Scotland’s Charity Air Ambulance (SCAA) exists so nobody in Scotland suffers or dies because medical help cannot get there in time. People can get sick or have accidents anywhere and anytime. But in Scotland there are places where urgent medical help cannot reach people. Or help gets there too late. And when lives are at risk every minute matters. The Role
We are seeking a proactive and organised individual to join our team as Administration Manager. As Manager of a small team of administration assistants, you will play a crucial role in coordinating administrative support across our Perth and Aberdeen offices, ensuring the smooth running of the organisation by providing support across several of the charity’s functions including fundraising, finance, marketing and operations.

The ideal candidate will have proven experience in a similar office or administration management role, ideally within the charity sector. They will be proactive in building positive relationships across the charity and will be confident managing projects, budgets and external suppliers. They will have experience of using CRM systems in a fundraising context, be solutions-focused and have a strong commitment to our mission.

This role will be based from our headquarters at Perth Airport, and occasional travel to our Aberdeen base will be required. SCAA supports flexible and hybrid working arrangements—our current approach typically includes two office days per week for those working on a hybrid basis. The usual hours and days of work will be Monday to Friday, 9am—5pm.

About You

We are recruiting a Data Administrator to provide high-quality client contact, data management and performance reporting for our Connect to Work service in Enfield borough.

This role plays a central part in ensuring the service runs smoothly and meets contractual requirements. You will act as a first point of contact for new referrals, while also leading on accurate data entry, reporting and insight to support service delivery and continuous improvement.

What you’ll be doing

If you were working with us, you would be at the heart of how our Connect to Work service demonstrates impact, quality and compliance.

You would take ownership of data management for the Enfield Connect to Work contract. That means ensuring accurate and timely data entry across multiple systems, including DWP PRaP, always in line with GDPR and contractual requirements. You would maintain high-quality client records and digital filing systems, proactively spotting and resolving data integrity issues before they become problems.

You would turn data into insight. Using the DWP dashboard, Excel tools and performance dashboards, you would collate, analyse and interpret service activity and outcomes. You would produce clear, concise KPI and performance reports for commissioners, senior managers and operational teams. Your analysis would help identify trends, risks and opportunities to improve performance and strengthen employment outcomes for participants.

You would also lead on audit preparation and ensure our reporting meets IPS and Fidelity standards. When a new CRM is introduced by the funder, you would support a smooth transition, provide feedback to developers and help embed the system within the team.

Alongside data responsibilities, you would play a key role in referrals. You would act as a first point of contact for new participants, undertaking eligibility assessments using a structured questionnaire. You would confidently and sensitively gather information relating to employment, mental health and physical health needs, and provide clear information about the service and next steps. Where risks or safeguarding concerns arise, you would escalate appropriately and in line with service protocols.

You would handle general enquiries from participants and stakeholders, signposting where Connect to Work is not the right provision. You would liaise with Local London regarding referral submissions and ensure tracking systems are up to date.

Internally, you would support frontline colleagues by providing training and guidance on data entry and performance recording requirements. You would help create simple, robust systems so advisers can focus on supporting participants into work.

In short, you would combine strong technical data skills with excellent communication and a genuine commitment to quality. Your work would ensure that our service is compliant, insightful and continuously improving.

The Administrator will play a key role in supporting the smooth and efficient running of the NVN’s operations. Working closely with the General Manager, they will manage day-to-day administration, membership communications, events logistics, and financial record-keeping.

About the Role

As a Service Delivery Assistant you will provide high quality and responsive administrative function for the National Contact Centre. Acting as the first point of contact for enquiries and supporting the wider team with general administrative duties.

The Woodland Trust is looking for a Campaigning Administrator to help us record and respond to enquiries about Woods and Trees Under Threat for the campaigning team.

The Role: 
•    You’ll manage the system for tracking and responding to enquiries (phone and email) from the public and supporters.
•    You’ll ensure all enquiries are recorded and responded to promptly and professionally using advice from colleagues to respond or re-direct where needed.

OCVA is looking for an organised, proactive, and friendly Administrator to join our team on a maternity cover basis. This is a varied and people-focused role that plays a key part in keeping our organisation running smoothly and supporting colleagues, trustees, and partners.

You will often be the first point of contact for OCVA, managing enquiries through our phone line and inbox, processing post, and helping ensure our office and shared workspace operate effectively and safely. You will also provide administrative support to the CEO and Board of Trustees, including scheduling meetings and circulating paperwork.

The role includes supporting our programme of online and in-person training, working closely with colleagues to schedule sessions, manage registrations and payments, and ensure events run smoothly. As a small charity with a wide-ranging brief, you will be fully integrated into the team and gain a strong understanding of our work, values, and impact across Oxfordshire’s voluntary and community sector.

Purpose of the Role
The Administrator provides essential support across the organisation by maintaining accurate records, supporting compliance, coordinating communication, and ensuring efficient daily operations across the organisation.

Key Responsibilities

1. Records & Compliance (H&S, Training, Equipment)

• Maintain and update relevant staff records, including training logs, H&S documentation, equipment registers.
• Ensure relevant certificates, training dates, and compliance documents remain up to date.
• Organise appropriate and timely delivery of IT, phone and other equipment as required and in liaison with relevant suppliers as appropriate.
• Provide staff IDs, access cards and keys as required.

2. Database, SharePoint & Digital Filing Management

• Maintain relevant organisational databases and digital filing systems.
• Manage SharePoint folders and ensure documents are stored, updated and accessible.
• Support staff with document retrieval and information management.

3. Finance Administration

• Review and submit invoices for approval and maintain records of purchases on credit and debit cards and submit on a timely basis for processing.
• Liaise with the Finance Team to resolve queries and ensure timely payments.
• Maintain accurate administration logs.

4. Office Supplies & Stock Coordination

• Monitor stock levels for both sites and reorder supplies when required.
• Maintain records of stock usage and deliveries.

5. Internal Communications

• Prepare and distribute internal staff updates as appropriate – ideally in liaison with the communications team unless urgent.
• Support organisational communications and notices where needed.

6. Event Planning & Administration

• Maintain logs for events and support planning documentation.
• Assist with scheduling, preparation and administrative tasks for events and meetings.

7. Facilities and Property (including Health & Safety & Fire Compliance Records)

• Maintain and update organisational and building H&S records, including fire safety certificates and compliance documents.
• Organise building maintenance as required.
• Monitor outstanding actions and ensure timely updates.
• Be a qualified first aider on site.
• Book H&S-related training and track attendance.
• Support coordination of fire alarm testing, fire drills and related documentation.
• Support with reception duties as required.

8. Project Administration & Reporting Support

• Assist teams with project documents, data collection and reporting processes as required.
• Maintain project logs and support updates to reporting templates as required.

9. Phone & Admin Inbox Management

• Monitor admin and info inboxes, responding to or redirecting queries appropriately.
• Answer incoming calls and provide first-line administrative support.

Cosmic is a small but mighty children’s charity, dedicated to supporting the incredible work of the Paediatric Intensive Care Unit (PICU) and Neonatal Intensive Care Unit (NICU) at St Mary’s Hospital, Paddington, and Queen Charlotte’s Hospital, Hammersmith. We’re looking for a passionate and creative Marketing and Communications Manager to help us tell Cosmic’s story, engage our incredible supporters, and grow our reach and impact. Key Responsibilities

External Communications

• Collaborate with the team to develop a communications plan to support Cosmic’s calendar of events, income generation and volunteering, taking ownership of its implementation.
• Manage supporter communications through platforms like Mailchimp, including scheduling updates and mail merges.
• Produce and manage the production and distribution of the charity’s supporter newsletter, corporate newsletter, and other direct marketing materials.
• Develop a GDPR compliant method to gather data from families who benefit from Cosmic Service Delivery, to support conversion to fundraising via a Cosmic communication plan and supporter journey
• Create and execute engaging campaigns for Cosmic, based on our service delivery, to generate income.
• Liaise with celebrity partners to coordinate media campaigns.
• Develop and maintain a bank of photographs and ensure media consent forms are obtained and recorded appropriately.
• Assist fundraising teams in sourcing free advertising opportunities for events, such as community group emails and online platforms.
• Working with internal and external stakeholders to deliver and maximise media opportunities and campaigns that help raise awareness of the Cosmic’s services
• Writing press releases for local, regional and national press covering Cosmic service delivery, events and fundraising campaigns.
• Plan and execute events designed for stewardship and engagement alongside the Cosmic Events Team.
• Support in the development and delivery of the Cosmic ambassador strategy

Internal Communications

• Work closely with supporters, NHS staff, and the NHS Imperial Trust to gather compelling patient, family, unit, and staff stories for promotional purposes.
• Be a visible presence on the wards, building relationships to develop case studies, improve communication, and identify opportunities for collaboration.
• Keep charity notice boards updated with promotional material.
• Contribute to the quarterly Trustee report.
• Ensure that all communication is clearly logged on the Cosmic CRM solution, Donorfy.

Digital

• Manage Cosmic’s social media channels, developing and implementing a consistent and engaging social media plan to promote the charity’s work, events, and fundraising initiatives effectively.
• Digital transformation of the Cosmic website and other digital channels with a consistent and clear brand, ensuring optimal user experience.
• Create engaging and consistent digital designs for all marketing materials on Canva.

Branding and Merchandising

• Design and create a new range of fundraising merchandise and marketing materials to promote the Cosmic brand.
• Support the fundraising team by developing high-quality materials for proposals, events, and activities, and assist in promoting these initiatives.
• Develop and formalise a clear Cosmic Tone of Voice and charity branding, establishing guidelines for how Cosmic presents itself both internally and externally to ensure consistency and alignment with its mission and values.
• Build a Cosmic library of “curated content” with aligned descriptions of who we are and what we do, tailored for different audiences.
• Ensure all internal templates (letterheads, email signatures etc) use the correct colour palette, format and logo.

Administration

• Build a process to balance and prioritise the requirements and request for digital, marketing and communication support from the Cosmic Team
• Respond effectively to incoming telephone calls and emails, ensuring all inquiries are handled professionally.
• Maintain and update the charity’s database of contacts and supporters, taking the lead in implementing changes to improve data recording and analysis.
• Provide support to charity volunteers during activities.
• Develop engaging and relevant supporter journeys using Cosmic audience personas.
• Regular development and gathering of Cosmic case study materials.
• Evaluate the success of campaigns, setting and tracking key metrics, feeding learnings back into future work in a cycle of continuous improvement.
• Prepare and deliver regular, meaningful reporting on communications, to assist and drive strategic communications and marketing decision making.

General

• Build relationships across Cosmic, NHS units, and key stakeholders to identify opportunities for collaboration.
• Stay informed about fundraising sector trends and identify ways to apply them to Cosmic’s work.
• Undertake any other tasks commensurate with the role, adhering to the charity’s time-in-lieu policy.
• Support PICU/NICU with day-to-day needs, including celebrating milestones, organising activities, or assisting families with specific requirements.

Who We’re Looking For

Essential Skills and Experience:

• Previous experience in a marketing or communications role, ideally working within the charity sector.
• Proven success designing and delivering communications plans and campaigns.
• Experience of successfully pitching stories or collaborations to media, journalists and influencers.
• Understanding of how to create engaging content – both written and visual.
• Understanding of how to develop opportunities for coverage and know how to make them happen, and of media and communication trends, with the ability to stay ahead of the curve.
• Strong written and verbal communication skills, with the ability to craft engaging content for diverse audiences.
• Strong digital storytelling skills.
• Experience in creating marketing materials in Canva and managing communications campaigns.
• Experience of managing social media channels, creating content that drive results
• Experience of using WordPress, Mailchimp and CRM solutions.
• Confidence in liaising with stakeholders, including NHS staff, supporters, and celebrity partners.
• Excellent organisational skills with the ability to manage multiple tasks and meet deadlines.
• Creative thinking and problem-solving abilities.
• Knowledge of GDPR and data protection best practices.
• A genuine passion for Cosmic’s mission and values.
