This is a new role, created as part of a restructuring of the GA's operational team. The Administrative Coordinator is the human face of the GA's operational work. FFLAG is a national voluntary organisation and registered charity and is the UK's longest established parent support charity in the LGBT+ sector. Our history began in the grassroots parent helplines of the 1960s, grew through the 1980's and 90's as we supported anxious parents and fought against the discrimination of Section 28, becoming a formally registered charity in 2000.

Our work sounds simple, but it is life changing. We help parents and families understand, accept and support their lesbian, gay, bisexual, non-binary and transgender family members with love and pride.

We offer a range of support options spanning 1-2-1 online and helpline support services to a UK-wide monthly group Zoom meeting and face to face local groups. We also have an extensive collection of online resources and guides. We attend as many Pride events as we can and our work supports thousands of people every year. This support is provided by an active base of FFLAG volunteers who are parents of LGBT+ children themselves, supported by other volunteers and allies.

What this job is all about

As Volunteer Coordinator, you'll make sure FFLAG's volunteers are properly recruited, trained and supported, so they can continue doing this work well. Reporting to the Operations Manager, you will:

• Identify what volunteers FFLAG needs, then recruit, induct and train them, including DBS checks and references

• Maintain training, the volunteer handbook and the Code of Conduct up to date

• Maintain regular contact with volunteers, so they stay engaged, safe and supported

• Act as FFLAG's Safeguarding Lead, providing regular supervision to support volunteers

• Keep accurate records, liaise with Trustees, and report on volunteer activity to the Board

• Be a member of the Services and Support Committee

• Provide support to the Operations Manager with events, as required

This role needs someone who's organised, approachable, and motivated by helping people do well - but it also needs real, hands-on experience of volunteer coordination from day one, since it's a small, part-time role with no one else to lean on for this work. • Recruiting, training and supporting volunteers in a paid or voluntary role

• Keeping volunteers engaged and retained over time

• Handling safeguarding matters sensitively and appropriately

Leading our busy frontline Support Team, you will ensure people receive compassionate, timely and high-quality support when they need it most.

You will lead the delivery and quality of our grant-giving service, ensuring applications are assessed fairly, consistently and confidently against Cavell’s criteria. Overview of Responsibilities:

1. Operational Service Delivery

• Lead the day-to-day operation and quality of Cavell's grant-giving and support service, approving grant recommendations within delegated authority and ensuring applications are assessed fairly, accurately and consistently against Cavell's eligibility criteria, policies and available funds. Escalate exceptional, complex or higher-risk decisions appropriately.
• Ensure applicants' wider needs are identified and, where appropriate, provide or facilitate information, advice, income maximisation, signposting and referral to Cavell services and external specialist support.

• Regularly quality-assure grant assessments, casework and decisions to ensure eligibility criteria, policies and procedures are applied consistently, with learning or corrective action where required.
• Ensure assessments and decisions are appropriately evidenced and recorded, with clear rationale and audit trails, particularly for complex or exceptional cases.
• Work with Finance and the Head of Services & Impact to ensure awards comply with restricted fund criteria and delegated authority, monitor grant expenditure and available balances, and identify financial pressures early.

3. Data, Insight, Evaluation and Reporting.

• Collect, analyse, and present performance and outcome data in reports, dashboards, and evaluations to demonstrate the difference Cavell’s support makes to the nursing professionals we support.
• Lead continuous improvement of operational processes, workflows and systems, using data, applicant feedback and frontline learning to make support simpler, faster, more consistent and more compassionate. You will work with relevant colleagues and suppliers where required.
• Identify and report emerging needs, trends, operational pressures and risks from service data and frontline experience, providing insight to support service development, organisational planning, research and advocacy.
• Support the development of case studies, impact stories and measurable outcomes that demonstrate impact and support funder reporting and priorities.
• Act as the operational lead for Salesforce within the Support Team, ensuring accurate and consistent case records and data, identifying and implementing improvements to support efficient case management, quality assurance, reporting and effective service delivery.

4. Team Leadership and Collaboration

• Lead, line manage and develop the Support Team, managing workloads, annual leave, absence and service coverage to maintain effective delivery and support staff wellbeing, particularly for colleagues managing complex or sensitive cases.
• Build strong, supportive working relationship within the Support Team, promoting a culture of learning, accountability, and kindness and foster collaboration across teams to ensure service delivery is fully integrated.

The Duty Manager is responsible for supporting the smooth running of the swimming pool and delivering a high quality and safe experience for users of Leisure Centre facilities. What you will be doing 

Leisure Centre Operations 

• Provide outstanding customer service experiences via a welcoming frontline duty management service, dealing with account enquiries and supporting bookings.
• You will work an early or late shift, on a rotational basis, to ensure lifeguard and duty manager cover is available while the Leisure Centre is open, Monday – Sunday.
• Support the organisation of lifeguard training, including NPLQ renewals, competency assessments, quarterly lifeguard observations; maintaining training records as required.
• Supervise the leisure retail shop, including sales, inventory control and daily reconciliation.
• Cover lifeguard shifts where there are gaps to ensure ongoing operations.
• Support the Operations & Duty Manager to ensure the rota is proactively staffed each week.
• Ensure accurate and timely recording of staff attendance and absence data each shift.
• Support new leisure staff inductions and training requirements.
• Ensure your training and competence is achieved and maintained, taking responsibility for your ongoing professional development.

Centre Health & Safety 

• Support management in maintaining the safety of the leisure facilities, ensuring working best practices and compliance with legislation, and completion of KPIs by the leisure team.
• Support the day-to-day management of the pool plant operation, ensuring regular maintenance tasks and KPI checks are undertaken according to schedule.
• Ensure the reporting of accidents, incidents and near misses are done in a timely manner.
• Ensure reporting of any hazards, damage, or maintenance issues to the Facilities team.

PWSA UK is looking for an individual who is experienced in individual supporter fundraising, capable of growing our income from our community network, individual givers including seasonal and capital campaigns. You will have the drive to make a difference for our stakeholders, be able to build strong supporter relationships at a distance and create compelling proposals that connect donors with PWSA UK’s mission and will enjoy working independently in a small team. 

About the role

This is a new role and you will manage and maintain a regular giving programme for new and existing supporters, developing tailored communications, proposals and engagement opportunities for the community that connect donors’ interests with PWSA UK’s mission. Working with colleagues, trustees and volunteers, you will support community fundraising, establish an effective individual giving programme using the CRM and increase the number of legacy pledges achieved over time

• Build and manage an individual giving programme.

• Support and build upon the community fundraising activity

• Develop persuasive campaigns, cases for support and donor communications.

• Maintain the CRM and utlise it to its full potential

• Keep accurate records, forecasts and pipeline reports.

About you

You will be an excellent communicator, careful researcher and organised fundraising manager, with experience in individual giving and community fundraising. You will be confident communicating with donors and senior stakeholders, handle sensitive information with discretion, and share PWSA UK’s commitment to supporting people with Prader-Willi syndrome.

This is a senior generalist role with real influence. You’ll lead the people agenda, manage a small HR team, and partner closely with senior leaders to deliver change, manage risk, and drive performance through people.

Key Duties & Responsibilities

• Lead the organisation's financial management, reporting and controls.
• Manage budgeting, forecasting and cash flow planning and work with the external Management Accountant.

• Manage and develop the Finance Officer while managing key external relationships.

Person Specification

• Qualified or qualified-by-experience (Strong QBE) finance professional with strong financial management expertise.

• Experience delivering budgets, forecasts and management reporting.
• Ability to form relationships and communicate finance matters to non-finance budget holders and senior stakeholders.
