Do you want to provide critical systems and logistical support for our growing and ambitious education charity? The Finance and Operations Coordinator is responsible for managing our day-to-day financial systems, overseeing the running of our database and website, and providing administrative support for the general running of the organisation, including project managing our community and fundraising events. You will provide support to the Executive Director and other members of the team to ensure the smooth running of Teach for Tomorrow.

We are a small and passionate team that work on a hybrid model: your place of work should be within easy commuting distance from either London, Manchester, Coventry or Grantham.

Your Key Duties and Accountabilities

Finance Administration

• Place, track and process orders, invoices, expenses and financial transactions

• Maintain Quickbooks with all transactions, provide reports as required and maintain the interface between CiviCRM and Quickbooks

• Set up payments for authorisation in the bank account as required

• Generate contracts as required

• Maintain relationships with suppliers, venues and partners

• Manage the interface with the company pension provider and pensions regulator, making payments as required and ensuring all statutory obligations are met

Database, Website and Knowledge Management

• Maintain the organisation database and provide reports and information as required by team members

• Ensure that the website is up-to-date and upload new resources, information and news stories as required

• Monitor analytics relating to website and support the management of Search Engine Optimisation

• Ensure that the knowledge management system and processes are maintained, including website and database change logs

• Maintain the relationship with the website and database provider/sand ensure that the monthly retainer is monitored and reviewed

• Liaise with the Data Protection Officer to ensure that all statutory requirements are met in relation to data protection and UK GDPR

Operational Coordination and Administration

• Manage external vendor relationships, in particular - but not exclusively - website and database providers, HR and Health and Safety providers, Safeguarding support, IT support services, Accountant and Auditors, and memberships of organisations such as the National Council for Voluntary Organisations (NCVO)

• Maintain filing systems online and in hard copy (where required)

• Maintain policies and procedure documents, ensuring updates are made as required and updates are provided for reporting to board

• Be first point of contact for general enquiries and monitor all general communication channels

• Provide general administration support as required

Events 

• Work with the Chief Executive and other staff to ensure successful planning and execution of fundraising, cultivation, and stewardship events and all related activities. Responsibilities include: managing invitation process, tracking registrations and gifts, running and circulating reports

• Provide logistical support of the events on the day

Perform other related duties as required by position.

There will be an occasional requirement to work outside normal hours to support evening events – with a late start and late finish – but if this is expected, advance notice will be given.

We are looking for an experienced and confident Facilities Assistant to join The Royal College of Radiologists (RCR). • HR: 

  • HR Software & data ownership, maintenance and ensuring consistency in colleagues use of the software. 

  • Act as the primary point of contact for HR enquiries, accessibility requests, and leave calculation.

  • Act on behalf of the CEO in handling confidential issues with care and restorative intent & liaising with external HR advisor.

• Financial support: In partnership with our Finance Manager, coordinate confidential finance administration, including payroll, pensions, and audit preparation, ensuring all team members are supported by stable financial operations.

• Resource management: Manage IT and Operations budgets.

• Contract management: Oversee the administration of employment contracts and agreements and NDAs for freelancers, as well as internship placements to ensure fair and clear working agreements.

Executive support & governance (Approx 10% of the time)

• Leadership partnership: Support the SLT in strategic direction, planning, and workforce development so they can focus on fundraising, advocacy and high-level impact work.

• Support the CEO on internal communications, business travel, scheduling, diary management, technical assistance.

• Board: Manage all JB Board administration, including arranging quarterly meetings, minutes, etc.

• Funding & tenders: Provide necessary operational and organisational information for funding applications and manage portal processes for payments and offers.

• HR Expertise: Six to eight years of demonstrable practical experience in designing and implementing People centred strategies with a focus on collaborative leadership rooted in inclusion, equity, diversity and care (six to eight years of experience). Responsibilities 

Strategy & Leadership

Governance & Operations:

• Provide executive oversight of HR, demonstrating knowledge of HR compliance and law, supporting with serious HR matters and providing leadership support on people matters, performance management and staff development.

• Oversee the use of key technology platforms, ensuring that the charity is operating in the most efficient way, in accordance with UK GDPR and promoting data hygiene and security and supporting the Operations officer to develop guides and standard operating procedures 

• Hold executive accountability for organisational compliance, risk management, and operational integrity. Act as the lead for the charity in the event of a serious data or H&S incident. 

• Lead the organisational risk register and risk management, ensuring risks are proactively identified, mitigated, managed and communicated to our board of Trustees and the CEO

• Play a key role in planning and delivering the 10-year anniversary event in May 2027. 

• Develop, manage, and strengthen high-level strategic funder relationships and networks, building a strong pipeline of partnerships to support income targets.

• Lead and line manage the Schools and Partnerships Lead to achieve ambitious school targets and secure positive partnerships with schools

• Utilise the organisation’s data systems to identify relevant insights and stories, leading the development of the 2026 Impact Report.

Finance & Sustainability 

• Hold accountability for the operational delivery and financial sustainability of the charity. 

• Work closely with the CEO and external Financial Service Provider to develop organisational budgets, support with the annual independent examiner and ensure effective financial planning, management, and oversight.

Bookkeeping 

• Carry out weekly and monthly bookkeeping tasks, including journal entries in QuickBooks and balance sheet reconciliations.
• Support the production of quarterly management accounts.
• Prepare ad-hoc financial reports and analysis as required.
• Oversee Gift Aid claims and processes.

Independent Examination, Annual Report and Accounts 

• Prepared and organised all documentation for the Independent Examination, ensuring compliance with statutory and Charity Commission requirements. 

• Supporting the Director in responding to examiner enquiries and year-end processes. 

• Reviewing financial records, reconciled balances, and drafted sections of the Annual Report. 

• Coordinating with internal teams and external advisors and assisting with implementing examiner recommendations. 

We are looking for a creative and passionate person to be responsibile for securing financial support to sustain and grow the Charity's work. A priority is to lead a £3M campaign for a new building. 

Background

The history of our Charity stretches back over 230 years to the foundation of a school for the blind by Edward Rushton. Since 1898 the school has been based in Wavertree and in 2016 Rushton Futures opened alongside the school, providing a service for young adults aged 19+ with complex needs. 

About the Rushton Centre Project

The Development Manager's primary work in the initial phase of the role will be to direct a fundraising campaign for the new Rushton Centre. The Centre is being designed to meet the changing needs of the Charity. As well as a hydrotherapy pool, we want to open a cafe which will give young people with additional needs opportunity for work, and we want to create additional spaces. The Centre will cost an estimated £4M. The Trustees are in a position to contribute £1M from reserves, but the Development Manager will play a crucial role in designing and implementing a fundraising strategy for the remaining funds. 

Key Tasks

1. Develop and implement fundraising strategies and campaigns to meet organisational goals and ensure financial sustainability.

2. Identify and cultivate relationships with potential donors, sponsors, and foundations, including individuals, corporations, and community organisations.

3. Research and pursue grants and trusts applications, managing the process from start to finish.

4. Coordinate and oversee current charitable donations and legacies.

5. Work with colleagues at the Charity to identify funding priorities; liaise with key post-holders, including the Finance Manager, to meet audit and compliance requirements.

6. Organize fundraising events and initiatives, such as galas, charity drives, and online campaigns, to generate donations and increase public awareness.

7. Manage donor databases and maintain accurate records of contributions, sponsorships, and communications.

8. Take a supporter-centred approach in all your work, building strong, respectful relationships with donors.

9. Communicate the organization’s mission and impact to donors, stakeholders, and the public through presentations, newsletters, and promotional materials.

10. Be responsible for managing and promoting our fundraising profile through social media and other online presence.

11. Monitor and evaluate fundraising campaigns to assess effectiveness and inform future strategies.

Hours: Full time (37 hours per week)

Location: Hybrid. Based in Wavertree and Remote. You will be required to be on site for a minimum of 2 days per week. 

Pay: £35K - £40K, depending on experience
