As Communications and Fundraising Assistant, you will play a particularly prominent role in telling the story of what Charity funding makes possible at King’s – generating high quality content to communicate the difference we’re making, and helping our communications officer to bring it to life it on our digital channels. It will suit somebody who uses social media extensively in their personal life and can draw on that insight to help the team connect with our audiences.

Key Tasks

• Working with the Communications Officer to create content for websites, digital platforms, social media, email campaigns and other channels. This includes the Trust’s Inside King’s magazine as well as our own channels. It could involve interviewing staff, patients and volunteers, creating films, taking photographs.
• Organising, distributing and updating the Charity’s marketing materials around the Trust, including posters, leaflets and banners.
• Helping to maintain the Charity’s social media presence, creating and scheduling engaging content across Facebook, Twitter, Instagram, and LinkedIn, producing analytics reports and using insights to inform future strategy.
• Developing our use of Sharepoint as an internal communications channel, and maintaining the Charity’s presence on the King’s staff intranet.
• Helping the Communications Officer keep our website fresh and engaging, identifying key user journeys and supporting colleagues across the charity to use the website to achieve business goals.
• Acting as a champion for the Charity’s work by attending regular events and assist in delivering internal engagement opportunities, such as fundraising events, celebrations, and so on.
• Generating reports on the team’s KPIs across all digital platforms, helping to improve user journeys across our digital platforms.
• Keeping communications and fundraising systems running smoothly, including the media library, filing systems, budget, and planning and reporting processes.
• Building effective relationships with digital suppliers such as website agency.
• Acting as an ambassador for and representing the Charity in a professional and efficient manner.

Person Specification

• Experience of working or volunteering in marketing or communications in a professional environment.
• Experience of supporting an organisation’s digital presence across social media, website, email marketing and internal channels.
• Extensive personal experience of using social media platforms
• Understanding of basic digital analytics tools and processes, such as Google Analytics.

We are recruiting a Fundraising and Engagement Assistant apprentice to provide outstanding data management, supporter care and assist the Challenge Events Fundraising Officer and wider fundraising team to support our income generation.

What you will do:

Support the Fundraising team to uphold a high level of supporter care with a view to retention and increased engagement.

Efficiently and accurately process and reconcile all incoming donation information, received daily, weekly and monthly from multiple digital sources, onto our database and acknowledge these within agreed timescales.

Analyse all online income including but not exclusively from Just Giving, Enthuse, PayPal Giving Fund and Facebook along with all other income.

Ensure that all third party received income is recorded on Raisers Edge and produce accurate reports for internal stakeholders.

Be the first point of contact for challenge event supporters and manage and respond to queries.

Record and update non-financial supporter information such as, communication preferences, research information and other personal information in line with our Data Protection policy.

Distribute all parcels in a timely manner, making sure everything is recorded accurately.

To be successful in this role you will have:

English and Maths GCSE or equivalent grade C or above

Previous experience providing dedicated administration support.

Experience of handling sensitive information appropriately

Experience of working effectively within a team environment and assisting colleagues

Excellent verbal and written communication skills including the ability to write reports.

The apprenticeship programme is due to start in September 2024, provided by the Juice Academy - an industry-led apprenticeship provider. They are partnered with Jane Montague Consultancy to deliver the 13-15 month Fundraiser Level 3 programme. Apprentices work on the job within a charity whilst receiving 20% off the job training from current industry experts. The training sessions are a hybrid of face-to-face learning (two optional in-person days) in Manchester, and virtual half-day classrooms via Zoom. Apprentices also receive the on-the-job training in the workplace. The final three months of the course will be the ‘assessment period’ during which apprentices go through an End Point Assessment and are graded a pass, merit or distinction. Apprentices currently have a 94% distinction rate. The Juice Academy are part of the Apprentify Group, and development coaches support apprentices throughout the programme.

The qualification will include:

Salary: £23,114 per annum (SCP 4) progressing by increments to £23,893 per annum (SCP 6)

Purpose of the Role

The Digital Marketing Manager will implement and help develop a new digital marketing strategy, crucial to the ongoing development of ArtsEd’s profile and reputation and the successful delivery of all our programmes.

Understanding the needs of current and prospective students and pupils and their parents, and being able to identify digital plans and initiatives which will enable ArtsEd to meet both the long and short-term needs is a central aspect of the role.

The Digital Marketing Manager will lead in the planning and implementation of digitally creative and customer focused campaigns and will be responsible for the achievement of student and pupil recruitment targets. They will work closely with senior staff and the rest of the Marketing team to deliver highly effective experiences to all stakeholders and potential stakeholders.

The Digital Marketing Manager will be responsible for the continuing development of ArtsEd’s online profile amongst all of our target audiences, including high-level industry connections, potential supporters and the local community, alongside potential students, pupils and parents.

In addition, the Digital Marketing Manager will be responsible for ensuring that ArtsEd’s messaging is consistent, innovative and compelling across all platforms.

Digital Marketing

• Plan and execute digital marketing, including SEO/SEM, email, social media and display advertising campaigns in collaboration with the wider marketing team.
• Use digital marketing expertise to create effective user funnels to optimise conversion rates, tracking user behaviour in order to refine processes.

• Collaborate closely with staff across the organisation to identify storytelling opportunities to ensure a full understanding of ArtsEd’s broad range of target audiences.

• Set up digital advertising campaigns through Meta, Google Ads and other platforms

• Utilise excellent graphic design skills to collaborate with the team on the design and delivery of different digital campaigns for all stakeholder groups. This will include mass e-mails, social media posts and digital collateral as required.
• Instrument conversion points and optimize user funnels.
• Monitor social media communications (both comments on posts and direct messages) and respond in a timely and appropriate manner.

Design & Brand

• Be a guardian of the ArtsEd brand, ensuring correct and effective use of our branding and house style both internally and externally.
• Ensure all digital information is accurate, up to date and relevant.
• Ensure ArtsEd embraces and celebrates diversity and inclusion through all digital marketing touchpoints.
• Develop and manage image library including liaising with relevant staff to select images, co-ordinating in-house photography and film requirements, up-dating plasma screen and fulfilling external requests for images.
• Ensure all touchpoints communicate ArtsEd visual identity. Working with the wider Marketing team to review and implement ArtsEd brand architecture structure on digital platforms

Graphic Design

• Create print and digital advertising material using Canva or similar software.
• Design and create in-house digital signage and support the Marketing Officer where needed.
• Support the print production process, liaising with printers and publications, proof reading and adapting print collateral as required.

Recruitment

• Lead on the implementation and delivery of a robust digital marketing strategy to optimise student and pupil recruitment across the whole organisation. This will include:
• Building on existing digital activity to maximise its reach and impact against all of our target audiences, including digital and associated print advertising.
• Managing an associated  programme of recruitment focused events and activities, both virtual and face-to-face, to raise our profile and to maximise our enquires, registrations, applications and acceptances across all of our activities.
• Supporting the relevant teams in the delivery of this programme, which will include existing activity e.g. Day School and Sixth Form Open Days, degree audition days and our outreach programme.
• To programme our email marketing conversion communication using software Mailer Lite/MailChimp
• Overseeing the production of all marketing collateral.

Social Media

• Overseeing the planning and delivery of a social media plan that aligns with and enhances all strands of the marketing and communications strategy
• Create engaging and content drive social media assets.
• Oversee and a schedule the delivery of day-to-day social media content
• Work with the marketing officer to Launch as short form video content strategy for all platforms with aligns with the Marketing and organisations strategy.

• Manage through line managed staff all aspects of the ArtsEd website, ensuring that it remains relevant to all users at all times. This will include:-
• Ensuring factual content is kept up-to-date, imagery and video is regularly refreshed and that the overall site reflects ArtsEd’s unique offer.
• Identifying opportunities to create and update brand focused content

Market Analysis/Planning

• Review and analysis of data to identify competitor tactics, market trends, new opportunities and challenges.
• Ability to understand different audiences and relevant content to ensure successful conversion rates and enhance the student and stakeholders experience.
• Explore  new methods for collection of data and how this can be used to improve recruitment processes
• Complete quarterly digital impact reports
• Measure and report performance of all digital marketing campaigns and assess against goals (ROI and KPIs).
• Implement regular surveys of students and staff, collecting quantitative and qualitative material to support marketing and communication campaigns.
• Stay up to date with the latest trends and best practices in online marketing and measurement.

Purpose of the Access & Learning Assistant (Digital) role is to:

As our Access & Learning Assistant (Digital), you will deliver across the whole range of Access and Learning Department activities, while leading on the creation of digital content.

The postholder will deliver daily programmed activities for schools (onsite, online and occasionally offsite), and there will be opportunities to work with families and other Museum audiences. The next day you might be recruiting and training our wonderful volunteers. Every day there will be a different challenge that you’ll find extremely rewarding. Context of the role.

The successful candidate will be guided by the Communications & Fundraising Officer to communicate the experiences of refugees and asylum seekers and demonstrate the impact of Upbeat Communities to our supporters and followers, as well as to new audiences. The role can mostly be done remotely; however, it will be required for the candidate to travel to our base in Derby a minimum of 1 day a week to stay connected to the team, and for team meetings and training as and when they occur.

One of the best resources a refugee can have to help them settle in their new home is a good social network. Relationships and connectedness can help overcome the many challenges faced by those seeking refuge. With this aim, we want to help connect refugees into community.

We greet new arrivals with our Welcome Boxes befriending project. We offer free English classes and community activities to help refugees (adults and children) integrate. We empower refugees to rebuild their lives through Host Derby (temporary accommodation), mentoring (careers guidance) and the UK Refugee Resettlement Scheme, which local authorities contract us to deliver. We also empower the local community through awareness raising.

Main duties and responsibilities:

Content creation

•  Creating written and visual content for social media and our website.
• Finding useful resources, articles, and news to be shared on our website, blog and social media.

Social media and website

•  Day-to-day management of Upbeat’s social media accounts including creating and scheduling content, replying to messages, and interacting with followers.
•  Updating the website with relevant images, statistics, and news.

Supporter stewardship

• Following Upbeat’s donations process, ensure donors are thanked in an appropriate and timely manner, and that all communications are logged on to our database (Donorfy).
• Researching local fundraising or awareness-raising opportunities and events.

Other

• Working with Upbeat’s Communications & Fundraising Officer on larger-scale fundraising campaigns throughout the year, as well as the communication of these campaigns.
• Making an active contribution to the overall work of Upbeat Communities through team meetings, staff training, awareness and fundraising events, and any other appropriate activities.

We are the National College for Digital Skills, established in 2016 as the first new Further Education College in England since 1993. Job Purpose

The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

To be successful in the role the post holder will:

Role Responsibilities:

Finance Support: 60%

Support the Assistant Finance Manager in updating the Purchase Ledger:

• Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
• Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
• Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
• Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
• Receive and check all statements from suppliers,
• Investigate and action any issues that arise with regards to creditors,
• Regular review and maintenance of the outstanding purchase order and goods received notes report,

Support the Assistant Finance Manager in updating the Sales ledger:

• Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
• Ensure that all requests for sales invoices are processed and sent to debtors promptly,
• Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received

Petty Cash:

• Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
• Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.

Other finance duties:

• Support Assistant Finance Manager in preparation of the pay runs;
• Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
• Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
• Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
• Support the Finance Team with any other queries that may arise.

HR Support:

Recruitment

• To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
• To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
• To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
• To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.

Inbox Management & Staff queries

• To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner
• To work with the HR Manager to manage the HR inbox, responding to staff enquiries in a timely manner recognising that some correspondence will be highly confidential and/or sensitive in nature.

Systems & Compliance

• To be the main point of contact for all HR system queries and to action all first-level system transactions, escalating more complex transactions to the Head of People & Talent or the HR Manager.
• To send out reference requests for all shortlisted candidates, chasing responses and passing on to the relevant line manager
• To maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated (eg vacancies, DBS and other pre-employment checks, probationary periods, performance management, exit interviews.)
• To create and maintain electronic copies of  personnel files
• To support with the updating of the Single Central Record for all staff, volunteers, consultants, agency workers and governors
• Under the direction of the Head of People, issue relevant letters to staff in relation to Employee Relations (ER) matters ensuring that timelines are strictly followed, meetings arranged, notes/minutes taken and all paperwork, including checklists, is fully completed.
• To support the People team with all HR policies, processes and projects as required.

General Administration

• To provide accurate data for Education and Skills Funding Agency (ESFA) in monthly data returns,
• Liaising with CIVICA support team to seek advice on better use of MIS (REMS),
• Acquire data from primary and secondary sources and update database system REMS,
• Keeping up to date with the latest ESFA funding rules and regulations.

Additional duties:

• Undertake confidential shredding and filling,
• Coordination Support for the Finance or People/HR elements of staff on-site events

We are recruiting for an enthusiastic and proactive individual to join our Finance Team in the role of Finance Assistant.

The Finance Assistant supports all aspects of the Hallé’s work at the Bridgewater Hall, the Hallé Venues and concert halls across the UK.

The Finance Assistant works in a department currently comprising Finance Director, Finance Manager, Assistant Finance Manager and Finance Assistant.

The department is responsible for all aspects of the financial affairs of the Society and its related trusts. The Finance Assistant is responsible to the Assistant Finance Manager.

They take responsibility for processing the day-to-day transactions of the company across purchase ledger, sales ledger and the cash book, and ensure the smooth operation of the office. They will also need to work collaboratively with colleagues across the wider Hallé as well as with external customers and suppliers.

The post is full-time permanent based on a 36.25-hour week. Our core office hours are 09.00-17:15, from Monday to Friday. There is an option to work up to 50% of hours from home.

Consideration will be given to applicants wanting to work part-time at an appropriate level to meet the requirements of the role.

We are seeking a Fundraising Assistant at York Minster Fund for an initial fixed term contract of 12 months, commencing summer 2024. This part time, flexible role will support our team in administrative and fundraising tasks across a range of exciting activities and events, helping to raise funds for the Minster’s ongoing work.

Our ideal candidate will be a positive, enthusiastic and confident communicator across different groups of people and keen to gain experience across projects and events. We are looking for someone with some demonstrable customer service/administrative/business experience and sound IT skills; as well as an enquiring mindset with a willingness to learn about the fascinating world of philanthropy, fundraising and conservation. 

York Minster Fund is the lead fundraising partner for York Minster. We are an independent organisation, with a separate board of Trustees, who work closely with colleagues across the Cathedral to secure income for a number of much needed projects and programmes of work. Established in 1967, as an emergency response to an urgent restoration project, we secure funds from charitable foundations, major and corporate donors, legacy donors, individuals and events. 

Our funds provide much needed income for a wide range of projects, including the fabric and repair of the iconic Minster itself, the training of apprentices in traditional heritage crafts and strategic initiatives such as the realisation of the Minster's new international Centre of Excellence for Heritage Skills and Estate Management. 

In the last year we have built on existing strong fundraising relationships and techniques to explore new ways of engaging donors and digital audiences and this is an exciting time to join the Fund as we move forward on a number of major projects. As part of our small but highly experienced team, no two days are the same and the role could see you supporting with many different projects and tasks including donor events administration and delivery, correspondence and research.

There is some flexibility for home working, but we do need regular office attendance for this role in York.
