording and Reporting

• Post and process journal entries for accruals, prepayments, and other adjustments to ensure the general ledger reflects accurate and complete financial information. Maintain supporting documentation for all entries.

Continuous Improvement

• Identify process improvements and opportunities for automation, making recommendations to line manager and supporting implementation

General and Ad-Hoc Support

• Support with ad-hoc finance tasks as required, including data entry, reporting, and assisting with audits or internal reviews.
• Provide cover for team members during periods of absence, ensuring continuity of service and workload management. Take on additional duties as appropriate to the level of the role and contribute to team objectives.

Essential Criteria

• Proven experience in a finance or accounts role, with a solid understanding of financial processes such as invoicing, reconciliations, and ledger management.
• Strong attention to detail and accuracy in data entry and financial reporting.
• GCSE Maths or equivalent, grade 4/5 (C) or above.
• Excellent communication skills, both written and verbal, with the ability to respond professionally to internal and external queries.

The post holder will be required to source and purchase suitable properties to add to the portfolio and to sell properties no longer required within the aspirations of the business plan and yearly budgets. Cavernoma Alliance UK is a well-established UK charity supporting people affected by cavernoma, a rare condition involving clusters of abnormal blood vessels in the brain or spinal cord.

Founded in 2005 by people with lived experience of cavernoma, we provide peer support, trusted information, awareness raising and research advocacy for the cavernoma community. We also work closely with leading neurologists, neurosurgeons and researchers across the UK to help improve clinical care, information and research for people affected.

We are now looking for a new Chief Executive to lead and be an ambassador for the work of CAUK. This is a meaningful and varied role in a small charity where your contribution will be visible. It would suit someone looking for a senior charity role with real purpose, flexibility and a close connection to the community they support.

You will be joining an organisation with a supportive Board of Trustees, a staff team that cares deeply about the community we serve, highly committed volunteers, and strong clinical and research partnerships.

We are in the second year of our five-year strategy, ‘Together For a Cure - 2025 to 2030’, and are making good progress across our priorities. The current Chief Executive is leaving after three and a half years in post to take up a new opportunity, and the charity is in a positive and stable position.

A major focus for the role over the coming years will be supporting delivery of a five-year UK-wide clinical trial starting in August 2026. This study could potentially identify the first medication treatment for cavernoma.

Alongside this, the role will focus on maintaining sustainable income, supporting high quality peer-led services through our Head of Volunteering and Member Services and volunteer team, and continuing to grow CAUK’s reach and awareness, particularly online.

We would particularly welcome applications from people with previous charity management experience, whether within a small charity or in a more senior role within a larger organisation. We are also open to applicants who can demonstrate a strong understanding of the charity sector through trustee, professional or voluntary experience.

This is a home-based role with flexibility, although there will be occasional travel across the UK, typically every 1 to 2 months, including meetings in London.

The Senior Operations Officer supports operational planning, procurement follow-up, documentation control, and implementation support systems so that project delivery requirements are translated into timely and well-organised operational action.

4. Scope of Work and Key Responsibilities

    Operational planning and tracking

• Support the Project Manager in maintaining operational plans, procurement trackers, action logs, and implementation support schedules.
• Monitor progress of operational actions and follow up with responsible staff to minimise avoidable delays.

     Procurement and Supply chain support

• Support review of procurement requests, specifications, delivery schedules, and procurement documentation for completeness before onward processing.
• Track status of procurement packages, purchase actions, vendor communications, and delivery milestones and flag bottlenecks for management attention.
• Coordinate with the Sudan Operations and Logistics Officer on shipment status, local sourcing issues, warehousing constraints, and asset receipt confirmation

Documentation and Asset control support

• Maintain orderly operational records covering procurement files, delivery notes, inventory information, service agreements, and other control documents.
• Support tracking of assets, equipment, and key operational commitments linked to project implementation.

   Operational Risk Management

• Identify operational bottlenecks relating to procurement timing, delivery sequencing, documentation gaps, or service support readiness.
• Provide timely updates to the Project Manager on issues requiring escalation or re-prioritisation.

5. Qualifications and Experience

• Bachelor’s degree or Diploma in operations management, logistics, supply chain, Business Administration, or related field 
• At least 5 years of relevant experience; preferably in humanitarian or project environment.
• Good understanding of procurement workflows, record keeping, and implementation support systems.

• Maintain project budgets, budget lines, forecasts, and expenditure tracking tools for management use.

     Financial Documentation and reporting

• Review financial records, supporting documents, reconciliations, and payment-related files to ensure accuracy and completeness.

     Human Resources administration

• Support recruitment processes, including vacancy logistics, interview scheduling, reference collection, and contract preparation for approved roles.
• Maintain complete and up-to-date personnel files for project staff and consultants, including contracts, IDs, onboarding forms, performance records, and leave documentation.
• Support staff induction processes and ensure that policies, reporting lines, code of conduct requirements, and key administrative procedures are clearly communicated.
• Track attendance, leave, contract dates, renewal points, and other HR actions and raise reminders in advance.

   Administrative Support

• Provide administrative support for meetings, travel arrangements, calendars, document circulation, filing systems, and internal correspondence.

• Ensure that project documents requiring signatures, approvals, or controlled circulation are processed efficiently and stored appropriately.

  Policy Compliance & Staff Support

• Support consistent application of HR policies, confidentiality standards, and personnel administration procedures.
• Act as a point of contact for routine HR and administrative queries and route sensitive issues to management appropriately.
• Support the preparation of HR and administration summaries for management review.

5. Qualifications and Experience

• Bachelor’s degree or Diploma in Human Resources, Business Administration, management, Social Sciences, Humanities, or related field 
• At least 5 years of relevant HR & administrative experience, preferable In NGOs sector.
• Good understanding of HR documentation, personal administration, and ability to handle sensitive information responsibly.
